If your Telangana MeeSeva application is rejected, first record the exact reason shown in the application-status record, then compare it with the requirements for that specific service and ask the responsible department whether correction, review or a fresh application is required. If an issued certificate cannot be verified, use the official certificate-search function with the application number printed on it. A failed online lookup alone does not prove that the certificate is invalid.
First identify which problem you have
“Rejected” and “cannot be verified” are different situations and require different next steps. A rejected application means the department has made a decision on a submitted request. An issued certificate that does not appear in a search may involve a number-entry error, a portal-record issue, or a verification process specific to that service. Do not treat the two cases as interchangeable.

Check the official record before correcting anything
The Telangana MeeSeva portal exposes separate controls for “Know Your Application Status” and “MeeSeva Certificate (Application No)”. Use the first for a pending or rejected application and the second for an issued certificate that needs verification. The Government of Telangana citizen FAQ also describes checking a request in the MeeSeva app under My Transactions.

- Collect the application receipt, transaction ID or application number associated with the request. These numbers may appear on different receipts or certificates, so copy the one belonging to the record you are checking.
- Open the official Telangana MeeSeva portal, choose the function that matches your situation, and enter the number exactly as shown.
- Save or print the result, including the service name, current status and any reason, memo or endorsement displayed.
- Check that the record belongs to the correct applicant and certificate service before submitting documents or starting a new request.
The department FAQ says a user can enter a transaction ID or application number to see transaction details, and that a status view may show whether an item has been printed. That older FAQ also contains officer-facing and legacy workflow material, so it should not be read as a promise of a universal appeal route or a current process for every certificate.
If your MeeSeva application says Rejected
Read the recorded reason or endorsement
Do not infer the cause from the word “Rejected” alone. The citizen FAQ says an application may be rejected when there are inconsistencies in the submitted form or when the supporting documents provided are not correct. In the FAQ’s words: The application may be rejected by the department in case there are inconsistencies in the form submitted or the supporting documents provided were not correct.
Those are general examples, not an exhaustive list. A rejection notice, memo or endorsement for your service may identify a particular field, document, relationship, address, date or jurisdiction issue. Record the wording accurately. If the portal only shows a short status and no explanation, ask the department for the written reason rather than guessing.
Compare the issue with the requirements for that exact service
There is no universal MeeSeva document checklist. A caste certificate, birth certificate, income certificate and residence certificate can require different evidence, and the responsible authority can vary by service and location.

For example, the Nalgonda district administration’s caste-certificate page lists documents for that service. It demonstrates why a caste-certificate list should not be reused as a checklist for a birth, income or residence application, or automatically applied in another district. Open the current requirements page or checklist for your own service and jurisdiction, then compare each item with what you actually submitted.
- Check whether every required document was included and legible.
- Check that names, dates of birth, addresses and relationships match across the application and attachments.
- Check that the document belongs to the applicant and covers the period or jurisdiction required by that service.
- Check whether the rejection notice asks for a corrected document rather than a completely new type of evidence.
Keep the rejected record separate from any new application you may later submit. A fresh submission should not erase the details needed to explain the original decision.
Ask the responsible department what remedy is available
The Government of Telangana citizen FAQ advises applicants to approach the concerned department for further information and says corrected information and supporting documents may be submitted where appropriate. Contact the department responsible for the service and ask precise questions:

- Can the existing application be corrected or reopened, or must a new application be filed?
- Which version of the document is acceptable, and does it need to be issued by a particular authority?
- Is there a department-specific review or representation process?
- What reference number should be quoted in future correspondence?
Do not assume that every rejected MeeSeva application can be appealed, reopened or corrected. The official material does not establish one appeal procedure or deadline for all certificate services. The department handling your service must confirm whether a review route exists and what time limits, if any, apply.

Keep a complete follow-up file
Keep the application receipt, status screen, rejection memo or endorsement, copies of every submitted document and any written response from the department together. Add the date of each call, visit or online enquiry and the name or office of the person who responded. This is practical recordkeeping, not a stated MeeSeva rule, but it prevents a later enquiry from losing the original transaction details.
If an issued certificate cannot be verified online
Use the certificate-search function, not the application-status page
For an issued document, select the portal’s “MeeSeva Certificate (Application No)” search and enter the application number printed on the certificate. The application-status lookup and the certificate search are separate functions; using the wrong one can make a valid record appear absent.
- Read the application number directly from the certificate rather than retyping it from memory.
- Check easily confused characters, extra spaces, punctuation and leading zeroes.
- Submit the number on the official Telangana MeeSeva portal.
- Save the result, including a “no record” message or screenshot, with the certificate copy.
A rejected birth-certificate endorsement published by the Greater Hyderabad Municipal Corporation gives the same practical direction for that example: verify the endorsement using the application number. That is a GHMC example, not a universal rule for every Telangana certificate.

The reviewed official guidance does not document one universal technical reason for a failed lookup. A search may fail because the number was entered incorrectly, the wrong search function was used, the relevant record is not available through that portal view, or the department requires another verification route. The available sources do not establish which explanation applies in an individual case.

Therefore, an unsuccessful search by itself does not prove forgery, invalidity or misconduct. Preserve the original certificate and the evidence of your lookup, then ask the issuing or responsible department to confirm whether the record exists and which verification method it accepts.
Coordinate with the organization requesting proof
If an employer, school, bank, court, licensing body or another authority is waiting for the certificate, ask what official evidence it accepts while the department checks the record. It may request a departmental confirmation, a digitally issued copy, a stamped verification or another service-specific document. Do not promise that a particular substitute will be accepted; the recipient’s own rules control that decision.

When the portal gives no reason
Write down the exact status and transaction number, then request the reason from the department responsible for the service. Ask for the relevant requirement in writing if possible. Avoid submitting random replacement documents: an unnecessary new application can create another record without resolving the original defect.

When you believe the reason is wrong
Prepare a short, factual explanation that identifies the disputed field or document and attach the evidence supporting your position. Quote the application number and service name, and ask whether the department offers correction, review or representation. Keep the original files unchanged and submit copies unless the department specifically requires originals.

When the service or jurisdiction is uncertain
Confirm that you used the requirements for the correct certificate type, district and issuing authority. District administration pages can illustrate a service without governing every other district. If the application was filed through a MeeSeva centre, ask the centre to help identify the responsible department, but obtain the final procedural answer from that department.
Common mistakes that delay resolution
- Using a generic checklist: Evidence requirements differ by service, district and authority.
- Checking the wrong number: A transaction ID and an application number may be displayed in different places.
- Relying on a screenshot without the record details: Keep the service name, applicant identity and reference number with it.
- Assuming “Rejected” states the whole reason: Read the memo, endorsement or department explanation.
- Assuming a failed lookup proves invalidity: Obtain confirmation from the issuing department.
- Expecting a universal appeal deadline: Ask the department whether this service has a review route and time limit.
- Starting over without preserving the first record: Keep the original receipt and rejection evidence before filing anything new.
A practical decision path
- Status says Rejected: record the reason, compare it with the exact service requirements, and contact the responsible department about correction, review or a fresh application.
- Status is pending or not viewed: use the application-status record and ask the responsible department about the current transaction rather than filing a duplicate immediately.
- Certificate is issued but not found: use the certificate-search function with the printed application number, verify the characters and save the result.
- Search still fails: ask the issuing department to confirm the record and the accepted verification method; do not label the certificate invalid solely because the portal returned no result.
- A third party needs proof: ask that organization which departmental evidence it accepts while verification is being resolved.
What the official guidance establishes
The Telangana portal provides distinct application-status and certificate-number search controls. The citizen FAQ lists status outcomes such as Approved, Rejected and Not viewed, or another status the department considers necessary. It identifies inconsistent form information and incorrect supporting documents as general rejection causes and directs applicants to the concerned department for further information.
The district caste-certificate example establishes that document requirements are service-specific. The GHMC birth-certificate endorsement example shows a rejection reason and application-number verification direction for that municipal service. Neither example creates a universal checklist, appeal right, deadline or technical explanation for every MeeSeva certificate.
