Gmail usually blocks or spam-folders mail from a server for one of nine reasons: missing SPF or DKIM authentication, misaligned DMARC, broken forward or reverse DNS, an unauthorized sending IP, failed TLS, malformed RFC 5322 messages, poor sender reputation, unwanted mail, or forwarding that invalidates authentication. Start with Gmail’s complete SMTP response, then repair authentication and DNS identity before changing message content or volume.

For mail sent to personal Gmail accounts, Google’s current rules require every sender to use SPF or DKIM, valid forward and reverse DNS, TLS, RFC 5322-compliant formatting, and controlled spam rates. Senders delivering more than 5,000 messages per day to Gmail accounts must use SPF, DKIM, and DMARC, with the visible From domain aligned to the SPF or DKIM organizational domain for direct mail.

What a Gmail rejection actually tells you

The SMTP status class determines whether you should retry delivery or fix configuration immediately. A temporary response can become permanent if the underlying condition remains, while a permanent response will not be solved by repeated retries.

Status Meaning Correct response
4.x.x Temporary rate, connection, or policy problem Use controlled retries with backoff, investigate the accompanying text, and stop increasing volume until the cause is known.
5.x.x Permanent rejection of the message, sender, or connection Capture the entire enhanced code and Gmail’s text, correct the stated defect, then send a new message.
550 5.7.1 A broad permanent policy rejection; the explanatory text identifies the specific policy issue. Do not treat the number alone as a diagnosis. Read the full response and check authentication, reputation, IP authorization, and message policy.
5.7.25 Gmail identifies missing or inconsistent reverse and forward DNS for the sending IP. Have the IP owner create a PTR record and matching A or AAAA record.
5.7.26 The message is not authenticated with the methods Gmail requires. Implement SPF or DKIM for all mail; high-volume direct senders also need DMARC and alignment.

Save the SMTP transcript, including the receiving hostname, enhanced status code, queue timestamp, and explanatory sentence. Different messages can receive different responses when one stream is authenticated and another uses a different envelope sender, IP, or forwarding path.

Gmail’s current delivery gates

Google’s sender guidance applies to mail delivered to personal Gmail accounts. The rules below are the practical gates a server must pass.

Gate Who must meet it What Gmail expects
SPF or DKIM Every sender At least one authentication method must pass for the message’s sending identity.
SPF, DKIM, and DMARC Senders exceeding 5,000 messages per day to Gmail accounts All three protocols must be deployed. Direct mail must align the From organizational domain with SPF or DKIM.
Forward and reverse DNS Every sender The sending IP needs a PTR hostname, and that hostname must resolve back to the same IP through A or AAAA DNS.
TLS Every sender The SMTP connection must negotiate TLS successfully.
RFC 5322 format Every sender Headers, addresses, dates, message IDs, MIME boundaries, and line syntax must be valid.
Spam rate Especially bulk senders Keep the spam rate below 0.30 percent. Higher rates can remove delivery support or mitigation eligibility.
One-click unsubscribe Marketing and subscribed messages Recipients must be able to unsubscribe through a one-click mechanism rather than having to reply or search for instructions.

Google says unauthenticated mail can be marked as spam or rejected with a 5.7.26 error. Google also announced that enforcement on non-compliant traffic is being ramped up from November 2025, so a configuration that appeared to work earlier may now fail more consistently.

Fix Gmail blocks in the right order

1. Capture and classify the SMTP response

  1. Copy the complete SMTP response from your mail server, application log, or relay dashboard.
  2. Record whether it is a 4.x.x temporary response or a 5.x.x permanent rejection.
  3. Note the envelope-from address, visible From address, DKIM signing domain, sending IP, and the exact Gmail recipient domain.
  4. Check whether the failure affects every message or only a particular stream, such as password resets, newsletters, or forwarded mail.

Do not rotate IPs, alter subjects, or increase retries before you know which identity Gmail evaluated. Those actions can obscure the original cause and worsen reputation.

2. Publish one complete SPF record

SPF authorizes servers to send mail for a domain. Publish exactly one SPF TXT record at the domain used by your envelope sender (the SMTP MAIL FROM or Return-Path domain). Include every legitimate origin: your own server, transactional service, marketing system, and any relay that can send on your behalf.

An SPF record begins with v=spf1 and ends with a policy mechanism such as ~all or -all. The syntax is only an example; replace mechanisms with the providers and IP ranges you actually use. Two separate SPF TXT records do not combine: Gmail treats multiple records as an SPF error. Merge authorized mechanisms into one record and stay within SPF’s DNS-lookup limit.

  • Check the domain in the envelope sender, not only the address users see in the From header.
  • Remove old providers that no longer send, because stale authorization increases abuse risk.
  • After changing DNS, query the authoritative nameservers and allow for DNS caching before retesting.

3. Sign mail with DKIM

DKIM adds a cryptographic signature to selected headers and the message body. Publish the public key at the selector hostname shown in the signature, for example selector1._domainkey.example.com, and configure the MTA or relay to sign with the matching private key.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

For delivery to personal Gmail accounts, Google requires a DKIM key of at least 1,024 bits and recommends 2,048 bits when the sending system supports it. A DKIM pass is not enough if an intermediary changes signed content: body modifications, broken MIME handling, or removal of signed headers can invalidate it.

  • Use a selector that identifies the sending system so keys can be rotated without downtime.
  • Keep the private key out of web roots, source repositories, and shared support tickets.
  • Verify that the DKIM-Signature header appears on the message leaving your server, not merely in an internal application log.

4. Add DMARC and align the visible From domain

DMARC tells a receiving provider what to do when SPF and DKIM fail and where to send aggregate or forensic reports. Publish a DMARC TXT record at _dmarc for the organizational domain used in the visible From address.

For a new deployment, Google allows a policy of p=none while you observe reports and correct legitimate senders. That policy still publishes DMARC and enables measurement; it does not ask Gmail to quarantine or reject failures. Move to a stricter policy only after every authorized stream is accounted for.

High-volume direct mail must satisfy alignment: the organizational domain in the From header must match the organizational domain authenticated by SPF or DKIM. A message can pass SPF for a provider’s unrelated domain and still fail DMARC alignment. Signing DKIM with your own From domain is often the simplest way to preserve alignment across relays.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

5. Repair reverse and forward DNS

Gmail expects a bidirectional identity for the connecting IP. The IP’s PTR record should resolve to a stable hostname such as mail.example.net. A lookup of that hostname must then return the same sending IP in an A record (IPv4) or AAAA record (IPv6).

The IP owner normally controls PTR records. Ask your cloud host, ISP, or SMTP provider to set the PTR; adding an A record in your ordinary domain DNS panel alone does not create reverse DNS. If you use both IPv4 and IPv6, configure and test each address independently. An IPv6 path with no matching PTR can fail even when IPv4 is correct.

6. Confirm that the IP is authorized to send

Gmail refuses mail from unauthorized address ranges, including many consumer broadband ranges. A dynamic residential address can have correct SPF and DKIM yet still be rejected because the network is not intended for direct SMTP service.

Use an ISP SMTP relay or an authorized business connection with a static address when your provider does not permit direct outbound SMTP. Ask the provider whether port 25 is filtered, whether the address has a clean abuse history, and who controls its PTR record. Do not evade a block by moving repeatedly among residential IPs; that pattern damages reputation and does not establish a trustworthy identity.

7. Verify TLS and RFC 5322 formatting

Gmail requires TLS for the SMTP connection. Inspect the TLS negotiation in your MTA logs and ensure the certificate chain, hostname, protocol versions, and cipher configuration are accepted by the receiving server. A certificate warning on your side can indicate a hostname mismatch or an outdated TLS stack.

Then inspect a raw message, not a rendered copy. Confirm that it contains:

  • A valid Date header with a correctly formatted date and time zone.
  • A globally unique Message-ID.
  • Properly quoted and encoded display names and addresses.
  • Matching MIME boundaries and valid transfer encoding.
  • Correct line endings and folded headers that comply with RFC 5322 limits.
  • A syntactically valid recipient address and a From address that matches your intended authentication domain.

Malformed messages may be rejected even after DNS authentication is fixed. Test both plain-text and HTML alternatives, attachments, non-ASCII names, and long subject lines because each exercises a different part of MIME parsing.

8. Check reputation, complaints, and volume

Authentication proves who sent a message; reputation influences whether Gmail wants to accept it. Google Postmaster Tools can show spam rate, domain reputation, and IP reputation for qualifying traffic. Use those signals alongside your SMTP logs rather than relying on a single test recipient.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • Send only to people who requested the mail and suppress addresses that bounce repeatedly.
  • Honor unsubscribe requests promptly, including for marketing and subscribed streams.
  • Increase volume gradually after a long pause or an IP change instead of sending the full list at once.
  • Separate transactional and promotional streams so a complaint spike in one does not hide the other.
  • Watch shared-IP behavior: activity by other senders on the same address affects your delivery.

Google’s bulk guidance sets a spam-rate target below 0.30 percent. Above that level, Gmail can remove delivery support or eligibility for mitigation. A clean authentication report therefore does not guarantee inbox placement when recipients routinely mark messages as spam.

9. Treat forwarding as a separate delivery path

Forwarding can invalidate SPF because the forwarder’s IP, rather than the original sender’s IP, connects to Gmail. It can also break DKIM if the forwarder changes signed headers or the body.

Configure the forwarding system with an envelope sender for the forwarding domain and publish SPF that authorizes its infrastructure. Preserve DKIM-protected headers and the signed body whenever possible. Test common forwarding routes separately from direct delivery; a message that passes when sent straight from your server may fail after passing through a mailing list, forwarding service, or automated gateway.

How to verify each layer before sending again

Run checks from the authoritative DNS view and compare them with the headers of a real test message.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  1. Query the SPF TXT record for the envelope-from domain and confirm there is one record containing every current sender.
  2. Query the DKIM selector TXT record and verify that the published key matches the private key used by the signer.
  3. Query the DMARC TXT record at _dmarc and confirm its policy and reporting addresses are intentional.
  4. Run a reverse lookup on every outbound IP. Resolve the returned PTR hostname forward and verify an exact IP match.
  5. Send a test to a personal Gmail account and open “Show original” to check SPF, DKIM, and DMARC results, the TLS connection, and the actual From and Return-Path domains.
  6. Compare the displayed authentication results with the domains you intended to align. A pass for a subdomain or provider domain may not satisfy alignment for your organizational From domain.
  7. Review Postmaster Tools after real traffic accumulates; a single test message cannot establish reputation.

Decoding common Gmail failure patterns

“Unauthenticated email” or 5.7.26

This normally means neither SPF nor DKIM passed for the message, or an intermediary stripped the signature. Inspect the received headers, then fix the sending stream that actually reached Gmail. Adding DMARC alone cannot substitute for a passing SPF or DKIM result.

5.7.25 or a message mentioning PTR

Check both directions of DNS for the connecting IP. If the PTR is absent, generic, or points to a hostname that resolves elsewhere, contact the IP owner. Changing your domain’s SPF record will not repair reverse DNS.

Repeated 550 5.7.1 responses

Because 5.7.1 is a general policy code, the text following it matters. Authentication failures, unauthorized IP space, spam complaints, and malformed content can all produce policy rejections. Preserve the response, correlate it with the sending IP and domain, and work through the gates in order rather than assuming the code identifies one single defect.

Mail accepted but placed in Spam

Acceptance means the SMTP transaction completed; it does not mean inbox placement. Check Postmaster Tools, complaint and bounce rates, list consent, unsubscribe handling, sending patterns, and shared-IP reputation. Correct recipient behavior and volume before attempting cosmetic changes to templates.

Choosing a sending architecture

The best architecture depends on how much infrastructure you can operate and how much control you need over identity and reputation.

Option Advantages Risks or work required Questions to ask
Self-hosted server Full control of queues, logs, DKIM keys, message format, and sending policy. You must obtain an authorized static IP, maintain PTR and forward DNS, patch TLS, monitor reputation, and handle retries and abuse. Can the host delegate PTR? Is outbound port 25 allowed? How will you monitor complaints and bounces?
SMTP relay Usually provides stable queueing, TLS, connection management, and an established route to Gmail. Your domain still needs correct SPF, DKIM, and often DMARC alignment; shared-IP reputation may affect delivery. Which envelope domains and DKIM selectors must be authorized? Are IPs shared or dedicated? What ramp-up controls exist?
Managed email provider Combines delivery operations with unsubscribe, bounce processing, analytics, and support. Less low-level control and additional dependency on the provider’s policies, authentication setup, and reputation. Can it sign with your From domain, expose Gmail-relevant logs, support one-click unsubscribe, and separate transactional traffic?

Google notes that activity on a shared IP affects every sender using that address. Dedicated IPs are not automatically better: they require careful ramp-up and consistent volume. Choose based on your ability to maintain DNS, authentication, consent, and monitoring, not solely on advertised throughput.

Preventing a recurrence

  • Document every system permitted to send for each domain and remove authorization when a system is retired.
  • Rotate DKIM keys and keep an inventory of selectors before staff or providers change.
  • Alert on SPF lookup-limit errors, DKIM signing failures, DMARC alignment failures, PTR changes, TLS negotiation errors, and bounce-code spikes.
  • Keep transactional, subscription, and marketing traffic identifiable in logs and, where practical, on separate subdomains or IP pools.
  • Use double-check procedures for list imports and suppress unsubscribed, invalid, and repeatedly bounced addresses before the next campaign.
  • Recheck Google’s sender documentation periodically because enforcement dates, thresholds, and mitigation programs can change.

When outside help is justified

Use an authorized SMTP relay or a managed deliverability specialist when your ISP will not delegate PTR, your network blocks outbound SMTP, you cannot maintain TLS and queue reliability, or multiple applications send from undocumented domains. Give the provider your full SMTP responses, sending IPs, envelope and From domains, daily Gmail volume, and a description of consent and unsubscribe practices. Avoid any service that promises inbox placement while refusing to explain its IP ownership, authentication, complaint handling, or opt-in requirements.

Frequently Asked Questions

Why does Gmail reject my mail even though SPF passes?

SPF is only one gate. Gmail can still reject mail when DKIM is absent or invalid, DMARC alignment fails for direct bulk mail, PTR and forward DNS do not match, the IP is unauthorized, TLS or RFC 5322 formatting is defective, or complaint rates are too high.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Can I fix a missing PTR record in my domain DNS panel?

Usually not. PTR is reverse DNS controlled by the owner of the sending IP, such as your ISP, cloud host, or relay provider. You can add the matching forward A or AAAA record in your domain DNS, but the IP owner must publish the PTR.

Is p=none enough for Gmail bulk-sender compliance?

Google allows DMARC with p=none initially for bulk-sender compliance, provided SPF and DKIM are deployed and the visible From domain aligns with one of them. Monitor reports and tighten the policy after legitimate streams are accounted for.

Why did forwarding break a message that worked when sent directly?

The forwarder connects to Gmail from its own IP, so the original SPF authorization may no longer pass. Forwarders can also alter signed headers or the body and invalidate DKIM. Authorize the forwarding infrastructure and preserve DKIM-protected content.

How long should I wait after changing DNS?

Wait until authoritative DNS queries show the new records and normal DNS caching has expired for your previous values. Then send a fresh test message; a previously queued message may still contain the old authentication or route.
