Bring the laptop your project needs, its charger, the adapters and hardware your build requires, event-approved identification, and a phone charger. Add a team power strip only after checking what the venue supplies and permits. Water, layers, headphones, travel adapters, medication, and overnight items depend on the venue, schedule, and your own needs. The participant guide for your specific hackathon is the final authority.

Start with the event guide, not a generic packing list

Hackathons differ in equipment rules, power access, internet capacity, meals, check-in credentials, and whether anyone may stay overnight. A list that is correct for one event can create unnecessary baggage—or leave you without a required ID—at another. Read the latest participant guide and record its answers to these questions before you pack:

  • Is every participant expected to bring a laptop, or can people share devices?
  • What identification and registration evidence are accepted at check-in?
  • Does the organizer provide Wi-Fi, outlets, extension boxes, meals, desks, monitors, or other equipment?
  • Are extension cords, power strips, cooking devices, or other hardware restricted?
  • Is overnight attendance allowed, and if so, what bedding or personal items are required?
  • Which datasets, API credentials, software versions, or physical components must be ready before arrival?

Use the guide’s date and contact information, because venue arrangements can change after an older checklist was published. The event-specific examples below illustrate the range of policies; they are not universal requirements.

The core bag: items most participants should plan for

Item Why it matters Check before packing
Laptop Your development environment, files, credentials, and testing tools travel with you. Confirm whether the event requires one person per laptop, permits shared machines, or supplies computers. GovHack, for example, notes that not everyone needs a laptop.
Laptop charger A full battery rarely lasts through a long build, demo preparation, and judging. Pack the charger that matches your exact laptop and verify that its cable is intact.
Project adapters and components Displays, boards, sensors, cameras, storage devices, and other peripherals may use ports your laptop does not have. Make a port-and-connector list from the actual prototype, then check the venue’s hardware rules.
Phone and charging cable Your phone may be needed for registration, team communication, two-factor authentication, and schedule updates. Bring a cable that fits your phone and a wall or USB charger. Several event guides explicitly list phone charging equipment.
Required identification Check-in staff may use it to verify registration, student status, or access permissions. Bring exactly the documents named by the organizer, such as a college ID, government-issued photo ID, or registration confirmation.

Keep identification and registration evidence in an easy-to-reach pocket rather than buried under cables. A digital copy can help if the organizer accepts it, but carry the physical form when the guide specifies one.

Choose the right laptop and prepare it before leaving

Match the machine to the project

Use the computer on which you can build, test, and present without downloading a large toolchain during the event. Confirm available storage, memory, operating-system support, graphics capability, and the ports required by your team’s plan. If your project uses a microcontroller, camera, mobile device, or external display, connect and test each item at home.

Do not assume a generic USB-C hub, HDMI adapter, power supply, or charging cable will work. Connector shape is only one part of compatibility: the laptop may require a particular video standard, power-delivery profile, driver, or data speed. Label adapters that look alike and carry a spare only when your project actually depends on that connection.

Install and test the software stack

Before travel, update the development tools your team intends to use, then run a clean build and a short end-to-end test. Confirm that required SDKs, compilers, containers, device drivers, datasets, and API clients work while you are offline. Save installers or package caches when the license permits, because crowded event Wi-Fi can make a fresh setup slow.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Back up the project to a version-controlled remote and to local storage that is available without internet access. Keep secrets out of public repositories and shared documents. Store API credentials in the team’s agreed secret manager or an environment file excluded from version control; never leave keys visible on a public screen or in a presentation repository.

Charge and protect the machine

Charge the laptop fully, inspect the charger for fraying, and pack it in the same compartment as the computer so it is not forgotten. A protective sleeve reduces damage when you move between work areas. If your team will use a shared computer, agree in advance which accounts, permissions, and backup procedures apply.

Project hardware: pack for the build you actually intend to demo

Write down every physical connection in the prototype: laptop-to-board, board-to-sensor, camera-to-USB, display-to-video, and power-to-device. Then pack the corresponding cables, adapters, batteries, mounting pieces, and small tools permitted by the venue. Event checklists commonly call this “necessary equipment,” “project hardware,” or “components,” but they do not define one universal kit.

  • Prototype electronics: boards, sensors, actuators, breadboards, jumper wires, and the correct power supplies.
  • Input and output devices: cameras, microphones, controllers, displays, speakers, or test phones required for the demo.
  • Storage and transfer: external drives or memory cards containing non-sensitive assets and recovery copies.
  • Small repair items: approved tape, cable ties, spare connectors, and a compact screwdriver set when the organizer permits them.
  • Labels: your name or team identifier on easily misplaced chargers, hubs, and components.

Do not buy a generic adapter bundle “just in case.” Start with your team’s port map and the participant guide. If a component is expensive, fragile, or restricted, ask the organizer whether a loaner or shared lab supply is available and how it may be used.

Power planning: when to bring a strip or extension box

Power access is venue-specific. IEEE IGNITE’s 2026 rulebook recommends that each team bring an extension cord or power strip, while Parallax’s 2026 guidelines say an extension box is provided for each team and suggest an additional mini box when more outlets are needed. These examples show why you should confirm the provision rather than assume either policy.

Situation Practical choice
The guide says each team must provide extra outlets Bring a venue-approved power strip or extension box sized for your team’s devices.
The venue supplies one extension box per team Bring an additional compact unit only if the rules permit it and your outlet count requires one.
The guide does not mention extra power equipment Ask the organizer about outlet locations, permitted strips, and electrical limits before buying or packing anything.

Count real devices rather than estimating: laptops, monitors, chargers, boards, phones, and any powered demo equipment. Keep high-draw appliances out of a shared strip unless the venue expressly allows them. Never daisy-chain strips or run a cable across a walkway; follow the venue’s safety instructions and keep access routes clear.

Identification, registration, and check-in essentials

Put the documents named by your event in a waterproof sleeve. The 2026 IEEE IGNITE checklist includes a student ID and government-issued photo ID; Parallax, Global SDG + AI, and other event guides specify their own combinations. UN Tech Over likewise lists government ID. A college card is not automatically a substitute for government identification, and a screenshot is not automatically accepted as registration evidence.

Save the venue address, check-in window, organizer phone number, team name, and emergency contact where you can reach them without a network connection. A printed page is useful when a phone battery is low or cellular service is congested. Keep any accessibility, dietary, or medical information you need available to the appropriate event staff.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Phone, connectivity, and account access

Bring the phone, charging cable, and charger named in the event checklist. Your phone may receive a one-time login code, display a QR registration pass, or serve as a test device. Turn on a secure screen lock and avoid storing credentials in plain text.

Save essential schedules, maps, and team contacts for offline use. GovHack warns that Wi-Fi may slow during peak periods, so do not make a last-minute dependency on a large download or a cloud-only file. If your project needs an external API, test the account and quota before arrival and prepare a low-connectivity fallback such as cached sample data. Ask before using a personal hotspot: some venues restrict it, and sustained tethering can exhaust your phone battery or data allowance.

Clothing, food, and comfort items

Water and layers

A reusable water bottle is listed by CloudFest and the Qiskit World of Quantum guide. Bring one that complies with venue rules and has a secure lid. Comfortable clothing and layers help when a room alternates between crowded warmth and strong air conditioning; CloudFest specifically recommends both. Choose shoes suitable for walking between rooms and standing during demos.

Focus and sensory comfort

CloudFest lists earplugs or noise-canceling headphones as optional items for concentration or sensory comfort. They can help during a busy build session, but keep one ear available for safety announcements and team communication when required. Check whether the venue permits audio equipment during judging or workshops.

Medication and personal essentials

Pack medication, glasses, hygiene items, and any other essentials you personally need. The Global SDG + AI Hackathon explicitly includes medicines and personal essentials. Keep medication in its original container when practical and follow the event’s safety and storage rules. Do not rely on an organizer to stock a particular medicine or personal product.

Travel adapters and overnight gear are conditional

Bring a travel power adapter only when the event’s region uses a different plug standard from your equipment. CloudFest and the Qiskit guide both make this conditional. Verify the voltage and frequency requirements printed on your charger; a plug-shape adapter does not convert voltage.

Overnight items belong in your bag only when overnight attendance is allowed and you intend to stay. The Qiskit guide describes bedding and toiletries conditionally. Other events may close the venue, prohibit sleeping there, or provide different arrangements. Confirm the rule, then pack only what the organizer permits: sleepwear, toiletries, a small towel, medication, and any approved bedding. Plan a safe route and backup accommodation if the event ends after public transport stops.

What different 2026 event guides illustrate

Event guide Items or provisions it identifies What to learn from it
IEEE IGNITE Hackathon 2026 Student ID, government-issued photo ID, laptop and charger, and a team extension cord or power strip. Some events expect teams to supply extra power and may require more than one form of identification.
Parallax 2026 Personal laptop, charger, project hardware, and an extension box if available; internet and one extension box per team are provided. Organizer-provided equipment can make duplicate packing unnecessary, but extra outlets may still require permission and planning.
CloudFest Hackathon 2026 Laptop and charger, travel adapter if needed, comfortable layers, optional earplugs or noise-canceling headphones, business cards, and a reusable bottle. Comfort and networking items may appear alongside technical essentials, and travel adapters depend on location.
Global SDG + AI Hackathon 2026 Laptop, charger, adapters, valid college ID, approved datasets, API credentials, medicines, and personal essentials; Wi-Fi and shared power are provided. Data access and account preparation can be as important as physical cables, even when basic infrastructure is supplied.
Qiskit Hackathon World of Quantum Laptop and charger, phone charger, regional adapter if needed, notebook and pen, clothing, jacket, reusable bottle, and conditional overnight items. Paper notes, weather layers, and overnight gear depend on the schedule and stay arrangements.
GovHack Not everyone needs a laptop; adapters, power cables, and a phone with charger are suggested. Wi-Fi may slow at peak periods, and food depends on event type. Confirm shared-device expectations, network limits, and meal arrangements instead of assuming a standard conference setup.
UN Tech Over Hackathon Government ID, laptop and chargers, an extension cord if necessary, and necessary equipment. Identification and project-specific equipment remain recurring check-in priorities.

A reliable packing process the day before

  1. Copy the requirements into a personal checklist. Separate “required,” “project-dependent,” and “optional comfort” items so optional gear does not crowd out your ID or charger.
  2. Run a full project rehearsal. Start from a clean boot, connect every peripheral, load the dataset, call the API, and perform the demo path without relying on a hidden home-network service.
  3. Verify every connection. Match each cable and adapter to the laptop, board, display, or phone it serves. Mark one end when both connectors look similar.
  4. Prepare offline access. Download approved datasets and installers, export the schedule and map, and keep a local copy of the latest code and presentation.
  5. Protect accounts. Confirm two-factor authentication, recovery methods, and team permissions. Remove secrets from sample code and public repositories.
  6. Charge everything. Charge the laptop, phone, power banks if permitted, and test devices. Pack their chargers immediately after charging.
  7. Confirm venue logistics. Recheck the latest guide for check-in time, ID rules, meals, Wi-Fi, power, hardware restrictions, and overnight permission. Contact the organizer when an answer affects safety or a required item.
  8. Pack by retrieval order. Put ID, registration proof, phone, and charger where you can reach them at the entrance; put fragile prototype parts in protective containers; keep cables grouped and labeled.

Common packing mistakes and how to recover

You arrive without the right adapter

Tell the team before setup, identify which demo step depends on the missing connection, and ask the organizer whether a shared adapter or compatible display is available. Do not force a connector or install an unverified driver on the presentation machine minutes before judging. If necessary, switch to a recorded or simulated output that your team prepared honestly as a fallback.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

The venue has fewer outlets than expected

Consolidate chargers, unplug equipment that is not in active use, and ask staff where additional approved power is available. Never overload a strip, daisy-chain extension boxes, or run cables through a walkway. A team power strip helps only when the venue permits it and the electrical layout supports it.

Wi-Fi is slow or unavailable

Use the local code, cached datasets, and offline documentation prepared before the event. Coordinate one person to download essential files when the network improves rather than having every teammate repeat the same request. A phone hotspot is a last resort subject to venue and data-plan rules.

Your battery is nearly empty

Move to an approved outlet, reduce screen brightness and unnecessary background processes, and prioritize the machine running the build or demo. Keep the phone for check-in and emergency communication rather than using it as a continuous hotspot. If the event provides shared power, ask staff for the designated charging area.

A required credential or dataset is missing

Contact the organizer or project sponsor promptly; do not substitute an unapproved dataset or expose a private key. Build against a small, locally stored sample while access is restored, and document the limitation in the demo so judges understand what was tested.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

You discover that laptops are optional

Follow the event’s actual collaboration model. GovHack’s guidance shows that not every participant needs a laptop. If you are not bringing one, carry the phone, ID, charger, and any project hardware assigned to you, and agree in advance how you will review code, sign in to accounts, and present with the team’s shared machine.

Printable final check

  • Laptop suitable for the project, with its matching charger.
  • Adapters, cables, peripherals, and components proven in a full rehearsal.
  • Phone, charging cable, and charger.
  • Required college, student, or government ID and registration evidence.
  • Approved power strip or extension box only when the guide permits or requires it.
  • Datasets, API credentials, development tools, backups, and offline copies ready.
  • Water bottle, comfortable layers, and optional headphones or earplugs as appropriate.
  • Travel plug adapter only for a different regional standard.
  • Medication and personal essentials.
  • Overnight items only after confirming that staying is allowed.
  • Offline schedule, venue address, organizer contact, and emergency details.

If an item does not support your project, check-in, safety, health, or comfort, leave it out. A lighter, tested setup is more useful than a bag of unverified “just in case” accessories.
