For a full day at a tech conference, bring the items that get you through entry, keep your phone usable, support your preferred note-taking method, and make long periods of walking and standing comfortable. Start with your event’s current badge, bag, and venue rules: conferences do not share one universal packing standard.
At-a-glance packing list
| Item | Status | Decision to make before leaving |
|---|---|---|
| Ticket, QR code, registration confirmation, or badge-pickup details | Entry essential | Save it where you can reach it without a network connection. |
| Photo ID | Conditional entry essential | Carry it when the organizer requires identification for pickup or access. |
| Phone | Practical essential | Charge it fully and install or bookmark the event schedule if applicable. |
| Charging cable and wall charger | Strongly recommended | Match the cable to your phone and consider whether you will have an outlet. |
| Portable power bank | Optional backup | Use one when your day is long, your phone use will be heavy, or charging access is uncertain. |
| Notebook and pen, or another note-taking setup | Optional but useful | Choose the method you can use quickly during a session. |
| Refillable water bottle | Venue-dependent | Check whether bottles are permitted and whether refill stations are available. |
| Comfortable walking shoes | Schedule- and venue-dependent | Prioritize them when the convention center is large or sessions are spread out. |
| Compact day bag | Conditional | Confirm the event’s size, type, and security restrictions before choosing it. |
| Business card or digital contact-sharing method | Optional networking aid | Use whichever method fits your networking style; printed cards are not universally required. |
Handle entry requirements before packing anything else
Keep the credential easy to retrieve
Locate the event ticket, QR code, registration email, confirmation number, or badge-pickup instructions before you leave. Download or screenshot the details if the venue has unreliable mobile service. A credential that is buried in a large bag slows check-in and can become difficult to find at a security checkpoint.
Once you receive a badge, follow the organizer’s wearing instructions. USENIX explains that its conference badge is the credential for registered sessions and activities and advises attendees to wear it each day. That is a useful model, but each organizer controls its own access process.
Carry identification only when the event asks for it
Do not assume that every conference requires government identification. CES, for example, requires government-issued photo ID for onsite badge pickup. That is a CES rule, not a general conference standard. Read the latest registration and pickup instructions for your event and bring the specified form of ID if required.

Choose your bag after reading the current policy
Why a normal laptop bag may be a poor choice
Bag rules are set by the event, venue, security contractor, and sometimes the city or building. A bag that is acceptable at one conference can be refused at another. Check the official security page for maximum dimensions, the number of bags allowed, whether backpacks are permitted, and whether rolling luggage is prohibited. Also check whether bags are subject to inspection or a separate screening line.
CES illustrates how specific the restrictions can be
CES’s official safety and security guidance permits two small bags, each smaller than 12 inches by 17 inches by 6 inches. It does not accept rolling bags of any size and encourages attendees to leave luggage and large bags at their hotel. Use those measurements only when attending CES; they are not a universal technology-conference standard.
For any event, measure the packed bag rather than relying on a product’s advertised empty dimensions. Leave room for a light layer, printed handouts, or a water bottle only if those items are allowed. If the policy is unclear, contact the organizer before traveling instead of finding out at the entrance.

Keep your phone powered for schedules, maps, and contacts
Make the phone part of your entry plan
Your phone may hold the schedule, room changes, venue map, messages from colleagues, and contact details collected during the day. Charge it before leaving and sign in to the event app or web portal in advance. Save important information offline when possible, including the address, registration confirmation, and the day’s session times.

Pack charging equipment that matches your day
Bring the correct charging cable and a wall charger. A portable power bank is a sensible optional backup when you expect extensive phone use or cannot count on an outlet. ASBMB’s 2026 attendee tips specifically list chargers or a portable power bank.
Do not assume that a charging station will be nearby. CVPR 2026 says charging stations will be available in exhibit-hall and common areas, but that is an event-specific provision. If your conference publishes a charging map, note the locations and still carry your cable; a station without the right cable will not solve the problem.
Pick one note-taking method you can use immediately
Notebook and pen remain effective
A notebook and pen require no login, battery, or software update and work in rooms where device use is awkward. Texas A&M’s conference checklist includes them as practical supplies. Choose a small notebook that fits the permitted bag and a pen that will not leak when carried.
Digital notes are a choice, not a universal requirement
You can use a phone, tablet, or laptop if that is how you retain information, but the reviewed conference guidance does not establish a laptop as a universal attendee requirement. Consider battery life, keyboard noise, desk space, and whether you need to carry the device between rooms. A simple plan—session title, three key points, and follow-up action—helps whether your notes are on paper or on a screen.

Plan hydration around the venue
A refillable bottle can reduce trips to concession stands during a long day, but its usefulness depends on venue rules and facilities. CVPR 2026 encourages attendees to bring one and reports that water stations will be available throughout its convention center. Treat that as guidance for CVPR, not proof that every venue permits bottles or offers refills.
Check the event’s prohibited-items list and any security instructions before filling the bottle. If bottles are not allowed through screening, bring it empty only when the policy explicitly permits that approach; otherwise plan to use the venue’s approved water options.
Dress for walking, standing, and changing room temperatures
Footwear deserves more attention than formality
Conference days often combine exhibit halls, breakout rooms, queues, and receptions. CEATEC’s 2026 visitor guidance warns that its venue is large and involves a lot of walking, then recommends comfortable shoes. That supports choosing supportive footwear whenever your schedule or venue suggests substantial walking; it does not establish a distance or shoe requirement for every conference.
Use layers instead of guessing the temperature
Room temperatures can differ from corridors and outdoor transit. A light layer that fits inside your permitted bag is more adaptable than carrying a bulky coat. Check the event’s dress expectations, local weather, and whether an evening reception follows the daytime program. Avoid bringing a change of clothing unless your schedule genuinely requires it, because extra garments add bulk under strict bag limits.

Prepare for networking without overpacking
Networking can be handled with a printed business card, a digital contact card, a profile QR code, or a simple note in your phone. The available conference guidance does not show that printed cards are required. Decide how you will record a person’s name, organization, and the reason to follow up, then test that method before the first conversation.
If you use a QR code or contact-sharing app, make sure your profile is current and that your phone can display it without a data connection. Ask permission before adding someone to a mailing list or sending promotional material; exchanging contact details is not the same as granting marketing consent.

For a session-heavy day
Prioritize the credential, phone power, and your chosen notes. Read the room descriptions for seating, outlets, and device policies. A lighter bag is usually more comfortable when you will move between rooms repeatedly.

For an exhibit-heavy day
Expect more standing and possible handouts. Confirm whether the venue has a coat or luggage check and whether exhibitors provide bags that count toward the venue limit. Do not arrive with a rolling case expecting to store it at the door; CES, for example, rejects rolling bags of any size at its show venues.

For an evening event after sessions
Check the reception’s location, end time, and dress expectation before leaving your hotel. If you need a more formal layer or different shoes, verify that the daytime bag policy allows them rather than assuming you can return to your room between events.
Use a short packing process the night before
- Open the organizer’s latest attendee, security, and badge pages. Record the check-in location, required credential, photo-ID rule, bag dimensions, prohibited items, and venue hours.
- Charge your phone and any note-taking device. Download or screenshot the schedule, QR code, map, and emergency contact information.
- Put the charging cable and wall charger in the bag. Add a power bank only if it solves a real charging concern, and verify that it is allowed under the venue and travel rules.
- Test your note-taking method. Pack a notebook and pen, or confirm that your chosen device has enough storage, battery, and offline access.
- Check the walking route and weather. Select comfortable shoes and a layer that fits within the permitted bag.
- Measure the packed bag and remove anything that is prohibited, redundant, or unlikely to be used. Keep the credential and identification in an exterior pocket or another easily reachable place.
Troubleshoot common problems on the day
Your QR code will not load
Use the screenshot or downloaded copy you prepared. If you have neither, connect to the venue network or ask the registration desk to locate your record using the identification and registration details accepted by that event.
Your phone battery is falling quickly
Reduce screen brightness, enable a low-power mode, and close navigation or video apps when you are not using them. Move to an official charging area if one is provided. CVPR 2026’s charging stations are an example of such a facility, not a promise for other conferences.
Quick wins for a faster PC:
Scan for outdated or missing drivers - takes under a minuteDriver Scan →Repair Windows errors before they cause bigger problemsFix Now →Fix the driver behind crashes, sound loss and screen glitchesFind Drivers →Your bag is refused at security
Do not argue from another event’s policy. Ask whether the venue offers a bag check or a nearby storage option, then follow the current organizer rule. If no storage exists, you may need to return the item to your hotel or vehicle.
You cannot find a refill station
Ask an information desk where approved water facilities are located. If the venue does not permit your bottle or does not provide refills, use the available food-service or drinking-water options rather than bypassing screening rules.
What the available guidance does not establish
- There is no universal conference bag size, permitted bag type, or standard inventory.
- There is no general requirement that attendees bring a laptop.
- Charging stations are not guaranteed at every event.
- Refillable bottles are subject to venue rules and are not automatically accepted.
- No general statistic establishes how much attendees pack, how far they walk, or how often they use their devices.
Recheck the organizer’s information shortly before departure because security, room assignments, facilities, and access procedures can change. The safest full-day setup is therefore a small, policy-compliant bag containing your entry credential, phone-power solution, preferred notes, and only the comfort items your specific venue and schedule justify.
