On Windows 11, start at Settings > Privacy & security and work in this order: turn off optional diagnostic data and tailored experiences, audit high-impact app permissions, decide whether to keep Activity history, review Location, then check activity associated with your Microsoft account in the privacy dashboard. This sequence reduces routine sharing first while preserving features you actually use. Windows 10 uses Settings > Privacy; Microsoft support for Windows 10 ended on October 14, 2025.

Before changing anything: identify your Windows version and scope

Open Settings > System > About and note whether the device runs Windows 11 or Windows 10. Menu names can move after feature updates. In recent Windows 11 releases, Microsoft is replacing the older General privacy page with Recommendations & offers, so an older screenshot may not match your screen.

Privacy controls operate at different scopes. A switch can affect data stored on this PC, access granted to a particular app, or information associated with your Microsoft account. Changing one scope does not automatically change the others. Use the narrowest change that meets your goal instead of disabling an entire capability that you still need.

1. Review diagnostic data and tailored experiences first

How to turn off optional diagnostic data in Windows 11

  1. Open Settings.
  2. Select Privacy & security.
  3. Open Diagnostics & feedback.
  4. Under diagnostic data, turn off the option to send optional diagnostic data.
  5. Turn off tailored experiences if you do not want Windows to use diagnostic information to personalize tips, recommendations, or advertising-related experiences.

Microsoft separates diagnostic data into two categories. Required diagnostic data supports security, updates, troubleshooting, and operation of Windows and its services. Optional diagnostic data provides additional information used for product improvement and more detailed troubleshooting. Turning off optional data lowers routine sharing, but it does not make diagnostic collection zero: required data continues to be sent.

  • OEM DOES NOT PROVIDE PRODUCT SUPPORT | To acquire product with Microsoft support, obtain the full packaged “Retail” version.

Microsoft Support describes the purpose this way: “Microsoft uses diagnostic data to keep our products secure and up to date, troubleshoot problems, and make product improvements as described in more detail below.” The practical choice is therefore a trade-off, not an all-or-nothing privacy switch. If you are troubleshooting a problem with Microsoft support, you may be asked to enable additional data temporarily.

What the Diagnostic Data Viewer can and cannot show

Windows includes Diagnostic Data Viewer, which can display diagnostic information available while the viewer is running. Treat it as a live inspection tool, not a complete historical archive of everything Microsoft has received. Availability and categories shown can depend on your Windows build and account configuration.

The Delete diagnostic data control removes diagnostic data stored on the device. It does not stop future collection, and it does not erase information already associated with a Microsoft account. To reduce future collection, change the optional-diagnostic and tailored-experience switches themselves.

2. Audit app permissions by capability and app

How to stop apps from using your camera or microphone

From Settings > Privacy & security, open each capability page and review the app list. Check at least Location, Camera, Microphone, Contacts, and Calendar. For each one, leave access enabled only for apps that have a clear reason to use it.

For camera and microphone, first check the main device-level switch, then the per-app switches. If you turn off the device-level permission, video calls, recording tools, voice dictation, or accessibility features can stop working. A targeted change—blocking an unfamiliar app while leaving your meeting app enabled—usually provides a better balance.

Contacts Communication apps that match people or share invitations Does this app need my address book, or can I enter recipients manually?
Calendar Scheduling and meeting apps that create or read events Would a one-time calendar export meet the need instead?

Why an app may be missing from the list

These privacy pages primarily govern Microsoft Store apps. Traditional desktop programs may not appear in the list and can handle access through their own settings or installation permissions. If a desktop application is absent, open that program’s settings, review its account and privacy options, and check its privacy policy. The absence of a switch in Windows does not prove that the program never accesses the resource.

Also review permissions after installing a new app or signing in to a new account. Updates can add features that request a capability an older version did not use. If a feature stops working after a change, restore only the specific permission it requires rather than re-enabling every app.

3. Decide whether to keep Activity history

What the Activity history switch controls

Open Settings > Privacy & security > Activity history. This setting concerns Windows activity history stored and used on the device for features that help you resume or discover recent work. Turn off local activity storage if you do not use those experiences or prefer not to keep that record on the PC.

Disabling Activity history can reduce the on-device history available to Windows features. It does not erase browser history, including history kept by Microsoft Edge. Browser history has its own controls inside the browser, so clear or limit it there if that is your goal.

Activity history and diagnostic data are separate. Turning off one does not automatically change the other, and neither switch is a substitute for reviewing Microsoft-account activity online.

4. Review Location with its feature trade-offs in mind

How to change Windows 11 Location access

  1. Go to Settings > Privacy & security > Location.
  2. Use the app list to disable location for apps that do not need it.
  3. If you do not use location-based Windows features at all, turn off the location service at the device level.

Per-app blocking is the least disruptive option. A weather or mapping app may need location, while a calculator or document editor normally does not. Device-level blocking affects Windows features as well as apps, so read the consequences before using it.

What can stop working

  • Automatic time zone may no longer adjust when you travel.
  • Find my device and other location-dependent features may be impaired.
  • Apps that personalize results by location may show less relevant information or ask you to enter a place manually.

Disabling the Location switch is not a promise that no location information can ever be determined. Microsoft documents that, during an emergency call, Windows may still attempt to determine and share a precise location. On cellular devices, the cellular operator may also have access to location information. Those exceptions are why Location should be treated as a practical control with limits, not an absolute radio-off guarantee.

5. Check Microsoft-account activity separately

Local Windows settings do not show every item associated with an online account. Sign in to Microsoft’s privacy dashboard to inspect the categories available for your account and clear data where a delete control is offered.

The dashboard is account-level and separate from the switches in Windows Settings. It may show only activity that matches your account use, enabled syncing, the data category, and the time required for processing. Some categories of data are not presented there at all. A blank or incomplete dashboard therefore does not prove that no data exists, and clearing an item there does not change local Activity history or app permissions on the PC.

Which setting should you change for a specific goal?

Goal First control Scope Main limitation
Share less routine Windows telemetry Diagnostics & feedback: disable optional diagnostic data and tailored experiences Windows diagnostic collection Required diagnostic data remains enabled

Windows 10: same ideas, different path and support status

Microsoft’s Windows 10 instructions use Settings > Privacy rather than Privacy & security. The same categories—diagnostics, app permissions, Activity history, and Location—remain the useful order to review, but labels can differ by release.

Microsoft states that Windows 10 support ended on October 14, 2025. A PC still running Windows 10 should be evaluated for its support and upgrade options; do not assume it continues to receive ordinary free security fixes. Privacy changes cannot compensate for an operating system that is outside normal support.

A safe review checklist

  1. Write down features you rely on, such as video calls, dictation, automatic time zones, or Find my device.
  2. Turn off optional diagnostics and tailored experiences, leaving required diagnostics in place.
  3. Review Camera, Microphone, Location, Contacts, and Calendar one capability at a time.
  4. Block individual apps first; use a device-wide switch only when you accept the feature impact.
  5. Turn off Activity history if you do not use Windows features that depend on local recent-activity records.
  6. Use the Microsoft privacy dashboard for account-linked data rather than expecting Windows Settings to show it.
  7. Test the features you listed in step one. If one fails, re-enable only the permission or service that feature needs.

Troubleshooting after a privacy change

A camera or microphone no longer works

Return to the relevant capability page, confirm the device-level switch is on, and enable the specific app. For a desktop program that is not listed, check the program’s own privacy settings and Windows desktop-app access options. Restart the program after changing permissions.

Time zone or device finding stopped updating

Open Privacy & security > Location and decide whether to restore location service or allow only the affected feature. If you travel frequently, automatic time-zone adjustment requires a different choice from a device that stays in one place.

You expected all Microsoft data to disappear

Separate the actions: deleting diagnostic data on the PC, turning off Activity history, clearing browser history, and deleting items in the Microsoft privacy dashboard affect different stores. Perform the action that matches the data you want removed, and remember that disabling future collection does not retroactively erase data already associated with an account.
