Expect a startup conference to combine some of the following: talks and panels, startup pitches or demos, showcases, scheduled meetings, workshops, meals, and informal networking. The exact mix, dress expectations, ticket access, and registration rules vary by event and edition, so the organizer’s current agenda and attendee instructions are more reliable than any generic checklist.
Choose one main outcome before you go—learning, meeting customers, finding collaborators, hiring, fundraising, or exploring the ecosystem. Use that goal to prioritize sessions and people, then protect enough unscheduled time for conversations, meals, and moving between rooms. For a full day, comfortable shoes, a charged phone, and a simple way to record names and follow-up actions are more useful than an overpacked bag.
What actually happens at a startup conference?
There is no standard startup-conference schedule. One event may emphasize stage talks and investor meetings; another may be a showcase, workshop program, or community gathering. Common elements include:
- Main-stage talks and panels: presentations, interviews, or discussions intended for a broad audience.
- Pitches, demos, or showcases: startups explain a product, demonstrate it, or exhibit in a shared area. Some conferences have these features; others do not.
- Arranged meetings and matchmaking: organizer-run meeting tools or scheduled conversations between attendees.
- Workshops and breakouts: smaller, sometimes interactive sessions that can have separate capacity limits.
- Meals, breaks, receptions, and social events: informal settings where conversation may be easier than in a crowded auditorium.
Check the current agenda rather than assuming that an expo, pitch competition, first-time orientation, attendee directory, or reception will exist. Those features are event-specific. Ticket terms also matter: a conference pass may not include every workshop, meeting program, meal, or evening event.

A realistic arrival sequence
Arrival can involve badge pickup or registration, finding the correct venue entrance, checking a posted schedule, and learning the room layout. Some organizers provide a mobile app with a floor map and live updates. Treat those as examples of what one organizer supplied, not promises about your conference.
Once inside, allow time to locate registration, restrooms, session rooms, food areas, and any meeting desks. Room changes and full sessions can make a perfect timetable impractical, so keep a backup option for each important time slot.
Set a goal before you choose sessions
A crowded program becomes manageable when you decide what a successful day would produce. Your goal need not be a guaranteed deal or job; it is a way to decide what deserves your limited attention.

- Customer discovery: prioritize people who fit the problem or market you are investigating, and prepare questions before discussing your solution.

- Hiring or career exploration: identify organizations and roles, then ask about the work rather than opening with a request for a job.
- Fundraising or investor education: use the event to understand fit and gather context; do not treat attendance as a promise of investor access or funding.
- Ecosystem orientation: attend a range of sessions and speak with people outside your initial category to learn how the community connects.
You can have secondary goals, but ranking them prevents a schedule that leaves no time to think or talk. Write one sentence such as “I want to leave with a clearer view of early customer needs and three relevant conversations.”
Build a flexible plan
Mark the sessions that directly serve your primary outcome, then add one or two alternatives. Compare competing activities using four practical questions: Is it relevant to your goal and role? Will you be able to ask questions or interact? Does it require advance registration or a separate ticket? How much time will it take to reach the room and leave it?

Leave gaps for walking, food, notes, and conversations that run longer than expected. A schedule with every minute assigned can prevent the very encounters you came to have.

Complete the practical checks before you leave
Read the organizer’s current information
Confirm the venue, dates, transport instructions, badge requirements, check-in process, and any policy in the latest organizer message. Check what your ticket includes and whether workshops, meetups, roundtables, meals, or meetings require separate registration. Gartner’s first-time-attendee guidance, for example, warns that some limited-seat sessions require advance sign-up; that rule is specific to the event, but it illustrates why the agenda and ticket terms should be read together.
Set up the event platform
If an app or web platform is provided, download it and sign in before arrival when possible. Depending on the organizer, it may contain the agenda, room map, attendee directory, direct messaging, meeting requests, and schedule changes. Features vary, so do not assume that a directory or messaging function exists.
Complete only the profile information that helps relevant people understand why you are attending. Arrange a small number of purposeful conversations rather than sending indiscriminate meeting requests. Save a screenshot or offline note of essential details in case connectivity is poor.
Prepare a short introduction
Use two or three sentences: who you are, what you work on or are exploring, and what you hope to learn or find. A founder investigating customers will emphasize a problem and the kind of perspective they seek; a student exploring careers may emphasize interests and questions. The introduction is an invitation to talk, not a speech or a full pitch.
How to network when you are new
Networking is not restricted to formal appointments. Breaks, lunch tables, receptions, workshops, and small side events often provide more natural openings than a stage program. - “What brought you to this conference?”
- “Which session are you looking forward to?”
- “What did you think of that talk?”
- “What are you working on at the moment?”
Listen for the detail that should determine your next question. If the conversation is not relevant, thank the person and move on rather than forcing a pitch. If it is useful, agree on a concrete next step before separating.
Keep the first conversation brief and useful
Introduce yourself, ask about the other person’s work, and explain your relevant interest only after you understand their context. Do not promise an outcome you cannot control, such as funding, a job, or a partnership. A good first exchange may simply establish that a later call or introduction would be worthwhile.
Record context immediately
After a conversation, note the person’s name, organization, the subject discussed, and any agreed action. Use the event app, a notes app, or a notebook. A digital card or LinkedIn QR code can reduce the need to carry printed cards, but use the contact method that both people prefer.
What to bring
Venture Atlanta’s organizer checklist recommends adapting your bag to the venue, weather, travel, and your role. A practical baseline is:
- Comfortable shoes suitable for a long day of walking and standing.
- A light layer for changing room temperatures.
- A charged phone with the event app installed, if one exists.
- Charging cable and, optionally, a portable phone charger or power bank.
- A notebook and pen, or a notes app you can use quickly.
- A reusable water bottle if the venue permits one.
- A lightweight bag, personal medication, and weather items such as an umbrella when needed.
- Business cards, a digital card, or a LinkedIn QR code only if they fit your way of exchanging details.
A portable charger is optional, not a requirement. It becomes more useful when you expect to rely on an app, map, messaging, QR check-in, or frequent note-taking. No particular capacity or model is necessary based on the organizer guidance; bring a reliable one that matches your phone and cable.
What should you wear?
There is no universal startup-conference dress code. Check your organizer’s guidance, the schedule, and any dinner or reception plans.

When no guidance is provided, choose clean, comfortable clothing that fits your role and allows you to walk, sit, and layer. Prioritize footwear you can tolerate for a full day. A formal outfit is not automatically more appropriate, and casual clothing is not automatically suitable for a hosted dinner or investor meeting. If you have a one-to-one meeting with a stated dress expectation, follow that instruction over a general conference assumption.

Start with orientation
At registration, confirm your badge, the day’s room locations, and any limited-seat sessions you enrolled in. Open the app or posted schedule and check for changes. Locate a quiet place where you can review notes and recharge briefly.
Follow the plan lightly
Attend the sessions most connected to your goal, but leave enough time to move between rooms and speak with people. If a session is full, use your backup option rather than spending the entire block trying to enter. A useful conversation at lunch may be more valuable for your objective than a lower-priority talk.
Protect breaks and basic needs
Eat, drink water, and take short breaks before you are exhausted. Conversations are harder when you are rushing between rooms or trying to work through the entire day without stopping. Use meals as an opportunity to join a table with people you do not already know, while respecting signs, seating rules, and anyone’s wish to eat quietly.
Review notes before leaving
Near the end of the day, sort your notes into three groups: people to contact, ideas to investigate, and commitments you actually made. Verify names and contact details while the event is still fresh. This prevents a pile of vague contacts that you cannot recognize later.

Send a short message that refers to something you genuinely discussed and proposes a clear next step only when one makes sense. Venture Atlanta recommends following up within 48 hours; that is the organizer’s advice, not a universal deadline. A useful message might identify the session or problem you discussed, state what you found relevant, and suggest a specific call, introduction, or resource exchange.

Do not send the same pitch to every person. If no action was agreed, a brief thank-you and a relevant observation is enough. If someone declined further contact, respect that decision. Keep a simple list of promised actions and complete the ones you offered.
Common first-timer mistakes and fixes
Assuming every conference works the same way
Fix: read the current agenda, ticket terms, and organizer messages. Treat examples from other events as possibilities, not guarantees.
Filling every minute with sessions
Fix: reserve transition, meal, note-taking, and conversation time. Keep a backup session for conflicts or full rooms.
