Plain text is more likely than an app-specific notes database to remain readable decades from now because it stores characters without requiring one company’s software, operating system or proprietary database engine. Save general notes as UTF-8 text, then protect the files with ordinary backup, integrity-checking and restoration practices. That is a durable strategy—not a guarantee that a .txt extension alone will preserve every part of a digital record.

What “survives every app” really means

An app can shut down, change its subscription model, stop exporting, lose backward compatibility or depend on an operating system that no longer exists. A plain-text file has a much smaller dependency chain: a future computer needs only a way to read bytes and interpret a common character encoding. The file can be opened in a basic editor, inspected directly, converted with simple scripts or read manually if necessary.

That is why preservation guidance favors platform-independent, character-based formats when they retain the information completely. It is more accurate to say plain text is less dependent on one app and more likely to remain readable than to promise that every text file will open forever.

Why UTF-8 is the practical default

The Library of Congress’s 2025–2026 Recommended Formats Statement lists UTF-8, UTF-16 with a byte-order mark (BOM), and US-ASCII as preferred encodings for digital textual works, and includes plain text among acceptable formats. For ordinary notes, UTF-8 is the safest general choice because it can represent Latin alphabets, accented characters, Asian scripts, emoji and other Unicode text in one standard.

US-ASCII is a valid subset of UTF-8: its first 128 characters use the same values. A file containing only those characters can therefore be read by both older ASCII tools and modern Unicode software. UTF-8 is preferable once a note may contain non-Roman scripts or symbols.

When a workflow permits it, record the encoding in adjacent documentation or the preservation manifest. A future reader should not have to guess whether a file is UTF-8, UTF-16 or a legacy local encoding.

Plain text versus an app-specific notes database

Preservation question Plain text App-specific database
Software and platform dependence Low; common editors and command-line tools can read it Higher; access may require the original app, operating system or export service
Human inspection Characters can be viewed directly and searched without a database engine Records may be opaque, fragmented or encrypted inside a proprietary schema
Structure and rich media Basic text only unless you define a convention May retain notebooks, links, attachments, formatting, formulas, tags and behavior
Language coverage Broad with UTF-8; limited if saved in an older encoding Depends on the app’s export and Unicode support
Migration and validation Simple to copy, diff, convert and validate Export quality can vary, and undocumented fields may be lost
Backup requirement Still needs redundant copies and integrity checks Needs the same protections plus a usable export or compatible software

The trade-off is information fidelity. Plain text does not inherently preserve page layout, fonts, comments, embedded images, audio, formulas, database relationships, revision history, permissions or an app’s behavior. If those properties carry meaning, reducing the record to sentences can be a form of data loss.

When plain text is the right format

  • Personal notes, journals, drafts, instructions and checklists whose meaning is primarily words.
  • Logs and documentation that should remain searchable and editable across systems.
  • Small datasets where a line-oriented representation retains every field and its precision.
  • Records that must be readable without a vendor account or a particular application.

For datasets, the Library of Congress prefers platform-independent character formats when the data remains complete and retains full detail and precision. Line-oriented TSV, CSV and fixed-width text can work well, but delimiters, quoting, date formats, units, missing-value rules and character encoding should be documented beside the data.

When plain text is not enough

Use a documented open format or retain an export in addition to plain text when the original record depends on rich structure or media. A practical preservation set might include the human-readable text, a format that retains layout or relationships, and metadata explaining how the files relate. Keep the original application export when it is the only way to preserve behavior, but do not make it the sole copy.

Sustainable-format guidance from Canadian preservation authorities emphasizes freely available documentation, inspectable contents, readily available tools, minimal external dependencies and broad community adoption. It also warns that even human-readable formats need documentation and migration while tools remain available. “Open” does not mean “self-preserving.”

A preservation workflow for plain-text notes

  1. Choose the encoding. Save general notes as UTF-8. Confirm the editor is not silently converting files to a legacy code page or adding an unexpected encoding marker.
  2. Use descriptive names. Include a stable subject and date, such as 2026-10-15-project-notes.txt. Avoid names that depend on an app’s internal identifiers.
  3. Separate content from explanation. Keep a short README or metadata file describing the author, dates, terminology, units, file relationships and any naming or delimiter rules.
  4. Create redundant copies. Keep more than one copy, on separate storage, with at least one copy in a different location. A single laptop or cloud account is not a preservation plan.
  5. Check integrity. Generate checksums where practical and compare them during periodic reviews so silent corruption is detectable.
  6. Test restoration. Restore a sample from backup and open it on a different system. A backup that has never been restored is an assumption, not evidence.
  7. Review formats and tools. Monitor whether the encoding and any companion formats remain usable. Migrate before a tool disappears, keeping the old file and documenting the conversion.

RFC 8153 makes the operational point plainly: common plain text and ASCII remain usable when paired with disk mirroring, off-site backups and periodic restoration testing. Those protections address corruption and loss; they do not recreate information that was never stored.

What a .txt file cannot promise

  • Media longevity: the extension does not protect against failing disks, ransomware, accidental deletion or bit rot.
  • Context: a paragraph may outlive the explanation of who wrote it, when, for whom or what its abbreviations mean.
  • Exact appearance: line wrapping, typography and page layout can change between readers.
  • Complete semantics: tables, formulas, links, attachments and application actions may be flattened or omitted.
  • Universal compatibility: an unusual encoding, damaged file or undocumented convention can still be difficult to interpret.

The Library of Congress describes digital preservation as a program involving sustainable formats, metadata, monitoring and preservation tools such as PREMIS. The durable choice is therefore a combination: a simple, well-documented representation plus managed copies and periodic verification.

Bottom line for a 20- or 50-year archive

Save ordinary prose as UTF-8 plain text, document what the files mean, and maintain multiple verified copies in separate locations. Export richer app content into documented open formats when text alone would remove important meaning. This approach minimizes dependence on software that may vanish while acknowledging that long-term access is an ongoing preservation process, not a property guaranteed by any file extension.

Frequently Asked Questions

Will my notes still open if the app shuts down?

If you exported the content as readable UTF-8 plain text and preserved the files and their backups, you are not dependent on that app to open the words. App-only features, attachments and structure may still be unavailable.

Is a .txt file automatically safer than a proprietary database?

It is usually less dependent on one vendor and easier to inspect, copy and migrate. It is not automatically safer: storage failures, missing context, encoding mistakes and absent backups can affect plain text too.

Should I convert every document to plain text?

No. Convert prose and simple records when text preserves their meaning. Keep a documented open format or an application export as well when layout, formulas, images, relationships or behavior are essential.
