Outlook can miss a spelling mistake for several different reasons: automatic checking may be disabled, the instructions may belong to another Outlook version, the draft may use the wrong proofing language, or the text may be excluded by ignore settings. Microsoft Editor also reports suggestions rather than guaranteeing that every incorrect word will be found. Identify your Outlook experience first, then check Editor or Spelling & Grammar, verify the draft language, review ignored text categories, and finish with a human read-through of names, addresses, numbers, dates and meaning.
Why Outlook does not flag every spelling mistake
“Outlook” now describes several applications with different proofing controls. New Outlook for Windows, classic Outlook for Windows, Outlook on the web and Outlook.com do not always show the same menus. Microsoft explicitly notes that Editor might not be available in all classic Outlook versions. Following instructions for the wrong application is therefore one of the most common reasons a setting appears to be missing.
Even when the correct checker is available, spell checking has boundaries. A word can be spelled correctly yet be wrong in context, such as their instead of there, a valid surname typed for the wrong recipient, or a correct number copied into the wrong invoice. Outlook’s suggestions are useful signals, not a guarantee that every error in an email will be detected.

Automatic checking is turned off
Outlook may stop showing red underlines or other potential-error markings when automatic spelling checks are disabled. Microsoft’s Office spelling settings include a control for checking spelling as you type. Classic Outlook also has a separate option that checks a message before it is sent. These are different behaviors: one marks text during composition, while the other creates a final prompt at send time.

The instructions do not match your Outlook version
Microsoft separates new Outlook from classic Outlook in its support instructions. Microsoft 365 Outlook generally provides Editor, while some classic editions provide the older Review > Spelling & Grammar command instead. If a new-Outlook Editor button is not present, confirm which application is open before changing settings.
The proofing language does not match the draft
Proofing is language-specific. In new Outlook, you can manage spellcheck languages from Editor while composing, and the language selection applies to that draft. Microsoft’s language-capability table shows that spelling, grammar and refinement features vary by language; some languages have context-sensitive spell checking while others offer fewer capabilities. A draft written in English but set to another language may therefore receive incomplete or irrelevant suggestions.
Outlook is ignoring the text by design
Microsoft documents options to ignore words in all uppercase, words containing numbers, and internet or file addresses. Those categories include many strings that look like mistakes to a person: product codes, acronyms, ticket numbers, URLs, file names and mixed letter-number identifiers. A word previously added to a custom dictionary is also treated as acceptable. Choosing “Ignore” for a suggestion can prevent that occurrence, or similar occurrences, from attracting attention.
A correctly spelled word can still be the wrong word
Traditional spell checking compares a token with known words. It is less reliable at judging whether the word fits the sentence, recipient or business context. Names, technical terms, street addresses, dates, amounts and attachment references deserve a deliberate human check even when Editor reports no spelling issue.
A previously documented language-setting incident
Microsoft’s known-issue entry, updated January 29, 2025, says that proofing-language settings in new Outlook could change unexpectedly. Microsoft states that a service-side fix resolved that issue worldwide in December 2024. Treat this as a resolved historical incident, not proof that the same problem is currently widespread. If your language still changes, verify the current setting and Outlook version before assuming the old incident is responsible.

First identify the Outlook experience you are using
Use the matching workflow rather than mixing commands from different applications.
| Outlook experience | Primary proofing workflow | Before-send control |
|---|---|---|
| New Outlook for Windows | Open Editor while composing and review spelling suggestions and other enabled categories. | Use the available compose-time Editor workflow; the classic “Always check spelling before sending” setting is not the same interface. |
| Classic Outlook for Windows | Supported editions may provide Editor; editions without it use Review > Spelling & Grammar. | In Outlook 2024, 2021, 2019 and 2016, go to File > Options > Mail and enable Always check spelling before sending. |
| Outlook on the web | Open Editor or the spelling command in the compose window, depending on the account and current interface. | Review the draft in the compose window before selecting Send. |
| Outlook.com | Use the spelling or Editor controls shown in the web compose window. | Perform the final review before sending; available controls can change as Microsoft updates the web interface. |
If a menu name differs, do not assume the feature is broken. Microsoft changes labels and layouts between the new and classic applications, and Editor is not present in every classic version.

How to check spelling in each Outlook version
New Outlook for Windows
- Open a new message or reply and enter the complete draft.
- Open Editor in the compose toolbar or the location shown by your current new-Outlook layout.
- Choose the spelling category and inspect each suggestion. Accept a correction only when it matches the intended meaning; ignore a suggestion when the word, name or technical term is correct.
- Open the Editor language settings and confirm that the proofing language matches the language of this message.
- If you have just added a language, allow the draft time to be checked again before concluding that no suggestions are available.
The language selection made while composing applies to that draft. It does not automatically establish the same proofing language for every future message.
Classic Outlook with Editor
- Compose the message and open Editor from the message window.
- Review spelling, then inspect grammar or refinement categories if they are available and relevant.
- Check the proofing language shown by Editor and change it when it does not match the draft.
- Read the message manually after applying corrections.
Microsoft’s exact warning is: Editor might not be available in all classic versions of Outlook.
If your installation lacks Editor, use the older spelling command instead of trying to enable a control that your edition does not contain.
Classic Outlook without Editor
- Open the message window.
- Select Review > Spelling & Grammar.
- Work through each reported word, choosing the appropriate correction, ignoring a valid term, or adding a genuinely correct recurring term to the dictionary.
- When you want a reminder every time you send, select File > Options > Mail.
- Under the message-composition options, enable Always check spelling before sending, then select OK.
This pre-send prompt is a safety net, not a substitute for rereading. It can remind you to run a check, but it cannot judge whether every correctly spelled word conveys what you intended.

Outlook on the web and Outlook.com
- Open the message in the browser compose window.
- Use the Editor, spelling or proofing control displayed in that compose interface.
- Review the spelling category and any other categories you choose to use.
- Confirm the language for the current draft if a language selector is available.
- Read the finished message once before selecting Send.
Web layouts can change, so the visible icon or label may differ from a desktop screenshot. The important distinction is that these are browser-based compose controls, not the classic desktop File > Options path.
How to change the proofing language
When Outlook misses words in a multilingual message, language selection is the first setting to inspect. In new Outlook, open Editor while the draft is active, open its language or proofing-language settings, and select the language that matches the text. Because the selection applies to the current draft, check it again when starting a new message in another language.
Do not expect identical behavior in every language. Microsoft’s Editor availability table records different levels of spelling, grammar and refinement support, and some languages use context-sensitive spelling while others do not. A language can therefore be selected correctly and still offer fewer categories or suggestions than English.
If a newly added language produces no immediate markings, wait for the draft to be rechecked. Then type or paste a known misspelling as a harmless test sentence and see whether the checker responds. Remove the test text before sending.
Check the settings that suppress potential errors
When Editor or Spelling & Grammar reports nothing, inspect the categories Microsoft allows users to ignore:

- Words in uppercase: acronyms and headings may be skipped.
- Words containing numbers: order numbers, model codes and mixed identifiers may not be marked.
- Internet and file addresses: URLs, email addresses and file paths may be excluded.
- Dictionary entries: a term added as correct will not normally be suggested again.
- Ignored suggestions: selecting Ignore can suppress a correction even though the word deserves another look in a later context.
These exclusions explain why a typo in a product code or address can pass silently. They also prevent a checker from treating every URL, filename or acronym as an ordinary dictionary word.
A reliable troubleshooting sequence
Work from the least disruptive checks to the settings that affect all future messages.
- Identify the application. Decide whether you are in new Outlook, classic Outlook, Outlook on the web or Outlook.com. Use only the matching instructions.
- Run the available checker. Open Editor and its spelling category, or use Review > Spelling & Grammar in a classic edition without Editor.
- Verify the draft language. Make sure the selected proofing language matches the language actually used in the message. Remember that new Outlook’s selection applies to the current draft.
- Allow rechecking. After adding a language, give the draft time to be analyzed again.
- Inspect automatic-check settings. If words are not underlined while typing, check the spelling-as-you-type control in the available Office or Outlook proofing settings.
- Inspect ignored categories. Determine whether uppercase words, strings containing numbers, internet addresses or file addresses are excluded.
- Review dictionary decisions. Look for terms previously added as correct or suggestions previously ignored. Remove a dictionary entry only when you are sure it is not a valid recurring term.
- Enable a pre-send reminder in supported classic editions. Go to File > Options > Mail and turn on Always check spelling before sending.
- Perform the human pass. Check names, recipient addresses, dates, amounts, hyperlinks, attachment references and words that are easy to confuse.
Automatic marking, manual review and the before-send prompt
| Method | What it does well | What it cannot assure |
|---|---|---|
| Spelling as you type | Shows potential errors during composition, making corrections quick. | May be disabled, language-dependent or silent for ignored categories and accepted dictionary terms. |
| Editor review | Collects spelling, grammar and style or refinement suggestions in one place where those capabilities are supported. | Does not guarantee detection of every contextual, proper-name or factual error. |
| Review > Spelling & Grammar | Provides a manual checker in classic versions that do not have Editor. | Uses the proofing configuration and dictionaries available to that installation. |
| Always check spelling before sending | Prompts you before sending in supported classic Outlook editions. | Acts as a reminder; it is not a substitute for rereading the message. |
How to proofread an email after Outlook finishes
Use a separate pass for meaning, because a clean spelling report does not prove that the message is correct.
Check the people and places
- Compare every recipient name and email address with the intended contact.
- Check the spelling of customer, colleague and company names, including capitalization that matters to the recipient.
- Verify locations, street names and domain names character by character.
Check numbers and dates
- Re-read dates, times, time zones, quantities, prices, account numbers and reference codes.
- Confirm that decimal points, commas, currency symbols and negative signs are present and in the intended position.
- Compare important figures with the original document rather than relying on memory.
Check meaning and tone
- Look for correctly spelled words that are wrong for the sentence, such as commonly confused homophones.
- Read sentences containing negations such as “not,” “never” or “unless” slowly.
- Make sure the request, deadline and next action are unambiguous.
- Remove duplicated words, missing words and fragments that a dictionary-based checker may not flag.
Check links and attachments
- Open important links to verify that they point to the intended destination.
- Confirm that every promised attachment is attached and that the file name is the correct version.
- Check that an address, file path or code was not accidentally altered while editing.
Use a final read in a different mode
Read the email from the recipient’s perspective, preferably after a short pause. Reading aloud or viewing the message in a larger font can expose omissions that disappear when you skim familiar text. This is a practical proofreading technique, not an Outlook feature, and it complements rather than replaces Editor.
What to do when the problem continues
No Editor button is visible
Confirm whether the window is classic Outlook and whether your edition supports Editor. If it does not, use Review > Spelling & Grammar. Do not use new-Outlook instructions for an installation that Microsoft identifies as classic.

There are no underlines while typing
Check the spelling-as-you-type setting, then test with an obvious misspelling in a disposable draft. If the test word is still unmarked, inspect the proofing language and ignored categories before changing dictionaries.
Only names, codes or URLs are missed
Those strings commonly fall into the documented uppercase, number-containing, internet-address or file-address exclusions. Review them manually even when the rest of the message is checked successfully.
The checker suggests the wrong language
Change the proofing language for the active draft and allow rechecking. If the language continues to change unexpectedly, record the Outlook experience and current setting, then consult Microsoft’s current support information; the previously documented new-Outlook incident was marked resolved in December 2024.

A word is always accepted even though it is wrong here
It may be in a custom dictionary or have been ignored previously. Treat dictionary acceptance as a spelling-list decision, not a context check. Remove or correct the dictionary entry only after confirming that the term is not intentionally valid in your work.
A short pre-send checklist
- Am I using the instructions for my actual Outlook experience?
- Did I run Editor or Review > Spelling & Grammar?
- Does the proofing language match this draft?
- Could uppercase text, numbers, URLs, file paths or dictionary entries be excluded?
- Did I verify names, addresses, dates, amounts and attachments?
- Does every sentence say what I intend, including words that are spelled correctly?
Outlook’s checker is one layer of quality control. Correct version-specific settings make its suggestions more useful, while a final human pass catches the contextual and factual mistakes that automated spelling tools are not designed to guarantee.
