When a personal Microsoft account exceeds its OneDrive cloud-storage limit, OneDrive becomes effectively read-only for new work: existing files remain available to view and download, but uploads, edits and synchronization of new changes stop. Microsoft says the account is frozen after three months over quota. If it remains over the limit for six months, Microsoft might delete the OneDrive and all files in it; deleted files cannot be recovered. Free space immediately by deleting content and emptying the recycle bin, or add eligible storage.
What “over the Microsoft storage limit” actually means
Microsoft uses cloud storage as a shared allowance for several personal-account services. The limit is not only the space shown by the files currently in your OneDrive folders. OneDrive files and photos, Outlook.com attachments and inline images, certain files saved by Microsoft applications, and items in the OneDrive recycle bin can all count toward the same cloud-storage allowance.
For a free personal account, Microsoft’s current storage FAQ lists 5 GB of free cloud storage shared across those services. That is separate from the 15 GB free Outlook.com mailbox allowance. The two quotas are related but not interchangeable: you can have room in the mailbox quota and still be blocked because the shared cloud quota is full.

What stops working first
New uploads and camera-roll backup
Once the cloud allowance is exceeded, OneDrive cannot upload additional files. Automatic camera-roll uploads from a phone also stop. A file may remain on the device, but it will not be copied to the cloud until the account is back under its limit.

Editing and synchronization
Existing files remain in OneDrive, but Microsoft describes them as read-only while the account is over quota. You cannot reliably save edits back to OneDrive, and desktop or mobile synchronization of new files and changes is suspended. An offline copy may still open on your computer, but it is not a substitute for a confirmed cloud save.
Download and deletion remain available
Over-quota status does not immediately erase your files. Microsoft says you can download files and delete unwanted content while over the limit. Download important material before making large deletions so you have an independent copy if you later discover that an item was removed accidentally.

The three- and six-month statements come from Microsoft’s consumer storage guidance. They should not be read as a universal schedule for every Microsoft 365 organization account. The safest approach is to treat a warning as urgent rather than waiting for a deadline.

Why OneDrive can say it is full when your folders look small
Recycle-bin contents still consume space
Deleting a file from OneDrive normally moves it to the recycle bin instead of removing it permanently. Those items continue to count against the OneDrive allowance until the recycle bin is emptied. A cleanup that stops after deleting files may therefore show little or no change in the storage meter.
Photos, attachments and app data share the allowance
Large photos and videos, Outlook.com attachments, inline email images and eligible files created through Microsoft apps can use the same cloud pool. Review the storage dashboard rather than estimating usage from the size of your visible OneDrive folders.
Shared folders can contribute to usage
A shared folder that you have added to OneDrive can affect what appears in your account. If a shared item is contributing unexpectedly, use Microsoft’s instructions for removing shared folders from OneDrive, then check the storage dashboard again. Removing a shortcut or your access is different from deleting content owned by another person, so confirm which action the interface offers before proceeding.

Effects outside OneDrive
Outlook.com mail can stop sending and receiving
When the shared cloud quota is exceeded, Outlook.com may stop accepting or sending mail even if the separate mailbox quota is not full. Incoming messages can be returned to the sender. Those messages are not held for later delivery automatically; after you free space or add storage, the sender may need to send them again.
Check both meters: the cloud-storage dashboard for OneDrive and shared Microsoft data, and Outlook.com’s mailbox-storage view for email-specific usage. Clearing email alone will not fix an over-quota cloud account if large OneDrive files or recycle-bin items remain.
Teams messages with attachments
Teams can block messages that include attachments while the account is over the cloud limit. Plain text may behave differently, but an attachment still needs available cloud storage. Free space before assuming that a Teams outage is a service-wide problem.

Personal Microsoft account versus work or school OneDrive

A work or school account can be over quota even when your personal Microsoft account has space, because they are separate identities and storage pools. Sign in to the account that received the warning before deleting anything.
How to recover space safely
- Sign in to the warned account. Use the Microsoft account that received the storage notification, not a different personal, work or school identity.
- Open the storage dashboard. The dashboard shows what categories are consuming the shared allowance and helps identify the largest files. Do not rely only on the OneDrive folder view.
- Download irreplaceable files. Make copies of tax records, photographs, project files and other essential data to a computer or another storage location. Open several downloaded files to confirm that the copies work.
- Sort for large or unnecessary items. Remove duplicate videos, old installers, abandoned backups and other content you no longer need. If a file belongs to someone else through sharing, verify ownership before deleting it.
- Delete unwanted OneDrive content. Deletion is allowed while over quota, even though editing and uploading are not. Large files produce the fastest reduction in usage.
- Empty the OneDrive recycle bin. This is a separate action and is essential because recycle-bin contents count toward the allowance. Permanent deletion removes your ability to restore those items.
- Review shared folders. If the dashboard points to shared content, follow Microsoft’s shared-folder removal guidance. Removing a shared-folder link is not the same as deleting the owner’s files.
- Recheck the meter. Storage changes may not appear instantly. Microsoft says they can take up to 24 hours to apply.
- Test normal operation. After the account is under quota, upload a small test file, edit an existing document, and confirm that synchronization completes. Then test an Outlook.com message or Teams attachment if those services were affected.
If you choose to purchase or add storage
Use the plans shown as eligible for the signed-in account rather than relying on an old advertised allowance. Microsoft’s subscription entitlements and shared-storage arrangements change over time, so the account dashboard is the authoritative place to check what your plan provides.

What to do when the account is already frozen
A frozen account is not the same as an immediately deleted account. First get below the quota by downloading what you need, deleting unnecessary files and emptying the recycle bin, or by adding eligible storage. Allow up to 24 hours for the change to propagate. If the account remains frozen after 48 hours, contact support rather than repeatedly reinstalling the OneDrive app; a local reinstall cannot change a server-side quota.
Do not create a second account and assume it will restore the original files. It will not remove the original account’s overage or recover content that has already been deleted.
Common mistakes that prolong the problem
- Deleting files but not the recycle bin: the quota may remain unchanged.
- Checking the wrong identity: a personal account and a work or school account can have different limits.
- Confusing mailbox storage with cloud storage: clearing Outlook mail does not necessarily free OneDrive space.
- Waiting for an automatic deletion date: Microsoft says deletion after six months is possible, and deleted files cannot be recovered.
- Editing offline copies without checking sync: changes can remain only on the device while the account is read-only.
- Deleting shared content casually: you may remove material for other collaborators if you own the folder.
- Expecting an instant status change: allow 24 hours, then escalate after 48 hours if the account is still frozen.
How to prevent another overage
- Check the storage dashboard periodically, especially after importing a large photo library or mailbox archive.
- Turn off unnecessary camera-roll backup or move older photos to storage you control before the allowance is nearly full.
- Keep a second copy of critical documents outside OneDrive.
- Empty the recycle bin as part of every cleanup session.
- For work or school accounts, ask the administrator which limits are personal and which are pooled before changing team files.
- Set a reminder to review the account when Microsoft sends a quota warning instead of waiting for synchronization to fail.
Bottom line for your files
Exceeding the Microsoft cloud-storage limit first restricts activity; it does not instantly erase existing OneDrive files. You can generally download and delete content, but uploads, edits and synchronization stop, and Outlook.com and Teams attachments may also fail. For personal accounts, three months over quota leads to a stated freeze and six months creates a risk that Microsoft might delete the entire OneDrive. Reduce usage or add eligible storage now, then allow the service time to update and contact support if the account is still frozen after 48 hours.
