OCR (optical character recognition) turns the pixels in a scanned PDF into machine-readable text. In a searchable-image workflow, the page image stays in place and OCR adds an invisible text layer over it, so you can search, copy, select, and improve accessibility without replacing the scan’s appearance.
Reliable results depend more on the quality and preparation of the image than on a single software setting. Scan at an appropriate resolution, straighten and clean the page, select the correct language and layout assumptions, then review the words most likely to be wrong—numbers, names, headings, footnotes, tables, and columns.
What OCR changes inside a scanned PDF
A scanner normally stores each page as an image. The letters look correct on screen, but the PDF has no characters for a search tool or screen reader to interpret. OCR analyzes that image, identifies likely text regions, recognizes characters and words, and writes the result as machine-readable text.
Adobe’s searchable-image workflow keeps the original page image, performs cleanup such as deskewing, and places an invisible text layer over the image. The visual page can therefore remain substantially unchanged while search, text selection, copying, indexing, and some accessibility functions become possible. See Adobe’s searchable-image OCR documentation for the workflow.

OCR is recognition, not a guarantee that every character was transcribed correctly. A text layer can look plausible while silently turning a “1” into an “I,” dropping a decimal point, joining two columns, or misreading a name. Treat the layer as a data extraction that needs risk-based checking, especially when the PDF will support legal, financial, medical, archival, or compliance work.
How accurate will OCR be?
There is no single accuracy percentage that applies to every scanned PDF. Results change with resolution, blur, skew, language, typography, compression, page layout, background texture, and the preprocessing applied before recognition. A clean, high-resolution page of ordinary printed text may require little correction; a fax, photocopy, newspaper clipping, handwriting sample, or multi-column table may require extensive review.
- Resolution: too few pixels leave characters ambiguous; more pixels cannot restore detail that was never captured.
- Focus and motion: blurred strokes make similar characters indistinguishable.
- Geometry: rotation, curved book pages, and uneven margins disrupt line and word detection.
- Contrast and background: shadows, stains, paper texture, bleed-through, and halftone dots can be mistaken for characters.
- Language and typography: the wrong recognition language or an unusual typeface changes the character choices the engine considers.
- Layout: columns, tables, sidebars, headers, footers, captions, and marginal notes can be read in the wrong order.
- Compression and repeated rasterization: block artifacts and extra resampling erase small features.
Use the right scan resolution
Resolution is measured in dots per inch (dpi). It is a capture property, not an accuracy promise. Adobe’s current scanned-PDF settings documentation recommends 300 dpi for grayscale or color documents and 600 dpi for black-and-white documents. The same documentation lists 72 dpi as the minimum input for its OCR text-recognition options. Tesseract’s official quality guide says it works best on images with at least 300 dpi.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
| Situation | Guidance | Qualification |
|---|---|---|
| Grayscale or color document | 300 dpi | Adobe recommendation for capture; actual accuracy still depends on focus, contrast, layout, and paper condition. |
| Black-and-white document | 600 dpi | Adobe recommendation; useful for preserving fine strokes in a binary scan, but it creates larger files. |
| OCR input floor in Adobe’s settings | 72 dpi minimum | A minimum accepted input, not a target for dependable recognition. |
| Tesseract input | At least 300 dpi is best | Statement from the Tesseract OCR project; it is not a guarantee for every document. |
Capture at the target resolution when possible. Upsampling a 150-dpi image to 300 dpi only enlarges existing pixels; it does not recreate missing stroke detail. If the original is available and the text is important, rescanning is usually more useful than repeatedly enlarging the old file. Keep the original scan so you can compare any processed output with an unmodified source.
Prepare each page before recognition
1. Straighten and rotate the page
Deskew makes text lines horizontal, while orientation correction puts the page upright. Even a small angle can make line segmentation and word boundaries less reliable, particularly on dense pages. Adobe exposes deskew controls, and both OCRmyPDF and Tesseract identify skew or orientation as a recognition problem.
Inspect pages individually when a bound book, curled corner, or scanner lid has produced a different angle from the rest. Automatic correction is helpful, but it can rotate a page incorrectly when a document contains large vertical labels, diagrams, or sparse text.
2. Remove distractions without erasing characters
Uneven backgrounds, shadows, speckles, bleed-through, and halftone dot patterns compete with the text. Cleaning tools can remove or reduce those artifacts, and sharpening can make a slightly soft edge easier to recognize. Adobe’s scan settings include deskew, descreen, background removal, and text sharpening. OCRmyPDF documents background removal and cleanup options, while Tesseract’s guidance discusses binarization methods such as Adaptive Otsu and Sauvola in Tesseract 5.

Use the lightest correction that solves the problem. Aggressive thresholding can break thin punctuation, accents, or light type; heavy sharpening can create false strokes. Export a processed copy and compare it with the original image before accepting the result.
3. Choose the document language
OCR engines use language data to decide which characters and words are plausible. Select the language or language combination that actually appears on the page. A mismatch can turn accented characters into unaccented ones, split words unexpectedly, or make an unfamiliar alphabet look like a familiar one.
Mixed-language pages need particular care. If the document contains a dominant language plus quotations, names, or a second script, verify those passages separately rather than assuming that one language model will handle every region equally well.
4. Preserve sensible margins and layout
Text needs enough surrounding context for segmentation, but excessive blank borders can also confuse layout analysis. Tesseract warns that missing or very large borders can reduce recognition quality. Crop scanner edges and black bands when they are not part of the document, while retaining a normal page margin around the printed content.

Scan for outdated or missing drivers - takes under a minuteDriver Scan →Repair Windows errors before they cause bigger problemsFix Now →Columns, tables, headers, footers, and sidebars are not merely cosmetic. They determine reading order. A page can have nearly perfect characters yet produce unusable text if the engine reads down the left column, then the right column, and inserts a footer between paragraphs. Check the extracted order, not just the spelling.
A repeatable OCR workflow
- Preserve the source. Make a working copy of the image-only PDF and retain the original in read-only storage. This gives you an unaltered reference if cleanup or OCR damages a page.
- Check the capture. Confirm that pages are in focus, complete, upright, and captured at an appropriate resolution. Rescan critical pages rather than relying on aggressive enlargement.
- Apply geometry correction. Deskew and rotate pages. Review unusual pages manually, especially book spreads and pages with sparse labels or diagrams.
- Clean conservatively. Reduce shadows, background noise, and halftone patterns; sharpen only when the characters are soft. Compare the cleaned image with the source.
- Set language and layout assumptions. Choose the languages present and make sure margins, columns, and page boundaries are represented realistically.
- Run OCR. In Acrobat, open All tools > Scan & OCR, choose Recognize Text, select In This File, confirm the page range and language, and start recognition. Labels can vary slightly by Acrobat edition.
- For repeatable command-line processing, OCRmyPDF can combine common preparation steps. For example, a working copy might be processed with
ocrmypdf --deskew --clean --oversample 300 input.pdf output.pdf. Treat--cleanand resampling as optional interventions: inspect the output and keep the original because repeated rasterization can reduce quality or remove vector content in force-OCR workflows. - Validate before distribution. Search for expected words, inspect suspect marks, compare critical passages with the page image, and record corrections in the text layer or a separate transcription according to your retention requirements.
The OCRmyPDF cookbook documents its --oversample DPI option for resampling low-resolution images before OCR. Oversampling can help an engine work with a small input, but it cannot recover detail and should not replace a good scan.
Why OCR misses words and what to do
Low-resolution or blurred characters
Symptoms: “rn” becomes “m,” “0” becomes “O,” punctuation disappears, or letters with thin strokes are inconsistent.

1Clear out junk files and repair common Windows errors2Fix the driver behind crashes, sound loss and screen glitches3Repair Windows errors before they cause bigger problemsSkewed, rotated, or curved pages
Symptoms: recognition degrades toward one edge, lines merge, or an entire page is read sideways.
Fix: deskew and rotate before OCR. Flatten bound pages as safely as possible during capture. Review pages with curved baselines individually; automatic correction may not fully resolve them.
Shadows, stains, and halftone patterns
Symptoms: random characters appear in blank areas, letters have holes, or photographs and newspaper screens are interpreted as text.
Fix: use background removal, descreening, and carefully tuned binarization. Keep a color or grayscale source when those tones carry meaning, and do not let cleanup erase faint type.

Columns, tables, and mixed page elements
Symptoms: sentences are interleaved, table cells run together, headers appear in the middle of paragraphs, or footnotes move into the main text.
Fix: verify reading order visually. If the tool permits layout or region selection, process a troublesome column or table region separately, then compare the result with the full-page OCR. A character-perfect extraction is still wrong if its order changes the meaning.
Missing or excessive borders
Symptoms: text near an edge is ignored, or the engine invents structure from a large blank frame.
Fix: crop scanner borders and black edges while retaining a modest margin around the printed content. Do not crop letters, diacritics, page numbers, or marginal notes.
How to correct OCR without changing the original scan
Keep two concepts separate: the page image is the visual record, and the OCR layer is an editable interpretation. Work on a copy, preserve the source PDF, and correct the text layer or an exported transcription rather than painting over the image.
In Acrobat, the text-recognition review marks uncertain words as suspects. Open the suspect review, compare each highlighted word with the page image, and accept or replace it. Adobe also provides scan-editing tools for correcting recognized text. Prioritize headings, dates, account numbers, measurements, names, footnotes, and table cells because a single character can change their meaning.

Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Choosing an OCR approach
Acrobat and an OCRmyPDF/Tesseract workflow can both produce searchable PDFs, but they suit different working styles. The right choice depends on whether you need a guided review, repeatable batch processing, or control over preprocessing—not on a universal claim that one engine is most accurate.
| Decision factor | Acrobat | OCRmyPDF with Tesseract |
|---|---|---|
| Original page image | Searchable-image output keeps the original image while adding an invisible text layer. | Designed to add OCR to PDFs; preserve and compare the source because cleanup and force-OCR modes can alter raster content. |
| Deskew and cleanup | Settings expose deskew, descreen, background removal, and text sharpening. | Provides documented cleanup and deskew options; Tesseract guidance covers binarization and image-quality preparation. |
| Language and layout | OCR settings include document language; review layout-heavy pages manually. | Language and segmentation depend on the selected Tesseract data and configuration; verify columns and tables. |
| Batch and automation | Useful for interactive, page-by-page workflows; automation features depend on the Acrobat edition. | Command-line processing supports repeatable jobs; exact throughput and layout results depend on the command and files. |
| Uncertain-word review | Acrobat marks suspects and lets you compare each item with the page image. | Not stated as an equivalent interactive suspect-review feature in the cited guidance; plan a separate validation step. |
| Output and retention | Searchable-image PDFs are the documented output. | OCRmyPDF writes a processed PDF; retain the unmodified input and inspect any rasterization changes. |
| Cost or licensing | Not stated in the cited material; varies by Acrobat edition and current terms. | Not stated in the cited material; verify the current licenses and dependencies for your deployment. |
For a small number of documents where visual review matters, a guided desktop workflow can be efficient. For recurring folders or server-side processing, a scripted OCRmyPDF/Tesseract pipeline offers repeatability, provided you build in image checks and human review for high-risk content.
Validation: how to know the text is usable
Do not validate only by searching for one familiar phrase. Use a sampling plan that reflects the document’s risk and structure.
- Searchability: search for several words from the first, middle, and last pages and confirm that results land on the expected page.
- Character accuracy: compare letters, punctuation, accents, decimal points, minus signs, and quotation marks with the image.
- Numbers: check dates, invoice totals, page references, measurements, identifiers, and leading zeros character by character.
- Names and headings: verify proper nouns, abbreviations, capitalization, and section titles.
- Reading order: copy a paragraph from every column-heavy page and confirm that the sequence is logical.
- Tables: check row and column alignment, signs, decimal separators, merged cells, and footnotes.
- Accessibility: test text selection and a screen reader when the PDF will be used by people who rely on assistive technology; an invisible text layer is useful only when its order and wording are credible.
- Completeness: look for pages with no recognized text, unusually short extracted text, clipped edges, blank output, or repeated fragments.
Use a higher review rate for legal, financial, medical, safety, or archival documents. For ordinary reference material, a sample of pages plus targeted checks may be sufficient, but document what was checked and which version was approved.
Troubleshooting by symptom
| Symptom | Likely cause | Next action |
|---|---|---|
| Search returns nothing | The PDF contains only page images or OCR was not applied to the intended page range. | Run text recognition on the file, confirm that a text layer exists, and save a new copy. |
| Only some pages are searchable | Mixed image and text pages, skipped pages, or inconsistent capture quality. | Inspect the page range and process the failed pages separately; compare their resolution and orientation. |
| Text is readable but in the wrong order | Columns, sidebars, headers, or tables confused layout analysis. | Review layout settings or process regions separately, then validate copied text against the page. |
| Many random characters in blank areas | Noise, halftone dots, bleed-through, or an uneven background. | Apply conservative background removal, descreening, or binarization and inspect faint text for damage. |
| Characters look doubled or broken | Blur, sharpening artifacts, compression, or repeated rasterization. | Return to the original, rescan if possible, and avoid stacking multiple lossy conversions. |
| Accented or non-Latin text is wrong | Incorrect language data or a script the selected model does not cover well. | Select the correct language combination and perform a targeted visual review of those passages. |
| Output file is much larger or visually different | Higher-resolution images, cleanup, or force-OCR rasterization changed the file. | Compare output with the source, reduce unnecessary resampling, and keep the original as the visual authority. |
Practical checklist
- Keep an untouched copy of the scanned PDF.
- Capture grayscale or color pages at 300 dpi when appropriate; use 600 dpi for black-and-white capture when fine detail warrants it.
- Remember that Adobe lists 72 dpi as a minimum input, while Tesseract recommends at least 300 dpi for best results.
- Deskew and rotate before recognition.
- Remove shadows, speckles, and halftone patterns carefully; do not erase faint characters.
- Select the languages actually present on the page.
- Retain sensible margins and inspect columns, tables, headers, and footers for reading order.
- Use oversampling only as a controlled aid for low-resolution images, not as a substitute for rescanning.
- Review suspects and manually compare high-risk content with the image.
- Distribute the searchable copy only after checking completeness, text order, and critical values.
Bottom line
OCR makes an image-only PDF searchable by adding recognized text while preserving the page image, but its reliability is established before and after the recognition step. A sharp capture at an appropriate dpi, straight geometry, restrained cleanup, correct language and layout settings, and deliberate human validation produce a far more dependable text layer than simply rerunning OCR on a poor scan.
