Choose job-costing software that connects every pound or dollar of a project to the right job, cost code and cost type, then compares actual and committed costs with the estimate while work is still in progress. For an M&E contractor, that core ledger must also connect purchasing, subcontract commitments, change orders, field time, billing and the general ledger. If you run service and maintenance alongside projects, dispatch, work orders, technician time, inventory and service profitability belong in the evaluation too.
No single product is established as best for every mechanical and electrical contractor. The right choice depends on project length, contract and billing rules, service mix, accounting setup, number of entities and the reporting required by owners, lenders or sureties. Use the checklist below to make vendors demonstrate your real workflow rather than a generic feature tour.
Start with the job-cost model, not the feature list
Ask a vendor to open one realistic project and show the path from estimate or budget to final cost and margin. The system should retain a job-level record for each direct cost, normally divided into labor, materials, subcontractors, equipment and other direct costs. Each transaction should carry a cost code and cost type that match the way your project managers control work.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
That structure is what lets you answer practical questions during construction: Which phase is over budget? Is the variance caused by hours, wage burden, material price, a subcontract or scope growth? How much of the original budget is still available? A system that only shows invoices after payment cannot answer those questions early enough.

Require estimate-to-actual visibility
- Load an estimate or budget at the same phase and cost-code level used in your tenders and internal reviews.
- Post employee time, payroll burden, material issues, equipment use, subcontract invoices and other direct costs to the job.
- Compare budget, committed cost, cost to date, forecast cost to complete and projected gross profit in one view.
- Filter reports by project, phase, cost code, date and status so a project manager can move from portfolio totals to a specific variance.
- Trigger alerts for labor or cost overruns, with a clear explanation of which transactions created the alert.
Daily time capture is worth testing. Sage’s construction job-costing material advocates daily rather than weekly entry, while a Jonas guide describes labor tracking that includes unposted labor and burden percentages. Those are vendor descriptions, not independent performance findings; verify the exact workflow and edition you would buy.
Make committed costs visible before cash leaves
Paid invoices are a lagging indicator. A purchase order or signed subcontract can consume budget even when the invoice has not arrived. Your shortlist should therefore distinguish actual cost from committed cost and show both in the forecast.
Purchasing and subcontract checks
- Confirm that purchase orders reserve or encumber the relevant job budget.
- Record subcontract commitments by job, phase and cost code, including approved amendments.
- Match vendor bills to purchase orders or subcontracts and expose unmatched amounts for review.
- Show accounts payable by job, not only in a company-wide aging report.
- Explain how commitments are released, revised or closed when an order is cancelled.
CrewCost’s selection guidance recommends committed-cost tracking for purchase orders and subcontracts. A WIP product page describes accounts payable by job and change-order tracking while marking commitment management as coming soon. That difference illustrates a procurement rule: separate live functions from roadmap labels and have the vendor demonstrate the current release.
Do these 3 things before closing this tab:
1Clear out junk files and repair common Windows errors2Fix the driver behind crashes, sound loss and screen glitches3Repair Windows errors before they cause bigger problemsTest change-order control from request to forecast
Mechanical and electrical work frequently changes after design, coordination or site conditions evolve. Software should preserve the original contract and budget while showing the financial effect of each change.
Use one scenario during every demo
- Create a change request from the field and mark it pending or unsigned.
- Show whether internal, estimated and pending changes can be separated from approved changes.
- Approve the change and verify that the revised budget and contract value update without overwriting the original figures.
- Post labor or material against the changed scope and identify whether the work was authorized.
- Reject or withdraw a request and confirm that its forecast impact disappears without deleting the audit history.
FOUNDATION describes status-based change-order tracking, including toggles for pending, internal and estimated changes; its page says approved changes update budget detail while retaining the original contract and budget. Procore’s guidance is useful as a reminder to ask how authorization status is communicated to field teams. Treat these as product or guidance claims and validate them in your configuration.

Define the accounting system of record
Before selecting an integration, decide which ledger is authoritative. A job-cost subledger can provide operational detail, but the general ledger must remain consistent for financial statements, tax and audit.
Questions for the integration demonstration
- Is the connection direct, scheduled or export-based?
- Which objects synchronize: jobs, cost codes, purchase orders, bills, payroll, invoices, payments and change orders?
- Does data flow in both directions, and how quickly do changes appear?
- How are cost-code mappings, corrections, duplicates and failed syncs handled?
- Can an accountant trace a job-cost amount back to the source bill, time entry or payment?
- Can separate entities, branches and service divisions be reported individually and consolidated?
CrewCost argues for a job-cost ledger tied directly to the general ledger. WIP describes synchronization of jobs, invoices, bills and payments with QuickBooks Online and says QuickBooks remains the book of record. These statements describe those products, not a universal integration standard. Reconcile a sample month during due diligence rather than assuming that a connection removes accounting work.

Outbyte Driver Updater FREEScan for outdated or missing drivers - takes under a minuteDriver Scan →Outbyte PC Repair FREEClear out junk files and repair common Windows errorsFree Scan →Evaluate WIP, earned revenue and progress billing separately
WIP reporting, progress billing and revenue recognition are related but not interchangeable. For longer projects, ask the software to display contract value, cost to date, earned revenue, billed to date, gross profit and over- or under-billing at both job and company level.
Accounting and contract questions
- Which revenue-recognition method is supported, and who configures it?
- How is estimate at completion calculated, and which source records drive it?
- Can retainage be calculated, billed, held and released?
- Does the system produce percentage-complete or AIA-style billing when a contract requires it?
- Can the accountant adjust an estimate while preserving the original calculation and audit trail?
- Are over-billings and under-billings visible by job, entity and reporting period?
CrewCost lists WIP reporting, retainage billing and percentage-complete/AIA-style billing among features to evaluate. FOUNDATION lists WIP and over/under-billing reports. ProjectPro positions its construction accounting system for mechanical contractors and names phase-driven progress billing, retainage, WIP and change orders; validate the exact configuration and implementation scope.
Watch for limitations that affect bonding or lending
WIPKeep states that it uses completed-contract recognition, does not calculate percentage of completion, and does not provide a bonding-grade WIP schedule with over-billings and under-billings. It also states that it has no retainage feature and no AIA G702 progress billing. Those limitations can disqualify a system when a surety, lender, owner or contract requires those outputs. Confirm the requirement with your accountant and counterparties before signing.

Check field time, labor burden and mobile capture
Field data is useful only when it arrives quickly and lands on the correct job and cost code. Demonstrate a technician or installer entering time on the device your crews actually use, then follow the entry into payroll, labor burden and the job-cost report.
- Verify approvals, corrections and cut-off rules for daily time.
- Check whether burden percentages can differ by employee, labor class or entity.
- Confirm that unposted or pending labor is visible so a forecast does not look artificially low.
- Test site connectivity, synchronization delays and what happens when a device is offline. The available product descriptions establish mobile field access but do not establish offline behavior, device requirements or independent usability results.
- Review role permissions so a field user can enter time without changing budgets or financial reports.
If you do service work, test a second operating model
Many M&E contractors combine installation projects with call-outs, planned maintenance and recurring agreements. A project-only ledger may not cover the service workflow, while a service system may not provide construction-grade WIP.
Run a dispatch-to-profitability scenario
- Create a customer call, assign a technician and schedule a visit.
- Capture travel, labor, parts and truck-stock usage on a work order.
- Apply a maintenance agreement or quoted rate where appropriate.
- Post the completed work to the correct service job and invoice it.
- Report revenue, direct cost and margin by customer, agreement, technician and service job.
Crestwood’s electrical-contractor material identifies technician scheduling and dispatch, mobile field access, service work orders, maintenance agreements, field-to-office communication, warehouse inventory, truck stock and material usage as capabilities to consider. CrewCost likewise emphasizes field and service workflows. Confirm which modules are included in the edition under consideration rather than assuming that a marketing page represents every deployment.
Inventory and purchasing must match your work
Materials can move from warehouse to truck to site before they appear on a supplier invoice. Ask the vendor to show receipts, transfers, issues, returns, truck stock and job allocation. The system should distinguish stocked material from direct-buy material and preserve the cost basis used in the job margin.
For multi-location contractors, test warehouse and branch permissions, intercompany transfers and consolidated reporting. Crestwood describes multi-project and multi-location management as an electrical-contractor consideration; validate the actual modules, locations and accounting entities you plan to operate.

Demand reports that explain a variance, not just display it
Request sample reports populated with labor burden, committed purchase orders, subcontract values, approved and pending changes, retainage and billing. At minimum, compare these outputs:
| Report or view | Decision it should support | Details to verify |
|---|---|---|
| Budget versus actual | Identify an overrun while corrective action is still possible | Project, phase, cost code, cost type and date filters |
| Commitment forecast | See obligations before invoices are paid | Open purchase orders, subcontracts, billed-to-date and remaining commitment |
| Cost-to-complete | Update expected final cost and margin | Method, assumptions, approvals and audit history |
| WIP and over/under billing | Prepare management and external reporting | Contract value, earned revenue, billed-to-date, retainage and accounting method |
| Job history | Compare current performance with prior work | Archived estimates, changes, final cost and margin |
| Service profitability | Decide which agreements and call-outs are profitable | Technician time, materials, travel, invoice and agreement allocation |
FOUNDATION describes project cash-flow and overhead allocation, WIP and over/under-billing reports, job histories, estimated-versus-actual reports and automated alerts. Treat those as vendor-described outputs and ask to see them using your own sample data.
Security, permissions and data ownership
Financial and labor data should be isolated by organization, protected by role and recoverable when an employee leaves. Ask for an audit trail showing who changed a budget, cost code, invoice, approval or change-order status. Review export formats, retention rules, backup responsibilities and the process for migrating data if you change systems.
WIP describes role-based access, organization-level isolation, encryption and audit logs on its site. The same page labels SSO/SAML and SOC 2 as roadmap items, so do not treat them as current certifications or features. Request written security evidence and map it to your own procurement requirements.

Ask for reference customers with a comparable mix of electrical or mechanical projects, service work, entities and billing requirements. Include the contractor’s accountant and a project manager in the evaluation; a system that satisfies one group can create reconciliation work for another.
Use a repeatable shortlist scorecard
Run every finalist against the same sample job and score evidence from the demonstration, not promises on a brochure. These are the comparison axes that matter most:
- Trade fit: electrical, mechanical and specialty-subcontractor workflows versus a broad general-contractor model.
- Cost detail: cost codes and types, labor burden, materials, equipment, subcontractors and other direct costs.
- Forecast completeness: committed purchase orders and subcontracts, cost-to-complete and pending versus approved changes.
- Accounting fit: ledger integration, sync direction and timing, reconciliation, entities and cost-code mapping.
- Financial reporting: WIP, earned revenue, over/under billing, retainage and percentage-complete or AIA reporting where required.
- Field and service fit: time capture, dispatch, work orders, maintenance, mobile access and inventory.
- Control and scale: permissions, audit history, portfolio reporting, security evidence, implementation and support.
Keep a written record of what was demonstrated, what requires configuration, what depends on another module and what is only planned. This prevents a roadmap item or sales example from becoming an assumed capability in your business case.

Vendor examples to investigate, with status checks
WIP presents itself as designed for specialty-trade subcontractors, including electrical and mechanical firms. Its page lists WIP/CVR, contract-versus-cost-to-date, earned revenue, gross-profit percentage, AR/AP aging, invoice tracking, job-level AP, change orders and QuickBooks Online integration as available, while labeling AIA billing, lien waivers, preliminary notices, commitment management, budget management, cash management, a Procore integration and a mobile app as coming soon. Reconfirm every status before purchase.
Sage emphasizes change-order status and daily time reporting on its construction job-costing page. Jonas describes labor tracking, change orders, subcontractor allocation, purchasing and project reporting for construction and service contractors. FOUNDATION describes WIP, cash-flow, overhead, job-history, estimated-versus-actual and alert reporting. Crestwood emphasizes integrated project visibility, field service, cash flow, inventory, labor and multi-location reporting. These descriptions are starting points for demonstrations, not independent rankings.
Red flags that should stop a purchase
- The demo shows only paid invoices and cannot display open commitments.
- Cost codes cannot match the structure used in your estimates.
- Approved and pending change orders are mixed, hidden or destructive to the original budget.
- The vendor cannot explain which system is the book of record or how failed synchronizations are corrected.
- WIP reports do not show the revenue-recognition method, retainage or over/under billing required by your contracts.
- Service capability is presented as a future module when you need dispatch and work orders at go-live.
- Security features are described as roadmap items but included in the sales promise.
- No one will provide a scoped implementation plan or references with a comparable M&E work mix.
The strongest choice is the platform that proves a complete, auditable flow from estimate and commitment through field capture, accounting, billing and final margin for the work you actually perform.
