The right pharmaceutical robot is defined by the process and production zone—not by a generic “pharma” label. Specify the task, product, contamination risks, cleanroom or isolator conditions, decontamination cycle, throughput and data requirements first; then select a robot and integrated cell whose exact model, materials, software and documentation meet those criteria. A robot marketed as cleanroom-ready is not automatically approved for every pharmaceutical application.
1. Define the process before choosing a robot
Start with a written use case that quality, engineering, production and automation teams approve together. It should state what the robot will do, what product or component it will handle, where it will operate, what can be contacted or contaminated, and how the cell will be cleaned and released for production.
Document the task and product
- Operation: dispensing, filling, capping, loading a freeze-dryer, unloading an autoclave, visual inspection, secondary packaging, palletizing or internal logistics.
- Product state: open sterile product, closed container, primary packaging component, finished pack, raw material or waste.
- Contact rules: direct product contact, contact with product-contact parts, or no-contact handling.
- Throughput: units per minute, batch size, takt time, shift pattern and required uptime.
- Changeovers: number of products, formats and recipes; tooling and cleaning time between batches.
- Operator interaction: loading, interventions, aseptic manipulations, line clearance and maintenance access.
These details determine whether a robot belongs inside an isolator or restricted-access barrier system (RABS), in a classified cleanroom, in an inspection or packaging area, or in a warehouse and transport zone. Each setting imposes different particle, surface, washdown, decontamination and access requirements.
Match the robot to the production zone
| Production zone and task | Typical robot requirements | Questions for the URS |
|---|---|---|
| Aseptic filling inside an isolator or RABS | Low-particle design, sealed surfaces, validated vaporized hydrogen peroxide (VHP) or other cycle compatibility, aseptic tooling and remote service access. | What cleanroom grade applies? Is the robot exposed to the full decontamination cycle? How are interventions prevented or controlled? |
| Freeze-dryer loading and unloading | Accurate, repeatable motion; handling of trays, shelves or containers; reach through the chamber interface; resistance to low-temperature or condensation conditions where applicable. | What is the maximum load and center of gravity? Are door, shelf and chamber clearances verified for every format? |
| Autoclave loading and unloading | Heat, moisture and condensate tolerance for the actual exposure; corrosion-resistant materials; tooling that keeps sterile loads stable. | Does the robot remain in the hot or wet zone, or only transfer loads before and after the cycle? What is the validated temperature and humidity envelope? |
| Inspection and primary-container handling | High repeatability, controlled acceleration, vision interfaces and gentle end effectors that avoid cosmetic or container damage. | What inspection speed and reject-handling logic are required? How are false rejects, jams and recipe changes recorded? |
| Secondary packaging | Higher speed and payload flexibility; carton, case or leaflet tooling; integration with cartoners, labelers, conveyors and serialization equipment. | What formats, changeover time and downstream line speed must be supported? |
| Logistics and palletizing | Long reach, larger payload, safe interaction with mobile equipment and warehouse controls; cleanliness requirements may be less restrictive than in aseptic areas. | What segregation, traceability, barcode and warehouse-management interfaces are needed? |
Manufacturer taxonomies can help create a shortlist, but they do not replace site-specific acceptance criteria. A model suitable for inspection or packaging may be inappropriate inside an isolator, even if both are described as pharmaceutical robots.

2. Convert the task into motion and cell specifications
Evaluate the complete work envelope rather than one headline specification. Standard dimensions include payload, reach and speed; pharmaceutical selection adds cleanability, materials, decontamination and integration constraints.
Payload and center of gravity
Calculate the mass of the part, gripper, fingers, sensors, hoses and any product held at the furthest reach. Use the supplier’s payload curves, not only the nominal payload. Inertia and center-of-gravity limits can reduce usable capacity, especially during rapid acceleration or when handling long trays and nested containers. Include a margin for format variation and future tooling, and require the supplier to confirm the calculation in writing.
Reach, axes and work envelope
Map every pick, place, inspection and reject position in three dimensions. Check wrist orientation, singularities, cable bend radius, access through glove ports, isolator pass-throughs and maintenance clearances. A robot that reaches a point only at an extreme joint angle may have poor repeatability or slow cycle time there. Confirm that the selected number of axes supports the required approach angle and that fixtures do not force collisions during changeover.
Speed, cycle time and repeatability
Translate the line takt time into a tested robot cycle that includes approach, grip, verification, motion, release, vision processing, conveyor synchronization and any dwell for sterile handling. Ask for cycle-time assumptions, payload, path, acceleration limits and inspection or communication delays. Repeatability must be specified at the tool center point under the actual payload and temperature conditions; it is not the same as absolute accuracy. Include worst-case product tolerances and reject routing in the calculation.
Footprint, guarding and operator access
Reserve space for the robot base, controller, electrical cabinet, guarding, doors, glove ports, HEPA airflow paths, service access and cleaning tools. In an isolator, confirm that the robot and end effector do not create shadowed areas that cannot be wiped or exposed adequately to the decontamination cycle. In packaging or logistics cells, ensure guarding and safety scanners do not obstruct material flow or required interventions.
End effectors, vision and utilities
Specify gripper materials, surface finish, seals, sensors, quick-change features, compressed air quality, vacuum generation, electrical connectors and cable routing. Product-contact tooling may require separate material certificates, cleaning validation and sterilization compatibility. Vision systems need defined lighting, camera resolution, recipe control, image retention and fault handling. Treat the end effector as part of the qualified system; a clean robot arm with a non-cleanable gripper is not a compliant cell.

3. Set environmental, cleaning and decontamination requirements
Ask for evidence for the exact proposed configuration: robot model, paint or surface treatment, seals, cables, lubricants, controller location, tooling and end effector. Product-family claims are not enough when the installed cell will face a specific cleaning agent or VHP cycle.
Cleanroom and particle performance
Define the applicable cleanroom classification and particle limits in the user requirements specification (URS). If a supplier states ISO 14644-1 certification, request the certificate, test report, robot configuration, operating conditions and classification covered. A certificate for an arm tested without production tooling or while stationary may not represent the installed cell in motion.
Cleaning-agent and material compatibility
List every agent and exposure condition: concentration, temperature, contact time, rinsing, drying and frequency. Obtain compatibility data for stainless steel, coatings, elastomers, cable jackets, lubricants, adhesives, transparent covers and gripper materials. Confirm whether repeated exposure causes swelling, cracking, corrosion, loss of lubrication or particle generation. If the supplier lacks data for your agent, plan a documented compatibility study before design freeze.
Decontamination-cycle validation
For isolator applications, define the decontamination technology, such as VHP, cycle duration, concentration, humidity and temperature. Identify shadowed surfaces, internal cavities and cable channels that may receive less agent. Require a clean-mapping or equivalent study showing that the installed geometry can be cleaned and decontaminated consistently. Manufacturer technical material describing Grade A isolator use and VHP should be treated as a starting point; applicability must be verified for the selected model and configuration.
Cleanability by design
- Prefer smooth, sealed surfaces with minimal ledges, exposed threads and horizontal shelves.
- Keep cables and pneumatic lines protected, drainable and accessible for inspection.
- Ensure tooling can be removed, disassembled and cleaned without hidden crevices.
- Define lubrication points and use only lubricants permitted for the zone and process.
- Specify wipe-down, washdown or immersion limits; do not assume a sealed arm tolerates every method.
- Include visual inspection and particle-monitoring points in the cleaning procedure.
4. Include controls, data and integration in the purchase
The robot is one component of a computerized production system. The purchase scope should cover controller software, safety, interfaces, recipes, records and change control—not just the arm and gripper.
Recommended Free Tools
Interfaces and line control
Define signals and ownership for conveyors, feeders, filling machines, inspection stations, isolator controls, doors, glove ports, safety circuits and emergency stops. Specify communication protocols, heartbeat behavior, handshakes, permissives, alarm codes and recovery states. Decide whether the robot or a line PLC controls sequencing, and document how a stop, power loss, rejected unit or jam is cleared without compromising product segregation.

Recipes, access and electronic records
Require role-based access, unique user accounts, password or single-sign-on policy, audit trails, recipe versioning, backup and restore, time synchronization and controlled export of production records. Define which parameters are critical, who may change them, how changes are reviewed and how obsolete recipes are prevented from running. FDA Q7A states: “GMP-related computerized systems should be validated.” The validation scope depends on the system’s application, complexity and criticality.
Cybersecurity and software change management
Specify supported operating systems, patching responsibilities, removable-media controls, network segmentation, remote-service access and vulnerability notification. Require a software bill of materials or equivalent inventory when appropriate, and define how firmware, controller software, vision algorithms and PLC programs are assessed, tested and approved. A supplier’s update process should preserve validated states and provide impact assessments, release notes and rollback procedures.
Safety and human factors
Apply the site’s machinery-safety standards to the integrated cell. Cover guarding, interlocks, light curtains, safe torque off, collaborative modes if proposed, manual recovery, teach mode, ergonomic loading and emergency access. A robot’s advertised collaborative capability does not remove the need for a task-specific risk assessment, validation and operator training.

5. Plan qualification and regulatory evidence
Regulatory expectations attach to the equipment and process in which it is used. Identify the product type and jurisdiction first. FDA Q7A addresses active pharmaceutical ingredient (API) manufacturing; it is not a complete rule set for every finished drug-product process. For medicines intended for the European Union, manufacturers must comply with EU GMP regardless of where the facility is located.
Design qualification (DQ)
Use DQ to show that the proposed robot and cell design meets the approved URS and risk controls. Review materials, cleanability, payload calculations, software architecture, safety, utilities, interfaces and planned maintenance. Resolve deviations before fabrication or document them through change control.
Installation qualification (IQ)
IQ verifies that the correct robot, controller, tooling, software versions, utilities, calibration references, certificates and drawings are installed. Record serial numbers, firmware, network addresses, critical spare parts and as-built changes. Confirm that installation preserves cleanroom classifications and required airflow or segregation.

Operational qualification (OQ)
OQ challenges functions across the approved operating range: speeds, payloads, recipes, alarms, interlocks, communication loss, power recovery, reject handling, access controls, backups and cleaning-cycle interfaces. Include worst-case formats and boundary conditions rather than testing only a nominal recipe.
Performance qualification (PQ)
PQ demonstrates repeatable performance with trained operators, production materials and normal procedures. Measure throughput, reject rates, handling damage, intervention frequency, environmental results and data integrity against predefined acceptance criteria. Link robot performance to the process outcome; a fast cycle that increases container damage or interventions has not met the requirement.
Cleaning and process validation
Define cleaning validation or verification for the robot, tooling and product-contact surfaces. Establish sampling locations, residue limits, microbiological or particle criteria and recovery methods. For computerized functions, validate recipes, audit trails, electronic signatures where applicable, data retention and interfaces. FDA Q8/Q9/Q10 quality guidance emphasizes that equipment, facilities, computerized systems and control methods should be suitably qualified.
6. Compare robot approaches on the same decision axes
When multiple architectures or suppliers are viable, score them against identical criteria. Do not compare a bare arm from one supplier with a fully documented integrated cell from another.
| Decision axis | Evidence to request | Why it matters |
|---|---|---|
| Process task and throughput | Cycle-time study with payload, path, tooling, vision and changeover assumptions. | Prevents nominal speed from being mistaken for achievable line output. |
| Production zone and cleanliness | Cleanroom classification, particle test, operating conditions and installed-cell drawings. | Shows whether evidence applies inside an isolator, RABS, inspection area or packaging zone. |
| Decontamination and chemical compatibility | Material certificates, seal and lubricant data, VHP or washdown exposure results, cleanability assessment. | Reduces corrosion, particle and residue risks over repeated cycles. |
| Motion and footprint | Payload curves, reach map, repeatability data, axes, utilities and service clearances. | Confirms that the robot can perform every motion without collisions or unusable joint positions. |
| Integration and safety | I/O list, network architecture, PLC/MES interface, guarding design, alarms and recovery sequences. | Defines the real system boundary and qualification workload. |
| Qualification documentation | URS traceability, risk assessment, DQ/IQ/OQ templates, software documentation and test records. | Allows quality and engineering to estimate validation effort before purchase. |
| Maintainability and lifecycle | Preventive-maintenance schedule, spare-parts list, response commitments, training and software-change process. | Determines availability and the cost of keeping the cell in a validated state. |
Examples of market offerings illustrate why configuration matters. Stäubli describes Accesspharma, Stericlean and Stericlean+ ranges for applications including inspection, secondary packaging, aseptic processes and isolators. ABB describes cleanroom robots certified to ISO 14644-1 for life-science and pharmaceutical environments. FANUC describes pharmaceutical uses from aseptic dispensing, filling and capping to cartoning, labeling, packaging and palletizing. These statements are useful for shortlisting; request model-specific certificates, test conditions and cleaning evidence before acceptance.
Do these 3 things before closing this tab:
1Clear out junk files and repair common Windows errors2Scan for outdated or missing drivers - takes under a minute3Repair Windows errors before they cause bigger problems7. Build a procurement package that suppliers can quote accurately
- Issue a process description. Include product formats, batch profile, takt time, contact status, intervention rules, cleaning and decontamination cycles, and the intended production zone.
- Publish a measurable URS. State payload, reach, cycle time, repeatability, axes, footprint, end-effector functions, vision, utilities, safety and environmental limits.
- Define system boundaries. List isolator or RABS interfaces, feeders, filling or inspection equipment, conveyors, PLC/MES connections, alarms, recipes, data records and responsibility for each interface.
- Request a compliance matrix. Require the bidder to mark each URS item as compliant, partially compliant or deviation, with evidence and assumptions.
- Require model-specific evidence. Ask for cleanroom certificates, particle results, chemical-compatibility data, decontamination studies, materials and lubricant lists, and references for the same process zone.
- Agree on qualification deliverables. Specify DQ, IQ, OQ, PQ, risk assessments, software validation documents, calibration records, training and as-built drawings.
- Test representative tooling. Use production-like containers, trays, closures and formats in a factory acceptance test (FAT), including jams, rejects, recipe changes and recovery.
- Complete site acceptance and release. Repeat critical tests after installation, verify utilities and interfaces, execute cleaning or decontamination studies, train operators and approve deviations through quality systems.
8. Evaluate lifecycle support and total cost
Purchase price is only one part of the decision. Request a five- to ten-year lifecycle model tailored to the proposed cell, while recognizing that generic service-cost figures are not reliable without the model and site conditions.

Maintenance and spares
- Preventive-maintenance intervals for robot, controller, brakes, seals, cables, gripper and vision hardware.
- Recommended critical spares, lead times, storage conditions and obsolescence policy.
- Calibration requirements and who performs them.
- Service response targets for production-down, degraded and routine issues.
- Remote-support method, access approval, cybersecurity controls and audit records.
Training and documentation
Include operator, maintenance, controls and quality training; troubleshooting guides; cleaning instructions; lockout procedures; software backups; network diagrams; spare-part catalogs; and escalation contacts. Require documentation updates when software, materials, suppliers or service procedures change.
Change notification
Contractually define how the supplier notifies the site about component substitutions, firmware changes, discontinued parts, revised lubricants, safety updates and changes to cleanroom or chemical-compatibility claims. Assess each change for impact on qualification, cleaning validation, cybersecurity and spare-parts strategy.
9. Common buying mistakes and how to avoid them
Treating “pharma robot” as a regulatory approval
Marketing terminology does not establish compliance for your process. Verify the installed configuration, jurisdictional requirements, cleanroom evidence and qualification package.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
Choosing by payload or speed alone
A nominal payload can exclude the real gripper and inertia; a catalog speed can ignore vision, dwell, communication and safety delays. Use a witnessed cycle-time and payload study.
Ignoring the end effector
Grippers, suction cups, sensors, lubricants and cables often create the greatest contamination or cleanability risk. Qualify them with the arm.
Leaving software outside the validation scope
Recipes, audit trails, user access, interfaces and backups affect product quality and data integrity. Include them in DQ, OQ and computerized-system validation.
Underestimating interventions and changeovers
A theoretical unmanned cycle may fail when operators must clear jams, change formats or perform aseptic interventions. Test worst-case interventions and document recovery without compromising segregation.

10. Factory and site acceptance checklist
- All URS requirements are traceable to a test, drawing, certificate or approved deviation.
- Payload, reach, repeatability and cycle time pass with production-like tooling and worst-case formats.
- Guarding, interlocks, emergency stops, safe states and recovery procedures pass.
- Recipes, access rights, audit trails, backups, time stamps and alarm records work as specified.
- Interfaces with conveyors, feeders, filling, inspection, isolator/RABS and line controls are demonstrated.
- Cleaning, wipe-down or washdown procedures are executable; materials and seals remain intact after representative exposure.
- Decontamination mapping or equivalent evidence covers shadowed and difficult-to-access surfaces.
- Training, maintenance, calibration, spare parts, software backups and change-control documents are delivered.
- Open deviations have owners, due dates, risk assessment and quality approval before production release.
Bottom line
Buy the robot as a qualified pharmaceutical production system, not as a standalone arm. Define the process zone and contamination controls first, size motion and tooling against real cycle conditions, demand model-specific cleanability and decontamination evidence, include controls and computerized systems in validation, and contract for lifecycle support. The strongest proposal is the one that demonstrates compliance for your exact task, configuration and jurisdiction with clear acceptance tests and maintainable documentation.
