The right colocation provider is the one that can prove its facility, operating practices, connectivity, security scope, service commitments, and commercial terms match your workload. Start with your own requirements, give every candidate the same questions, and request evidence for every answer that affects availability, compliance, cost, or the ability to grow.

Use the questions below in an RFP, technical review, site visit, and contract negotiation. A polished sales presentation is not a substitute for facility-specific certificates, diagrams, procedures, service-level language, and capacity commitments.

Start with a written workload and risk profile

Before contacting providers, describe what you are placing in the facility and what failure would mean to the business. Without this baseline, providers can quote different assumptions and make an apples-to-apples comparison impossible.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Define the workload

  • What equipment will be installed initially, including rack count, cabinet dimensions, weight, voltage, plug types, and expected heat output?
  • What power draw is required per rack at launch, at normal operation, and at peak load? State whether figures are measured or estimated and whether power is billed as metered consumption, a committed allocation, or both.
  • What deployment date, installation sequence, maintenance windows, and migration dependencies apply?
  • Which applications require synchronous redundancy, and which can tolerate a restart or delayed recovery?

Set location and continuity constraints

  • What latency targets and network destinations matter to users, offices, clouds, exchanges, or partner systems?
  • Does the proposed metropolitan area satisfy data-residency, sovereignty, disaster-recovery, and geographic-separation requirements?
  • Which hazards must be considered at the exact site, such as flood, wildfire, severe weather, seismic activity, utility disruption, or neighboring industrial risk?
  • How far apart must primary and recovery facilities be, and can the provider support that separation without introducing a common network or utility dependency?

Record governance and ownership

  • Which legal, regulatory, contractual, audit, and customer obligations apply to the workload and to the physical facility?
  • Which tasks remain yours: equipment ownership, operating-system patching, backups, encryption, key management, monitoring, incident reporting, and disposal?
  • What support do you need from the provider, such as receiving, racking, cabling, remote hands, replacement parts, escorting visitors, or emergency intervention?

Turn these answers into a requirements sheet with measurable pass/fail criteria. A provider should not be able to satisfy “high availability” with a generic description; you should be able to state the required topology, response time, evidence, and remedy.

Ask which exact facility will host you

A company may operate several buildings with different utilities, carriers, certifications, and available capacity. Ask for the street address or facility identifier for the proposed deployment, not just a regional coverage map. Confirm that every certificate, diagram, SLA, and capacity statement applies to that building and service.

Confirm space, power, and cooling fit

  • What contiguous rack space is available now, and what adjacent space can be reserved for expansion?
  • What is the usable power per rack, total power available to the suite, and remaining headroom after diversity and redundancy rules are applied?
  • Which cooling design serves the space, and what rack densities, inlet temperatures, humidity ranges, and airflow arrangements are supported?
  • Are high-density cabinets, liquid-cooled equipment, or unusual floor loads permitted? If so, what engineering review, fees, and lead time apply?
  • How are power, temperature, humidity, and capacity monitored, and will you receive the underlying readings or only an alert?

Ask about constraints and reservations

Request the provider’s current capacity-management method. Ask how much power, cooling, and space is committed to existing customers; how much is physically installed but unused; what expansion projects are funded; and what event would trigger a capacity freeze. Clarify whether a reservation is contractual or merely an estimate that can be reallocated.

Test resilience instead of accepting a tier label

Resilience is a combination of design, equipment, maintenance, operating procedures, staffing, and available capacity. Ask what happens during a component failure and during planned work, then request diagrams and records that support the answer.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Power and mechanical questions

  • What are the utility feeds, generators, uninterruptible power systems, switchgear, cooling plants, and distribution paths?
  • Which components are redundant, and at what level: component, system, room, or building?
  • Can a single failure, breaker operation, fuel issue, control-system fault, or maintenance activity interrupt the customer load?
  • How are generator fuel, battery condition, spare parts, and replacement time managed?
  • What tests are performed on critical systems, how often, under what load, and what was the outcome of the most recent test relevant to this facility?

Examine maintenance and failure behavior

Ask for the planned-maintenance process, approval authority, notification periods, and method for tracking overdue or deferred work. A resilient design can be undermined by an unrecorded maintenance backlog or by a procedure that requires taking redundant equipment offline at the same time.

For each important subsystem, ask the provider to walk through three scenarios: an unplanned component failure, a planned maintenance event, and a loss of a utility feed. Identify the detection method, automatic and manual actions, customer notification, escalation owner, expected service impact, and post-event review.

Verify certification scope

Uptime Institute describes Tier certification as verification that its Tier Standard has been applied at design, constructed-facility, and operational stages. Ask for the current certificate for the exact building and confirm which stage it covers, its issue and expiry dates, and any stated scope or exclusions. A design document certification does not by itself prove that the finished facility or its day-to-day operation has been certified.

Ask what other independent assessments cover electrical and mechanical systems, operations, site location, physical security, maintenance, and capacity management. Treat each document as evidence of a defined scope, not as a universal guarantee of uptime or security.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Inspect operations, staffing, and incident discipline

Operational execution determines whether a good design remains available. Uptime Institute’s management and operations criteria emphasize maintenance tracking, staffing, training, monitoring, capacity practices, and vendor contracts. Use those topics as interview questions and evidence requests.

People and coverage

  • How many qualified staff are on site during normal hours, overnight, weekends, and holidays?
  • Which functions are performed by employees, contractors, or a third-party facilities-management company?
  • Who has authority to operate electrical and mechanical systems during an emergency, and who is the senior escalation contact?
  • What training, competency checks, background screening, and vendor-qualification rules apply to people maintaining critical infrastructure?

Monitoring and response

  • Which systems are monitored continuously, by whom, and with what alarm escalation path?
  • How are incidents classified, communicated, documented, and closed? Will you receive a root-cause report and corrective-action plan?
  • How are capacity trends, alarms, environmental excursions, and repeat failures reviewed before they become service-impacting events?
  • How are third-party maintenance providers governed, and do their contracts specify scope, qualifications, insurance, response times, and reporting?

Request sample redacted maintenance records, test calendars, incident reports, and escalation charts when permitted. The goal is to verify that procedures are used and that unresolved issues have an owner and a due date.

Evaluate physical security and compliance evidence

Ask how the building protects equipment and records, but keep the scope of every assurance document precise. A facility attestation may address physical controls while your servers, applications, identities, and data processes remain your responsibility.

Physical access questions

  • What perimeter, lobby, mantrap, badge, biometric, cage, cabinet, visitor, and escort controls apply?
  • How are access rights approved, reviewed, revoked, and logged? How long are video and badge records retained, and can they be produced for an investigation?
  • Are loading docks, staging areas, media-storage areas, and shared corridors covered by the same controls as the data hall?
  • How are customer-owned parts, failed drives, and equipment awaiting disposal identified and protected?

Read attestations by scope

Ask which reports or certifications cover the specific building, purchased service, and reporting period. Request the control boundaries, exceptions, complementary customer responsibilities, and any subservice organizations. Datum’s colocation compliance guidance highlights due diligence, contractual controls, ongoing monitoring, and review of SLA measurement and exclusions.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

ISO 9001 and ISO 14001 can provide evidence about quality-management and environmental-management systems, respectively; they are complementary and are not direct proof that a facility’s data-security controls meet your obligations. Map each requirement in your compliance program to an applicable control and identify what evidence you must supply yourself.

Prove network diversity and connectivity

Carrier choice and route diversity are site-specific. Ask about the exact facility, entrance paths, meet-me rooms, and service you will buy rather than relying on a provider-wide statement that it is “carrier neutral.”

Questions for the network design

  • Which carriers, internet exchanges, private-network providers, and cloud-connectivity options are physically present in this building?
  • Can you order two circuits that use different carriers, building entrances, risers, meet-me rooms, and upstream routes?
  • Where do the paths share conduit, street crossings, utility poles, provider rooms, or a common last-mile contractor?
  • What routing, BGP, cross-connect, and demarcation options are available, and who owns troubleshooting at each boundary?
  • What are the lead times, installation charges, recurring fees, port speeds, change controls, and cancellation terms for cross-connects?

Request a route-diversity diagram for the specific service and have your network team validate it. Two circuits marketed as redundant may still fail together if they enter through one duct or terminate in one room.

Define support and remote-hands service

Colocation contracts differ substantially in what the provider will do for equipment that you own. Put operational tasks and response times in writing.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Clarify included work

  • Is receiving, inventory, uncrating, racking, cabling, labeling, console access, rebooting, and hardware replacement included or billed separately?
  • Can staff install customer-supplied parts, and what approvals, tooling, antistatic controls, and chain-of-custody records apply?
  • What emergency assistance is available outside staffed hours, and can you authorize work through a preapproved runbook?
  • How are visitors scheduled, verified, escorted, and charged when access is urgent?

Make response contractual

Separate acknowledgement, arrival, diagnosis, workaround, and resolution targets. Define the clock: does it run continuously, only during support hours, or after the provider has received complete information? Ask for severity levels, escalation contacts, status-update intervals, and credits or other remedies when response obligations are missed.

Read the SLA and contract line by line

Never infer the service promise from a brochure. Compare the actual agreement, order form, service description, acceptable-use rules, and incorporated policies.

SLA measurement

  • How is availability calculated: per cabinet, power feed, circuit, cross-connect, environmental condition, or complete service?
  • What measurement points, sampling intervals, maintenance windows, and aggregation periods are used?
  • Which exclusions apply for customer equipment, carrier faults, scheduled work, force majeure, security events, or failures in a dependency?
  • What notice, claim deadline, evidence, and remedy process applies? Are remedies service credits only, and are they the exclusive remedy?

Commercial and exit terms

  • What is the initial term, renewal mechanism, notice period, and right to terminate for repeated service failure or material breach?
  • How can prices change, including power, cross-connect, remote-hands, access, taxes, and pass-through charges?
  • Is there a minimum power or space commitment, and what happens if actual consumption is lower or higher?
  • How are expansion, relocation, temporary capacity, and a second site priced and prioritized?
  • What assistance, fees, data export, asset removal, media sanitization, and access rules apply when you leave?

Have legal and technical reviewers mark every undefined term, incorporated document, and unilateral change right. Ask the provider to attach facility-specific schedules and current evidence rather than promising to provide them after signature.

Build a comparable provider scorecard

Send the same requirements and evidence list to every candidate. Score documented facts separately from verbal assurances, and record the date and facility for each answer.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
Comparison dimension Evidence to request Decision question
Location and workload fit Facility address, latency data, hazard information, residency statement, available rack and power schedule Does this exact site meet operational and continuity constraints?
Power, cooling, and resilience Topology diagrams, maintenance policy, test records, capacity report, failure scenarios Can the load remain supported during failure and planned work?
Certification and audit scope Current facility certificates, reports, scope, exceptions, customer responsibilities Does the evidence cover the building, service, and period we must defend?
Connectivity Carrier list, entrance and route diagrams, cross-connect terms, lead times Can independent paths survive a shared physical failure?
Security and compliance Access policy, retention periods, attestations, incident process, disposal controls Which controls are proven, and which remain our responsibility?
Operations and support Staffing model, training requirements, escalation chart, remote-hands catalog and SLA Will qualified help be available within the required response time?
Contract flexibility SLA, exclusions, remedies, term, price-adjustment, expansion, and exit clauses Can we grow, reduce, or leave without an unplanned liability?
Total cost One-time charges, recurring charges, power model, taxes, support rates, expansion assumptions What will the committed design cost under expected and peak use?

Weight these dimensions according to business impact. A latency-sensitive trading workload, a regulated archive, and a rapidly scaling web platform should not use the same priorities. Do not assign a universal score merely because a provider has a familiar certification or a lower headline price.

Use a disciplined diligence sequence

  1. Document requirements. Freeze the workload, location, capacity, network, security, compliance, recovery, support, and growth assumptions that will be used for every quote.
  2. Issue a structured RFP. Require facility-specific answers, supporting documents, assumptions, one-time fees, recurring fees, and contract redlines in the same format.
  3. Challenge the evidence. Check certificate scope and dates, reconcile diagrams with the proposed service, and ask for explanations of exceptions, deferred work, and capacity limits.
  4. Run technical workshops. Walk through component failure, maintenance, utility loss, carrier loss, physical-access emergency, and remote-hands scenarios with named participants.
  5. Visit the site. Verify loading, staging, access control, data-hall layout, cable routes, generator and cooling arrangements, monitoring displays, and separation of redundant paths where disclosure permits.
  6. Score and negotiate. Record unresolved risks, assign owners, convert important answers into order-form or SLA language, and reject assumptions that are not contractual.
  7. Revalidate before signing. Confirm current capacity, certification status, carrier availability, pricing, implementation dates, and all referenced policies immediately before execution.

Red flags that require a pause

  • The provider will not identify the exact facility or says a certificate applies “across the network” without a building-level scope.
  • Redundancy is described with terms such as “N+1” but no explanation of the protected load, shared paths, maintenance behavior, or failure outcome.
  • Carrier diversity is asserted without entrance, conduit, meet-me-room, or upstream-route evidence.
  • Capacity is “available” but no reservation, expansion trigger, power commitment, or delivery date is documented.
  • Support promises use targets that are absent from the SLA or do not define the start and stop of the response clock.
  • Compliance documents omit scope, exceptions, reporting period, subservice providers, or customer responsibilities.
  • The contract permits broad price changes, unilateral policy changes, or expensive exit work without a defined schedule.

When an answer cannot be verified, record it as an open risk rather than treating silence as compliance. Select the provider whose documented design and contract fit your requirements, not the one with the broadest marketing vocabulary.

Product prices and availability are accurate as of the date/time indicated and are subject to change. Any price and availability information displayed on Amazon at the time of purchase will apply.
