Tell the employee to stop communicating with the suspected attacker, report the incident through the organization’s approved incident-response channel, and preserve the evidence. Security responders should then contain any exposed accounts, determine exactly what was sent and what the recipient accessed, and involve privacy and legal leads before anyone makes notification or public statements. Fast reporting is more valuable than assigning blame: it gives the organization a chance to revoke access, capture logs, and limit further harm.
The first 15 minutes: stop the interaction and raise the alarm
Use the organization’s incident-response process even when the employee is uncertain whether the recipient was malicious. A suspected disclosure is enough to start triage. NIST’s Phishing guidance, updated August 19, 2025, advises people not to engage with a phishing sender and to notify the appropriate contacts under the organization’s incident-response plan. The same principle applies when the information was sent by phone, text, social media, a collaboration platform, or a file-sharing service.
- End the conversation. Do not answer more questions, click additional links, open new attachments, send a “correction,” or negotiate. Do not use a phone number, reply address, or login page supplied by the suspected attacker to report the incident.
- Report through a trusted route. Use the security hotline, incident mailbox, ticketing workflow, or emergency number defined by the organization. If the normal channel may be compromised, use a separately published internal contact or speak directly with the security lead.
- State that sensitive information may have been disclosed. The employee does not need to prove an attack before escalating. Include the channel used and whether credentials, authentication codes, financial details, personal information, confidential business data, or files were involved.
- Follow security’s instructions before making changes. Security staff may need to capture volatile evidence or preserve logs before routine cleanup. Do not wipe a device, delete the conversation, uninstall software, or reset a system unless responders direct that action.
If a credential, password, session token, or one-time authentication code was sent, tell the security team immediately. The priority is to protect the account through a trusted administrative route, not to wait for proof that the attacker used it.

Preserve an accurate record without spreading the material
Investigators need a reliable account of what happened. Record the facts in the approved secure channel rather than forwarding sensitive content to a large mailing list or copying people who do not need it.

Information to capture
- The date and time of each exchange, including the employee’s time zone if relevant.
- The communication channel: email, voice call, SMS, social media, chat, collaboration application, web form, or file-sharing service.
- The sender’s displayed name and actual address, phone number, account handle, domain, or other identifier.
- Exactly what was sent, using a description or classification level when reproducing the content would create additional exposure.
- Whether passwords, usernames, authentication codes, recovery links, API keys, payment information, personal data, customer records, source code, internal documents, or photographs were included.
- Links, attachment names, file types, sharing permissions, and the destination account or URL as they appeared at the time.
- Actions taken afterward, such as opening a link, entering credentials, approving a sign-in prompt, downloading a file, installing software, or replying again.
- The devices, accounts, applications, and networks used during the exchange.
Keep the original message, headers, call details, screenshots, and relevant files available to responders when policy permits. Preserve them in the format the organization specifies. CISA’s StopRansomware Guide emphasizes preserving volatile evidence, including system memory and logs, where applicable; responders should decide what must be collected before a device is restarted or altered.
Contain access based on what was disclosed
Containment should be quick but controlled. The incident-response team normally owns technical access changes, while the employee supplies facts and follows instructions. Use an administrative console or support route that the attacker did not provide.

| One-time code, push approval, recovery code, or session token | Revoke the token or session, rotate recovery material, and require a fresh authentication step through a trusted device. | Look for sign-ins or account changes immediately before and after the disclosure. |
| Email or collaboration account access | Reset credentials, revoke sessions, and review forwarding rules, delegates, OAuth grants, and sharing permissions. | Check sent items, deleted items, mailbox rules, downloads, and unusual external shares. |
| Cloud, server, API, or administrator secret | Disable the secret, rotate keys, review privileges, and isolate affected workloads when necessary. | Inspect audit logs for command execution, configuration changes, data reads, and exports. |
| Financial account details | Contact the financial institution promptly through a verified number and follow its fraud or account-compromise process. | Review transfers, payee changes, payment instructions, and pending transactions. |

NIST’s data-confidentiality scenario in SP 1800-29 demonstrates rapidly disabling compromised privileges and using logs to establish which sensitive data was accessed. NIST’s phishing guidance also recommends changing affected passwords. A password reset alone is not proof that the incident is contained: an attacker may already have created a session, rule, token, or secondary account.
Do these 3 things before closing this tab:
1Fix the driver behind crashes, sound loss and screen glitches2Clear out junk files and repair common Windows errors3Scan for outdated or missing drivers - takes under a minuteDetermine whether the attacker used the information
The central investigative question is whether the event stopped at information voluntarily sent by the employee or whether the recipient used that information to enter an account, change settings, or obtain more data. NIST SP 1800-29, finalized February 23, 2024, describes monitoring, logging, and reporting as ways to identify accessed data and support impact decisions.

Review identity and account activity
- Compare successful and failed sign-ins with the employee’s normal locations, devices, and times.
- Look for new devices, unfamiliar sessions, password resets, multifactor changes, recovery-address changes, and newly authorized applications.
- Check mailbox forwarding rules, delegates, sent and deleted messages, and unusual searches.
- Review file-sharing permissions, external collaborators, downloads, bulk exports, and links created after the disclosure.
Review system and cloud logs
- Examine endpoint, network, identity-provider, cloud, application, and administrative audit logs appropriate to the environment.
- Identify files or records that were viewed, changed, copied, downloaded, or exfiltrated.
- Check for configuration changes, newly created accounts, altered payment instructions, and unexpected commands or processes.
- Preserve the relevant time range and logs in a form that investigators can correlate and retain.
Build a scope statement
Document what is established, what is still unknown, and the evidence supporting each conclusion. The scope should identify affected accounts, devices, systems, data categories, business processes, and people or organizations. Distinguish between data that was sent directly, data that was merely reachable, and data for which logs show access or transfer. This distinction affects containment, recovery, and any later notification decision.
Route personal-data and financial exposure to the right leads
When customer, employee, supplier, patient, student, or other personal information may be involved, notify the organization’s privacy and legal functions through the incident process. Include the data categories, affected jurisdictions if known, the date range, and what the investigation has confirmed. Do not decide by yourself that an event is “too small” to matter.

There is no single notification rule for every organization, data type, or jurisdiction. Requirements depend on the facts established by the investigation and on applicable law or contractual obligations. NIST’s phishing guidance recommends considering notification when another person’s personal data may have been compromised and points readers toward state attorney general resources. NIST SP 1800-29 connects the data accessed with decisions about liability and which parties may need notification. Privacy and legal leads should determine whether regulators, customers, employees, suppliers, insurers, law enforcement, or other parties must be contacted, and when.

Recovery and follow-through
NIST SP 800-61 Rev. 3, finalized April 3, 2025, supersedes Rev. 2 and treats incident response and recovery as part of cybersecurity risk management. After immediate containment and scoping, the organization should restore trustworthy operations and address the weakness that allowed the disclosure.
Recovery tasks
- Confirm that exposed credentials, tokens, keys, and sessions have been revoked or rotated.
- Remove unauthorized mailbox rules, delegates, applications, accounts, files, and sharing permissions.
- Restore systems or data from known-good sources when responders determine that changes or malware affected them.
- Increase monitoring for the affected identities, systems, and data during the period defined by the incident team.
- Validate that business processes such as payments, payroll, customer support, and file exchange are using trusted instructions.
After-action improvements
- Record the timeline, decisions, evidence, containment actions, and unresolved uncertainties.
- Identify whether training, access privileges, approval procedures, multifactor protection, logging, or vendor controls need improvement.
- Update the incident-response plan with the channel, escalation path, and decision points that proved difficult to find.
- Give the employee factual support and coaching. Treat prompt reporting as a protective behavior; blame can delay the next report.
What the employee should and should not do
Do
- Report immediately, even if only a small part of a message or file was disclosed.
- Describe the event plainly and provide the original details through the approved channel.
- Follow instructions for account protection, device isolation, and evidence collection.
- Tell responders about every action taken after the disclosure, including opening links or approving prompts.
Do not
- Continue the conversation to test the attacker or demand deletion.
- Delete messages, wipe devices, reinstall software, or alter logs before responders advise you.
- Forward sensitive material broadly “so everyone knows.”
- Use contact information in the suspicious message to reset an account or report the incident.
- Make public statements, contact customers, or promise that no information was accessed unless authorized to do so.
A practical handoff checklist for managers and responders
Use this checklist when opening the incident record:
- Who reported the event, and how can responders reach them safely?
- What was disclosed, to whom, through which channel, and at what time?
- Were credentials, codes, tokens, financial details, personal data, or privileged files involved?
- Which accounts, devices, applications, networks, and systems were used?
- What links were clicked, files opened, approvals made, or credentials entered afterward?
- Which containment actions are complete, which are pending, and who authorized them?
- What logs, messages, memory, screenshots, files, and other evidence are preserved?
- What data was accessed, changed, copied, or transferred according to current evidence?
- Which privacy, legal, financial, communications, insurance, or law-enforcement contacts are required under the organization’s plan?
- What remains unknown, and when will the next investigative update occur?
The safest sequence is consistent: stop further interaction, report through a trusted channel, preserve evidence, contain exposed access, establish scope from logs and other records, and let the designated privacy, legal, communications, and incident-response leads decide recovery and notification.
