Before you upload a spreadsheet, confirm that the chatbot and the specific account or workspace you are using are approved for its contents. Then inspect a copy of the workbook, remove data the task does not need, and check model-use and retention rules separately. Turning off model improvement does not necessarily prevent file storage. If the data is restricted or the service terms are unclear, do not upload it until your organization’s data owner or privacy/security team approves.
Start with permission, not the upload button
A spreadsheet can contain personal information, customer or employee records, financial or health details, credentials, confidential business information, or material restricted by contract or policy. Whether you may share it depends on the data, purpose, service, account, jurisdiction, and your organization’s rules—not simply on whether the chatbot accepts file uploads.
Identify the most sensitive information in the workbook and check the rules that govern it. If you are handling regulated records, confidential company data, or information covered by an agreement, ask the data owner or your privacy/security team whether this exact service and account are approved for this use. A provider’s general privacy statement is not permission to disclose data your employer, contract, or law restricts.
It helps to describe the proposed use precisely when you ask for approval: which workbook or data fields you want to share, what you want the chatbot to do, and which account or workspace you plan to use. Approval for one purpose or service should not be assumed to cover a different task, file, or account. If you cannot establish that the use is permitted, pause rather than uploading first and checking later.

Verify the chatbot, account, and workspace
Do not assume that two accounts for the same chatbot have the same protections. Consumer, business, and enterprise services may differ in contractual terms, model-improvement settings, access controls, and retention. Check the account and workspace you are actually signed into, and confirm that your intended task is covered by its terms. A colleague’s use of a service, or a product name that sounds business-oriented, does not by itself establish workplace approval.
Compare the conditions that matter for your file and task:
- Account and contractual protection: Is this the approved organizational service, or a personal consumer account?
- Model improvement: May the content be used to improve models, and what setting or terms apply to this account?
- Chat and file retention: How long may the conversation and uploaded file remain, and are they governed separately?
- Workspace controls: Are there organizational access or retention policies that apply?
- Necessity: Does the chatbot need the original rows, or can it answer from a smaller, aggregate, or synthetic example?
These dimensions do not produce a universal ranking of chatbots. Terms and settings vary by product, plan, region, and account, and can change. A useful comparison is not “which chatbot is always safest?” but “what terms and controls apply to this exact service and workspace, and are they suitable for this data and task?” Recheck the current service guidance and your account settings before an upload, especially if the service or account has changed.

The visible worksheet is not necessarily the whole file. Review every sheet, including hidden sheets, rows, and columns, as well as comments, metadata, and content outside the visible range. A workbook prepared for an ordinary business task can still carry information that was not intended for an external recipient.
Think beyond the main table you plan to show. A workbook may have multiple sheets, hidden ranges, or notes and document properties that are not obvious when you open the file. Check the entire workbook rather than assuming that the active tab or the visible cells are all that will be shared. This inspection is a disclosure check, not merely a cleanup step: content that is out of sight may still be part of the file.

Use Document Inspector on a copy
Microsoft’s Document Inspector can help find hidden data and personal information in Excel and other Office files. Work on a separate copy first: Microsoft warns, “We highly recommend that you use the Document Inspector on a copy of your original document, because it is not always possible to restore the data that the Document Inspector removes.” Microsoft Support’s Document Inspector guidance explains how to choose inspection categories, run the inspection, review findings, and remove items you do not want to share.
- Save a separate copy of the workbook and keep the original unchanged.
- Open the copy in Excel and locate Document Inspector using the instructions for your Office version.
- Choose the categories you want the inspector to check, then run the inspection.
- Review each finding. Remove only information that should not be shared, and save the sanitized copy separately.
- Reopen the copy and check the sheets and visible content before using it.
These steps matter because the inspector does not make every removal reversible. The copy gives you a way to preserve the original while you review what the tool finds and decide what should be removed from the shareable version. Do not remove every finding automatically: review it in the context of the task and your organization’s rules.
Document Inspector checks for particular types of hidden content; passing an inspection does not establish that the remaining data is suitable for an external chatbot. You still need to assess the workbook’s contents and the service’s terms. Also check the visible data itself: an inspection tool cannot decide whether an ordinary-looking column is confidential, unnecessary, or identifying in combination with other details.
Share the minimum necessary—and de-identify with care
Once the file is approved for the intended use, reduce it to what the task needs. Remove irrelevant columns and rows, or share a small excerpt rather than the full workbook. For some requests, an aggregate, a formula, or a synthetic example can provide enough context without disclosing the original records.
Match the material to the question. If you need help understanding a formula, consider sharing the formula and a small set of representative values rather than every row in the workbook. If the task is about a trend, an aggregate may be enough. If you need help with a spreadsheet layout or calculation, a synthetic example may demonstrate the issue without using real records. These are alternatives to consider, not guarantees that the chatbot can complete every task without the full data.

Before sending a reduced file, look at the remaining columns together. Removing direct identifiers does not automatically make data anonymous. A person may still be identifiable from combinations of details such as location, dates, job role, or unusual circumstances. The UK Information Commissioner’s Office says effective anonymisation depends on the techniques used and reducing identification risk to a sufficiently remote level. Its anonymisation guidance, published on 28 March 2025, is UK-focused and notes that it is under review following legislative changes. Consider the identification risk in the complete dataset rather than judging each field in isolation.
For example, changing a name to an ID may leave a distinctive combination of role, location, and date in place. Whether that combination can identify someone depends on the dataset and context; do not treat a simple name replacement as proof that identification risk is sufficiently remote. If you are unsure whether a proposed transformation is effective, ask the data owner or privacy/security team rather than relying on the word “de-identified.”
Check model use and file retention as separate questions
A model-improvement setting answers whether eligible content may be used to improve models; it does not, on its own, answer whether a conversation or file is stored, for how long, or where it is managed. Check both the service’s data-use rules and the file’s storage lifecycle. A training opt-out should not be read as a promise that the upload is never stored, and a temporary-chat option should not be read as a promise of immediate deletion.
ChatGPT consumer services
OpenAI’s consumer-service guidance says eligible content, including uploaded files, may be used to improve models when “Improve the model for everyone” is enabled. Turning that setting off affects new conversations; it does not delete saved chats. See OpenAI’s Data Controls FAQ and how OpenAI says consumer-service data is used to improve model performance for the applicable controls and terms.
Temporary Chat has different history and model-improvement behavior, but it is not a guarantee of zero retention. OpenAI says a copy may be kept for up to 30 days for safety purposes. File storage can also be separate: files may be saved in Library, and deleting a chat and deleting a separately saved file can be distinct actions. In practical terms, check the current data controls for the account you will use, then check the file’s storage and deletion rules separately. If you later want to remove an upload, do not assume that deleting the conversation also deletes a file saved separately in Library or changes any workspace retention policy. Follow the service’s current instructions for the relevant storage location.
Organizational Copilot is a distinct case
Microsoft says organizational Copilot prompts and responses are covered by enterprise data-protection terms and are not used to train foundation models. That statement applies to the organizational offer described in Microsoft’s enterprise data-protection documentation; it should not be generalized to every Microsoft consumer AI surface or to other chatbots. Verify which product and account you are using, and check the terms that apply to your organization.
This example illustrates why the product name alone is not enough to decide. Confirm that you are actually using the organizational offer covered by the documentation, rather than assuming that every AI feature from the same provider has identical terms. For any provider, consult the current terms for the specific plan, region, and workspace, and follow your organization’s approval process.
Use this final decision check
- Proceed only if approved: The service, account, purpose, and data are permitted by your organization’s rules and any applicable contract or law.
- Inspect a copy: You have checked hidden sheets and other non-obvious workbook content and removed anything that should not leave your organization.
- Minimize the upload: The file contains only what the task needs, and any de-identification accounts for combinations of fields that could identify people.
- Understand both lifecycles: You know the relevant model-improvement setting and the separate rules for chat and file retention.
- Stop if uncertain: Ask the data owner or privacy/security team before uploading restricted information or using an unapproved account.
Excel is the direct tool context for the workbook inspection step, but having Excel or a Microsoft 365 subscription does not make it safe or authorized to upload a sensitive file to a chatbot. The decision still turns on the contents, the exact AI service and account, and the governing rules.

Can I upload a spreadsheet to ChatGPT?
Only if the specific ChatGPT account and intended use are permitted for the spreadsheet’s contents under your organization’s rules and any applicable contract or law. Check the account’s data controls and file-retention rules, inspect a copy of the workbook, and remove information that is not needed. If the file is restricted or approval is unclear, ask the data owner or privacy/security team before uploading.

What information might be hidden in an Excel workbook?
Besides visible cells, a workbook may include hidden sheets, rows, or columns, comments, metadata, and content outside the visible range. Review all sheets and use Microsoft’s Document Inspector on a copy to help find particular types of hidden data and personal information. Inspection is not a certification that the remaining workbook is appropriate to share.
Will an AI chatbot use my uploaded spreadsheet to train its models?
It depends on the chatbot, account, plan, and settings. OpenAI says eligible content, including uploaded files, may be used to improve models in consumer services when “Improve the model for everyone” is enabled; turning it off affects new conversations. Organizational and business offerings may have different terms. Check the current rules for the exact service and account rather than assuming one provider-wide answer.
Does turning off model improvement mean the spreadsheet is never stored?
No. Model-improvement use and chat or file retention are separate questions. Check how long the conversation and uploaded file may be kept and whether the file has separate storage, such as a Library, or is governed by workspace retention rules.

Do not treat Temporary Chat as a promise of zero retention or assume it resolves every file-storage question. OpenAI says a copy may be retained for up to 30 days for safety purposes, and files saved in Library may have a separate lifecycle from a chat. Check the current Temporary Chat and file-storage guidance for the account you use.
Is replacing names with IDs enough to anonymize a spreadsheet?
Not necessarily. Combinations of remaining details—such as location, dates, job role, or unusual circumstances—may still identify a person. Assess the risk across the complete dataset; if you cannot tell whether the identification risk has been sufficiently reduced, ask your privacy/security team.

Before sharing a spreadsheet, verify that the exact chatbot account and task are approved, inspect a copy for hidden and identifying content, and send only what the task requires. Check model-improvement settings separately from chat and file retention.
