Before paying for a hotel through an online travel agency or booking app, confirm six things: who is selling and servicing the reservation, the complete amount due, the exact cancellation and refund rules, the property and room details, how you will prove the deal, and whether the company or offer shows warning signs. A low headline rate is not a reliable bargain if mandatory fees appear late, the room is not what you expected, or the hotel cannot find the reservation.
Use the offer’s own checkout page as the final authority for price and terms. Consumer protections and contract rules vary by country, while a reservation made through an intermediary may be governed by that intermediary’s conditions rather than the hotel’s usual walk-in policy.
Why a third-party hotel booking needs extra checking
A third-party website sits between you and the property. The site may collect your payment, issue the confirmation and handle changes, while the hotel supplies the room. In other arrangements, the hotel may be the actual seller and the site may only display or transmit the reservation. That distinction affects whom you contact when a flight is delayed, a room is unavailable, a date must change or a refund is requested.

The Federal Trade Commission (FTC) advises travelers to establish the seller’s identity, obtain cancellation and refund terms before paying, verify the offer and property, and retain confirmation details. Those are practical safeguards, not a guarantee that every booking will be trouble-free. The applicable law depends on your location, the property’s location and the contract you accept.

1. Identify who is taking the booking
Read the seller and servicing language
Look for wording such as “merchant of record,” “provided by,” “payable to,” or “customer service.” The legal company name, address, payment recipient and support contact may appear in the rate details, terms, receipt or final checkout screen. Save that information.
Ask yourself whether you are buying from the hotel, an online travel agency, a wholesaler or another intermediary. The answer can determine who can change dates, authorize a refund, correct a name, or resolve an overbooking. Do not assume that the hotel’s front desk controls a reservation purchased elsewhere. Check the specific offer’s instructions for amendments and cancellations.
Confirm the contact route before payment
- Record the booking site’s telephone, email or in-account support path.
- Note whether the offer says the hotel or the intermediary handles cancellation.
- Check the currency and entity that will appear on your card statement.
- Make sure the confirmation will include a reservation number and a property contact.
If the page gives only a generic form, hides the legal company name or redirects you through several unrelated domains, pause until you can identify the contracting party.
2. Compare the complete price, not the headline rate
Inspect the amount before the final payment click
Compare the total shown immediately before you authorize payment. Include the room charge, taxes, mandatory resort or destination fees, service charges, cleaning charges, booking fees and any other required amount. Check whether the displayed total covers the entire stay or is a nightly figure multiplied across several nights.
FTC guidance says known required lodging fees should be included in the price shown. Charges that cannot be calculated in advance should be disclosed before final payment. A 2020 European Commission accommodation-disclosure action reported improvements by major platforms in showing total prices with mandatory fees and charges. That report is a dated, EU-specific example; it is not a statement that every site or jurisdiction currently follows one identical display rule.

Separate mandatory and optional costs

Take a screenshot or save a PDF of the final price breakdown. If a fee appears only after payment, contact the seller promptly and keep a record of the response.
3. Read the exact cancellation and refund policy
Match the policy to the selected rate
Hotels often sell several rates for the same room. A flexible rate, prepaid rate and promotional rate can have different deadlines and penalties. Open the conditions attached to your exact dates, occupancy and room before entering payment details; do not rely on a general “free cancellation” label.

Confirm all of the following:
- The local date and time of the cancellation deadline, including the time zone.
- Whether cancellation is free until that deadline or incurs a percentage, one night or the full stay.
- Whether a no-show is treated differently from a cancellation.
- How to cancel: booking-site account, email, telephone or hotel contact.
- How a refund is issued, to which payment method and on what timetable the terms state.
- Whether changing dates creates a new rate or forfeits the original conditions.
The FTC recommends obtaining a copy of cancellation and refund policies before payment. The European Commission’s December 18, 2020 statement encouraged clearer access to cancellation practices as travel restrictions evolved. Neither source establishes a universal free-cancellation period for all hotel bookings. Your selected rate and applicable local rules control.
Check special circumstances without assuming an exception
Illness, transport disruption, government restrictions and emergencies may be handled under separate policies, insurance or discretionary waivers. Do not assume that one of these automatically creates a refund right. Ask the seller to identify the written clause that would apply and save the answer.
4. Verify the hotel, room and occupancy
Confirm the property is real and reachable
Check the hotel’s full name, street address, city, country and telephone number. Map the address independently and look for a functioning property listing, not just photographs on the booking page. FTC advice specifically recommends checking that an address exists and contacting the front desk when relevant to confirm location and details.

Call or message the property using contact information obtained independently when an offer is unusually cheap, the address is unclear, or the listing has conflicting details. Ask whether the property operates under that name and whether the room category and dates are plausible. A hotel may not be able to verify an intermediary reservation until it receives the booking, so treat a prepayment confirmation from the site as separate evidence.
Match the room to your actual needs
- Room category and bed configuration.
- Maximum occupancy and the ages of children counted under the policy.
- Accessible features, floor location or smoking status where relevant.
- Private or shared bathroom and whether the room is in the main building.
- Promised amenities such as air conditioning, kitchen facilities, internet, parking or breakfast.
- Check-in and checkout times, deposit, incidental hold and identification requirements.
“Room assigned at check-in,” “run of house” and similar wording can leave the exact room unspecified. If a feature matters, make sure it appears in the selected room’s inclusions rather than only in the hotel’s general description.
5. Research the company and watch for warning signs
Use independent checks
Search the company’s legal name and the hotel’s name with terms such as “complaint,” “scam,” “refund” or “contact.” Compare the address, telephone number and ownership information shown in several independent sources. Reviews can reveal recurring problems, but they do not replace the written rate conditions.
Stop when the offer uses pressure or secrecy
The FTC identifies pressure to decide immediately and failure to provide specific offer details as warning signs in travel offers. Be cautious when a countdown timer, phone representative or pop-up insists that payment must happen at once, especially if the cancellation terms, seller identity or total price remain unclear.
Be equally cautious about payment requests that are difficult to reverse or dispute, including wire transfers, gift cards or cryptocurrency. The FTC’s warning is general travel-scam guidance; apply it to the actual request and context. A legitimate-looking website can still present an unsuitable or fraudulent payment route.

6. Preserve proof of what you purchased
Save the confirmation page, email and downloadable receipt showing the property, dates, guests, room, rate, amenities, total and cancellation terms. Keep screenshots of pages that may change after booking and retain messages with the intermediary or hotel. Store the reservation number where you can access it offline.
The FTC advises bringing copies of confirmation details in case the hotel says the reservation is missing. At check-in, show the confirmation and ask the desk to verify the room type and payment status. If the property cannot locate the booking, contact the intermediary through the recorded support channel while keeping written notes of names, times and promised remedies.
How to compare two hotel offers
Place offers side by side only after selecting the same dates, occupancy and comparable room categories. Use these decision axes:

The cheapest displayed rate may be inferior if it is prepaid, excludes a required fee or offers no practical way to correct an error. Conversely, a higher rate may buy flexibility that matters for uncertain plans. Choose using the complete terms, not the search-result ranking.

- Open the rate details. Select the exact dates, guests and room, then expand every conditions, fees and inclusions panel.
- Identify the seller. Write down the legal company, payment recipient, support route and who handles changes.
- Recalculate the stay. Check nights, taxes, mandatory fees, currency and any amount payable at the property.
- Read cancellation conditions. Record the deadline, time zone, penalty, no-show rule and refund method.
- Verify the property. Check the address and contact details; contact the hotel independently if anything is inconsistent.
- Check room suitability. Confirm beds, occupancy, accessibility, amenities and check-in requirements.
- Evaluate pressure and payment. Stop if material details are missing or payment must use a hard-to-recover method.
- Save evidence. Capture the final page and download the confirmation before closing the browser.
- Recheck immediately. Ensure the confirmation matches the selected dates, guests, room and price; report discrepancies while cancellation options remain open.
What to do when something goes wrong
The hotel cannot find the reservation
Show the confirmation and reservation number, then ask the desk to search by guest name, dates and the intermediary’s reference. Contact the intermediary through its official support channel and state the remedy you need: honoring the room, arranging equivalent accommodation or explaining the refund process. Keep every message and receipt.

You need to change or cancel
Use the channel named in the rate conditions and act before the stated deadline. Request written confirmation that the action succeeded. If the seller and hotel give conflicting instructions, follow the contracting party’s written terms while asking both to clarify.
The final charge differs from the displayed total
Compare the card statement with the saved checkout breakdown. Ask the seller to identify each difference and whether it was disclosed before payment. If the response does not resolve the issue, use the dispute or consumer-protection options available through your card issuer and jurisdiction, keeping the documentation.
Jurisdiction and policy limits
Hotel cancellation rights are not uniform worldwide. The property may be governed by local accommodation rules, while the intermediary’s contract may specify another entity for billing or support. The FTC material is U.S. consumer advice, and the European Commission example concerns an EU disclosure engagement reported in 2020. Treat both as guidance for questions to ask, not as a promise of a particular refund or cancellation period.
For an expensive or complex trip, read the current terms supplied at checkout and consult the relevant consumer authority or legal adviser for your location. Prices, fees, policies and platform practices can change, so the record you save for this booking matters more than an old search result or generic policy page.
