A single “current balance” is not a reliable answer to “How much can I spend?” unless the bank explains what it includes. Posted transactions, pending card authorizations, deposits that have not cleared, and overdraft capacity can all affect what happens next. Better banking interfaces define each balance, show pending activity beside it, and separate the customer’s money from borrowing.
Why one balance cannot answer every spending question
“Current balance” sounds definitive, but the label does not tell customers whether the figure includes pending transactions or holds, whether a deposit is actually available, or whether overdraft funds are included. Banks also use balance terminology differently. A number can be accurate according to a bank’s definition and still be a poor guide to what the customer can safely spend.
The Consumer Financial Protection Bureau (CFPB) notes that people may reasonably expect a balance displayed in an app, online, by phone, or at an ATM to reflect what they have available for a transaction. If the display omits relevant activity, a purchase can still lead to an overdraft fee. The CFPB’s 2022 circular describes how balance displays and transaction timing can contribute to unexpected fees.
What common balance labels mean—and what they leave unclear
Ledger, account, or posted balance
The CFPB describes a ledger balance as a balance that has not been reduced by holds for pending transactions. The Office of the Comptroller of the Currency (OCC) describes it as settled and posted items. That does not make “ledger,” “account,” “posted,” and “current” interchangeable labels across all banks. A bank should define its own terms.

Available balance
Generally, an available balance reflects the ledger balance adjusted for certain funds made available before clearing and reduced by pending debits. The OCC also describes it as generally reflecting holds for uncleared deposits and authorized but pending debit-card transactions. These are broad descriptions, not a universal formula: a displayed figure’s meaning depends on the bank’s calculation and account terms.
A useful interface makes the definition accessible where the balance appears, not only in legal disclosures. It should state whether pending card transactions and deposit holds affect the number, and identify when the figure was last updated.

Overdraft capacity
Overdraft protection is not the customer’s own money. Under the official interpretation of Regulation DD, an institution that displays an additional balance supplemented by overdraft funds must prominently disclose that inclusion. It cannot simply label the second figure “available balance” or “available funds” without enough explanation; it should also explain when those funds cannot be used for certain transaction types. The CFPB’s Regulation DD interpretation sets out the disclosure requirement.

For spending decisions, the interface should show the customer’s available funds separately from any remaining overdraft capacity and explain which transaction types can draw on that capacity. This design recommendation follows from the disclosure requirement and the risk that customers may confuse borrowing with their own funds.

How a purchase can be approved and still cause an overdraft
A debit-card purchase often involves separate authorization and settlement stages. At authorization, the bank may place a hold against the account. The merchant may submit the final transaction later, and its amount or timing may differ from the authorization. Other transactions can affect the account in the meantime.
- Authorization: The bank checks the account and may approve the purchase based on the funds it considers available at that moment.
- Pending period: The transaction may appear as a hold, while other debits, deposits, or automatic payments also affect the account.
- Settlement: The merchant submits the transaction for processing. If the balance or processing sequence has changed, the account may go negative even though the purchase was approved earlier.
The CFPB calls this pattern “authorize positive, settle negative” (APSN). It is why a headline balance alone cannot promise that a later transaction will clear without an overdraft. The OCC also discusses APSN and overdraft protection in Bulletin 2023-12.

Why pending deposits and processing order matter
A deposit marked pending is not necessarily available to spend. Funds may become available on a different schedule from the deposit’s appearance, and a bank’s processing rules affect the sequence in which transactions are applied. The OCC’s consumer guidance explains that a bank may charge an overdraft fee while a deposit is pending, depending on the circumstances and account terms; a pending deposit does not by itself establish that funds were available when a payment was processed. See the OCC’s guidance on pending deposits and overdraft fees.
The CFPB’s 2024 consumer engagement describes reports of mismatches between mobile apps and websites, posting delays, and transactions that might not appear for a week or more. The CFPB explicitly says this qualitative engagement is not representative of all consumers and is not suitable for statistical analysis. It documents reported experiences, not how often they occur across all accounts. Read the CFPB report and its limitations.

What a more useful banking interface should show
The question is not which balance is universally “correct.” It is whether each figure supports the decision a customer is trying to make. A clear interface answers these questions together:
- Transaction coverage: Does the amount include only posted transactions, or also pending authorizations and holds?
- Deposit availability: Are uncleared deposits included, and can the customer actually use those funds now?
- Ownership: Does the amount include overdraft protection or a transfer from a linked account? If so, is that amount visibly distinguished from the customer’s own funds?
- Timing: Is the amount current as of a stated time, and can customers tell whether an item is authorized, pending, or settled?
- Decision support: Can customers see how a pending item affects the funds they can spend before making another purchase?
- Consistency: Do the app, website, ATM, and telephone banking service explain their figures using the same definitions?
One UK example illustrates the value of explicit labels: RBS says its current-account summary prominently shows “Balance including pending transactions,” and separately describes “Account Balance” as the amount before pending transactions are processed, including uncleared cheques. It also explains that a merchant may notify the bank so funds are set aside and cannot be spent again. This is RBS’s terminology and implementation, not a standard for every bank. RBS explains how to check an account balance online.
What the evidence says about alerts and balance design
In a 2015 study using data from two large UK banks—including granular data on 500,000 customers at one bank—the Financial Conduct Authority (FCA) reported that customers signing up for text alerts or mobile-banking apps had 5% to 8% fewer unarranged overdraft charges; signing up for both services was associated with a total reduction of 24%. The FCA also reported a 17% to 24% reduction in current-account balances associated with these services, which it considered beneficial in that study because it reduced funds held in accounts with low credit interest rates. These are study-specific UK findings, not a universal forecast, proof that a particular balance screen caused the changes, or evidence that lower balances benefit every customer. The FCA’s Occasional Paper No. 10 describes the study and its context.

A customer still needs to know what the displayed number represents at the moment they make a decision.
What customers can check when a balance seems wrong
- Open the transaction list and distinguish posted transactions from pending authorizations and holds.
- Check the bank’s definition of “current,” “account,” and “available” balance; do not assume the labels mean the same thing across institutions.
- Confirm whether a pending deposit is available to spend, rather than relying on its appearance in the account.
- Look for overdraft protection or linked-account funds included in a displayed figure, and check which payment types can use them.
- Compare channels if the app and website differ, then contact the bank for the account-specific posting or availability rules.
Account agreements and bank-specific processing rules determine the outcome. The CFPB, OCC, and Regulation DD materials cited here concern the United States; the FCA study is UK evidence, and RBS is a UK bank example. These sources should not be treated as one shared regulatory regime.
