Choose a ticketing and access-control integration by testing whether it can reliably recognize the venue’s actual credentials, keep each reader’s ticket data current, apply the venue’s entry and re-entry rules, and recover safely from network failures. An API connection or a successful demonstration is not enough: the integration must work with the venue’s scanners, gates, operating policies, expected queues, and event-day support arrangements.

Start with the venue’s operating requirements

Before comparing systems, document what the venue needs to admit and what staff must be able to see. Include event schedules, reserved seating and general admission, ticket delivery methods, entry and exit patterns, re-entry rules, expected attendance, entrance layout, and existing gates or handheld readers. Include season passes and tickets issued through other channels where applicable.

Identify the system of record for each important data type: venue and event configuration, seat maps or manifests, ticket identifiers and status, and scan records. Establish which system creates or changes each item, how the other system learns about the change, and what happens if an update is missing, duplicated, delayed, or received out of order. These decisions matter because an integration is an operational path for ticket state, not simply a connection between two products.

Venue requirements vary. The Monument’s December 2023 request for proposals (RFP), for example, asks vendors about data ownership, sales channels, ticket delivery, scan status, barcode operations, and scalability. Treat those as useful procurement prompts, not rules that every venue must adopt identically.

Prove that the readers recognize real tickets

Ask both vendors to demonstrate every credential type the venue actually uses on the proposed reader model. Test printed and mobile tickets, QR codes and other barcodes, season passes, and NFC or RFID credentials if they are in scope. Include third-party-issued tickets if the venue accepts them. A format listed as supported is not proof that a particular ticket will scan under the venue’s conditions.

Ticketmaster’s partner integration specification says access-control equipment in that integration must read at least one of Code 39, Code 128, or QR. That is a requirement for the documented Ticketmaster integration, not a universal list of formats for all ticketing platforms. Venue Manager documentation describes tokens that include barcodes and NFC UIDs; that product example likewise does not establish that other systems support both. Confirm the actual barcode symbology, payload rules, and any rotating or static code behavior with the relevant vendors.

Test with the real hardware and credential media in realistic conditions: phone screens at different brightness levels, printed tickets, entrance lighting, the network conditions at the gate, and the device firmware and configuration intended for the event. Confirm whether the access-control vendor requires approved hardware, a particular SDK, or certification. A handheld 2D barcode scanner may be a suitable peripheral in some setups, but it is not automatically compatible with a venue’s access-control stack; some systems require integrated or proprietary readers.

Map how ticket changes reach each gate

Ask how the integration receives the initial set of valid and invalid tickets, and how it handles later sales, cancellations, transfers, refunds where relevant, revocations, reprints, and replacement tickets. For each change, agree on a maximum acceptable delay before every gate device applies it. “Real time” is not sufficiently precise unless both parties define what it means and can demonstrate the agreed behavior.

Find out whether readers consult a central service at scan time, use a local list or cache, or switch between those modes depending on connectivity. Each approach has different consequences: a central check depends on the live service and network, while local decisions depend on the completeness and freshness of the device’s data. Ask how lists or messages are timestamped or versioned, whether updates are authenticated, and how missing or duplicate updates are handled.

SECUTIX’s documented access-control flow periodically exports whitelists and blacklists to gate devices, then imports scan results. Its documentation describes increasing polling frequency near event day and supports live reporting or after-event batches. The same documentation marks newer endpoints as under development and says the current APIs provide the same general flow using different transport and message formats. Treat this as a vendor-specific example; for any proposed system, confirm which interface is available now, its update cadence, and its version and support status.

Ticketmaster’s 3rd Party Integration API is a vendor-specific example of a REST interface using JSON over HTTPS with OAuth 2.0. Verify the current endpoint version, authentication requirements, access process, and commercial terms directly with each vendor rather than assuming those details apply across products.

Test the full ticket lifecycle and admission policy

Write down what should happen to a ticket as it moves from sale to scan and, if needed, transfer, cancellation, reissue, entry, or exit. Then test those cases end to end. Include these venue decisions:

  • Whether a valid ticket is single-use or permits re-entry, and which entrance or staff action records a permitted exit.
  • Whether a transferred, cancelled, refunded, voided, reprinted, or reissued ticket remains scannable, and how quickly the old credential stops working.
  • What the device displays for a duplicate scan, a ticket assigned to a different seat or zone, or a ticket that is not valid for that event.
  • What happens when the same ticket is presented at two gates at nearly the same time.

Ticketmaster Presence documents one specific policy: the first valid entry marks a ticket ENTERED, and a subsequent external entry is denied, while exit and internal-scan behavior follow separate rules. The venue must check whether those rules match its actual re-entry and movement policies rather than assuming a default state machine will fit.

Ask what scan outcome data is returned to ticketing and reporting systems. Where supported, confirm whether records include the outcome and reason, direction, timestamp, event, gate, and device identity. The Monument’s 2023 RFP also asks whether original barcodes can be invalidated and new ones issued, and whether externally generated barcodes can be imported. These are worth raising when they match the venue’s sales and ticketing arrangements.

Decide what happens when the network is unavailable

Offline operation should be an explicit operating mode, not an undocumented fallback. For every entrance, decide whether staff should continue admission using cached ticket data, stop admission, use a controlled manual exception process, or follow another defined procedure. Ask how fresh cached data must be, how often it refreshes, what staff see when a scan cannot be checked, and how the device protects its stored data.

What’s actually slowing this PC down?

Pick the symptom - the matching free tool is one click away.

Test more than loss of the internet connection. Include a ticketing API outage, a local network partition, a scanner restart, a depleted battery, and restoration of connectivity. Verify whether scans are retained and uploaded after reconnection, how conflicting records are resolved, and whether the device records the original event details rather than merely the upload time.

Ticketmaster Presence says an offline scanner should validate the barcode internally and save the scan; its documentation also describes uploading offline scans after service returns with the original scan time and device ID. Venue Manager describes a different design in which devices receive a complete dataset and decide locally whether to grant or deny access without querying the server for every scan. These are product-specific examples, not interchangeable guarantees. In either design, test concurrent offline admissions: determine how the system prevents separate devices from admitting the same single-use ticket and how it reconciles a conflict after they reconnect.

Check security, privacy, and data responsibility

Ask the vendors to document transport encryption, authentication, credential storage and rotation, device access controls, audit logging, and how a compromised device or credential can be revoked. Confirm who is responsible for each control and who acts when an integration credential must be rotated during an event period.

Establish what personal data is sent to readers, how long it remains on them, and what information staff can see in scan outcomes. Keep device-visible ticket data limited to what admission operations require. Have the vendors confirm their current security documentation and contractual responsibilities; requirements can depend on the system and jurisdiction, so do not treat one vendor’s implementation as a universal legal standard or certification.

Require a representative test before production

Ask for development or sandbox access and a pre-production environment where staff can run realistic acceptance tests. Ticketmaster’s integration specification describes development, integration, pre-production, and production environments, with pre-production intended to support user acceptance testing. It also describes a 24×7 on-call expectation for its partner model. Those are terms of that documented partner arrangement, not a general industry service-level promise.

Build the test around the venue’s operating risks, not just a successful scan. Include test events, seating and general-admission cases, each credential type, late sales, cancellations, transfers, voids and reissues, duplicate scans, re-entry and exits, offline admissions, and recovery after reconnection. Use the proposed scanner models and, where possible, entrance and network conditions representative of the venue.

Agree measurable acceptance criteria before the test. They should cover credential recognition, the maximum permitted ticket-state propagation delay, scan response and queue behavior at the venue’s expected scale, correct duplicate and entry/exit decisions, accurate reporting, offline reconciliation, and recovery when a component fails. The available vendor documentation and procurement examples do not establish an independent cross-vendor throughput benchmark or a universal acceptable scan speed. Require evidence using the venue’s own scale and setup rather than assuming a published product claim predicts queue performance.

Plan event-day ownership and escalation

Put responsibilities in writing for monitoring, reader configuration, API changes, credential rotation, device replacement, incident triage, and escalation during an event. Name which party owns each alert and which support contact can make operational decisions. Agree how a venue will identify whether a failure is in the ticketing service, integration, local network, device, or gate, and what the approved fallback is for each situation.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Also plan the production cutover: who validates configuration, when the final event data is loaded, how staff confirm devices are ready, and how the venue can revert to a safe procedure if acceptance checks fail. A demonstration is not production readiness unless the event-day support route and recovery responsibilities are clear.

Compare proposals on the same operational scorecard

Use a common set of questions for each short-listed option so a strong API presentation does not obscure a poor fit at the entrance. The evidence available here supports comparison on capabilities and operating design, but does not identify one universally superior product or provide implementation costs or a quantified return-on-investment comparison.

Decision area What to establish
Credentials and hardware Formats accepted, actual reader and gate compatibility, firmware requirements, and successful tests with the venue’s ticket media.
Synchronization and lifecycle Initial data loading, update method and freshness, ticket changes covered, scan outcomes returned, and handling of duplicate or conflicting records.
Offline behavior Cached data scope and age, staff-visible decisions, scan retention, duplicate-admission controls, and reconciliation after reconnection.
Venue policy Seat and zone validation, entry and exit direction, re-entry, transfers, revocations, and replacement ticket behavior.
Integration and security Current API and authentication details, version support, auditability, data access, and device and credential revocation.
Scale and operations Performance evidence at the venue’s expected volume, implementation and cutover responsibilities, monitoring, support coverage, and event-day escalation.
Data and reporting Ownership and access to operational records, available sales and scan reporting, retention, and export or reconciliation needs.

Interpret hardware specifications in context

COMINFO’s Rea::Ticket+ brochure, edition 6 (2024), is an example of an integrated venue terminal rather than merely a handheld scanner. The manufacturer lists support for 1D/2D and QR tickets, mobile and print-at-home tickets, NFC read/write, Ethernet/RS485, and online and online/offline configurations. It also lists up to 60,000 tickets of internal memory and a maximum 0.5-second ticket verification time with COMINFO’s Access Control Server over Ethernet.

Those figures are manufacturer specifications, not independent performance measurements or proof that the terminal fits another vendor’s platform. Confirm the exact configuration, interface, credentials, and operating conditions behind any specification, and validate throughput with the proposed equipment at the venue’s scale. The documentation cited here does not establish a cross-vendor performance ranking or implementation-cost comparison.
