When an AI notetaker misses a speaker or mishears a sentence, do not reconstruct the conversation from memory. Open the original recording, replay the exact passage, correct the transcript in the service’s editor, repair every affected speaker label, and then recheck any summary, decision, name, date, or action item generated from that passage. Confirm that you have editing rights and that the corrected version has the right sharing permissions before sending it to anyone.
Use this correction order
Transcript errors are easiest to fix when you work from the source outward. A changed word can alter the meaning of a decision; a changed speaker can reverse who made a commitment. Follow this order for each disputed section:
- Open the recording or source audio. Use the transcript timestamp or the player controls to reach the exact moment.
- Listen to the surrounding context. Play enough audio to identify interruptions, names, numbers, and where the speaker turn starts and ends.
- Correct the words and punctuation. Save the edit before moving to another passage.
- Correct the speaker label. Check every affected turn, not just the sentence that contains the error.
- Recheck derived notes. Verify summaries, decisions, names, dates, and action items that used the changed passage.
- Review access settings. Make sure the people receiving the transcript can view the corrected version and that only authorized people can edit or download it.
Keep a record of material corrections in the meeting’s working notes when the transcript is used for compliance, customer commitments, project approvals, or personnel decisions. The transcript remains an AI-generated aid, not an independent record of what happened.

Use timestamps instead of memory
Search for a distinctive word, jump to the timestamp, and play at normal speed first. If the audio is difficult, slow playback and listen to the sentence before and after the disputed text. Names, acronyms, negations such as “not,” and numbers deserve special attention because a single misheard word can change the decision.

Check the recording’s completeness
Make sure you are listening to the same meeting segment represented by the transcript. A recording can begin late, stop early, or contain a period in which a participant’s microphone was muted. If the words are absent from the audio, mark the transcript as uncertain rather than inventing a reconstruction.
Separate a word error from a speaker error
Ask two separate questions: “Are these the right words?” and “Did the right person say them?” Correcting text without correcting attribution can leave a more serious error in the record. Likewise, changing a speaker name will not repair a sentence that was transcribed incorrectly.
Edit a transcript in Microsoft Teams
In Teams, the meeting organizer can open the recording in the Microsoft 365 player from OneDrive or SharePoint, select the transcript, edit the passage, and select Done. The exact controls available to you can vary with your organization’s administrator policies.
- Open the meeting recording in its OneDrive or SharePoint location.
- Open the recording in the Microsoft 365 player and select the transcript panel.
- Locate the incorrect passage using its timestamp or transcript search.
- Edit the words, punctuation, or paragraph break so the text matches the audio.
- Select Done to save the change.
- Play the edited passage again and inspect the speaker name attached to that turn.
Teams transcript permissions are managed separately from simply possessing a recording link. Organizers can control who may view, edit, or download a transcript, while some choices are restricted by IT policy. Transcripts are stored with recordings in OneDrive and SharePoint, so check access in the location where the file is stored before distributing it.
Edit a transcript in Otter
Otter’s documented post-processing workflow lets a collaborator edit words, punctuation, paragraph breaks, and speaker assignments from the Transcript tab. Editing requires collaborator permission.

- Open the conversation and select the Transcript tab.
- Click the incorrect text and replace it with what the recording says.
- Adjust punctuation or paragraph breaks if they change the meaning or readability.
- Change the speaker assignment for the affected turn.
- Select Done to save.
- Wait for Otter’s audio realignment process to finish before making another edit.
The documented workflow applies after processing; it does not provide live transcript editing while the conversation is still being captured. If you make several changes, save one group, wait for audio realignment, and then continue. Rapidly starting additional edits before realignment completes can make it harder to tell which text is current.
Repair speaker labels systematically
Inspect every affected turn
Speaker attribution is independent of word recognition. Once you identify a mislabeled turn, inspect the immediately preceding and following turns and any other passages from the same exchange. A diarization error often spans several turns, especially when people interrupt one another or sit close to the same microphone.

In Otter, participant names from a connected video-conferencing platform can be matched to speaker turns. Unmatched turns may remain as unknown or appear as generic labels such as Speaker 1 and Speaker 2. For ad-hoc recordings or uploaded audio, automatic participant labels may not be available, so generic labels can be expected even when the words are accurate.
Use grouped changes carefully
Tagging a speaker can update grouped labels, but a wrongly tagged paragraph elsewhere may still need a separate correction. After applying a name, search for every occurrence of the old generic label and listen to each one. Do not assume that a global-looking change corrected every turn.
Handle in-room meetings with caution
In Teams Rooms, configured voice profiles can support in-room identification. Without speaker recognition, the room itself may be attributed in AI notes. Participants can identify themselves in a transcript, and a misrecognized person can be marked as misrecognized. Availability depends on configuration and organizational policy, so verify identity against the recording whenever attribution affects a commitment or decision.

Recheck summaries, decisions, and action items
Generated notes are downstream from the transcript. Any correction to a source passage can invalidate a fluent-looking summary. Reopen the summary or notes and verify each item that depends on the changed section.

- Names and roles: Confirm spelling and who made the statement.
- Dates and times: Check calendar dates, deadlines, time zones, and recurring schedules against the audio.
- Numbers: Recheck prices, quantities, percentages, versions, and account or ticket identifiers digit by digit.
- Decisions: Confirm whether the group approved, rejected, deferred, or merely discussed an option.
- Action items: Verify the task owner, exact deliverable, deadline, and any dependencies.
- Qualifiers: Preserve words such as “tentative,” “unless,” “subject to approval,” and “not for distribution.”
If the correction changes a customer promise, safety instruction, legal position, financial figure, or personnel record, notify the people who received the earlier version and replace or clearly supersede it. A polished AI summary is not evidence that its source was correct.
Check permissions before sharing the corrected transcript
Confirm you can edit
If an edit control is missing, you may be a viewer rather than an organizer or collaborator. In Teams, ask the meeting organizer or an administrator to make the correction or grant the required permission. In Otter, a collaborator role is required for transcript editing.
Confirm who can view, edit, and download
Use separate checks for viewing, editing, and downloading. Someone who can view a transcript may not be allowed to alter it, and someone with a recording link may not automatically have access to the transcript stored beside it. Review the specific sharing panel in OneDrive or SharePoint for Teams recordings, and the conversation’s collaborator settings in Otter.
Share the corrected version, not an old export
PDFs, copied text, email attachments, and exported documents do not update when the online transcript changes. Replace outdated attachments or label them as superseded. If multiple versions must remain for audit purposes, record the correction date and identify which version is authoritative.

Why AI notetakers miss speakers
Word recognition and speaker attribution use different signals. A transcript can contain the right sentence under the wrong name, or the right speaker can be identified while several words are wrong. Common conditions that increase review needs include overlapping speech, interruptions, distant microphones, room echo, background noise, muted participants, and people who sound similar.
Participant matching also depends on how the meeting was captured. A connected conferencing session may provide participant names that an uploaded audio file does not. When the system cannot match a voice confidently, it may use a generic label or identify the room rather than a person. These behaviors explain why a transcript should be checked against the recording whenever identity changes the meaning of a statement.
Compare correction capabilities before choosing a tool
When evaluating an AI notetaker, ask how it behaves after an error rather than relying only on its capture features. The following comparison reflects documented workflows, not a comparative accuracy test.

Also ask whether the service retains accessible source audio, whether corrections apply only to one passage or to grouped turns, and whether a speaker correction affects future conversations. Feature availability can change with product configuration and administrator policy.
Troubleshoot common correction problems
The recording does not contain the disputed words
Check whether the recording started late, stopped early, or captured a muted microphone. Mark the passage as unavailable or uncertain; do not fill the gap with a plausible sentence.

The text reverts after editing
Make sure you used the editor’s save control, such as Done, and wait for any processing or realignment to complete. Reopen the passage to confirm that the saved version is displayed.
A speaker name changed in one place but not another
Search for the generic label and review each paragraph. Grouped tagging does not guarantee that every previously misassigned turn was corrected.
You can read but not edit
Request organizer or collaborator access, or send the timestamped correction to someone who has it. Do not create a parallel transcript that could be mistaken for the shared source.
The summary still contains the old mistake
Edit or regenerate the derived notes only after the transcript is correct, then compare every affected item with the audio. If the summary cannot be edited, distribute a correction note that identifies the changed decision or action.
A repeatable quality-control checklist
- Original recording opened and the disputed timestamp replayed.
- Words, punctuation, and paragraph boundaries corrected.
- Speaker label checked on every affected turn.
- Names, dates, numbers, decisions, and action owners verified.
- Summary and action items compared with the corrected transcript.
- Edit permissions confirmed for the person making the change.
- View, edit, and download permissions checked before sharing.
- Old exports or attachments replaced or marked superseded.
Use the checklist whenever the transcript will be relied on by people who were not in the meeting. For routine internal notes, you can apply a lighter review, but identity-sensitive or high-consequence passages still warrant an audio check.
