If your refurbished MacBook arrives damaged, faulty, or different from its listing, stop using it long enough to document the condition, identify the seller named on your receipt, and contact that seller before paying for repairs or buying parts. Your remedy depends first on who sold the computer, then on the applicable return deadline, warranty coverage, and consumer law in your location.

Apple’s current U.S. direct-store policy is a useful example, not a universal rule: Apple gives 14 calendar days from receipt for returns and applies its standard policy to Apple Certified Refurbished products. A Mac bought from another retailer or a marketplace seller follows that seller’s process.

What to do if a refurbished MacBook arrives with a problem

Handle the computer as a disputed delivery until you know the seller’s required process. Do not erase it, remove screws, replace the battery, or authorize a paid repair before asking the seller what it wants you to do. A repair or alteration can complicate a return, and you may already be entitled to an exchange, refund, or covered service.

1. Pause and record the condition

Write down the delivery date, the time you first noticed the problem, and exactly what happens. “The screen is broken” is less useful than “a vertical line appears on the left side as soon as the Mac starts.” Record whether the fault is constant, intermittent, or triggered by charging, opening the lid, connecting a display, or running a particular application.

  • Photograph the shipping box, label, packing material, and every side of the MacBook.
  • Photograph the screen, ports, hinge, keyboard, underside, charger, and any missing or incorrect accessory.
  • Save a screenshot or PDF of the listing, including the model, storage, memory, condition grade, included accessories, and statements such as “no cracks” or “fully tested.”
  • Keep the invoice, order number, serial number, payment record, and the seller’s name exactly as shown on the order.
  • Keep every support message, return instruction, authorization number, label, and shipping receipt.

If the Mac can start safely and you can show the symptom without risking further damage, make a short video or take a screenshot. This is practical evidence, not a standard Apple requirement; a seller may ask for different information. Do not factory-reset or erase the Mac while you are still collecting evidence. If you have already signed in, avoid adding more personal data until the return or service route is settled.

2. Identify who actually sold it

Look at the receipt, order confirmation, and payment statement. A marketplace may display a familiar storefront while a separate third-party business is the legal seller. The seller named on the transaction normally controls the return authorization, shipping instructions, and refund or exchange decision.

Purchase route First contact What to verify
Apple online or retail store Apple customer service or an Apple Store Receipt, delivery date, U.S. or other country policy, and serial-number coverage
Authorized or large retailer The retailer shown on your receipt Its return window, condition guarantee, authorization requirement, and who pays return shipping
Marketplace third-party seller The named third-party seller through the order page Whether the marketplace or seller processes the return, the seller’s deadline, and escalation steps

Do not assume that Apple’s store policy applies merely because the computer has an Apple logo or was described as “refurbished.” Apple says purchases made through other retailers must be returned under those retailers’ returns and refunds policies.

Contact the seller before seeking paid repair

Use the order page or the seller’s published support channel. Keep the conversation in writing whenever possible. State four facts in the first message:

Apple MacBook Air Late 2020 with Apple M1 Chip (13.3 inch, 8GB RAM, 256GB SSD) Space Gray (Renewed)
  • Apple-designed M1 chip for a giant leap in CPU, GPU, and machine learning performance
  • Go longer than ever with up to 18 hours of battery life
  • Up to eight GPU cores with up to 5x faster graphics for graphics-intensive apps and games
  1. When the MacBook was delivered.
  2. The exact defect, damage, missing item, or mismatch with the listing.
  3. The evidence you have, such as photographs, a video, or a serial-number mismatch.
  4. The outcome you want: return and refund, replacement, exchange, or warranty service.

Ask the seller to confirm the next step in writing. If it wants the Mac returned, request the return authorization, destination, deadline, packaging instructions, and a prepaid label if its policy provides one. Do not send the computer to an address found in an unrelated message or pay for an optional service before the seller confirms that arrangement.

Describe the problem accurately rather than diagnosing it. For example, say “the Mac shuts down when the charger is removed” instead of asserting that the logic board has failed. A seller may need to inspect the unit, and an incorrect diagnosis can distract from the documented symptom.

Check the return deadline and coverage separately

A return period and a warranty are different routes. A return window usually concerns the transaction and the condition of the item when delivered. Warranty coverage concerns a defect under stated terms and may continue after a return period ends. Check both on the order and the product’s coverage record.

Apple direct purchase in the United States

For an Apple purchase made directly in the United States, Apple’s standard Returns & Refunds policy says: “You have 14 calendar days to return an item from the date you received it.” Apple’s Certified Refurbished page says its standard policy applies to refurbished products. Count from the receipt date shown by the delivery record, not from the date you first opened the box.

  • VERSATILE CONNECTIVITY — MacBook Air features a MagSafe charging port, two Thunderbolt ports and a headphone jack

This 14-day period is a current U.S. direct-purchase example. It is not a general refurbished-Mac deadline, and it does not automatically apply to another country, an independent retailer, or a marketplace seller. Apple’s U.S. policy also says an online order that arrived damaged or incorrect can be returned to a U.S. Apple Store or handled by contacting Apple customer service.

Another retailer or marketplace seller

Read the terms attached to the exact order. Confirm the last day for a return, whether the seller requires approval before shipment, whether “arrived damaged” has a shorter reporting period, who pays postage, and whether the seller offers a refund, replacement, or repair. Save a copy because online terms can change after the purchase.

If the order was fulfilled by a marketplace but sold by a third party, check both the seller’s terms and the marketplace’s dispute process. Start with the seller shown on the receipt; escalate through the marketplace only if the seller’s instructions or the platform’s rules require it.

Coverage check

Use Apple’s coverage check with the Mac’s serial number when the computer may qualify for Apple’s limited warranty or AppleCare. Keep the receipt. Apple says its coverage system may not display every local consumer right or additional program, and it may request proof of purchase to verify or correct the purchase date. A third-party seller’s refurbishment warranty is separate and must be confirmed for that exact unit.

Apple Certified Refurbished is not the same as every refurbished listing

Apple describes its own Certified Refurbished process as including products that “undergoes full functionality testing and any defective modules identified in testing are replaced.” That statement applies to Apple’s program. It does not establish that a computer described as refurbished by another business was tested to the same standard or has Apple certification.

When a listing uses terms such as “refurbished,” “renewed,” or a condition grade, preserve the exact wording. A cosmetic scratch may be allowed by one grade but not another; a missing charger, incorrect storage capacity, or activation lock can still be a material mismatch even when the listing discloses cosmetic wear.

Warranty, Apple service, and consumer-law rights

Apple says its one-year limited warranty and AppleCare benefits add to rights provided by consumer law. The available remedy, time limit, and service options depend on the country or region and the seller. Because the purchase location and seller determine those rules, do not rely on a universal promise of a refund or a fixed statutory deadline.

When Apple service may be appropriate

If the seller directs you to Apple, or if the Mac is an Apple direct purchase and Apple confirms a warranty route, use an Apple Store or an Apple Authorized Service Provider. Apple says these providers perform Apple-certified repairs with genuine Apple parts. Keep the service intake record and any diagnostic report, and send a copy to the seller if the seller is handling the claim.

Why an independent repair can be risky before approval

Apple says repairs by non-authorized providers are not covered by Apple’s limited warranty or AppleCare, although the provider may offer its own warranty. More importantly for a newly delivered computer, opening the case or replacing a component before the seller gives instructions can make it harder to show that the defect existed on arrival or to meet the seller’s return procedure. This is prudent process advice, not a universal legal rule; follow the written terms that apply to your order.

If the battery shows a warning

A battery warning is a symptom to report, not an instruction to buy a replacement immediately. In macOS, open System Settings and choose Battery, then Battery Health; the exact labels can vary by macOS version. Apple says “Service Recommended” means the battery holds less charge than when it was new or is not functioning normally. The message does not, by itself, identify every possible cause of rapid drain or shutdown.

Take a screenshot of the warning, note the battery percentage and the conditions in which the problem occurs, and send that information to the seller or Apple. Apple’s one-year limited warranty includes replacement coverage for a defective battery, subject to the applicable terms. Built-in batteries are not a routine do-it-yourself replacement; wait for the seller or an authorized service route before purchasing parts.

Protect your data while preparing a return

Do not place sensitive files on a computer that may go back. If you have already used it, back up your files, sign out of Apple services, and remove the Mac from your account only when the seller’s return instructions tell you to prepare it for shipment. Do not erase evidence before saving photographs, screenshots, and the written fault description. If the Mac is unstable, overheating, smells burnt, has liquid damage, or shows a swelling battery, shut it down, disconnect power, and tell the seller that continued use could be unsafe.

Pack and ship only after receiving instructions

Use the seller’s authorization and label when provided. Photograph the packed computer and the sealed parcel, keep the carrier receipt and tracking number, and record the date handed to the carrier. Follow any requirement to include the charger, accessories, or a copy of the authorization. If the seller asks you to pay shipping, ask whether that cost will be reimbursed under the applicable policy before sending the package.

If the seller refuses, delays, or gives conflicting answers

  1. Ask the seller to state its decision and the reason in writing, quoting the order number and the date you reported the fault.
  2. Reply with the listing description, delivery photographs, serial number, and any inspection or diagnostic report that supports your account.
  3. Request the specific policy section it is applying and the next escalation channel.
  4. Use the marketplace dispute process or your payment provider’s documented dispute route only after preserving the seller’s messages and shipment records.
  5. Check the consumer-protection office or dispute-resolution service for the country or region where the purchase occurred.

Do not claim a guaranteed refund, automatic replacement, or universal legal deadline without knowing the jurisdiction, seller, delivery date, and terms. Apple itself notes that warranty benefits are in addition to consumer-law rights and that service options depend on location.

A practical decision checklist

  • Still within the seller’s return window: prioritize a documented return, refund, or exchange rather than arranging your own repair.
  • Outside the return window but within stated warranty coverage: request the seller’s warranty process and separately verify Apple coverage by serial number.
  • Apple direct purchase in the U.S. and within 14 calendar days: contact Apple promptly and keep proof of the receipt date.
  • Marketplace or independent seller: follow the seller named on the order, not an assumed Apple policy.
  • Safety concern or swollen battery: stop using the Mac, disconnect power, and report the condition immediately.
  • Seller proposes paid repair: ask who pays, who warrants the work, and whether the repair affects your return or warranty rights before agreeing.

The fastest safe path is usually the least destructive one: preserve the evidence, identify the actual seller, meet the applicable deadline, and obtain written instructions before anyone opens or repairs the MacBook.
