If an invoice is missing or wrong in India’s GST Invoice Management System (IMS), first identify where the mismatch exists: your purchase register, the supplier’s filing, IMS, GSTR-2B, or an ERP-to-portal transmission. You cannot add a supplier’s missing invoice to, or edit supplier-uploaded details in, read-only GSTR-2B. The usual remedy is for the supplier to amend or report the document, followed by the correct IMS action and, when necessary, a recomputation of GSTR-2B before you file GSTR-3B.
Use the workflow below to correct the record without confusing portal data correction with the separate question of whether input tax credit (ITC) is legally claimable.
Start by locating the exact mismatch
Do not begin by accepting or rejecting an IMS record blindly. Build a four-way comparison using the supplier’s tax invoice, your purchase register or accounts-payable entry, the invoice shown in IMS, and the relevant GSTR-2B.

- Supplier GSTIN and your recipient GSTIN
- Invoice number, document type and invoice date
- Taxable value, tax rates and each tax amount
- Tax period, amendment indicators and place-of-supply details where relevant to your process
- Whether the document appears in IMS, in GSTR-2B, in both, or in neither
Save the original invoice and an export, screenshot or PDF of the portal record showing the discrepancy. A precise record makes it possible to tell the supplier or your accounting team exactly which field is absent or wrong. The GST Portal’s revised IMS advisory and its GSTR-2B user guide describe supplier-reported records as the source of the recipient’s portal statements; they do not give the recipient an editing function for supplier data.
#1 Best Overall
- Two-Part Carbonless Invoice Book: Each invoice book has 50 sets of invoices, each with a white/light yellow section, with the yellow section retained in the invoice book to maintain detailed records.
- Consecutively Numbered: Enlarged red 6-digit numbers in the upper right corner of each invoice receipt book help you quickly navigate through your orders.
- Wraparound Divider Flap: A thick folded cardboard divider is integrated into the back of each invoice book for use between each two-part sales order to prevent the written content from rubbing off on subsequent copies of the invoice, resulting in wasted invoices.
- 2 Packs/50 Sets (100 Sets Total): Each invoice book provides 50 sequentially numbered carbonless sets of 2 invoice books for long-term use.
- Customizable Space: Each invoice book for small business has space at the top to add a company seal or sticker.
Choose the right correction path
The fix depends on what your comparison shows. Use this decision table before taking an IMS action.
| What you find | Who must act | What you should do | Effect on GSTR-2B |
|---|---|---|---|
| Invoice exists in your books but is absent from IMS | Usually the supplier | Ask the supplier to file or amend the invoice in the applicable GST return or document channel. Keep the item in your reconciliation queue. | It cannot be inserted by the recipient; it appears only after the supplier’s report reaches the portal and the relevant cut-off is met. |
| Invoice is in IMS but a field differs from the tax invoice | Supplier for the source data; recipient for the IMS decision | Send the supplier the exact wrong and corrected values. Decide whether to accept, reject or keep pending based on the current record and your filing readiness. | The current statement follows the record and action available at generation; a later supplier amendment may appear in a subsequent statement. |
| Invoice belongs to another recipient or is not your purchase | Recipient, with supplier follow-up if needed | Reject the record and notify the supplier so its reporting can be corrected. | Rejected records are excluded from GSTR-2B. |
| Invoice is valid, verified and ready for the period | Recipient | Accept it in IMS. | Accepted records feed the ITC-available section of GSTR-2B. |
| Invoice needs review and the system permits pending | Recipient | Mark it pending and resolve the supplier or internal question later. | It is excluded from that month’s GSTR-2B but remains in IMS for later action. |
If the problem is between an enterprise resource planning system and the tax authority rather than between a supplier invoice and GST records, follow the separate SAP consistency-check path described below. Changing a recipient’s IMS action does not repair a failed electronic-document transmission.
When the supplier’s invoice is missing
Confirm that it is truly absent
Search IMS using the supplier GSTIN, invoice number and period, then compare the result with GSTR-2B and your purchase register. Check whether the supplier used a different invoice number format, reported a credit or debit note instead of the expected invoice, or filed it in another period. Retain evidence of the search and the purchase document.

The GST Portal’s revised advisory characterizes IMS as a facilitation for resolving invoice corrections or amendments with suppliers. It does not turn IMS into a buyer-side data-entry screen. If the supplier has not reported the invoice, only the supplier’s compliant filing can create the source record.
Do not claim the missing item merely because you paid
A purchase-register line, payment proof or supplier promise does not populate GSTR-2B. Keep the transaction under review and apply your organization’s ITC controls while waiting for the supplier’s report. Whether credit is ultimately available requires checking the transaction and the applicable law and return period; portal visibility alone is not a complete eligibility test.
When the invoice is visible but incorrect
Ask for a supplier amendment
Do not overwrite your books to match an obvious supplier error without documenting why. Ask the supplier to amend the reported record and provide the corrected invoice or other valid document. Keep the original and amended versions linked in your accounting records so an auditor can see what changed.
Decide what to do with the current IMS record
Use the facts, not the expectation of a future amendment:

- QUALITY INVOICES: Adams Order books provide a professional invoice or customer receipt; a great way to create and maintain a professional image for small businesses and service providers
- 50 TWO-PART CARBONLESS FORMS: Customers get the perforated white top copy; retain the canary and pink copies for your records
- WRAP-AROUND COVER: Fold the back cover between sets to keep invoices neat and legible
- ROOM FOR CUSTOMIZATION: A blank space at top leaves room for your company stamp; a big savings over custom-printed forms
- CONSECUTIVELY NUMBERED: Large 6-digit numbers in the upper right hand corner help you thumb through orders quickly
- Accept: Use when the record is verified as yours, the values are appropriate for the period, and your controls permit recognition of the associated ITC.
- Reject: Use when the record does not belong to you, is duplicated, or is otherwise not a transaction you should receive. Tell the supplier so it can correct its reporting.
- Pending: Use when you need later clarification or the transaction is not ready for the current period, but only if pending is available for that document and amendment situation.
Pending is not a universal holding button. The GST Portal’s IMS FAQ lists document types and amendment circumstances for which pending is unavailable. If the option is missing, follow the available action and document the reason in your reconciliation log rather than attempting to force a pending status.
What each IMS action does to GSTR-2B
| IMS state or action | Practical meaning | Statement consequence |
|---|---|---|
| Accepted | You have verified the supplier record and are treating it as appropriate for your process and period. | Included in the ITC-available section of GSTR-2B. |
| Rejected | The document is not yours, is invalid for your records, or should not be received. | Not considered for GSTR-2B. |
| Pending | Further review or a later period is needed and pending is allowed for that record. | Excluded from the current month’s GSTR-2B and retained in IMS for later action. |
| No action | You leave the record untouched before statement generation. | Deemed accepted when GSTR-2B is generated, subject to the portal’s rules. |
“Accepted” describes the portal treatment of the record; it is not a legal certificate that every ITC condition has been met. Perform your normal checks for receipt of goods or services, tax documentation, business use, blocked credits, time limits and other conditions that apply to your taxpayer and period.
Timing: statement generation, recomputation and the GSTR-3B boundary
Act before filing the month’s GSTR-3B
The revised GST Portal advisory says a recipient can take IMS action after draft GSTR-2B generation and until GSTR-3B is filed for that month. Once that month’s GSTR-3B has been filed, IMS action for the month is no longer available. Treat the GSTR-3B filing event as a hard operational cut-off in your close calendar.

Allow for supplier filing cut-offs
A supplier amendment does not necessarily appear in the statement you are currently viewing. The applicable filing cut-off determines which GSTR-2B includes the change. After the supplier confirms its correction, check IMS and then the next applicable GSTR-2B rather than assuming the current statement will change immediately.
A practical end-to-end procedure
- Freeze the evidence. Save the tax invoice, purchase-register line, IMS view and GSTR-2B version that exposed the discrepancy.
- Classify the source. Mark the issue as an internal-book error, supplier filing error, recipient mismatch, portal timing issue or ERP-to-authority synchronization issue.
- Reconcile the fields. Compare both GSTINs, invoice number and date, document type, taxable value, tax amounts and period.
- Contact the supplier when its filing is the cause. Specify every incorrect or missing value and ask for confirmation of the amendment or filing.
- Take the appropriate IMS action. Accept a verified record, reject a record that is not yours, or use pending only where the portal allows it and review is genuinely unfinished.
- Recompute when required. If the action was taken after the 14th and before GSTR-3B filing, recompute GSTR-2B.
- Recheck the statement. Confirm that accepted, rejected and pending records appear in the expected GSTR-2B sections or are excluded as specified.
- Apply the ITC control separately. Decide claimability only after the transaction-level eligibility review, not from the IMS status alone.
- Close the evidence trail. Store supplier correspondence, amended documents, action dates, recomputation details and the final return workpapers.
Troubleshooting common outcomes
The supplier says it filed, but the invoice is still absent
Ask for the filing period, document type and acknowledgement details, then search IMS and GSTR-2B again using the exact reported values. Check whether the supplier corrected the recipient GSTIN or invoice number in a way that changed the search result. If the relevant filing cut-off has not passed, wait for the applicable statement; if it has passed and the record remains absent, escalate the discrepancy to the supplier’s GST compliance team and retain your evidence.
The invoice appears twice
Compare invoice numbers, dates, document types and amendment references. If one record is not your transaction or is a duplicate, reject the incorrect record and notify the supplier. Do not accept both merely because both are visible; reconcile the underlying purchase and tax amounts first.

Pending is restricted for some document types and amendment situations under the IMS rules. Use the action the portal provides, document why you did so, and resolve the supplier issue through an amendment or subsequent reconciliation rather than treating the missing button as a technical failure.

GSTR-2B did not change after an IMS action
Check whether the action occurred after statement generation, whether recomputation was required, and whether the month’s GSTR-3B has already been filed. Also verify that the supplier’s change met the relevant filing cut-off. After the filing boundary, you cannot take that month’s IMS action; follow the next-period reconciliation and your tax adviser’s correction process.
If “IMS” means SAP India consistency checks
Some organizations use IMS to refer to an SAP India consistency-check process rather than the GST Portal’s Invoice Management System. SAP’s “Consistency Checks for India” documentation for SAP S/4HANA 2025 FPS01 (February 2026) describes checks across an SAP source document, the electronic document and the tax authority’s representation.
Investigate three separate representations
- Does the SAP source document exist and contain the expected values?
- Was the electronic invoice or document created and transmitted?
- Does the tax authority’s record exist, and do its status and content match SAP?
SAP consistency checks analyze mismatches in existence, status and content and can suggest resolutions. The exact correction depends on the detected cause and your system configuration. A missing authority-side document may require transmission or status remediation, while a content mismatch may require correcting the source document and following the configured electronic-document process. An IMS accept or reject decision in the GST Portal cannot repair an SAP transmission failure.

Keep correction and ITC eligibility as two controls
Use one control to make the data accurate and another to decide whether credit can be claimed. A supplier’s amendment can fix an invoice number or tax amount, but it does not automatically establish that the purchase satisfies every ITC requirement. Conversely, a transaction may be commercially valid while the supplier’s portal record is still missing, leaving you without an editable GSTR-2B entry. Your return workpapers should therefore show both the portal reconciliation result and the independent eligibility conclusion.
Version and timing caveat
The workflow above reflects GST Portal advisories and FAQs available as of 13 October 2026, including the revised IMS advisory, the “FAQs: Viewing Form GSTR-2B” guide and the IMS FAQ dated 22 September 2024. Portal labels, return schedules, document exceptions and tax rules can change. Before acting for a particular tax period, verify the active GST Portal guidance and your organization’s professional tax advice.
