Real-time hospital capacity management software gives bed managers, nurses, admitting teams, transport, environmental services and executives a shared operational picture of beds, patients and pending work. It combines data from clinical and hospital systems, applies local placement rules, and presents dashboards, worklists, alerts and task queues so people can coordinate admissions, transfers, cleaning, transport and discharge planning.
It is decision support, not an autonomous bed allocator or a replacement for staffed operating procedures. A useful system must show whether a bed is occupied, assigned, blocked, awaiting cleaning or unsuitable for a patient’s required service and level of care—and must make clear who is responsible for correcting stale or conflicting information.
Why a simple bed count fails
“Available beds” is not one number. A bed can be physically empty but assigned to an incoming patient, blocked for maintenance or infection-control reasons, waiting for environmental-services turnover, or incompatible with the next patient’s acuity, specialty, isolation or equipment needs. A capacity platform therefore models operational states and matching constraints rather than displaying only occupied versus empty.
Common bed states
| State | Operational meaning | Why it matters |
|---|---|---|
| Occupied | A patient is currently in the bed. | The bed cannot be assigned until a move or discharge is recorded. |
| Assigned | The bed is reserved for a patient who may still be elsewhere. | Counting it as open can create a duplicate placement. |
| Unassigned or available | No patient or reservation is attached to the bed. | It may still require a clinical, staffing or equipment check. |
| Blocked | The bed is intentionally withheld, such as for isolation, maintenance or staffing restrictions. | It should not appear in a routine placement list. |
| Pending clean | The prior patient has left, but environmental services has not released the bed. | Cleaning work, not a bed manager’s phone call, is the next action. |
Placement also depends on service, level of care and bed type. A medical-surgical bed is not interchangeable with an intensive-care, cardiac, behavioral-health or isolation bed. Mount Sinai describes this “right patient into the right bed at the right time” approach in its System Throughput operation.

How the software works from source data to action
A typical implementation connects an electronic health record (EHR) and operational systems to a central capacity view. The exact interfaces and update behavior vary by product and local configuration.
- Collect events. Admission, discharge and transfer records, bed assignments, patient location, staffing, environmental-services status and transport requests generate the underlying signals. Some platforms also ingest expected procedures, transfer referrals and demand forecasts.
- Normalize status. The platform maps local unit, bed and workflow codes into shared states. Rules can identify a bed as blocked, isolation-capable, specialty-specific or pending clean, while displaying the reason and responsible team.
- Match demand to capacity. Staff review patient acuity, service, isolation, equipment and level-of-care requirements against beds that are genuinely usable. The system can surface candidates, but clinical staff retain the placement decision.
- Route work. When a discharge is recorded, a cleaning request can be sent to environmental services. When a patient is ready to move, transport can receive a task. Some products assign work to named queues or mobile users and record completion.
- Refresh the operational view. New events update dashboards, unit worklists and alerts. A bed manager can see pending admissions, expected discharges, transfer requests and bottlenecks without reconciling multiple phone calls and spreadsheets.
Oracle describes near-real-time inpatient visibility and automation around bed selection, environmental-services requests and transportation in its Clinical Operations materials. Epic describes task assignment and mobile documentation for transport and cleaning in its Hospital Patient Flow product information. These descriptions indicate possible workflows, not a guarantee that every installation includes every integration.
How teams use capacity management across the patient journey
1. Detecting demand
The process begins with a demand signal: an emergency-department admission, scheduled surgery, outside transfer, internal unit move or planned discharge. The system places that signal in a shared queue with the information needed to act, such as destination service, acuity and expected timing.

2. Reviewing and confirming placement
Bed-management staff review clinical requirements and available options, consult the relevant service and confirm a destination. Experienced nurses commonly perform this assessment. Johns Hopkins Medicine describes a bed-management team made primarily of experienced registered nurses in its Judy Reitz Capacity Command Center program.

3. Releasing a bed
After a discharge or move, the status changes to a turnover state. Environmental services receives the cleaning task, records progress and releases the bed when it meets local standards. A capacity view that skips this handoff will overstate usable inventory.
4. Moving the patient
Transport receives a request with pickup location, destination and any equipment or isolation requirements. Completion documentation closes the loop so the patient’s location and the bed’s state agree across systems.
5. Anticipating the next constraint
Expected discharges, operating-room schedules, emergency-department arrivals and external transfers help teams act before a unit reaches saturation. Leaders can prioritize a discharge barrier, open an escalation pathway or coordinate staffing while there is still time to prevent a queue.
Do these 3 things before closing this tab:
1Scan for outdated or missing drivers - takes under a minute2Repair Windows errors before they cause bigger problems3Fix the driver behind crashes, sound loss and screen glitchesWhat “real time” actually means
Real time is an operational description, not a universal technical specification. One source may update after every transaction, while another refreshes on a schedule or only when staff document an event. Vendor pages reviewed for this topic do not establish a common update interval or architecture.

Before deployment, define the latency and ownership for each important field:
- How often do bed location, assignment and discharge fields refresh?
- Which event changes a bed from occupied to pending clean, and who can correct an error?
- What happens when an interface, mobile device or network is unavailable?
- Which team verifies the dashboard against the unit during a discrepancy?
- What manual board, phone tree or downtime form is used until data is restored?
Without these rules, a polished dashboard can simply spread stale information faster. Accurate upstream documentation, maintained interfaces and staff adoption are prerequisites for useful capacity data.
Forecasting, alerts and what-if planning
Some platforms extend beyond current-state visibility. They estimate census, staffing demand or future bottlenecks and alert teams when a threshold or predicted event requires action. GE HealthCare describes a census-forecasting module and a digital-twin simulation for testing what-if scenarios on its Command Center page.
GE’s page advertises forecast accuracy above 90% for that module, but does not provide enough methodological detail to treat the figure as a general benchmark. A hospital should validate accuracy against its own historical data, specify the forecast horizon and document what action each alert triggers. An alert with no accountable recipient becomes noise; a forecast that is not recalibrated after major service or seasonal changes can mislead.

The operating model around the software
Capacity technology works inside a 24/7 operating model. Mount Sinai says its System Throughput, also called Bed Management, is responsible for getting the right patient into the right bed from entry through discharge, with electronic submission of movement, assignment and bed-planner requests. Johns Hopkins describes daily bed-management huddles, recurring operational meetings and continuous coverage.
That human structure matters because placement can involve competing clinical priorities, incomplete information and exceptions that rules cannot safely resolve. Software can expose the conflict and route it; a qualified person must decide how to handle it.
Dedalus highlights the governance challenge through two customer quotations on its Hospital Command Center page. John Chelico, MD, of CommonSpirit Health says, “The next level of this is how do we provide a common set of tools, or a common way to query the data so that we are all looking at the same thing and talking about the data the same way.” Tony Ambrozie of Baptist Health South Florida says, “It’s not that we don’t have the data, it’s that we don’t produce enough insights to be actionable. Thats the bigger next step.”
Quick wins for a faster PC:
Clear out junk files and repair common Windows errorsFree Scan →Fix the driver behind crashes, sound loss and screen glitchesFind Drivers →Repair Windows errors before they cause bigger problemsFix Now →A practical example: an emergency admission
- The emergency department places an admission request with acuity, service and isolation requirements.
- The capacity view filters out blocked, assigned, unsuitable and not-yet-clean beds.
- A bed nurse reviews the remaining candidates and confirms placement with the receiving unit.
- The system assigns transport and records the destination request.
- When the patient leaves the emergency department, transport completion updates location data.
- If a bed becomes vacant elsewhere, environmental services receives a turnover task and releases it after cleaning.
- The dashboard now reflects both the completed admission and the next usable bed, allowing the team to address the following demand signal.
If any step is documented late, the view can lag reality. The recovery is to correct the authoritative record, notify the owning team and use the downtime process rather than silently overriding the data.

Capabilities to compare when evaluating products
| Evaluation area | Questions to ask |
|---|---|
| Integration and freshness | Which EHR, admission/discharge/transfer, staffing, laboratory, transport and environmental-services systems connect? What is the refresh behavior for each field? |
| Bed definitions | Can the model represent blocked, assigned, pending-clean, isolation, specialty and level-of-care constraints, with an understandable reason for each exclusion? |
| Workflow coverage | Does it support admissions, transfers, discharge planning, cleaning and transport, or only display a dashboard? |
| Forecasting and alerts | What is forecast, over what horizon and from which data? How is local accuracy measured, and who receives each alert? |
| EHR fit | Is the workflow embedded in existing screens? How do mobile users document transport, cleaning and status changes? |
| Operating model | Who owns bed status, placement, escalation and after-hours decisions? What training and change management are included? |
| Evidence of value | Are results baseline-adjusted and independently evaluated, or are they vendor-reported customer examples? |
These questions reflect capabilities and operating practices described by GE HealthCare, Oracle Health, Epic, Mount Sinai and Johns Hopkins; they are not a regulator-mandated procurement standard.
How to interpret published outcome figures
Public product pages contain useful examples, but the figures below are deployment-specific claims rather than independent, directly comparable benchmarks.
| Organization or product page | Reported figure | How to read it |
|---|---|---|
| GE HealthCare Command Center (page footer identifies December 2025) | Nearly 500 hospitals and medical facilities globally, totaling more than 55,000 beds | GE’s stated deployment reach, not a market-wide count. |
| Providence Swedish, as presented by GE | 19,000 additional patients served annually | A named customer outcome; causality and transferability are not established. |
| The Queen’s Health Systems, as presented by GE | 1.07-day reduction in length of stay | Specific to that deployment and measurement period. |
| Duke Health, as presented by GE | $40 million in labor-cost savings | A vendor-presented financial result, not a guaranteed return. |
| Children’s Mercy Kansas City, as presented by GE | 80% fewer delayed admissions and 90% fewer deferred admissions through its Transfer Center | Transfer-center results, not a universal hospital-flow rate. |
| Nova Scotia Health Authority, as presented by GE | Five hours saved per day for patient-flow staff | A named operational example. |
| Johns Hopkins Medicine | Nearly 100 admissions daily through Capacity Command Center access points | An institution-specific operating volume, not a benchmark for other hospitals. |
| Epic customer examples | Estimated 56 lives annually saved at Ochsner Health; seven minutes less bed turnaround at Parkview Health; 22% lower length of stay and 10% fewer readmissions at Monument Health | Epic-presented examples from named organizations, not independent cross-hospital estimates. |
No general peer-reviewed comparative figure establishes a typical improvement across hospitals. Do not add these numbers together or use one organization’s result as a promise for another.
Implementation requirements and failure modes
Requirements
- An authoritative source for patient location, bed assignment and admission, discharge and transfer events.
- Mapped local definitions for units, bed types, blocked reasons, cleaning states and levels of care.
- Named owners for data correction, placement decisions, escalation and downtime operations.
- Interfaces and mobile workflows tested with the staff who will document events.
- Baseline measures such as boarding time, delayed admissions, turnaround time and discharge timing, collected before launch.
Common failure modes and responses
- Dashboard says a bed is open, but the unit says it is not. Check assignment, block reason and pending-clean status; correct the source record and document who made the correction.
- Cleaning tasks remain unclaimed. Verify queue routing, staffing coverage and escalation timers; provide a manual contact path during outages.
- Too many alerts. Remove alerts that do not prompt a defined action, set thresholds with frontline teams and review false positives.
- Forecasts drift. Compare predictions with actual census and arrivals, identify changed service patterns and recalibrate locally.
- Staff bypass the workflow. Observe where documentation slows care, simplify fields, train by role and measure adoption rather than assuming installation equals use.
Costs, security and compatibility questions
Public pages cited here do not establish standard pricing, implementation timelines, security controls, version-specific EHR compatibility or universal program availability. Treat those as due-diligence questions for each shortlisted supplier. Request a written interface inventory, data-retention and access model, downtime procedure, support coverage, local validation plan and total implementation effort. A low subscription price does not compensate for unmaintained interfaces or a workflow that staff cannot use during a busy shift.
Bottom line
Real-time capacity management software turns fragmented bed, patient-flow and support-service events into a shared operational workflow. Its value comes from accurate status definitions, timely interfaces, visible ownership and experienced people who act on the information. Hospitals should evaluate the complete operating model—not just the dashboard—and treat every vendor outcome figure as a context-specific example until it is independently validated locally.
