Start with the scanner already on your iPhone. Apple Notes and Files can detect pages automatically or let you trigger capture manually, correct corners, add pages, and produce a usable scan. Notes keeps the scan with a note and supports signatures; Files lets you choose where the document is saved. A separate scanner app is worth considering only when it solves a specific problem—such as OCR-based retrieval, reusable text, a cloud PDF workflow, or document management—that your current process cannot handle.
The right choice depends less on an app’s feature count than on the documents you scan and what must happen after capture. Use the checks below to determine whether you need another app and, if so, which capabilities matter.
Is the iPhone’s built-in scanner good enough?
For occasional paperwork, it often is. Before installing anything, scan a representative document in both built-in locations and inspect the resulting file. Use a receipt, a page with small print, a shaded or uneven sheet, and a multi-page document if those are part of your work.

On iOS 26, Apple’s documented scanner controls also include flash and image-filter options. Those controls can help with dim rooms or difficult paper, but they do not replace checking the final scan at the size and contrast your recipient will use.

Test Notes
- Open Notes and create or choose the note that should contain the document.
- Use the note’s attachment or camera controls and choose Scan Documents. Allow automatic capture to detect the page, or switch to manual capture when the outline is unreliable.
- After each capture, drag the corner handles to include the entire page and exclude the desk or background. Add further pages before tapping the option to keep the scan.
- Review the note at normal reading size. Check that small characters, faint lines, and the page edges are legible.
- If the document needs a signature, use Notes’ markup and signature tools rather than printing and rescanning.
Test Files
- Open Files and navigate to the folder in which the finished document should live.
- Open the folder’s additional-actions menu and choose Scan Documents.
- Capture automatically or manually, correct the corners, and add all pages in order.
- Save the scan and reopen it from that folder. Confirm that the name, location, page order, and readability meet your actual sharing requirement.
If these tests produce clear pages and a sensible filing routine, a third-party app may add complexity without solving a problem.
Capture quality and control
Look for dependable page detection, a manual shutter, corner correction, rotation, filters, flash control, and multi-page capture. Automatic capture is convenient when the phone is steady and the page is separated from its background; manual capture is important when a patterned desk, a curled page, or a book confuses edge detection.
Evaluate capture with the conditions you really encounter:
- Small print: zoom into a paragraph and verify that thin strokes are not blurred.
- Receipts: check long, narrow pages and pale thermal ink.
- Shadows and uneven pages: look for dark bands near a binding or fingers.
- Mixed pages: scan a color page and a monochrome page in one batch to see whether filters damage either one.
- Multi-page work: reorder or remove a page before export, if the app offers those controls.
Apple documents the capture modes and crop adjustment in Notes and Files, but documented controls do not establish that one app produces sharper images than another. Judge legibility using your own documents rather than an advertised “enhancement” label.
OCR: searchable, selectable, or merely recognized?
OCR (optical character recognition) can mean several different things. An app may recognize text only so that you can search inside its library; it may embed a text layer in an exported PDF so another reader can search it; or it may let you select and copy the words into an email or spreadsheet. These outcomes are not interchangeable.
Verify the output, not the feature name
- Scan a page containing a distinctive word, a number, and a date.
- Search for that word inside the scanner app. Record whether the result comes from the current scan or only from an index created later.
- Export the document as a PDF and open it in a separate PDF reader. Try the reader’s Find command and drag across a word to copy it.
- Paste the result into a plain-text note. Check punctuation, columns, decimal points, and line breaks.
Adobe documents automatic text recognition, searching by content and within scans, and actions for copying recognized text. Adobe also notes that recognition depends on scan quality. Test the languages, typefaces, handwriting, tables, and document sizes you actually use; do not assume that a successful sample in one language predicts results in another.

If your purpose is text reuse, prioritize a reliable copy/export path. If your purpose is locating an old invoice, an in-app content index may be enough even when the exported PDF is image-only. If another person must search the PDF, require a searchable text layer and verify it outside the scanning app.

Export and compatibility
Confirm the exact file and destination before you scan a backlog. At minimum, check whether the app creates a PDF, preserves page order, combines pages into one file, and allows pages to be removed or rearranged. Then check whether the resulting file can be sent to the place your recipient or workflow requires.
- PDF behavior: determine whether the PDF is image-only or contains searchable/selectable text.
- Destination: verify that you can save to the required Files folder, cloud service, email attachment, or share sheet target.
- Multiple documents: see whether separate scans remain separate or are merged unintentionally.
- Long documents: test export time and whether the app preserves every page.
Files’ built-in workflow is useful when location control is the priority because you select the save location during scanning. A dedicated app may create the PDF in its own library first, then require an export step; that extra step matters when a deadline, a managed folder, or a handoff to someone else is involved.
Organization and retrieval
A single occasional scan can live comfortably in a note or folder. Frequent users should inspect the library before committing to an app. Check whether you can set filenames, create folders or tags, search by filename and content, select several scans at once, and share or move them in batches.
Use a realistic naming test: create three scans for the same client or household, then try to find the middle one without opening every file. If the app’s search depends on OCR, include a page whose key term is small or faint and verify whether the result is still found. Organization features are valuable only when they match your retrieval habit; a sophisticated library that you never maintain is slower than a simple folder convention.
Storage, accounts, and offline use
Find out where the original capture and final PDF live. Ask four separate questions:

- Can the scan remain on the iPhone, or must it be uploaded?
- Is an account required before scanning or exporting?
- Does cloud synchronization happen automatically?
- Can you save a local copy for travel, outage recovery, or a recipient who cannot access the service?
Adobe’s documented scanning workflow creates PDFs and uses Adobe cloud storage. That can be convenient for access across devices, but it means you should understand the account, retention, deletion, and download terms before sending confidential records.
Microsoft’s documented OneDrive scanning alternative stores scans in OneDrive and does not support saving them locally on the device. That limitation is decisive if your process requires an offline file or a local handoff. Check the current terms and storage behavior of any app before scanning sensitive or time-critical paperwork.
Privacy and permissions
Paperwork can contain identity numbers, medical details, financial data, or signatures. Read the app’s privacy policy and its App Store privacy label before granting access. Apple requires App Store apps to provide a privacy policy and a self-reported summary of data use; you can review those disclosures and manage photo access in iPhone settings.

- what information the developer says it collects from scans or device activity;
- whether images or OCR text leave the phone;
- where cloud copies are retained and how deletion works;
- whether sign-in is mandatory; and
- whether the requested Photos, camera, files, contacts, or notification permissions are necessary for your task.
Grant the narrowest access that still permits the workflow. If a service cannot explain where a confidential scan goes or how to remove it, choose a workflow with clearer local control.
Accessibility and task fit
Check VoiceOver labels, dynamic text behavior, contrast, and the number of gestures needed to capture, review, and export. Then match the app to the documents you handle:

- Forms: look for dependable markup, signatures, and text entry after scanning.
- Receipts: test long pages, faded ink, and quick batch capture.
- Books: check page curvature, manual capture, and whether two-page spreads are handled cleanly.
- Whiteboards: test glare, perspective correction, and color preservation.
- Business cards: verify whether recognized fields can be copied or exported in the format you use.
Do not pay for a specialized mode until you have tested its input and its exported result with your own documents.

Adobe Scan is a documented example of a dedicated app aimed at OCR and PDF workflows. Adobe describes converting image text to text, creating PDFs, searching content and scans, and copying recognized text. It also describes an Adobe cloud-storage workflow.
Those capabilities make it a candidate when searchable text, reusable text, or cloud-based PDF handling is your actual requirement. They do not establish superior OCR accuracy compared with Apple’s scanner or any other app. Test recognition in your language and document types, confirm whether exported PDFs remain searchable, and review account, cloud, retention, and privacy terms before using it for confidential material.
Do not choose Microsoft Lens from an old roundup
Microsoft Lens is no longer a current new-install recommendation. Microsoft says retirement began on January 9, 2026; support ended February 9, 2026; and scan creation ended March 9, 2026. Microsoft directs users to OneDrive scanning instead.
OneDrive’s documented limitation is important: scans are stored in OneDrive and cannot be saved locally on the iPhone. If local or offline copies are mandatory, test Apple Files or another app that explicitly provides that path.
A practical comparison worksheet
When evaluating two or more apps, record the same result for each rather than relying on feature lists.

Current prices and subscription limits change by region and date, so verify them in the App Store and the developer’s current terms rather than relying on an old roundup.
Common failure modes and fixes
The page edges are wrong
Switch from automatic to manual capture, improve contrast between paper and background, hold the phone parallel to the page, and adjust every corner before saving.
The PDF looks clear but text cannot be found
Determine whether OCR was performed at all. Re-export using the app’s searchable-PDF option if available, then test Find and text selection in a separate PDF reader.

Copied text is inaccurate
Rescan under even light, remove shadows, flatten the page, and test a higher-quality or less aggressive filter. OCR quality is constrained by the input image.
The file is missing from the expected place
Check whether the app saved to its private library or cloud first. Use an explicit export or Save to Files action and confirm the destination by reopening the file from that folder.
You cannot work without internet access
Confirm offline capture and local export before starting. A cloud-first workflow may not provide a device copy; OneDrive’s documented scanner workflow, for example, does not save scans locally.
Decision checklist
- Have you tested Notes and Files with the hardest document you actually scan?
- Do you need OCR search, selectable text, or copy-and-paste—and have you tested the exact output?
- Can the app export a PDF to the destination and folder your workflow requires?
- Do its filenames, folders, search, and batch actions fit your retrieval habits?
- Do you understand account, cloud, offline, retention, and deletion behavior?
- Have you read the privacy label and policy and limited permissions appropriately?
- Does it support your language, accessibility needs, and document type?
- Have you checked current regional price and subscription terms?
If you cannot name the specific problem a third-party app solves, stay with Apple’s built-in scanner. If you can name it, validate that one capability with a real document and inspect the exported file before moving your archive.
