Excel drop-down lists can appear to vanish for two different reasons: a paste can put an invalid value into a cell while leaving its validation rule in place, or a paste that carries cell attributes can replace the destination rule. The fix depends on which happened: check the rule first, use a values-only paste for future transfers, and repair or update the validation as needed.
Why a paste can bypass or replace a drop-down rule
Data validation can restrict what users enter, show an in-cell list, provide an input message, and display an error alert. But a validation rule is not a guarantee that every value reaching a cell will be checked.
Microsoft says validation messages may not appear—and invalid data may be entered—when users copy or fill cells, when a formula returns a disallowed result, or when a macro enters data. In those cases, the rule may still be present even though the cell contains a value that is not on its list. Microsoft describes the behavior this way: “Data validation is designed to display messages and prevent invalid entries only when you type data directly in a cell.” Microsoft Support: Display or hide circles around invalid data.
A separate issue is that ordinary copy and paste can bring cell attributes from the source along with its contents. Depending on the paste option and the source cell, the pasted attributes can change the destination’s validation rule. This is conditional; not every paste removes validation. Excel’s paste options let you choose which attributes to transfer, and Microsoft’s Mac instructions list Values and Validation as separate Paste Special choices. Microsoft Support: Copy and paste using the Office Clipboard · Microsoft Support: Paste Special.

How to tell whether the rule is missing or the value is invalid
- Select the affected cell and open Data > Data Validation. Menu labels and availability can vary by Excel version and platform.
- Inspect the settings. For a list, check that Allow is set to List, the Source points to the intended entries, and In-cell dropdown is selected.
- Interpret what you find. If the list rule and source are still there, the rule was not removed; the pasted value may simply have bypassed its check. If the rule is missing or points somewhere else, the paste may have changed the destination’s attributes.
If Data Validation is unavailable, the worksheet may be protected or the workbook shared. You may need an authorized editor or the workbook owner to change the rule. Microsoft Support: Apply data validation to cells.
How to paste values without replacing destination validation
When transferring entries into cells that already have rules, choose a paste option that transfers values only—not All or an option that copies validation. On Mac, Microsoft documents Values and Validation as distinct Paste Special choices. In other Excel versions, the control’s name or location may differ; choose the values-only option and verify the destination rule after pasting.

For a one-time check, select a destination cell after the paste and open Data > Data Validation. Confirm that its list settings remain as intended. A values-only paste helps preserve destination attributes, but it does not make Excel reject a value that fails validation.

How to find validated cells and invalid pasted entries
Find cells that have validation rules
On Windows, use Go To Special > Data Validation > All to select cells with validation on the worksheet. On Mac, Microsoft describes the path as Edit > Find > Go To > Special > Data Validation; choose All to find all rules or Same to find cells with matching rules. These commands locate cells that have rules; they do not identify every invalid value by themselves.

Find values that do not comply
In supported desktop versions, use Circle Invalid Data to mark entries that do not meet their cell’s validation rule. Microsoft cautions that this command may not be visible in Excel for the web. A circle identifies a value to review; correct it or confirm that the rule and entry are both intentional. Microsoft Support: Display or hide circles around invalid data.

How to restore a missing list or update its choices
Recreate a missing rule
- Select the cell or range that should have the drop-down.
- Open Data > Data Validation.
- Set Allow to List, enter or select the intended list source, and select In-cell dropdown.
- Confirm the rule, then test an allowed entry and an entry that should be rejected. A Stop alert does not guarantee that invalid values will be blocked when they arrive through copying, filling, formulas, or macros.
Do not use Clear All to repair a list: Microsoft’s instructions say that it removes the validation rule. Use it only when you intend to remove validation. Microsoft Support: Remove a drop-down list.

If the drop-down still opens but its choices are wrong or out of date, inspect the Source field in Data Validation. Microsoft lists comma-separated entries, a cell range, a named range, and a table column among the supported source types. A list sourced from a table updates associated drop-downs as items are added or removed from that table. This keeps the choices current, but it does not prevent a paste from bypassing validation or changing cell attributes. Microsoft Support: Create a drop-down list.

What data validation can—and cannot—protect
Validation is useful for guiding direct entry and catching mistakes, but copied or filled data, formula results, and macro-entered values can get around its usual entry checks. For data that must be accurate, pair validation with a review or a separate post-entry check. After any bulk paste, check both that the intended rules remain and that the resulting values comply.
