First, establish exactly what happened: your bond order may be fully executed, partially filled, still open, expired, or canceled. Do not submit a replacement order until the brokerage confirms the original order’s status and any cancellation. Then reconcile the order instruction, confirmation, and account activity; ask the firm for an order-specific explanation; and use TRACE or the appropriate municipal-bond data service as context rather than as conclusive proof that an execution was unfair.
A disappointing price alone does not establish misconduct or guarantee compensation. The practical objective is to create a precise record of the order, understand how the fill was produced, and escalate a documented discrepancy through the firm’s complaint process if the explanation does not reconcile the records.
Start by finding the order’s exact status
Open the brokerage’s order or trade-status screen and record the current status before taking any other action. The labels vary by firm, but you need to distinguish among these outcomes:
- Fully executed: the entire requested quantity traded.
- Partially filled: only part of the quantity traded and the remainder may still be working, may have expired, or may have been canceled.
- Open or working: the order remains active and has not filled completely.
- Expired: the order’s permitted lifetime ended without a complete execution.
- Canceled: the firm accepted a cancellation, but you should verify that the original order is no longer executable.
If the screen is unclear, contact the broker’s fixed-income or trade-support desk immediately. Ask the representative to state the status of the original order, the executed quantity, the remaining quantity, and the time at which any expiration or cancellation became effective.

Do not rely on a cancellation receipt alone
Investor.gov warns that investors can mistakenly assume an order did not execute and then place a duplicate order. Its general order guidance is written for stocks, so treat it as an operational caution rather than a bond-specific trading rule. A cancellation acknowledgment does not by itself prove that the original order was canceled before it filled. Obtain confirmation of the effective cancellation status before entering a replacement order, and save the message, ticket number, or call reference.
Reconcile the instruction, confirmation, and account activity
Once you know the status, compare three records: the order you submitted, the firm’s trade confirmation, and the transaction shown in your account activity or statement. A confirmation normally identifies the transaction date, price, and quantity. Depending on the security, it can also show execution time and whether the firm acted as your agent or as principal.

Understand principal-versus-agent disclosure
For retail customers’ municipal, corporate, or agency debt transactions, FINRA says a firm generally must separately disclose a markup or markdown when it acted as principal and traded the same security with a third party on the same day. Review the confirmation for that disclosure and ask how the amount was calculated. The exact disclosure and rules can depend on the security and transaction circumstances, so do not assume that every bond trade has the same fee treatment.

Ask what “yield” means on your confirmation
Yield can be described in different ways, particularly for bonds with call features or other redemption terms. FINRA’s Bond Facts guidance suggests asking, “What is the yield for this bond and what type of yield is it?” If the confirmation or order ticket uses a yield field you do not recognize, ask the firm to define it and identify the assumptions used.
Give the brokerage a specific, written question set
Contact the firm promptly, preferably through a channel that creates a durable record. Include enough detail that the representative can investigate the actual order rather than offer a general explanation. Provide:
- the bond identifier, such as the nine-digit CUSIP if you have it;
- whether you were buying or selling;
- the requested quantity and any quantity that filled;
- the date and time you entered the order, including time zone if relevant;
- the order instructions and any price or yield terms you entered;
- the order number and confirmation number; and
- screenshots or copies of the status, confirmation, and account activity.

- What is the final status, and what happened to any unfilled quantity?
- If the order expired or was canceled, when did that occur and what was the effective time?
- What execution price and yield were obtained, and how were they determined?
- Did the firm act as agent or principal?
- What commission, markup, markdown, or other charge was applied, and how was it calculated?
- Which market or liquidity conditions affected the result, if the firm says conditions were relevant?
These questions are a practical way to compare the firm’s explanation with the fields that FINRA says appear on confirmations. They do not imply that the firm must use a particular response format or that a poor result automatically entitles you to a refund.
Why a bond order may have no fill
A no-fill result can have several explanations, and the order record is needed to identify the one that applies. A limit instruction can constrain the price or yield at which you are willing to trade, so a matching counterparty may not appear before the order expires. Other possibilities include a limited market for that specific issue, a quantity that is difficult to match, an order duration that ended, a cancellation that took effect, or a status change that has not yet propagated to the screen you are viewing.
Do not transfer stock-order mechanics to bonds without qualification. Investor.gov’s “Types of Orders” page is stock-focused and describes the general trade-off that a limit order controls price but may not execute, while a market order prioritizes execution without guaranteeing price. That is useful background for terminology, not a complete statement of how every bond order is handled. Ask your brokerage how the particular bond, order type, and duration were processed.

Use TRACE as a comparison point, not a verdict
FINRA’s TRACE service collects and disseminates execution time, price, yield, and sales volume for eligible fixed-income securities. FINRA says access to real-time trade data can help investors gauge the quality of an order execution received from a broker-dealer. Look for trades in the same bond near your order time and compare the features that can materially change the result.

Know TRACE’s coverage and timing limits
TRACE does not cover every bond or every element of an individual order. FINRA says U.S. Treasury transactions are reported to TRACE but are not currently publicly available through the service. For corporate and agency bonds, FINRA-regulated firms must report eligible transactions within 15 minutes; FINRA reported that more than 80 percent of those transactions were available within five minutes in practice in 2023. Those are system-level figures, not a guarantee that your transaction or a particular comparison will appear on that schedule.
FINRA also cautions that public TRACE data should not be the sole basis for an investment or other financial decision. A nearby trade can differ in size, timing, liquidity, or negotiated terms. Use the observation to frame a question for the broker, not to declare that the execution was improper.

Find the right bond-data lookup
FINRA’s Bond Facts guidance describes a lookup route for corporate and agency bonds. A confirmation may include a Bond Facts link, and a nine-digit CUSIP can be used to search for information about the issue. For municipal bonds, FINRA says a CUSIP search redirects to the Municipal Securities Rulemaking Board’s EMMA resource.
Use the lookup to verify that you are examining the correct issue and to understand available trade information. It does not replace your firm’s order record, which is the only place that can show the instructions you submitted, the order lifetime, and the firm’s capacity on your transaction.
Escalate a discrepancy in an organized way
If the first response does not reconcile the records, send a concise written follow-up. State the specific mismatch, attach the relevant confirmation and account entry, and list the question that remains unanswered. Keep a timeline containing:

- the original order ticket and all amendments;
- status messages and cancellation or expiration notices;
- the confirmation and account statement entry;
- names, dates, and reference numbers for calls or chats;
- the TRACE observations you discussed, including CUSIP, time, price, yield, and volume; and
- the firm’s written explanation and any proposed correction.
FINRA’s confirmation guidance says investors can file a complaint online if the issue remains unresolved after contacting the firm. Follow the brokerage’s internal complaint route first when available, then submit the documented chronology and supporting records through FINRA’s complaint process. The existence of a complaint route does not guarantee a particular remedy, price adjustment, or compensation.
Common mistakes to avoid
- Placing a duplicate order: verify that the first order is canceled or otherwise inactive before replacing it.
- Comparing the wrong security: match the CUSIP, not just the issuer name.
- Ignoring partial fills: check whether a remainder is still open or has a different expiration status.
- Looking only at price: inspect quantity, yield basis, timing, capacity, and disclosed compensation.
- Treating one TRACE print as proof: assess several genuinely comparable trades and discuss differences with the firm.
- Assuming a poor price proves a violation: the applicable standard can depend on the bond category, order type, account agreement, and jurisdiction.
- Failing to preserve records: screenshots and written responses become harder to obtain after a status screen changes.
A compact checklist for your next call
- Write down the CUSIP, side, quantity, order time, order terms, order number, and confirmation number.
- Record whether the order is open, partially filled, fully executed, expired, or canceled.
- Confirm that any cancellation actually took effect and identify the effective time.
- Match the confirmation with the order and account activity.
- Check price, quantity, execution time, yield type, agent-or-principal capacity, and fees or markup/markdown disclosure.
- Review comparable TRACE data when the security is eligible and public data is available.
- Send the brokerage a written list of the unresolved questions.
- Escalate through the firm and, if necessary, FINRA with the complete record.
This process gives you a defensible account of what happened without assuming that a no-fill or disappointing fill has a single cause. It also separates an execution-quality question from a status error, an undisclosed charge, or a misunderstanding about the bond and its yield.
