When an iPad or MacBook says storage is full, do not start deleting random files. First open the device’s storage view, identify the largest categories, and use Apple’s recommendations. Remove downloaded or replaceable content before touching personal documents, and verify that anything you delete is backed up or can be downloaded again.
On an iPad, the fastest low-risk fix is often offloading an unused app, which removes the app but keeps its documents and data. On a MacBook, reviewing Downloads, old device backups, unused apps, media libraries and Trash usually reveals more reclaimable space. iCloud Photos optimization and an external drive can help, but each has capacity, syncing and backup trade-offs.
Start with a storage diagnosis, not deletion
A full-storage warning tells you that available space is low; it does not tell you which item is responsible. The built-in storage screens show the categories and apps using space and may suggest actions. Use those screens before changing files.
Do these 3 things before closing this tab:
1Repair Windows errors before they cause bigger problems2Scan for outdated or missing drivers - takes under a minute3Clear out junk files and repair common Windows errorsCheck an iPad
- Open Settings.
- Tap General, then iPad Storage.
- Wait for the bar chart and recommendations to finish loading.
- Review the largest apps and categories. Tap an app to see its app size and the amount of documents and data associated with it.
Recommendations can include removing downloads or offloading unused apps. Treat them as a starting point, then inspect what an app stores locally before choosing an action.

Check a MacBook
On macOS Ventura 13 or later, choose Apple menu > System Settings > General > Storage. Allow the categories to calculate, then open the detail views and recommendations. On earlier macOS versions, Apple’s support instructions use Apple menu > About This Mac > Storage.
Record which category is genuinely large. “Applications,” “Documents,” “iOS Files,” “Mail,” “Photos” and “System Data” require different treatment; deleting a few small files will not solve a problem caused by a large media library.

Offload an unused app when its data matters
In Settings > General > iPad Storage, select an app and choose Offload App when the option is available. Offloading removes the app itself but keeps its documents and data on the iPad. You must reinstall the app before using it again, and the app may need to download additional content after reinstallation. App-specific behavior can vary, so confirm that the app supports the workflow you need.

Offloading is appropriate for a rarely used app whose projects, settings or documents you want to retain locally. It is not the same as deleting the app.
Delete an app only after checking its local data
Delete App removes the app and related data stored with it. Before selecting it, open the app if possible and check for locally stored projects, downloaded maps, video, music, podcasts, document caches or other material that is not already synchronized. Look at the app’s own export, backup or sync controls as well as any backup you maintain.

If an app stores files in the Files app, iCloud Drive or another service, verify that the files are visible there and available on another device before deleting the app. A cloud account name alone is not proof that every local file has synchronized.
Remove downloads and replaceable media first
Downloaded films, television episodes, music, podcasts, books, offline maps and web content are usually safer targets than irreplaceable photographs or work files, provided you know how to download them again. Check the relevant app’s Downloads or Offline section and remove completed or outdated items.

If a file is in iCloud Drive, remember that deleting it can remove it from the synchronized service and other devices; move or copy it elsewhere first when preservation matters.
Reduce a photo library without losing originals
Photos normally occupy the iPad in their original, high-resolution form. If you use iCloud Photos, enable Optimize iPad Storage in Settings > [your name] > iCloud > Photos. With optimization enabled, full-resolution originals are kept in iCloud while the iPad retains space-saving versions as needed.
Check available iCloud capacity and the library’s sync status before enabling the feature. The first synchronization can take time and requires network access. Optimization does not make cloud storage unlimited; it moves the capacity requirement from the iPad to your iCloud plan.

If you do not want the library in iCloud, transfer photos to a computer and verify the copies before removing them from the iPad. When iCloud Photos is active, deleting a photo from one device can delete it from the synchronized library, so make a separate copy first if the images must be preserved.

Work through the largest reclaimable categories
In System Settings > General > Storage, open the categories and recommendations rather than relying only on the summary bar. Typical review areas include:
- Downloads: installers, disk images, archives and files received long ago.
- Applications: software you no longer use, along with large app-specific content.
- Documents: videos, virtual machines, project exports and duplicate files.
- iPhone and iPad backups: older local backups that you have replaced or copied elsewhere.
- Mail: junk and deleted-mail folders, plus large attachments retained locally.
- Other user accounts: files belonging to accounts that are no longer needed.
Open a file before deleting it when its name or location is unclear. For work, school and creative projects, retain a verified copy on another disk or service before removing the local version.
Remember that Trash still uses disk space
Moving an item to Trash changes its location but does not reclaim the storage immediately. Review Trash, then choose Empty Trash when you are certain the contents are disposable. If a large file was deleted but the available-space figure did not change, this is the first place to check.
Move large libraries to another storage device
Apple recommends moving large files or media libraries to another storage device when the internal disk is too small. An external SSD can hold video libraries, photo archives, music libraries or completed projects while leaving active work on the MacBook.

Match the drive’s capacity and connector to your MacBook and the library’s requirements. Check whether the drive’s filesystem works with the application that will use it. Keep a separate backup: an external drive is an additional storage location, not automatically a backup. Eject it before unplugging, and do not keep the only copy of important files on a drive that travels with the computer.
Use Safe Mode only as a temporary measure
Apple says starting a Mac in Safe Mode can temporarily clear certain caches and may create enough room for a task such as installing an update. Caches are recreated as the system and apps run, so Safe Mode is not lasting storage expansion and should not replace removing unnecessary content.
If an update is blocked by a small shortfall, Safe Mode can provide breathing room. After the task succeeds, return to the Storage screen and make a durable change, such as removing old downloads or moving a library.
Choose between offloading, deleting, iCloud and an external drive
| Route | Useful when | Trade-off |
|---|---|---|
| Offload an iPad app | The app is rarely used but its documents and data should remain | You must reinstall it to use it again; behavior after reinstalling can vary by app |
| Delete an app or files | You have confirmed the content is disposable or backed up | Related app data or files may be lost |
| iCloud Photos with Optimize Storage | You want access to the photo library across devices and have enough iCloud capacity | Initial syncing takes time; originals require network access; the cloud plan has a finite allowance |
| External drive, especially for a MacBook | Large files or media can live outside the internal disk | You must carry and manage the drive, maintain backups, and use a compatible connector and capacity |
| Safe Mode on a Mac | A temporary shortage blocks a system task | Cleared caches return as needed, so the space gain is not durable |
Understand iCloud capacity before relying on it
iCloud storage is separate from the physical storage inside an iPad or MacBook. Apple includes 5 GB of iCloud storage at no charge with an account. That allowance is shared by services such as Photos, device backups and iCloud Drive, so a nearly full iCloud account can prevent synchronization even when the device has free space.

Apple states that when the iCloud storage limit is reached, you can buy more storage from an Apple device or make more iCloud storage available. Before upgrading, remove obsolete backups, large files or unwanted media only after confirming that doing so will not remove the only copy you need.
Handle “System Data” carefully on a Mac
Apple defines System Data as a general category for Apple and third-party files that do not fit a more specific storage category. It can include changing caches, logs and other support files. The label alone does not identify one folder that is safe to erase.
Do not delete arbitrary folders inside the system or library directories merely because they appear large, and do not assume that a cleaner utility is safe based only on the System Data label. First remove clearly identified personal files, downloads, old backups and media. If the category changes after a restart or normal use, that reflects the fact that some system and app files are recreated as needed.
Troubleshoot common storage-full situations
The storage number barely changes after deletion
- Confirm that the item was actually deleted rather than moved to Trash.
- Empty Trash after reviewing it.
- Allow the Storage view to recalculate; category totals may take time to update.
- Check whether the space was consumed by a different category than the files you removed.
An app is large but you cannot risk losing its projects
On iPad, prefer Offload App and retain the documents and data. If only Delete App is available, export or synchronize the projects and verify the copy on another device before deleting. On a Mac, use the app’s own library-management or export features rather than removing folders blindly.
Photos are filling the device and iCloud is also nearly full
Do not delete photos just to solve two storage warnings at once. First make a separate computer copy or other verified archive, then decide whether to reduce the iCloud library, increase cloud capacity or keep originals outside the device. Deleting while iCloud Photos is syncing can affect every synchronized device.
An update will not install because there is not enough room
Remove a clearly replaceable download or empty Mac Trash, then retry. On a Mac, Safe Mode may temporarily clear caches and provide room for the update. Afterward, perform a normal category review so the same shortage does not block the next task.
Quick Recap
Prevent the warning from returning
- Review iPad Storage or Mac Storage after major downloads, OS upgrades and media imports.
- Delete completed downloads instead of keeping offline copies indefinitely.
- Keep only current local device backups when older verified backups are no longer required.
- Store completed video, photo and project libraries on a backed-up external drive when the internal disk is limited.
- Check both device capacity and iCloud capacity; freeing one does not automatically free the other.
- Before deleting, identify whether the item is replaceable, synchronized or backed up, and where the recovery copy is located.
