Growing wholesalers need a repeatable way to manage overdue accounts: set credit rules, keep receivables visible, assign follow-up, and handle disputes without losing sight of the rest of the customer’s balance. As customer counts and invoice volumes rise, relying on individual memory makes it harder to apply terms consistently and spot accounts that need attention.
Why overdue-account management becomes harder as a wholesaler grows
Trade credit helps wholesale customers buy on agreed terms, but it also leaves the seller managing exposure across orders, invoices, and account balances. More customers and transactions mean more opportunities for an invoice to become overdue, a credit limit to be exceeded, or a dispute to go unresolved.
Microsoft Learn describes credit and collections management as a way to monitor customer balances and overdue payments, apply payment terms and credit limits, and set rules for holding orders. It summarizes the purpose this way: “When you manage the collection process carefully, it helps you get customers pay on time, increases the cash flow, and helps make the cash flow of the organization more predictable.” Microsoft Learn’s Manage credit and collections documentation describes those controls; it does not establish a wholesale-specific performance figure.

1. Define credit and payment rules
Document each customer’s payment terms and credit limit, who may approve exceptions, and what happens when an account crosses a limit or falls behind. Consider how open orders should be treated: a credit hold may prevent further exposure, but a hold also needs a clear review and release path. Microsoft’s credit and collections guidance treats payment terms and credit limits as customer master-data decisions and describes rules that can hold orders.

2. Make account status visible
Use customer-level balances and invoice aging to see what is due, how long it has been overdue, and which accounts need action. A usable view should help staff distinguish a newly overdue invoice from a pattern of older unpaid balances, while keeping order and payment status connected where the systems allow it.
3. Assign an owner and record the work
Give each collection case a responsible person and record contact attempts, customer responses, promised payment dates, and next steps. A centralized activity history means another team member can pick up an account without relying on someone’s memory or scattered email.

4. Send reminders consistently, with appropriate control
Set reminder timing and wording to match your policies and customer groups. Automation can help make routine follow-up dependable, but it should not bypass needed review. For example, a key account, a sensitive customer relationship, or a disputed invoice may call for a person to check the message before it goes out.

A short shipment or damaged pallet can create a legitimate dispute on one invoice or line. Track the issue and its owner, and decide whether that specific amount should be excluded from the normal collection schedule while undisputed invoices continue through it. A dispute should not silently make the entire customer account invisible to collections.

6. Reconcile collections with orders and payments
When invoice, order, payment, and customer records sit in disconnected systems, staff may chase an amount that has already been paid or overlook a developing credit issue. An accounting or ERP connection can help, but confirm which records sync, in which direction, and how often; product descriptions alone do not establish how an integration performs in a particular implementation.
When a spreadsheet or existing accounting system is no longer enough
A spreadsheet or the basic receivables tools in an accounting system may be sufficient while the team can reliably see balances, assign work, and follow a consistent policy. Consider a dedicated workflow or broader credit-and-collections system when those controls are becoming difficult to maintain, such as when:

- Account-level credit rules and order holds are hard to apply consistently.
- Invoice disputes are mixed into the general aging view without a clear resolution path.
- Customers need a consistent way to view invoices, statements, or payment options.
- Management cannot get the receivables and activity reports it needs from the current setup.
These are workflow signals, not a prescribed invoice-volume threshold. The right point to change systems depends on the business’s customer mix, exposure, current platform, and capacity to manage follow-up.

| Area | Questions to ask |
|---|---|
| Accounting and ERP fit | Does it connect to your current system? Which customer, invoice, order, payment, and status records sync in each direction, and what setup is required? |
| Wholesale workflow | Can it support trade terms, account tiers, credit limits, order holds, and exceptions that need approval? |
| Reminder governance | Can timing and messages vary by customer group? Can the team review or approve messages where needed? |
| Visibility and ownership | Can responsible staff see aging, account balances, interaction history, assigned cases, and next actions? |
| Customer payments and disputes | Can customers access invoices or payment options? Can staff track a disputed invoice separately from undisputed balances? |
| Reporting | Does it provide the aging, collection activity, and cash-flow views the business needs to make decisions? |
| Cost and implementation | What are the current price, contract, setup, support, and implementation terms? These vary and should be confirmed directly; the cited product pages do not establish a comparable pricing basis. |
Ask vendors to demonstrate the process using a realistic account: an overdue invoice, a disputed shipment, an approaching credit limit, a customer response, and a payment. Confirm what updates in the accounting or ERP system and what still requires manual work.

These examples illustrate different product descriptions, not independent product testing or recommendations. Feature availability, integrations, geographic coverage, and implementation requirements should be confirmed for the business’s specific setup.
- Sage AR Automation describes credit scoring and monitoring, customer portals, configurable collection workflows and reminders, dispute management, payment options, and ERP integrations.
- Paidnice’s wholesale collections page positions its service for distributors using Xero or QuickBooks and describes trade-account reminders, statements, finance charges, approval mode, and handling disputed invoice lines.
- Sage Intacct describes receivables visibility, configurable reminders, assigned collection cases, centralized activity, and reporting.
- Microsoft Dynamics 365 documentation covers credit limits, payment terms, customer balances, overdue collections, and rules that can hold orders.
- Epicor Cash Collect describes credit decisions, collection workflows, dispute handling, customer communications, and a self-service portal.
Vendor pages also make performance claims, but those claims are not a comparable, independently validated basis for predicting results at a particular wholesaler. No wholesale-specific statistic about overdue-account prevalence or the general effect of receivables automation is established by the sources cited here.

Some services combine payment and reminder tools with credit-risk monitoring or invoice finance. Those can be relevant options for some businesses, but they do not replace clear credit rules, accurate receivables records, assigned collection work, or dispute resolution. Eligibility, availability, pricing, and suitability depend on the company and its location; assess them separately from the core collections workflow. Kema and Satago describe services in these adjacent areas.
Quick Recap
What to verify before choosing a system
- Map your existing process, including who sets terms, approves exceptions, contacts customers, resolves disputes, and releases holds.
- Identify the accounting or ERP platform, the records that must remain in sync, and who will own integration setup.
- Test the workflow with different account types, including a key customer and a customer with a disputed invoice plus other overdue balances.
- Confirm current feature availability, geographic service, pricing, contract conditions, implementation requirements, and support directly with the provider.
- Check local rules before setting late-payment charges, interest, statutory terms, or debt-collection procedures; legal requirements depend on jurisdiction.
