A copy rule needs to govern more than page prose. It should be findable in shared guidance, applied to interface text and reusable components, and maintained as the product changes. Six practical places to put it are shared content guidance; labels and headings; buttons; errors, alerts, and status messages; links and alt text; and component documentation. This is a useful working framework drawn from official design-system examples—not a universal six-part standard.

1. Shared content guidance

Put the rule in a source that teams can find and use across the product or service, rather than leaving it in one page, ticket, or individual team’s notes. The U.S. Web Design System (USWDS) recommends a simple, flexible style guide for content and style across a product or service. It also recommends reviewing content at least twice a year for accuracy and redundancy. USWDS content style guide guidance

A shared guide gives writers, designers, developers, and reviewers a common reference. Make its scope clear: say which products, channels, or teams it covers, and provide examples that make the rule usable in context.

2. Labels and headings

Include short interface text as well as paragraphs. Labels help people identify fields and controls; headings help them understand the structure and purpose of a screen. A rule about tone, terminology, capitalization, or clarity can fail if it applies only to long-form content.

Elebase USB to USB C Adapter for iPhone 18 Pro Max,USBC Car Charger Adapter
  • Read Before You Buy — No Video Output: These adapters support charging and USB 2.0 data transfer, but cannot transmit video signals. Except for standard USB webcams (which use USB data only), they are not compatible with HDMI/DisplayPort cables, video-capable USB-C hubs, or docking stations with video output.
  • Convert USB-A Ports to USB-C: Designed to connect USB-C earphones, cables, flash drives, card readers, and other USB-C accessories to standard USB-A ports. Plug-and-play with no drivers or software required.
  • Aluminum Alloy Housing: Built with a sturdy aluminum alloy shell that aids in heat dissipation and protects against daily wear and scratches. Designed to maintain a stable and secure connection.
  • Compact & Travel-Friendly: The ultra-compact design allows the adapter to stay plugged into your device without blocking adjacent ports or adding bulk, reducing wear and tear on your original USB ports.
  • 12-Month Warranty: Backed by a 12-month manufacturer warranty for peace of mind. Designed to meet strict quality control standards for reliable everyday performance.

The Singapore Government Design System (SGDS) puts this plainly: “Every label, error message, and heading is part of the user experience.” Its writing guidance offers principles for those contexts, including clear, direct, respectful, and purposeful language. Its specific conventions—such as UK English spelling and sentence case—are SGDS standards, not automatically the right choice for every organization. SGDS content guide

3. Buttons and action labels

Rules should reach the words people act on, not just the text that explains a process. Button labels should identify the action clearly. SGDS recommends verb phrases and contrasts a specific label such as “Submit application” with a vague one such as “Click here.” Adopt the principle in your own voice and terminology; do not assume the example wording fits every product.

Check action labels wherever they appear, including dialogs and repeated interface patterns. A concise label still needs enough context for a person to understand what will happen.

4. Errors, alerts, and status messages

Transient and state-based messages are part of the content system too. An error rule should say what useful messages need to do: explain what happened and tell the person what to do next. Status messages should likewise communicate the relevant change or outcome rather than merely announce that something occurred. SGDS provides guidance for errors and status messages. Words alone do not determine whether an alert works. U.S. Centers for Medicare & Medicaid Services (CMS) alert guidance also addresses optional headings, concise error content, keyboard access order, and accessible names that distinguish multiple alerts for assistive technology. Those details connect content rules to component behavior and accessibility. CMS Design System alert guidance

5. Links and non-text content

Include link text and functional alt text in the rule’s scope. SGDS recommends link text that makes sense out of context, so a person can understand a destination without relying on surrounding prose. It also says alt text should describe an image’s function. These are not decorative copy choices: they affect whether people using assistive technology can understand links and images. SGDS content guide

Apply the rule according to purpose. An image that acts as a control needs text that conveys its function; an image used only for decoration may call for different treatment under the relevant accessibility guidance. Do not force one wording pattern onto every image.

6. Reusable components and their documentation

Put copy requirements where teams encounter and reuse interface patterns. A component’s guidance can specify content alongside interaction and accessibility details, helping prevent each implementation from inventing its own wording or behavior. CMS describes its design-system resources as reusable components and front-end guidance intended to help teams build consistent, accessible products and share best practices. CMS Design System

For a component such as an alert, document the content pattern together with its heading behavior, keyboard order, and accessible naming where relevant. This makes the rule actionable at the point of reuse rather than relying on someone to remember a general style-guide instruction.

How to apply the six destinations to your product

Treat the framework as an inventory prompt, not a fixed checklist every product must implement identically. Map the rule to the places people actually encounter language and the reusable patterns that generate it. Depending on the service, that inventory may also include email, push messages, support materials, or localized versions; these are additional surfaces to assess, not universal requirements established by the cited guidance.

  • Coverage: Does the rule apply to all relevant user-facing content, including short labels and state messages?
  • Context: Does component guidance account for interaction and accessibility, as well as wording?
  • Findability: Can the teams who create and maintain the interface locate one shared standard and apply it consistently?
  • Maintenance: Is there a review routine for content and guidance as the service changes?

Use those questions to find gaps. If a rule appears in the style guide but not in component documentation, the implementation may drift. If it covers visible wording but not accessible names or keyboard behavior, the component may still fail its users.

A design system is a foundation, not a compliance guarantee

Adopting shared components and content guidance does not by itself establish that a service conforms to accessibility requirements. USWDS says its components and guidance are a foundation and that teams need to do their own research and testing for full WCAG compliance. As USWDS puts it: “We test our work. You need to test yours.” USWDS accessibility guidance

Teams therefore need to assess and test their own implementations, including how content behaves in the actual product. Shared guidance helps make good practice repeatable; validation checks whether it works in context.
