Stop using the affected PC as much as you can. Check the Windows Recycle Bin, the OneDrive web recycle bin (if the files were synchronized), and File History or another backup before attempting undelete software. If the files were on a local drive and no backup can restore them, Microsoft’s Windows File Recovery can attempt recovery. Always save recovered data to a different physical drive; recovery is not guaranteed.

Deleted space is marked as available for reuse. Normal activity—downloads, updates, browsing, or even creating new documents—can overwrite the data that recovery would need. Microsoft’s guidance is direct: “If you want to increase your chances of recovering a file, minimize or avoid using your computer.”

First, protect the deleted data

  1. Stop writing to the affected drive. If possible, shut down the PC after recording what happened and use another computer to read instructions or download tools. Do not install Windows File Recovery, updates, or other software on the drive containing the missing files.
  2. Do not save recovered files to the source drive. The destination must be a different drive. If the computer has only one internal drive, connect a USB or external drive with enough free space for the recovered files.
  3. Write down the details. Note the cleanup command or setting, the original folder, approximate file names and extensions, and when the deletion occurred. Those details determine which restore path and Windows File Recovery mode make sense.

These precautions reduce the chance of overwriting, but they cannot reverse an overwrite that has already happened. There is no reliable recovery-percentage figure for a particular Windows cleanup event.

Choose the recovery route based on where the files lived

Where the files were stored Try first If that fails Important limitation
Local internal drive Recycle Bin, then File History or another backup Windows File Recovery Source and destination must be different drives; overwritten data may be unrecoverable.
External or USB drive That drive’s Recycle Bin or backup, if available Windows File Recovery in the appropriate mode The drive must remain connected and healthy; recover output elsewhere.
OneDrive-synchronized files OneDrive web recycle bin File History or an organization’s backup, if configured Windows File Recovery does not recover cloud storage.
Network share The share’s snapshots, backup, or administrator restore process Not Windows File Recovery Windows File Recovery does not support network file shares.

Start with reversible restore options. Move to file recovery only when the files were on supported local storage and no intact copy exists.

Check the Windows Recycle Bin

Restore files still listed there

  1. Open Recycle Bin from the desktop or Start search.
  2. Sort by Original Location, Date Deleted, or Item Type to find the affected files.
  3. Select the files, right-click, and choose Restore. Windows returns each item to its original folder.

If the files are present, copy them to a safe, separate drive before continuing cleanup work. Do not choose Empty Recycle Bin while you are still investigating.

Why files may not be there

Some cleanup operations remove Recycle Bin contents permanently. A cloud-only OneDrive item may also never have appeared in the local Recycle Bin. In either case, continue with the corresponding web or backup check rather than repeatedly searching the local bin.

Check OneDrive on the web

For files stored in OneDrive, sign in to OneDrive in a web browser and open Recycle bin. This is separate from the Windows Recycle Bin and is especially important for files that were online-only on the PC.

Retention periods

Microsoft’s current support guidance lists a 30-day recycle-bin period for personal OneDrive accounts and 93 days for work or school accounts, unless an administrator has changed the retention setting. These are account rules, not guarantees that every item will remain available for the entire period. Items permanently deleted from the OneDrive recycle bin cannot be restored from that bin.

Restore without creating a local overwrite

  1. Select the deleted files in the web recycle bin.
  2. Choose Restore and wait for synchronization to complete.
  3. Verify the restored files open correctly before deleting any duplicate or placeholder copies on the PC.

If the account belongs to an employer or school and the item is absent, contact the administrator promptly; retention and additional backup policies may differ from the standard period.

Restore an earlier copy with File History

File History can restore a previous version only if it was enabled and had captured the files before deletion. It is useful when cleanup removed the current copy but an earlier snapshot remains.

Open the previous-version view

  1. Open File Explorer and browse to the folder that formerly contained the files.
  2. Right-click the folder and select Restore previous versions.
  3. Review the available dates and open a version to confirm it contains the needed files.
  4. Use Restore to replace the current folder, or choose Restore to another location to preserve what is currently there.

Microsoft warns that a direct replacement cannot be undone. Restoring to another location is the safer choice when you are uncertain which version is complete or when the folder now contains newer work.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

If no versions appear

No entries usually means File History was not enabled, the backup drive was unavailable when the snapshot should have been made, or the files were outside the folders being protected. Do not enable File History now and expect it to recreate an earlier deletion; it can protect future changes but cannot manufacture a missing historical copy.

Understand what the cleanup command may have done

Storage Sense

Storage Sense can remove items from the Recycle Bin according to its configured age and cleanup settings. Microsoft also states that cloud content made online-only by Storage Sense is not permanently deleted by that setting. With an internet connection and sufficient free disk space, such content can be made available locally again through OneDrive synchronization.

Disk Cleanup

Disk Cleanup presents categories and asks you to confirm the selected deletions. One category, Previous Windows installation(s), removes the Windows.old folder. That action also removes the option to return to the previous Windows version. It is a rollback warning, not a general promise that personal files elsewhere can be undeleted.

Because the exact command and selections are not known here, do not assume that Disk Cleanup, Storage Sense, or another utility caused every missing file. The original location and the selected category matter.

Use Windows File Recovery for supported local drives

Windows File Recovery is a Microsoft Store command-line application for files deleted from local internal, external, or USB storage when the Recycle Bin cannot restore them. It does not support cloud storage or network file shares. It makes an attempt; it cannot recover data that has already been overwritten or that the drive can no longer read.

Prepare the source and destination

  • Source: the drive from which the files were deleted, such as C:.
  • Destination: a different physical drive, such as E:. A USB or external drive is suitable when the PC has only one internal drive.
  • Free space: enough room for the recovered output. The destination drive itself does not recover anything; it only stores the results.
  • Filters: use file or folder filters when recovering from the Windows operating-system drive, rather than scanning the entire drive unnecessarily.

Install and run the utility from an administrator Command Prompt or Windows Terminal according to Microsoft’s current instructions. Keep the source drive as idle as practical while preparing the command.

Select Regular or Extensive mode

Situation Recommended mode Why
Recently deleted files on an NTFS drive /regular Microsoft’s starting choice for recent NTFS deletions.
Older NTFS deletion /extensive Designed for cases where a recent, simple scan is less suitable.
Formatted or corrupted NTFS drive /extensive Needed for the more difficult NTFS conditions listed by Microsoft.
FAT or exFAT drive /extensive Microsoft recommends Extensive for these file systems.
Uncertain circumstances Start with /regular Microsoft says to begin with Regular when you are unsure, then reassess.

Use the documented command pattern

The general syntax is:

winfr source-drive: destination-drive: [/mode] [/switches]

For example, a recovery attempt for a Documents folder from C: to E: uses the Regular mode and a folder filter:

winfr C: E: /regular /n Users<username>Documents

For an older deletion where you remember only part of a file name, an Extensive search can use a name filter:

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
winfr C: E: /extensive /n *invoice*

Replace the example drives, account folder, and filter with your actual values. Follow the current Microsoft support syntax for additional filters and switches; command-line details can change. Never set the destination to the same drive as the source and never write output back into the folder you are scanning.

Find and verify the output

The utility creates a folder named Recovery_<date and time> on the destination drive. Open that folder on the destination, inspect filenames and extensions, and test copies of important documents. Recovered files may have altered names, missing metadata, or partial contents. Keep the original recovery output untouched until you have verified which copies are usable.

Troubleshoot common failure points

“The file is not in Recycle Bin”

Check the OneDrive web recycle bin if the path was synchronized or online-only. If it was local, move to File History or Windows File Recovery rather than repeatedly running cleanup tools.

“Windows File Recovery cannot use my destination”

Confirm that the destination is a separate drive letter and a physically different device when possible. Connect the USB or external drive before opening the recovery command, and make sure it has free space. A second folder or partition on the same physical disk is not a safe substitute for a different drive.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

“The scan finds files but they will not open”

Try the other supported mode only when it matches the file system and deletion circumstances, and use narrower name or folder filters. Do not keep writing to the source drive between attempts. A damaged or overwritten file may be listed yet remain unusable.

“The drive is failing or repeatedly disconnecting”

Stop recovery attempts that could worsen a hardware problem. Preserve the drive state and seek qualified data-recovery help; Windows File Recovery is intended for readable local storage, not for repairing failing hardware.

After recovery: prevent a second loss

  • Copy verified recovered files to two separate storage locations.
  • Turn on File History for folders that matter and check periodically that snapshots are being created.
  • Review Storage Sense and Recycle Bin settings so automatic cleanup matches the retention period you actually need.
  • For OneDrive, understand whether files are online-only and where the account’s recycle-bin retention is managed.
  • Keep a backup drive disconnected when it is not actively backing up, reducing the chance that a cleanup mistake affects both copies.

The safest sequence is consistent: stop writing, restore from the simplest intact copy, and only then attempt a filtered recovery to a different drive. If every restore source is empty and the deleted space has been reused, the files may be permanently unavailable.
