There is no reliable one-price answer for changing a hard drive: the total depends on your computer model, compatible replacement part, country, labor, and whether the job includes setup or file transfer. Ask for an itemized quote for your exact device and location rather than treating another model’s estimate as a benchmark. Manufacturer pricing varies by product and region, and some providers set a final fee only after inspection. Microsoft explains that out-of-warranty offers vary, while Apple requires inspection for a personalized Mac estimate.

What determines the cost of changing a hard drive?

A replacement quote combines the part, the work needed to install it, and any additional services. Not every computer uses the same kind of storage, and some machines do not offer a user-replaceable drive. The price can also change with the service provider, location, taxes, warranty status, and availability of parts.

  • Computer and compatible drive: The exact model determines which storage formats and capacities will work and whether the drive can be replaced at all.
  • Diagnosis and labor: A provider may need to inspect the computer before quoting. Ask whether diagnosis is billed separately and what installation labor includes.
  • Service scope: A drive replacement, operating-system installation, cloning or file migration, and data recovery are different tasks. Ask which are included and which cost extra.
  • Location and parts: Taxes, service availability, and local parts supply can affect the final amount. Apple notes that service options depend on location and parts availability and that out-of-warranty estimates may be subject to VAT; Microsoft also says offers vary by country and product.
  • Warranty or service plan: Check coverage before paying for out-of-warranty work. Coverage depends on the device and case, and manufacturers may provide separate routes for covered and uncovered repairs.

Apple says it needs to inspect a Mac to provide a personalized estimate. Its Ireland service page also notes that the final service fee is determined after inspection. Microsoft’s out-of-warranty service page states that pricing is subject to change. These are reasons to treat a published estimate as an illustration, not a guaranteed quote for another computer or country.

Published price example: HP repair estimates in Japan

HP Japan’s repair estimate page gives yen-denominated figures for specific product and service categories. Its schedule identifies estimates for newly accepted repairs from May 2, 2025:

How to get a useful quote

  1. Identify the exact computer. Note its model name or number and country of service. If you do not know the model, check the device label or the system information screen.
  2. Check coverage first. Look up the device’s warranty or service plan and ask the manufacturer whether storage replacement is covered for your situation.
  3. Describe the problem and your data needs. Tell the provider whether the computer still starts and whether files on the old drive must be preserved. Do not authorize disposal of the old drive until you understand the data options.
  4. Request itemized costs. Ask the provider to separate diagnosis, replacement drive, installation, operating-system setup, file migration or cloning, data recovery, taxes, and any service warranty. Ask whether the original drive will be returned.
  5. Confirm timing and terms. Ask how long service is expected to take, whether parts are available, and what happens if inspection changes the estimate. Get approval terms in writing before work begins.

Available routes may include the manufacturer or an authorized provider, an independent repair shop, or self-repair where the device supports it. Microsoft says self-repair parts are available for some Surface devices to people with technician-level ability and appropriate tools; that is not a recommendation for every model or owner. Replacement is not the same as data recovery

A new drive can make a computer usable again, but it does not restore files from a failed drive. If the data matters, tell the repair provider before replacement or disposal and ask whether a recovery attempt is appropriate. Recovery is a separate service decision, may be charged separately, and is not guaranteed.

Apple states that the cost of a data-recovery attempt is not covered by the Apple Limited Warranty or AppleCare. Its published guidance names recovery companies but says they are not Apple Authorized Service Providers and that Apple does not warrant their services; this is Apple’s guidance, not a general endorsement. Read Apple’s data recovery and warranty information before relying on any recovery route.

Choosing a replacement drive or repair route

Do not buy a drive based only on a generic recommendation. A 2.5-inch SATA SSD is a possible replacement only for a computer that accepts that size and interface. Other computers use different storage formats, and some have storage that is not user-replaceable. Verify the exact model, interface, physical dimensions, supported capacity, repair instructions, and any warranty implications before purchase.

If you are comparing a repair shop with a manufacturer service, compare what each quote actually includes—not just the headline price. A lower part-and-labor quote may omit diagnosis, operating-system setup, data transfer, tax, or recovery. No universal bundled scope applies across providers, so request those line items directly.
