Clients may avoid a portal not because they cannot use technology, but because signing in, finding the right place, and working out what you need from them can feel like more effort than replying in a familiar channel. In a first-person DEV Community post, project professional Aldo Barbosa says clients returned to WhatsApp or Slack for quick updates after facing an invitation, password setup, and a login they might later forget. His account points to a practical test: make the client’s next task easier in the portal than outside it—or consider a simpler channel.

Why clients may resist a portal

A login can get in the way of a small task

Barbosa describes a familiar sequence: open an invitation, create a password, then remember how to sign in when a quick status update or approval is needed. In his experience, clients went back to WhatsApp or Slack instead. He summed up his view this way: “The second you force a client to create an account, the system is dead.” That is one practitioner’s opinion, not a measured rule for every client or project. Resistance is not always about technical confidence

A 2020 national cross-sectional study of 2,828 people who did not use patient portals found several reported reasons for nonuse: 1,810 (64.00%) preferred in-person communication, 1,385 (48.97%) said they saw no need for a portal, and 735 (25.99%) reported discomfort or inexperience with computers. Respondents could report multiple barriers. These figures describe patient portals, not clients of freelancers, agencies, or accounting firms, so they do not establish how often business clients avoid portals. They do illustrate why “non-technical” may be an incomplete explanation: channel preference and perceived value can matter too. The study is available through PubMed Central.

What Barbosa says worked for his clients

Barbosa reports changing the workflow in three ways: clients received a private project link rather than a signup request; the page showed milestones and the deliverables relevant to them; and a client could approve the next phase with one click. He says the approval created a timestamped audit log. His post describes the link as: “Single magic link: Client gets one private URL for the project. No password, no signup.”

He reports that client compliance rose to “basically 100%.” The post does not give a sample size, timeframe, measurement method, or independent verification, so treat that figure as his account of his own workflow—not an adoption rate or a result to expect generally. A private link also should not be treated as suitable for every kind of information: choose access and permissions to fit the sensitivity of the material and the decisions clients need to make.

Design around the client’s task, not your internal process

A portal is useful only if it helps a client do something they need to do. Component.app’s provider-authored guidance recommends mapping the client’s service journey, removing steps that do not help them, and making three things clear: the current status, the next action, and what happens after that action. This is design guidance from a provider, not independent evidence that a particular layout improves adoption. Component.app’s guidance was updated August 6, 2026.

  • Show the current stage. Put the relevant milestone and deliverables where the client can find them without navigating your internal project structure.
  • Make the request explicit. State whether the client needs to review, approve, upload, or simply read something.
  • Explain what follows. Tell the client what their action unlocks, such as the start of the next project phase.
  • Remove steps that do not serve the task. If a client only needs to approve one item, avoid making them explore unrelated features or sections.
  • Check the phone experience. A workflow that is tolerable on a desktop may be awkward when a client is responding between other tasks.

When a portal is worth keeping

Choose the channel around the work rather than assuming every client interaction belongs in a portal. For simple, occasional exchanges, email or a shared drive may be enough; Component.app’s guidance explicitly notes that a portal is not always necessary. For recurring work, a portal may make more sense when clients need a clear view of progress, repeated approvals, or an organized history of decisions. These are decision criteria, not the results of a controlled comparison of channels.

  • First and repeat use: How much effort does it take to get started, and will clients need to repeat that effort often?
  • Next action: Can a client immediately tell what you need from them?
  • Stage fit: Does the page show what matters at this point in the service, instead of exposing your whole internal workflow?
  • Device fit: Can clients complete the important action on a phone as well as a computer?
  • Recordkeeping and access: Do approvals need an action history, and what permissions are appropriate for the information being shared?

Test a rollout before making it the default

If you introduce or redesign a portal, try the workflow with a small group of clients before requiring it for everyone. ClientVault’s vendor-authored rollout guidance suggests a staged pilot, tracking which channels clients actually use, and deciding in advance when to continue or stop. It presents its suggested 60% repeat-use threshold as a rule of thumb, not a research-backed industry benchmark; there is no established adoption target in the sources cited here.   1. Pick a bounded workflow. Test one recurring task, such as milestone approvals, rather than moving every client interaction at once.
  2. Explain the benefit and the next step. Tell clients what the portal is for and what you want them to do there.
  3. Observe actual channel use. Note whether clients complete the task in the portal or return to email, messaging, or another route.
  4. Set a decision point in advance. Decide what would justify keeping, simplifying, or stopping the workflow based on the task and clients’ experience—not a threshold presented as universal.

What to do when clients keep using another channel

If clients consistently bypass the portal, first check whether the requested task is clear, whether the access steps are proportionate, and whether the portal offers a real advantage over their existing option. Remove unnecessary friction where the information and security model allow it. If a simplified workflow still adds little value for a simple, occasional exchange, email or a shared drive may be the more appropriate fit. The goal is a dependable way to complete the work and record decisions, not portal use for its own sake.
