For a text-heavy office, begin with a monochrome laser printer and size it to your real monthly workload. The most important checks are automatic duplex printing, recommended volume and duty-cycle headroom, paper capacity, network and security features, and the full cost of toner and maintenance. Choose an all-in-one with an automatic document feeder (ADF) when staff regularly scan or copy multi-page originals; otherwise, a print-only model is usually smaller and simpler.

1. Start with the office workflow, not the printer’s headline specification

A monochrome office printer is designed for black-and-white documents such as invoices, reports, forms and internal correspondence. Laser technology is a strong fit when most jobs are text and the volume is substantial: Consumer Reports describes laser as making sense when you primarily print text documents and a lot of them. The result is generally sharp black text, predictable output and less concern about an ink cartridge drying out between jobs.

Before comparing models, record the office’s actual pattern for four weeks if possible:

  • Approximate pages printed per month, including busy-period peaks.
  • Whether pages are mostly one-sided or routinely printed on both sides.
  • How often staff scan, copy or fax paper originals.
  • Common paper sizes and media, such as envelopes, labels or heavier stock.
  • Whether the printer will be shared over Ethernet, Wi-Fi or both.
  • How sensitive documents are handled and whether users need secure release.

This information determines whether you need a compact print-only device, a networked departmental printer or a multifunction printer (MFP) with scanning and copying.

2. Choose print-only or all-in-one

Print-only printer

A print-only model has fewer mechanisms, takes less space and is usually easier to operate. It is appropriate when documents are created digitally and scanning is rare or handled elsewhere. There is no reason to pay for an ADF, scanner glass or fax hardware that nobody uses.

Multifunction printer

An MFP earns its footprint when the office routinely digitizes signed forms, copies identification documents, distributes paper originals or needs a single shared scan point. Consumer Reports gives extra credit to models that combine document feeders with scan and copy functions because those features remove manual steps from common office work.

Do not assume that every ADF is equivalent. Check its sheet capacity and whether it scans both sides automatically. The Brother MFC-L5705DW specification page, for example, lists a 50-page duplex automatic document feeder. A duplex ADF can process a two-sided original without an employee turning each sheet over; a simplex ADF may require a second pass or manual re-feeding.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

When fax matters

Fax is a workflow requirement rather than a default buying criterion. Include it only if customers, agencies or internal procedures still require fax transmission. Otherwise, spend the budget on a better scanner, larger paper supply or stronger security controls.

3. Match speed to queue size and duplex behavior

Pages per minute (ppm) is useful, but it is not a complete performance measure. Ask how the manufacturer obtained the rating and whether it describes simplex or duplex output. Also check first-page-out time, because a printer that is fast after warming up can still feel slow for short jobs.

Speed check Why it matters What to verify
Simplex ppm Measures one-sided pages and is often the most prominent headline number. Paper size, print mode and test method.
Duplex ppm Two-sided jobs may run more slowly because the sheet must be turned internally. Rated pages per minute for automatic two-sided printing.
First-page-out time Determines how quickly a short email or form appears. Warm and cold start figures, if published.
Queue capacity A shared office can have several jobs waiting even when individual jobs are small. Processor or memory details, supported job sizes and the printer’s recommended monthly volume.

Consumer Reports’ current buying guide says some laser printers reach as many as 25 black-and-white pages per minute (Consumer Reports, 2026). That is a current upper-end reference from the guide, not a promise that every model or duplex job will reach 25 ppm. A historical Consumer Reports guide listed black-and-white laser speeds of 12–25 ppm (2017); treat that older range as context rather than a current market quotation.

For a small office, calculate the busiest ten-minute period rather than dividing monthly pages by working days. If several people print large reports at the same time, a slower machine with a generous recommended volume may be more dependable than a nominally faster personal printer.

4. Make automatic duplex printing a default for document-heavy work

Automatic duplexing sends each sheet through both sides without manual re-feeding. It cuts paper consumption for reports, meeting packs and internal drafts, and Consumer Reports identifies built-in duplexers as a way to save paper and reduce waste. Consumer NZ uses the same basic definition of auto-duplexing: automated two-sided printing.

Confirm that duplexing is standard hardware, not an optional accessory, and compare the duplex speed with the simplex speed. Check whether the driver makes two-sided printing easy to select as the default while still allowing one-sided output for labels, forms or documents that must remain single-sided.

Duplex printing does not automatically mean duplex scanning. An MFP can print on both sides while its ADF scans only one side at a time, so evaluate the printer and scanner specifications separately.

5. Size the duty cycle and recommended volume with headroom

Duty cycle is a stress ceiling, not a sensible monthly target. Manufacturers generally state a maximum number of pages a mechanism can handle under defined conditions; normal use should remain below that limit, with extra capacity for seasonal peaks.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

The Brother MFC-L5705DW specification page lists a maximum monthly duty cycle of 50,000 printed pages. That number indicates the documented upper limit for that model, not a recommendation to print 50,000 pages every month. When comparing any printer, look for the manufacturer’s recommended monthly volume as well as the maximum duty cycle. If only a maximum is published, treat the missing recommendation as a reason to seek clarification rather than assuming the maximum is an operating plan.

  • Estimate ordinary monthly pages.
  • Identify the highest month or project-related spike.
  • Choose a recommended volume comfortably above ordinary use and with room for the spike.
  • Use the maximum duty cycle as a durability boundary, not as a purchasing target.

Oversizing can cost more up front and consume more space, but undersizing can produce frequent maintenance, slower queues and premature wear. A printer used by one or two people has different needs from a device serving an entire department, even if their monthly totals happen to match.

6. Evaluate paper handling for the media you actually use

Paper capacity determines how often someone has to refill the machine and whether different stocks can remain loaded. Consumer NZ advises checking tray size and supported paper sizes against the intended volume and media.

Main tray and optional trays

A closed main tray protects ordinary paper from dust and accidental damage. If the office regularly uses letterhead, envelopes or labels, a manual-feed slot is useful because those media can remain separate from the everyday supply. An optional second tray is valuable when two paper sizes or stocks are in constant rotation; otherwise, a second tray adds cost and occupies space without improving the workflow.

Media compatibility

Verify supported paper sizes, weights and types in the technical specification and user guide. Laser printers use heat to fuse toner, so media must be rated for laser printing. Never infer label or envelope compatibility from a photograph of a feed slot. Check the approved size and weight range, the number of sheets that can be loaded and whether duplexing is disabled for particular media.

Output and handling

Check the output-bin capacity if the office prints long reports. A small output bin can become a bottleneck even when the input tray is large. Consider whether printed pages remain face-down and in order, and whether the device offers a separate slot for manually fed sheets.

7. Compare connectivity, administration and document security

For a shared printer, connection options affect reliability and support workload more than a minor difference in speed. Compare the following features:

Feature Questions to ask
Ethernet Is a wired network connection available for a stable shared installation?
Wi-Fi Does the office need wireless placement, and does the printer support the required security mode?
USB Is direct local printing required for setup, recovery or isolated workstations?
Mobile printing Can approved phones and tablets print without bypassing office controls?
User authentication Can access be limited to staff accounts, cards or PINs?
Secure release Can a job wait in a queue until the user authenticates at the device?
Firmware support How are security updates delivered, and how long will the model receive them?

Brother documents wired and wireless networking for the cited MFC-L5705DW business model. The right combination depends on the office network: Ethernet is often preferable for a fixed shared device, while Wi-Fi can simplify placement where cabling is unavailable. Whichever connection you choose, reserve a predictable address or use the organization’s printer-management practice so that workstation drivers do not lose the device after a network change.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Secure release is particularly useful when documents contain payroll, health, legal or customer information. It reduces the chance that a sensitive page sits unattended in the output tray. Authentication and encryption features should be checked against the office’s existing identity and network systems rather than treated as interchangeable marketing labels.

8. Calculate the total cost of ownership

The purchase price is only one part of the cost. A practical estimate includes:

  • Printer purchase price.
  • Black toner cartridges and their stated yields.
  • Drum units, waste containers and other maintenance parts.
  • Paper and specialty media.
  • Electricity during printing, warm-up and standby.
  • Expected service life, warranty coverage and any service contract.

Use a simple worksheet:

annual printing cost = (annual pages ÷ verified cartridge yield × cartridge price)
                       + drum and maintenance parts
                       + paper
                       + electricity
                       + service costs

For a first comparison, toner cost per page is:

toner cost per page = cartridge price ÷ stated page yield

Do not mix cartridge yields from different regions or capacities. Brother references ISO/IEC 19752 yield information; confirm the exact cartridge number, regional yield and whether the quoted yield applies to the standard or high-yield cartridge before calculating. Yields are measured under a standard test pattern and will vary with coverage: a page filled with dense graphics uses more toner than a typical letter.

Consumer Reports’ historical guide cited 1–5 cents per page for black-and-white laser printing (2017). That range is dated context, not a current universal cost figure. Current costs vary by country, retailer, cartridge yield and date, so calculate from the cartridges you can actually buy in your region.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

High-yield cartridges

A high-yield cartridge can reduce interruptions and lower cost per page when the office prints enough pages to use it before the toner ages or the printer is replaced. Compare the purchase price and yield together; a cartridge with a larger number on the box is not automatically cheaper per page. Include the drum if it is a separate consumable, because ignoring it can make an apparently inexpensive printer costly over its service life.

9. Check the scanner and ADF as carefully as the printer

If you choose an MFP, scanning performance can determine whether the device saves time or creates a new bottleneck. Verify:

  • ADF sheet capacity for the longest routine batch.
  • Simplex or duplex scanning, and whether both sides are captured in one pass.
  • Scan resolution and file formats required by the office.
  • Destination options such as computer, email, network folder or USB.
  • Whether the ADF accepts the paper sizes and weights used in source documents.
  • Ease of cleaning rollers and removing a misfed original.

A 50-page duplex ADF, such as the one documented for the Brother MFC-L5705DW, is materially different from a small simplex feeder when staff process two-sided contracts. Conversely, if scanning is limited to occasional single pages, a large ADF may not justify the extra cost and footprint.

Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Support on Ko-Fi

10. Account for footprint, noise, warranty and serviceability

Measure the complete installation, not just the printer body. Leave room to open the toner door, pull out trays, load envelopes and clear paper jams. An MFP also needs clearance for the scanner lid and ADF path.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Noise matters when the device is placed beside desks or in a small meeting area. Look for published operating and standby sound levels, but recognize that perceived noise depends on room acoustics and how often the printer starts and stops. A printer with a larger paper supply may be quieter in practice if it avoids repeated refill and warm-up cycles, but do not treat that as a guaranteed measurement.

Review the warranty period, local repair options, replacement-part availability and the procedure for firmware updates. A low purchase price is less attractive if a failed fuser requires shipping the entire device to another region. Confirm whether the warranty covers business use and the expected monthly volume.

11. Use a like-for-like comparison table

When two or more models meet the basic requirements, put their verified specifications in one table. Do not compare a simplex headline speed on one model with a duplex speed on another.

Comparison axis What to record Why it changes the decision
Workload headroom Recommended monthly volume and maximum duty cycle Shows whether the mechanism can handle peaks without operating at its limit.
Speed Simplex ppm, duplex ppm and first-page-out time Reveals real queue performance.
Functions Print-only or scan/copy/fax MFP Avoids paying for unused hardware or missing a required workflow.
ADF Sheet capacity and duplex-scan method Determines batch-scanning effort.
Paper Tray capacity, optional trays and supported media Controls refill frequency and stock flexibility.
Connectivity Ethernet, Wi-Fi, USB and mobile-printing support Determines installation and access options.
Security Authentication, secure release and firmware support Protects documents and reduces administrative risk.
Consumables Toner yield and price, drum and maintenance parts Provides a realistic running-cost estimate.
Physical and service factors Footprint, noise, warranty and serviceability Shows whether the printer fits the site and can be maintained.

Use “not stated” when a manufacturer does not publish a comparable value. Do not fill gaps with an estimate from another model or with a maximum figure that has a different test condition.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

12. A practical buying and setup checklist

  1. Count normal and peak monthly pages, separating one-sided and two-sided work.
  2. Decide whether scanning or copying multi-page originals is routine; if it is, require an MFP with an appropriately sized ADF.
  3. Set automatic duplex printing as a requirement unless the office genuinely prints almost everything one-sided.
  4. Compare recommended volume and maximum duty cycle, leaving headroom above peaks.
  5. List every paper size, weight and specialty media used, then verify tray and manual-feed compatibility.
  6. Choose Ethernet, Wi-Fi or both according to the office network and placement.
  7. Specify authentication or secure release if unattended output could expose confidential information.
  8. Calculate toner, drum, paper, electricity and service costs using the exact regional consumables.
  9. Measure the installation area and confirm access for loading, cleaning and jam removal.
  10. After installation, print a duplex test, scan a two-sided batch if applicable, verify every paper feed and install current firmware before releasing the printer to all users.

Common buying mistakes and how to avoid them

Choosing by ppm alone

Fix this by comparing simplex and duplex ratings, first-page-out time and the office’s busiest queue.

Treating maximum duty cycle as the normal workload

Use recommended volume for routine planning and reserve the maximum for occasional peaks.

Assuming every ADF scans both sides

Confirm simplex versus duplex scanning and the sheet capacity in the specification.

Ignoring paper and media limits

Check supported sizes, weights, labels and envelopes before purchase; laser fusers require compatible media.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Using a generic cost-per-page claim

Calculate from the exact cartridge number, verified ISO/IEC 19752 yield, local price and separate drum or maintenance costs.

Buying an MFP without a scan workflow

If scanning is occasional, compare the MFP’s footprint and maintenance burden with the cost of using an existing scanner. If scanning is daily, evaluate the ADF as a production component rather than a checkbox.

Bottom line

A good monochrome office printer is not simply the fastest or cheapest model on a shelf. Select a laser printer whose recommended volume comfortably exceeds your real workload, require automatic duplex printing for routine document work, and match its trays and media path to the paper you use. Add an MFP and duplex ADF when multi-page scanning or copying is a daily task. Finally, make the decision from verified regional consumable costs, network and security requirements, service support and physical fit—not from a headline ppm or maximum duty-cycle number alone.
