There is no universal shutdown outcome for AI services. A provider might offer an export period, cut off access before you can download everything, or delete stored data on a stated schedule. The only reliable answer is in that provider’s shutdown notice, account terms, workspace policy, and applicable privacy documentation.
When a closure is announced, export important conversations, files, prompts, generated media, and other records while your account and the download route still work. Record the access deadline, export deadline, included data types, file format, retention period, and deletion exceptions before acting.
What can happen when an AI service closes?
A shutdown usually involves several separate events rather than one instant deletion. The user-facing app may stop accepting requests, the login page may disappear, an API may be disabled on a different date, and backend copies may remain for a period afterward. A provider can also offer a final export window after normal access ends.

Because these stages can have different dates, treat “the service is shutting down” and “all of my data is deleted” as different claims that require separate evidence.

What OpenAI’s Sora shutdown notice demonstrates
OpenAI’s Sora discontinuation notice is a concrete example, not an industry-wide rule. It states that the Sora web and app experiences ended on April 26, 2026, while the API was scheduled to end on September 24, 2026. The notice gives users an export process and advises exporting promptly.
It also says that, after Sora is discontinued and after any final export window ends, OpenAI will permanently delete data associated with use of Sora. The wording is conditional because a final export window may or may not be available:
“After Sora is discontinued, and after the period of time of any final export window passes (if we are able to offer one), we will permanently delete any data associated with your use of Sora.”

The practical lesson is to identify which interface is closing, which date applies to your account, and whether the API and consumer applications have separate schedules. Do not assume that a date for one product or endpoint applies to another.
Can you download your chats before an AI service closes?
Often, but only if the provider makes an export route available and you use it before the deadline. Export eligibility can depend on whether the account is an individual account, a managed business workspace, an education tenant, or an API account.

Find the official route and deadline
- Open the provider’s shutdown notice, help-center article, or privacy page from the service’s own support area.
- Write down the last date for normal sign-in, the last date for export requests, and any separate final-export period.
- Follow the documented route, such as account settings, a privacy portal, or a support request. Do not rely on an unofficial browser extension or a third-party scraper when an official archive is available.
- Save the confirmation email, request number, and deadline in a place unrelated to the service that is closing.
OpenAI’s ChatGPT export guidance describes exports through account settings or the Privacy Portal for eligible accounts. It also notes that self-service export is unavailable in certain managed workspaces. A workspace administrator or contract may therefore control the recovery path even when an individual account has a download button.
Check what the archive actually contains
Before treating an export as a backup, read the provider’s description of its contents. It may include conversation text but omit generated media, uploaded files, deleted items, account settings, billing records, moderation events, internal annotations, or derived data. An export can be useful and still not be a complete representation of everything the provider holds.

Keep a second copy, such as an encrypted external drive or another controlled storage location. Capacity, encryption, and compatibility requirements depend on the size and sensitivity of the archive.
What if the export does not arrive?
Check spam and quarantine folders, confirm that the request used the correct account, and submit a new request only if the provider permits it. OpenAI’s help guidance says to contact support if an export has not arrived after seven days; that is a support instruction, not a guaranteed delivery time. If a shutdown deadline is near, contact support immediately and preserve screenshots of your request and the notice.
Does losing access mean the provider deleted your data?
No. Access control and retention are different systems. A provider can disable login while retaining records for a stated period, or it can delete some categories while keeping others for legal, security, or operational reasons.

OpenAI’s consumer retention guidance says saved chats generally remain until the user deletes them or a workspace retention policy removes them. Under that guidance, deleted chats are scheduled for permanent deletion within 30 days, subject to exceptions such as legal or security obligations and cases where data was previously de-identified. That is an example of OpenAI’s policy, not a standard timetable for every AI service or every shutdown.

Look for separate statements about active databases, backups, logs, abuse-prevention records, invoices, and data held by subprocessors. If a notice says “permanent deletion,” verify whether it specifies the systems and categories covered, the start of the deletion period, and any exceptions.
How API and business data can differ
API users and organizations should not apply consumer-app instructions automatically. A contract, data-processing agreement, workspace policy, or endpoint-specific documentation may define what is stored, for how long, and who can request deletion or export.
Endpoint-specific retention
OpenAI’s developer documentation describes retention and deletion controls that vary by endpoint and configuration. An endpoint’s policy cannot safely be generalized to every API interaction, model, or consumer product. Inventory the exact endpoints, projects, regions, and settings your application used.
Organizational ownership
For a managed workspace, an administrator may control exports, user access, and retention. Before a closure, obtain the organization’s copy of the archive, identify who is responsible for the request, and preserve contractual notices. If your company must meet a regulatory or litigation hold, coordinate with legal and records-management staff before deleting local copies.

Application-side records
Your own systems may contain prompts, responses, request identifiers, cached files, analytics events, and backups even after the AI provider shuts down. Search application databases, object storage, logging platforms, developer laptops, and team drives. Provider deletion does not remove copies that your organization already downloaded or generated.
Can privacy law force an export or deletion?
Privacy rights depend on jurisdiction, the type of data, the provider’s role, and the legal basis for processing. They are not a universal promise of full-service migration or instant erasure.
GDPR portability
GDPR Article 20 covers personal data that a person provided to a controller when processing is automated and based on consent or a contract. It provides a right to receive the data in a structured, commonly used, and machine-readable format and to request direct transmission where technically feasible. The provision does not guarantee export of every provider-created artifact, internal annotation, model state, or item that another AI service can import.
GDPR erasure
GDPR Article 17 provides erasure rights under specified conditions, with exceptions. A request may be limited by legal obligations, freedom of expression, public-interest requirements, establishment or defense of legal claims, or other listed grounds. The controller must assess the facts and applicable law; a shutdown notice does not replace that process.
If you may have a portability or erasure claim, use the provider’s documented privacy-request process and keep a copy of your request. People outside the European Union and European Economic Area should check the law that applies to their location and circumstances rather than assuming GDPR rights apply.

Can you move an AI chat history to another service?
Usually, you can preserve an archive more easily than you can perform a one-click migration. Services differ in file formats, metadata, attachment handling, conversation identifiers, system instructions, memory features, and safety settings. Even a complete text export may not reproduce the original context or behavior in another product.
Assess an export for migration
- Coverage: list conversations, files, generated media, projects, custom instructions, and account settings separately.
- Format: determine whether the archive uses readable HTML, JSON, CSV, images, audio, or a proprietary format.
- Relationships: check whether attachments remain linked to the correct conversation and whether timestamps and authors are preserved.
- Privacy: remove secrets, personal data, and confidential material before uploading an archive anywhere else.
- Reproducibility: save prompts, system instructions, model names, and application code if you need to recreate results.
A backup service or migration tool could help process an archive, but its ability to import the data depends on the destination’s documented format. Do not give a new provider an entire archive until you understand its retention and training terms.
A shutdown checklist for individuals
- Locate the primary notice. Confirm that it applies to your product, region, account type, and interface.
- Record every date. Note the access cutoff, export-request cutoff, API cutoff, and final-export period.
- Request an official export. Use account settings, the privacy portal, or the provider’s stated support route.
- Verify the archive. Open files, test attachments, and compare the archive with a list of material you need.
- Make independent copies. Keep at least two copies under your control and protect sensitive archives with appropriate encryption and access controls.
- Preserve business records. Download contracts, invoices, workspace policies, and endpoint documentation relevant to your obligations.
- Review your own systems. Remove or retain local prompts, outputs, logs, caches, and backups according to your records policy.
- Submit rights requests if needed. Use the provider’s privacy process for deletion or portability questions and retain correspondence.
How to compare shutdown notices from different providers
Do not rank services by a generic promise that data is “safe.” Compare the actual notice and terms against the same questions:

The available official examples do not establish an industry-wide ranking or a typical retention period. The provider-specific notice remains the controlling practical source, subject to your contract and applicable law.
What you should remember
An AI shutdown is a deadline-management problem as much as a privacy problem. Export early, verify what you received, keep independent copies, and separate the dates for access, export, retention, and deletion. Treat legal portability and erasure rights as conditional processes, not guaranteed full migration or immediate destruction. OpenAI’s Sora dates and retention guidance illustrate why product, endpoint, account type, and policy language must be checked individually.
