The best CRM for a real estate business is the one that reliably captures the leads you actually receive and makes follow-up, property context, and team handoffs easy to maintain. There is no universal winner: an individual agent, a brokerage, and a team built around online lead generation may need very different workflows.
For a useful shortlist, HousingWire’s 2026 comparison names Follow Up Boss, Lone Wolf Relationships, CINC, Rechat, Sierra Interactive, Wise Agent, Real Geeks, and Fello. Treat these as candidates to investigate—not a verified ranking. Before choosing, confirm each vendor’s current features, integrations, availability, and total cost for your business.
What should a real estate CRM do?
A customer relationship management system should help your business keep contact information, lead sources, conversations, next steps, and relevant property or transaction details together. The right feature set depends on how your business wins clients and manages relationships; a long feature list is not a reason to pay for capabilities your staff will not use.

In the National Association of REALTORS® 2025 REALTORS® Technology Survey, conducted in July 2025, 23% of respondents named CRM as a technology producing the highest number of quality leads. Social media was named by 39%, and local MLS by 17%. These are respondents’ reports, not proof that a CRM alone generated leads. The survey covered NAR members, so its results should not be generalized to every real estate business. Read the NAR survey report.

Match features to the work
- Lead capture and source tracking: Check whether the system can receive leads from your actual website, portals, ads, social channels, and referral sources—and preserve their origin.
- Follow-up: Look for tasks, reminders, lead assignment, routing rules, and nurture sequences that reflect how quickly and how often your team contacts prospects.
- Property and transaction context: Determine whether users can associate people with properties, stated interests, deals, and relevant transaction stages.
- Communication: Verify email and SMS support, templates, conversation logging, consent controls, and compatibility with the channels your team uses.
- Team operations: Assess shared visibility, assignment, role permissions, reporting, and handoffs when a lead or client changes hands.
- Integrations and portability: Confirm connections to the specific website or IDX, MLS-related services, marketing tools, transaction management, calendar, and phone systems you rely on. Generic claims do not establish that a particular connection works in your market or setup.
Salesforce’s vendor-authored guide also recommends mapping business goals and customer or deal journeys, then considering customization, budget, and scale. Use that as planning guidance, not as independent proof that a particular CRM is best. See Salesforce’s real estate CRM guide.

- Map your lead sources. List where inquiries originate and identify which sources must feed into the CRM. Ask vendors to demonstrate the exact integrations or import process for your tools.
- Write down the follow-up process. Specify who responds, how leads are assigned, what reminders are needed, and how long-term prospects are nurtured. Ask whether the workflow can be configured without adding avoidable administrative work.
- Define the property and transaction context you need. Decide what agents must see alongside each contact, such as property interest, deal status, or transaction milestones. Separate essential context from features that would be nice to have.
- Check communications and team handoffs. Test how messages are recorded, how consent is handled, and what happens when a lead moves between agents or teams. Make sure reporting and permissions fit your operating structure.
- Verify the full cost and terms. Request the price for the seats, lead volume, onboarding, implementation, integrations, and add-ons you need. Confirm billing frequency, contract conditions, and any geographic or plan restrictions on the vendor’s current information.
- Test adoption with the people who will use it. Walk through a real lead-to-client workflow with the staff expected to maintain the system. Prefer the setup they can keep current over a more elaborate one that creates friction.
Budget for the whole system, not just the subscription
The NAR 2025 survey found that 34% of respondents spent $50–$250 per month on technology for their individual real estate business, while 24% spent more than $500 per month. These figures describe total technology spending among surveyed NAR members—not CRM prices or recommended budgets. A CRM quote should be evaluated alongside any setup, integration, or add-on costs required to make it work with your existing tools.
