Sharing a Google Docs file through a smart chip does not grant access by itself. A file smart chip is an interactive reference to a Google Docs, Sheets, or Slides file; the linked file’s Google Drive permissions still decide who can open it and whether they can view, comment, or edit. You create the chip in one document, but you share the target file separately.
If you mention a person with a people chip, that also does not share the document containing the chip with them. Google states: “When you mention another user in a smart chip, they don’t automatically get access to your document. To grant access to another user, you must share your document.”
Smart chips and sharing are separate actions
A smart chip is an interactive reference embedded in Google Docs. A collaborator can hover over or click it to see information and follow the reference. On desktop, Docs can insert chips for people with Gmail or Google Workspace addresses, Docs/Sheets/Slides files, dates and Calendar events, and places or directions. The chip improves navigation and context; it is not an alternate permission system.

To insert a file chip on a computer:
- Open the Google Doc where you want the reference.
- Type
@, then enter the file name or a keyword. Select the matching Google Docs, Sheets, or Slides file from the results. You can also choose Insert > Smart chips and select the file option. - Click the inserted chip to open the target or view its available details.

What the recipient sees after clicking a file chip
The result depends on the account that is signed in and the target file’s current permissions:
- Permission granted: The file opens with the role assigned to that account.
- No permission: Drive shows an access request or “You need access” message instead of the file contents. The chip itself cannot bypass that block.
- Wrong signed-in account: A person may have permission through one Google account but be signed in with another. Switching accounts can resolve an apparent access failure.
- Link access: If the owner allows anyone with the link, the recipient may be able to open the file without an individual invitation, subject to account and organization policies.
A file chip can therefore be visible to every collaborator in the document while the linked file remains private. Visibility of the reference and permission to open its destination are different checks.

Open the target file, select Share, and decide both who may access it and what they may do. Google Drive’s standard roles are:

The role applies to the target file, not to the document in which the chip appears. Someone who can edit the document containing a chip does not automatically gain editing rights to the linked file.
Set up sharing before or after inserting the chip
You can make the chip first and configure access later, or set access before adding the reference. The sequence does not change the permission model. To share the target file deliberately:
- Open the linked file in Google Drive or in its Docs, Sheets, or Slides editor.
- Click Share.
- Under people and groups, enter the specific Google accounts that should receive access. Select Viewer, Commenter, or Editor for each account, then send the invitation.
- Check General access. Leave it as Restricted when only named accounts should open the file.
- If appropriate, change general access to Anyone with the link, choose the role for link recipients, and confirm the organization’s policy permits that setting.
- Return to the document containing the chip. The existing chip will use the target file’s updated permissions; you do not need to insert a replacement chip.

Restricted access versus anyone with the link
Restricted
With Restricted general access, only accounts that already have permission can open the target. A person may see the chip in a shared working document but still receive an access request when they click it. This is the safer default for internal drafts, confidential material, and files containing personal information.

Anyone with the link
This setting broadens access to people who possess the link, including a link reached through a smart chip. It may allow opening without signing in, but the result can be narrowed by Google Workspace administrators, school or company policies, or the recipient’s account type. Do not assume that changing the setting always makes a file publicly reachable.
Google warns that a recipient who receives link access can see the file owner’s name and email address. Choose link sharing only when that exposure and the broader audience are acceptable. A link setting is an audience decision; the Viewer, Commenter, or Editor selection still controls what that audience can do.
People chips do not share the containing document
A people chip identifies a collaborator or contact and can expose profile details or provide a convenient way to interact. Mentioning someone in this way is not an invitation to the document that contains the chip. To give that person access, open the containing document’s Share dialog and add their account with the appropriate role.

Google Docs Editors Help
This distinction matters when a document has both a people chip and a file chip. The mentioned person may lack access to the containing document, the linked file, or both. Each file has its own permission check.
Folder inheritance and organization controls
Individual-file settings are not always the whole story. If the target is inside a shared folder, permissions inherited from the parent folder can affect who can open it. A person might retain access through the folder even after you remove a direct file-level grant, or a folder policy might prevent you from making the file less accessible than its parent allows.
When access looks inconsistent, inspect the target file’s Share panel and the shared folder’s membership. Also account for domain restrictions: an administrator can disable external sharing, public link access, or other options that appear in general Google Drive guidance.
Owners can limit whether viewers and commenters may download, print, or copy a file. These controls reduce casual duplication, but Google notes that they cannot prevent every method of sharing the underlying content outside Drive.

How to fix a “You need access” message from a chip
- Check the active account. Open the account menu and switch to the Google account that was granted permission. If the invitation went to a work or school address, use that account rather than a personal one.
- Ask for access from the message. Submit the request if you are the intended recipient. The owner or an administrator must approve it; clicking the chip alone cannot approve access.
- Have the owner verify direct sharing. In the target file’s Share dialog, confirm the exact account address and its role. Correct a misspelled address or an outdated account.
- Check general access. If the owner intended link sharing, verify that the setting is Anyone with the link and that the selected role is sufficient for the task.
- Inspect the parent folder. Determine whether inherited permissions or a shared-drive policy is granting or restricting access.
- Consider organization policy. A Workspace administrator may block external users, anonymous access, downloads, or changes to sharing. The owner may need an administrator’s help.
If the owner removes your permission or changes general access back to Restricted, the chip remains in the document but clicking it can again produce an access request.
Changing or revoking access later
Sharing is reversible. In the target file’s Share dialog, an owner can remove a named person, change that person’s role, or change general access from Anyone with the link back to Restricted. These changes apply to future attempts to open the target through the chip and through ordinary Drive links.
Revoking access does not erase the chip from documents where it was inserted. The reference may still reveal the file’s name or presence, depending on what the viewer can see, but the target’s permission check controls whether its contents open. If access comes from a shared parent folder, remove or adjust the inherited membership at the folder level as well.
For sensitive files, review download, print, and copy restrictions for viewers and commenters. Treat them as controls that reduce permitted actions, not as a guarantee that information cannot be captured or redistributed.
A practical decision guide

Insert the file chip after choosing an audience, or insert it first and then apply the same settings. In either case, tell recipients which account should be used and what role they have; that prevents most confusion when a chip opens an access-request screen.

- The target file’s Drive sharing settings control opening, commenting, and editing.
- A people chip does not share the document that contains it.
- Restricted access limits opening to permitted accounts; Anyone with the link broadens the audience within account and administrator rules.
- Folder inheritance, organization policies, and later owner changes can override what a user expects from the chip.
- Removing access leaves the chip in place but blocks the destination when the permission check fails.
