If Copilot seems to have disappeared from Word, Excel, or PowerPoint, first check the button’s new location. Microsoft says the Copilot Dynamic Action Button is normally anchored in the lower-right corner of the document, workbook, or presentation; it can also be moved beside the ribbon. If it is absent there, the usual causes are the wrong signed-in account, missing entitlement, an outdated or unrefreshed Office license, an unsupported business update channel, privacy settings, or browser cookie restrictions.

Work through the checks below in order. They separate personal from work or school licensing, desktop from web behavior, and settings you can change from those controlled by an administrator.

Start by checking whether the Copilot entry point moved

Open the affected document, workbook, or presentation and inspect its lower-right corner. Microsoft consolidated the in-app entry point into the Copilot Dynamic Action Button, which is anchored there by default. Microsoft Support describes this as “a single, consistent entry point” and notes that the button can be moved next to the ribbon without changing Copilot’s capabilities. See Microsoft’s missing-button guide for screenshots and current interface details.

If you previously used a ribbon button, do not assume the feature was removed merely because that control is no longer in the same place. Check the lower-right corner first, then look beside the ribbon if you or an administrator repositioned the action button.

Identify which account and entitlement the app is using

Copilot visibility follows the identity that is signed in to Microsoft 365. A personal Microsoft account and a work or school account are licensed separately, so a subscription on one identity does not automatically authorize Copilot for the other identity or for an organization’s files.

Work or school account

Sign in to Microsoft 365 with the organization identity that is supposed to have Copilot. Open the account menu and inspect the Copilot label shown there. Microsoft documents labels including Copilot Chat (Basic), M365 Copilot (Basic), and M365 Copilot (Premium); the application entitlements differ by label. The account page is documented in Microsoft’s “What Copilot license do I have” article.

If the expected label is missing, or the label does not include the desktop capability you need, ask your Microsoft 365 administrator to confirm that the license is assigned to this exact user account. Sign out of any personal Microsoft account in the app before testing again. When opening a company file, verify that Word, Excel, or PowerPoint is using the same work or school identity that owns the organization entitlement.

Personal Microsoft account

For personal use, Microsoft says Copilot in Microsoft 365 requires a qualifying subscription such as Microsoft 365 Personal, Family, or Premium. In desktop apps, only the subscription owner can use the Copilot capability. Check the subscriptions shown on your Microsoft account dashboard and make sure the app is signed in to that owner account. A family member who is not the owner should not expect the desktop Copilot control simply because the subscription is shared for other Microsoft 365 benefits.

Do not mix identities while testing

It is possible to have a personal subscription active in a browser while the desktop app is signed in with a work account, or the reverse. That combination can make Copilot appear in one place and not another. Close the document, sign out of the account that should not be used, sign in with the licensed identity, and reopen the app before drawing a licensing conclusion.

Do you need to buy another Microsoft 365 subscription?

Usually, no. A missing button is more often caused by location, account selection, an unrefreshed license, an update channel, privacy policy, or browser validation than by a need to purchase something immediately. First identify the account and the entitlement shown for it.

If a personal account has no qualifying Microsoft 365 Personal, Family, or Premium subscription, Copilot in the desktop apps will not be unlocked for that account. The subscription owner must be the person using the desktop application. For an organization, the Microsoft 365 administrator must assign the appropriate Copilot entitlement to the work or school account; buying a personal plan does not grant access to a company account or company-controlled file.

Organizations that need licensing or administration assistance can work through their Microsoft 365 administrator, Microsoft partner, or Cloud Solution Provider. Confirm the provider’s current Microsoft authorization and support terms before entering a commercial agreement. Do not treat an unrelated repair utility or computer accessory as a fix for a licensing or policy problem.

Refresh the Microsoft 365 license and install the latest build

After confirming the correct account, update Office and force a license refresh. A refresh is different from merely reopening a document: it asks Microsoft 365 to re-evaluate the entitlement associated with the signed-in identity.

Windows desktop apps

  1. Open Word, Excel, or PowerPoint.
  2. Select File > Account.
  3. Under the account information, choose Update License.
  4. Wait for the update to finish, then close every open Microsoft 365 app.
  5. Start the app again and open a document, workbook, or presentation to check the Dynamic Action Button.

Microsoft also advises ensuring that the latest Microsoft 365 build is installed. If the Update License command is not present, use the normal Office update controls on the same Account page, restart the apps, and then look again.

Mac desktop apps

  1. Install the latest available Office build.
  2. In the affected app’s menu bar, choose About <app name> > More Info….
  3. Select Refresh License.
  4. Close open documents and quit the Microsoft 365 apps.
  5. Reopen the app with the licensed account and check for Copilot.

The refresh is app-specific, so perform it from an installed Microsoft 365 application rather than assuming that a browser sign-in has updated the Mac license.

Check the organization’s Microsoft 365 update channel

This check applies mainly to business-managed Windows or Mac installations. In a Microsoft 365 app, go to File > Account and inspect Product Information. If the installation shows Semi-Annual Enterprise Channel, Microsoft says Copilot features do not appear in the Microsoft 365 desktop apps on that channel.

The remedy is administrative: ask the internal help desk or Microsoft 365 administrator to move the device to Current Channel or Monthly Enterprise Channel, then allow the policy and Office update to reach the computer. You may not have permission to change this setting yourself, and repeatedly refreshing the license will not override an unsupported channel.

While the channel change is being arranged, use the web versions of Word, Excel, or PowerPoint as a temporary workaround. The web route has its own browser checks described below.

Review connected-experience privacy settings

Copilot relies on Microsoft 365 connected experiences. If the relevant privacy controls are disabled, the button can be withheld even when the account has an eligible license.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Windows

  1. Open a Microsoft 365 app and select File > Account.
  2. Choose Account Privacy > Manage Settings.
  3. Turn on Experiences that analyze your content.
  4. Turn on All connected experiences.
  5. Close and restart the Microsoft 365 apps.

Mac

  1. Open Word (or another Microsoft 365 app).
  2. Choose Word > Preferences > Privacy.
  3. Enable Experiences that analyze your content and All connected experiences.
  4. Quit and relaunch the apps.

On an organization-managed installation, these switches may be locked or reset by policy. If you cannot change them, the administrator must review the tenant’s privacy configuration; changing unrelated local settings will not bypass an organization policy.

When Copilot works on the web but not in the desktop app

A web/desktop difference usually points to separate licensing validation, update-channel, or local-app state rather than a change in your account. Use the web app to keep working while the desktop installation is corrected, but test it with the same identity.

For Microsoft 365 on the web, refresh the browser page first. Microsoft says blocked third-party cookies can prevent Copilot from validating the license. If a refresh does not restore the control, review the browser’s privacy settings and allow third-party cookies for the Microsoft 365 session, subject to your organization’s policy. Then sign in again and reopen the file.

If the web app still lacks Copilot while the account page shows an entitlement, try a private browsing window only as a diagnostic. If it works there, an extension, stale site data, or cookie policy in the normal profile is interfering. Remove or adjust the blocking rule for Microsoft 365, sign in again, and retest.

Use Microsoft’s built-in troubleshooters

When the account appears licensed but the icon remains absent, use the Windows Get Help app rather than guessing at registry or installation changes.

Copilot License Troubleshooter

  1. Open the Windows Get Help app.
  2. Search for Copilot License Troubleshooter.
  3. Run the guided checks and apply the suggested remedy.
  4. Restart the affected Microsoft 365 app and check the button again.

This path is intended for cases where you believe a license is present but Microsoft 365 cannot expose the capability.

Copilot connectivity troubleshooter

  1. In Get Help, search for Copilot connectivity troubleshooter.
  2. Run the diagnostic.
  3. Review any firewall, network, or connection blocker it identifies.
  4. Apply approved changes, reconnect to the network, and retest Copilot.

Microsoft documents both tools on its Copilot troubleshooters page. Corporate firewalls and endpoint policies may require an administrator to implement the recommended change.

Common pitfalls that make troubleshooting inconclusive

  • Checking only the ribbon: the Dynamic Action Button may be in the lower-right corner or beside the ribbon.
  • Testing with the wrong identity: a personal browser session cannot prove that a work account has an organizational entitlement.
  • Refreshing only the document: use Update License on Windows or Refresh License on Mac, then quit and relaunch the apps.
  • Ignoring the update channel: Semi-Annual Enterprise Channel will continue to hide desktop Copilot until IT changes the channel.
  • Changing a locked privacy switch: tenant policy can override local settings, so an administrator must review it.
  • Allowing cookies in the wrong profile: the browser profile used for Microsoft 365 must be the one whose cookie policy permits license validation.
  • Reinstalling before checking policy: a reinstall does not correct an unassigned license, unsupported channel, or organization privacy setting.

When to escalate to your Microsoft 365 administrator

Escalate after you have confirmed the account, completed the platform-appropriate license refresh, and restarted the apps. Give the administrator the exact account used, whether the problem occurs in Word, Excel, PowerPoint, or all three, whether the web app behaves differently, and the update channel shown under Product Information.

Ask the administrator to verify three organization-side items: the Copilot license assignment, the device’s update channel, and the tenant privacy settings for connected experiences. These checks are more useful than requesting a generic reinstall because an unsupported channel or policy can reproduce the problem after every reinstall.

If the administrator confirms the entitlement and policy but the feature is still absent, provide the Get Help diagnostic results and the Microsoft 365 app build number. Keep the web app available as a temporary option when it works, and avoid switching identities repeatedly while the ticket is being investigated because doing so can obscure which entitlement was tested.

A practical order for the whole fix

  1. Look in the lower-right corner for the Copilot Dynamic Action Button and check whether it was moved beside the ribbon.
  2. Confirm that the app uses the identity with the intended personal or work/school entitlement.
  3. Install the latest Office build, refresh the license using the Windows or Mac path, and restart all Microsoft 365 apps.
  4. If the installation is organization-managed, inspect Product Information for Semi-Annual Enterprise Channel.
  5. Review the two connected-experience privacy settings.
  6. For web apps, refresh the page and check third-party-cookie restrictions.
  7. Run the relevant Get Help troubleshooter, then send its findings to IT if the issue remains.

Frequently Asked Questions

Where did the Copilot button go in Word, Excel, or PowerPoint?

Microsoft’s current entry point is the Copilot Dynamic Action Button, normally anchored in the lower-right corner of the document, workbook, or presentation. It can also be positioned beside the ribbon, so a missing ribbon icon does not necessarily mean Copilot was removed.

Why does Copilot appear on the web but not in my desktop app?

The desktop and web experiences perform different checks. Update the desktop build and refresh its license; for the web app, refresh the page and check whether third-party cookies are blocked. Also compare the signed-in identity in both locations.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Does Microsoft 365 Personal or Family include Copilot?

Microsoft lists Microsoft 365 Personal, Family, and Premium as qualifying personal subscriptions. In desktop apps, only the subscription owner can use Copilot, so a non-owner family member may not see the control.

Can a personal subscription unlock Copilot in my work account?

No. Microsoft treats personal and work or school identities separately. A personal subscription does not provide the entitlement assigned to an organization account or authorize Copilot for company files.

What does Semi-Annual Enterprise Channel mean for Copilot?

Microsoft says Copilot features are unavailable in Microsoft 365 desktop apps on Semi-Annual Enterprise Channel. Ask IT to move the device to Current Channel or Monthly Enterprise Channel; use the web apps while that change is pending.

Which privacy settings affect Copilot visibility?

Enable “Experiences that analyze your content” and “All connected experiences.” On Windows, find them under File > Account > Account Privacy > Manage Settings. On Mac, use Word > Preferences > Privacy. Organization policy may lock both options.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

What should I do if the Copilot license is assigned but the button is still missing?

Run the Windows Get Help app’s Copilot License Troubleshooter, then restart Microsoft 365. If the issue involves network access, run the Copilot connectivity troubleshooter as well and give its findings to your administrator.

Who can fix a locked privacy setting or unsupported update channel?

A Microsoft 365 administrator or internal help desk must change organization-managed privacy policy and update-channel settings. Local license refreshes cannot override those controls.

The Bottom Line

Copilot is often hidden rather than removed. Check the Dynamic Action Button’s location, use the correctly licensed identity, refresh the Office license, update the app, and review the enterprise channel, privacy settings, or browser cookies that apply to your setup. If those checks fail, Microsoft’s Get Help troubleshooters and your Microsoft 365 administrator can isolate the remaining license or connectivity problem.
