Microsoft is retiring the Publisher app from Microsoft 365, not announcing the deletion of every .pub file or the cancellation of Microsoft 365 subscriptions. Microsoft 365 subscribers lose the ability to open or edit Publisher files in Publisher on or shortly after October 1, 2026, as the removal update rolls out. Microsoft recommends finding important files and converting them before access disappears. Perpetual Publisher editions are different: Microsoft says they remain installable and usable after October 2026, but support ends on October 13, 2026.

The practical choice is straightforward: export publications to PDF when you need a stable copy for viewing, sharing, or printing; rebuild editable work in Word or PowerPoint when that fits the publication; or keep using an existing perpetual Publisher installation while understanding that it is unsupported.

What exactly is being retired?

Publisher is being removed from Microsoft 365. Microsoft’s support notice says: “Microsoft 365 subscribers will no longer be able to open or edit Publisher files in Publisher.” That statement concerns access through the Publisher application for Microsoft 365 subscribers. It does not say that the .pub file format is being erased, nor does it say that every file stored on a computer, OneDrive, or SharePoint will be deleted.

Microsoft’s retirement guidance also does not promise retention of every file in every account. Treat the files as your responsibility: locate them, identify which ones may need future changes, and convert or rebuild those publications while you still have a working Publisher installation. See the full notice at Microsoft Publisher will no longer be supported after October 2026.

When does access end?

There are two schedules because Microsoft 365 subscriptions and perpetual Office editions are licensed differently.

Date License or situation What Microsoft says
Through October 1, 2026 Microsoft 365 Publisher access Publisher can be used with its current functionality up to this date.
On or shortly after October 1, 2026 Microsoft 365 subscribers Publisher access is removed as the update rolls out. The date is a rollout starting point, not necessarily a single instant on every device.
October 13, 2026 Perpetual Publisher included with Office LTSC 2021 or Consumer Office 2021 Support ends when those Office products reach end of support.
After October 13, 2026 Perpetual editions Microsoft says the app can remain installed and usable, but it is unsupported.

Because the Microsoft 365 change is delivered through an update, two computers may not lose the feature at exactly the same moment. Do not use a still-working copy on one device as proof that every Microsoft 365 installation will continue to work.

What happens to existing .pub files?

The files are not announced as automatically deleted

Microsoft’s retirement announcement does not state that Publisher files will be deleted from local disks, OneDrive, or SharePoint. It tells users to search those locations and convert important publications. That is different from a guarantee that every file will remain available indefinitely, so make your own copies of publications that matter.

Microsoft 365 can no longer edit them in Publisher

After the removal reaches your Microsoft 365 installation, you should not expect Publisher to open or edit a .pub file. A file may still be present in storage while the application needed to work on it is unavailable. A PDF export preserves a rendered publication, but not the original Publisher editing structure.

File retention and file access are separate questions

Keep these questions separate when planning:

  • Where is the file? It may be on a PC, in OneDrive, or in SharePoint.
  • Can you open it? Microsoft 365 Publisher access is being removed.
  • Can you edit the design? A PDF is generally for viewing, sharing, or print handoff, not for restoring Publisher editability.
  • Do you have a supported application? Perpetual Publisher may continue to run, but Microsoft no longer supports it after October 13, 2026.

Does retiring Publisher cancel Microsoft 365?

Microsoft’s Publisher retirement notice says Publisher will no longer be included in Microsoft 365. It does not say that a subscriber’s broader Microsoft 365 plan, account, or billing is cancelled. Microsoft’s general overview describes Microsoft 365 as including products such as Word, Excel, PowerPoint, and OneDrive storage, but the exact entitlements depend on your plan. Check your account’s plan details rather than assuming that every application or storage allowance is identical across consumer, business, education, and other subscriptions. The general product overview is at Introducing Microsoft 365.

In practical terms, Publisher’s removal and your subscription renewal are separate events. You may continue to use the other applications and services included with your plan even though Publisher disappears. If Publisher was the reason you subscribed, compare your current plan’s remaining benefits before changing or cancelling it; the retirement notice itself does not instruct subscribers to cancel.

What should you do before losing Microsoft 365 Publisher access?

  1. Inventory your publications. Search every relevant computer and cloud location for .pub files. Include OneDrive and SharePoint, not only local folders.
  2. Mark files that may need revision. Prioritize templates, recurring newsletters, event programs, forms, labels, calendars, business cards, and any publication with text or dates you expect to change.
  3. Open the priority files now. Confirm that the current version contains the assets, fonts, images, and pages you expect. This is the point at which you can discover missing linked material or an outdated draft.
  4. Export a PDF copy. Use PDF for a fixed, shareable rendition or a printer handoff. Keep the original .pub file as well if you have a legitimate way to preserve and access it.
  5. Choose an editable replacement. For publications that must continue to evolve, start a replacement in Word or PowerPoint according to the publication type, then check every page and element.
  6. Store the outputs deliberately. Put the original and converted files in a location covered by your normal backup and retention policy. A conversion is not a substitute for a backup.

How to convert a Publisher file to PDF

Microsoft’s documented Publisher path is:

  1. Open the publication in Publisher.
  2. Choose File > Export.
  3. Select Create PDF/XPS Document.
  4. Choose Create PDF/XPS.
  5. Select the destination and PDF options, then publish the file.

Microsoft describes PDF as easy to share and says commercial printers often prefer it. Use a PDF when the recipient needs to view, approve, email, archive, or print the publication without changing its layout. The detailed instructions are in Save As or convert a publication to .pdf or .xps using Publisher.

Check the PDF before discarding anything

  • Open the exported PDF on a different device or in a different PDF reader.
  • Inspect every page for clipped text, missing images, incorrect fonts, and unexpected page breaks.
  • Confirm that bleeds, margins, page size, and color settings meet your printer’s requirements.
  • Keep the original Publisher file when future editing, legal records, or brand updates matter.

What can replace Publisher for editing?

Word for programs and folded-paper projects

Microsoft lists Word as a starting point for programs and folded-paper projects. Rebuilding in Word can work well when the document is primarily text with predictable columns, panels, or page flow. It is not a promise that a Publisher layout will transfer exactly. Recreate the design, then proofread the result rather than assuming that every text box, alignment, and graphic will match.

Word or PowerPoint for cards

Microsoft lists Word or PowerPoint for cards. PowerPoint can be useful when the design is arranged visually on a fixed-size canvas; Word may be more convenient for text-heavy or mail-merged work. Set the intended page or slide size before rebuilding and produce a test print.

Other common publication types

Microsoft’s retirement guidance also mentions templates, envelopes, labels, calendars, and business cards. Choose Word or PowerPoint as a starting point based on whether the job is document-driven or canvas-driven. Treat these applications as replacement tools for a workflow, not as guaranteed one-click converters for every Publisher feature.

Your goal Microsoft’s indicated path Important trade-off
View, share, archive, or send a publication to a printer Export to PDF Preserves a shareable rendition, but not the original editable Publisher project.
Continue creating or editing a common publication type Rebuild or adapt it in Word or PowerPoint Requires layout review; Microsoft does not guarantee identical transfer of every feature.
Keep opening and editing existing .pub files Use a perpetual Publisher edition if you already have one and it remains usable Microsoft says it can remain installed and usable after support ends, but future activation and compatibility are not guaranteed in the cited notice.

Can you convert many Publisher files at once?

Microsoft’s retirement FAQ says PowerShell or other automation can be used for bulk PDF export and points readers to an example conversion script. This is useful when an organization has hundreds or thousands of publications, but automation does not remove the need for quality control.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

A safe bulk-conversion workflow

  1. Make a read-only or backed-up copy of the source folder.
  2. Run the conversion against a small test set first.
  3. Write output files to a separate destination so originals are not overwritten.
  4. Record which source files succeeded or failed.
  5. Open a representative sample of the PDFs, including the largest and most complex publications.
  6. Investigate failures while Publisher access still exists; do not assume an empty output folder means that no files were found.

The Microsoft FAQ is the authoritative place to obtain the current example and any requirements around it. Scripts can depend on the installed Publisher version, permissions, file paths, and the way a publication uses linked content.

What if you have a perpetual Publisher license?

Microsoft distinguishes perpetual editions from Microsoft 365 subscriptions. It says perpetual Publisher versions can still be installed and used after October 2026, allowing users to continue accessing and editing files. However, support ends on October 13, 2026, when Office LTSC 2021 and Consumer Office 2021 reach end of support.

Unsupported does not mean that the program stops launching on that date. It means Microsoft no longer provides the normal support commitment after the end-of-support date. Continued operation is also not a promise of future activation, security fixes, operating-system compatibility, or compatibility with later Office changes. Keep installation media, license information, and backups only where your organization is permitted to do so, and develop a migration plan instead of treating an unsupported installation as a permanent strategy.

How to find Publisher files before the cutoff

Use the file search tools on each device and cloud service where publications may have been stored. Microsoft specifically recommends searching for “.Pub” files on a PC, OneDrive, and SharePoint.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • Search for both .pub and .Pub if your search system is case-sensitive.
  • Search shared folders and team sites, not just your personal Documents folder.
  • Check archived project folders and attachments saved from email or collaboration systems.
  • Record the owner, last-modified date, and purpose of each file before converting it.
  • Ask colleagues or departments that produce printed materials to check their own storage locations.

Finding a file does not prove that it is the latest version. Open priority files while access remains available and compare them with any PDFs or printed proofs already in circulation.

Common mistakes and how to avoid them

Assuming the subscription itself is ending

The announced change removes Publisher from Microsoft 365; it does not announce cancellation of the broader plan. Review your plan’s remaining applications and storage before making a billing decision.

Converting only the files you use today

Older publications often become important later for recurring events, compliance records, or historical reference. Inventory the full collection and classify files by future editing need.

Keeping only PDFs when edits are likely

A PDF is the right deliverable for a fixed rendition, but it is not an equivalent editable project. Preserve the original .pub file and rebuild critical workflows in another application.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Expecting Word or PowerPoint to preserve the layout automatically

Microsoft presents these applications as starting points for particular publication types. Plan for manual reconstruction and proof every page, especially when the design uses precise text boxes, multi-panel folds, or specialty printing.

Waiting until the rollout reaches every computer

Removal occurs as updates roll out. A working Publisher installation today may not be available tomorrow, so convert important files before your own device loses access.

Bottom line for individuals and organizations

Publisher retirement changes the application available to Microsoft 365 subscribers, not necessarily the existence of the files or the rest of the subscription. Before access is removed, search PCs, OneDrive, and SharePoint; export important publications to PDF; and rebuild documents that must remain editable in Word or PowerPoint. If you own a perpetual edition, Microsoft says it can continue to run after October 2026, but its support ends October 13, 2026, so treat that installation as a temporary bridge rather than a supported long-term platform.
