Utility apps do not need every permission macOS offers. The right access is determined by the specific feature you intend to use: a folder-scanning tool may need selected folders, an automation utility may need Accessibility or Automation, and a screen-recording feature may need Screen & System Audio Recording. Grant the narrowest permission that makes the feature work, then review or revoke it in System Settings > Privacy & Security.
There is no universal permission checklist for utility apps
macOS permissions are capability controls, not a standard package that every utility should receive. A backup tool, window manager, duplicate-file finder, remote-support app and disk-health monitor perform different jobs, so their legitimate access needs differ. Apple documents each category separately rather than publishing a universal map from an app type to a required permission.
Use a feature-first test whenever an app asks for access:
Recommended Free Tools
- Name the exact feature. For example, “scan files in my Documents folder,” “move windows with keyboard shortcuts” or “record a tutorial with system audio.”
- Match the feature to the narrowest category. A selected-folder grant is narrower than Full Disk Access; screen recording is different from Input Monitoring.
- Question anything with no clear connection. If a simple storage viewer requests camera, microphone, contacts or location access, pause and ask why that capability would be part of the feature.
- Revisit persistent access. Disable a permission when you no longer use the feature, especially for access that can expose keystrokes, screen contents or data belonging to other apps.
Permission approval is not a safety certification. Apple says information collected by a third-party app is governed by that developer’s terms and privacy policy. A macOS prompt describes a capability the app may use; it does not tell you how the publisher stores, shares or retains information after collection.

What each major macOS permission allows
The practical question is not whether a category sounds familiar, but what the category lets an app do and whether that power is necessary for the feature you selected.
| Permission | Scope Apple documents | When a request may make sense | How to limit it |
|---|---|---|---|
| Full Disk Access | Access to all files, including information from apps such as Mail, Messages, Safari and Home, Time Machine backups, and certain administrative settings for all users. | A feature that genuinely has to inspect protected data across the Mac, such as a broad backup or system-maintenance operation. The app’s explanation should identify that need. | Do not grant it by reflex. Prefer Files & Folders or another narrower category when that is sufficient. |
| Accessibility | Allows an app to run scripts and system commands that control the Mac. | Automation, window control, interaction helpers or assistive-control features may need it. | Grant only for the control feature you use, and remove it when that feature is no longer needed. |
| Input Monitoring | Allows monitoring of mouse or trackpad input and seeing what you type on the keyboard. | A feature that must observe or react to keyboard, pointer or trackpad activity. | Treat it as sensitive input access. Do not approve an unexplained request. |
| Screen & System Audio Recording | Allows screen and audio recording, or audio-only recording. Access can be switched per app. | Screen capture, recording, presentation tools or remote assistance (as an illustrative use case). | Turn the app off in this category when you are not using capture or recording. |
| Files & Folders | Controls access to specific protected locations. Apple’s current help page names Desktop, Downloads and Documents; other protected locations can include iCloud Drive and network volumes. | A cleaner, indexer, organizer or converter that needs files in a particular location. | Enable only the folders required. The named folders are examples, not an exhaustive list for every macOS release. |
| Automation | Allows an app to access and control other apps. | A cross-app workflow, such as sending data from one application to another, when that workflow is intentional. | Check which target app is listed and whether you still want this relationship. |
Full Disk Access is unusually broad
Full Disk Access is broader than permission to a single project folder. Apple’s description includes files and information held by other applications, Time Machine backups and certain administrative settings for all users. That breadth can be legitimate for a feature that must search or back up protected areas, but it is consequential for a utility that only needs to work in Documents or an external folder.

Ask the publisher to identify the protected data the feature needs. If the explanation is simply “the app works better with Full Disk Access,” try the feature with a location-specific grant first. If a required operation fails, you can return to the same pane and make a deliberate decision rather than approving a broad request automatically.
Accessibility and Input Monitoring are different
Accessibility is about controlling the Mac through scripts and system commands. Input Monitoring is about observing pointer activity and keyboard input. An automation utility might need Accessibility without needing to see everything you type; a keystroke-driven tool might need Input Monitoring for a particular function. Because these capabilities can affect control and sensitive input, read the app’s explanation and enable only the category that matches the feature.

Screen and audio capture can be separate from ordinary display access
Screen & System Audio Recording controls capture. Apple’s support guidance states that you can decide which apps and websites are allowed to record your screen and audio. A utility can therefore display a window without automatically having permission to record the rest of the screen. Disable the app in this category when recording, presentation or remote-assistance work is finished.
How to review and limit permissions in macOS
On macOS 13 and later, use the current System Settings route. The wording and list of categories can vary by release, and an app may appear only after it requests a capability.

- Choose Apple menu > System Settings.
- Select Privacy & Security in the sidebar.
- Open the category that matches the request: Files & Folders, Full Disk Access, Accessibility, Input Monitoring, Automation or Screen & System Audio Recording. Other categories, including camera, microphone, location, contacts, calendars, photos, reminders, speech recognition, Bluetooth and local network, are also managed here.
- Review every listed app. Switch off access that is not required for a feature you currently use. For Files & Folders and screen/audio recording, Apple specifically provides per-app controls.
- Quit and reopen the utility if it does not immediately notice the change. Some apps check permissions only when they start a task or launch.
- Test the intended feature again. If it fails, return to the same category and restore only the permission that the feature demonstrably requires.
On macOS 12 or earlier, Apple’s documented path is System Preferences > Security & Privacy > Privacy. The older interface uses different labels and layout, so instructions written for System Settings may not match what you see.

A decision framework for every permission prompt
Use these questions before selecting Allow:
- What exact outcome am I trying to achieve? “Clean up old downloads” is more precise than “let the app manage my Mac.”
- Does the capability match that outcome? A download organizer may need Downloads access; it does not automatically need microphone or Input Monitoring.
- Can a narrower grant work? Try a selected folder before Full Disk Access, or a single cross-app Automation relationship instead of approving every target.
- Is the access persistent while the feature is idle? A permission that remains enabled for months deserves periodic review.
- Do I understand the publisher’s privacy practices? Read its privacy policy and terms. macOS controls access, but the publisher’s policies govern handling of information the app collects.
Compare requests on four practical axes:
| Axis | Narrower example | More consequential example | Question to ask |
|---|---|---|---|
| Breadth | One selected folder | All files and protected app data | Can the feature work with a location-specific grant? |
| Data sensitivity | Documents you chose | Keystrokes, screen contents or system audio | Would this expose information unrelated to the task? |
| Control capability | Read or process selected files | Operate other apps or control the Mac | Which actions can the app perform, not merely observe? |
| Feature necessity | Access used by a feature you enabled | Persistent or unexplained access | What breaks if I turn it off? |
Common utility-app scenarios
Storage, cleanup and duplicate-file tools
Start with Files & Folders for the locations you want to inspect, such as Downloads, Documents or Desktop. A tool that claims to analyze every protected area may explain why Full Disk Access is needed, but broad access is not implied by the words “cleanup” or “storage.” Camera, microphone, location and contacts are unrelated to ordinary file cleanup unless a separate feature clearly uses them.
Best Value
Window managers and automation utilities
Window arrangement and scripted interaction can make Accessibility relevant. If the utility also watches keyboard shortcuts or pointer activity, it may request Input Monitoring; that is a separate and more sensitive capability. Automation may appear when the utility must control another app. Inspect the named target and disable relationships you no longer use.
Screen capture, recording and remote assistance
Enable Screen & System Audio Recording only when you need capture. If you want video without system sound, the app may still present the same category because Apple groups screen and audio recording controls there; check the app’s own recording options. Turn access off after the session if recording is occasional.
Backup and system-maintenance utilities
Some maintenance operations legitimately span protected files, other users’ settings or backup data, which can explain a Full Disk Access request. The request should still be specific: identify what the operation scans, backs up or changes. If the utility offers a mode limited to selected folders or your user account, choose that mode when it meets your goal.
What to do when revoking access breaks a feature
- Note the exact failed action rather than re-enabling every permission.
- Return to Privacy & Security and identify the category associated with that action.
- Restore one permission at a time, starting with the narrowest option, such as a specific folder.
- Restart the app or repeat its authorization prompt if macOS asks again.
- If the app still requires a broader grant, decide whether that feature is worth the additional exposure. Ask the publisher for a technical explanation before enabling Full Disk Access, Input Monitoring or Accessibility for an unrelated task.
Revoking access controls future attempts; it should not be treated as a command to erase information the app may already have collected. The cited Apple guidance explains access settings, while deletion, retention and sharing are addressed by the developer’s privacy terms.
Permissions beyond the utility’s main function
Privacy & Security also includes controls for camera, microphone, location, contacts, calendars, photos, reminders, speech recognition, Bluetooth and local network access. Mentioned categories are not automatically present on every macOS release, and an app may request different combinations as features change. Evaluate each one against the feature you are turning on rather than assuming that a familiar utility deserves broad access.
Quick Recap
Quick checklist before and after installation
- Write down the feature you intend to use.
- Read the permission prompt and the app’s explanation.
- Prefer a specific folder or target app over an all-files or all-apps grant.
- Treat keyboard, pointer, screen, audio and cross-app control as sensitive capabilities.
- Check Privacy & Security after installation to see what was enabled.
- Disable unused permissions when a feature is finished or removed.
- Review the publisher’s terms and privacy policy; approval does not certify the app.
