Photos, email, and files are not automatically transferred to relatives when an account holder dies. Google reviews requests from immediate family members or representatives and may release content, but it will not provide the password or login details. Apple offers a more defined route when the person set up a Legacy Contact: that contact needs the unique access key and required proof of death. In both systems, the result depends on the provider’s review, local documentation rules, account settings, and encryption.

Start by identifying the provider and deciding whether the family needs data preserved, the account closed, or the device made usable by someone else. Those are separate outcomes with different procedures.

First decide what you need: data, account closure, or device reuse

Before submitting anything, write down the desired outcome. Preserving photographs and messages is different from closing an account, and neither process is the same as preparing a phone or tablet for a new owner.

  • Data preservation: request or download photos, email, documents, notes, messages, or backups before asking for account closure.
  • Account closure: ask the provider to close the account when the estate no longer needs its contents.
  • Device reuse: remove the deceased person’s account and erase the device so another person can set it up with their own account.

The provider may require proof that you are an immediate family member, estate representative, or designated contact. Do not assume that possession of a phone, computer, or billing record creates a right to log in.

How Google handles a deceased person’s account

Google does not turn over a login

Google’s deceased-user process lets an immediate family member or representative request account closure, funds in certain circumstances, or account data. Google says it may provide content after a careful review, while treating privacy and security as its primary responsibility. Its policy is explicit: We cannot provide passwords or other login details. A successful request therefore does not give the family a normal sign-in session or the credentials needed to impersonate the account holder. See the Google deceased-user request process.

Request content before requesting closure

Google warns that if a requester chooses account closure, Google cannot later process a request to hand over the account contents. If photographs, Gmail messages, Drive files, or other material may be needed, make the content request first and postpone closure until the family has received what Google is able to provide.

  1. Open Google’s deceased-user request page and select the option for requesting account data rather than immediate closure.
  2. Provide the requested information about the account holder, your relationship or authority, and the specific data sought.
  3. Upload the identity, death, estate, or other documentation Google requests for the case.
  4. Wait for Google’s review. Approval is not automatic, and the final scope of any release is determined by Google.
  5. After preserving the available content, submit a separate closure request if the estate wants the account removed.

Do not use a saved browser session or a device’s unlocked state as a substitute for this process. Access obtained that way may expose private information, create legal problems, and still will not provide a durable transfer of ownership.

Google’s advance option: Inactive Account Manager

While alive, an account holder can configure Inactive Account Manager. It allows up to 10 trusted contacts, a selected set of available data categories, and an inactivity period that triggers the plan. A contact designated to receive data gets an email containing a download link after the inactivity period expires.

What triggers the plan

Inactive Account Manager responds to account inactivity, not to a verified death certificate or formal declaration of death. Google considers multiple activity signals, including sign-ins, activity in My Activity, Gmail use, and Android check-ins. A person who is alive but unable to use an account could therefore trigger the plan, while a deceased person’s account might not trigger it promptly if activity continues on a connected device.

What the account holder should configure

  • Choose contacts who can be reached years later, not only people living at the same address today.
  • Select only the data categories each contact should receive.
  • Tell the contacts that the download link will arrive by email after the inactivity period.
  • Review the settings whenever email addresses, family circumstances, or important services change.

Google retention limits still apply

Google says it reserves the right to delete an account and its data when the account has been inactive across Google products for at least two years. Separately, its storage policy says content can become eligible for deletion after an account remains over its storage limit for two years, with at least three months’ notice for accounts covered by that policy. These are policy thresholds, not a universal countdown from the date of death. Inactive Account Manager does not override them. Details are in Google’s storage policy.

Apple Legacy Contact: the clearest planned-access route

The access key and death certificate are both required

Apple’s designated-contact system is called Legacy Contact. Apple states: Your Legacy Contact must have both the access key and your death certificate to request access after you pass away. The key is generated when the account holder adds the contact. Apple says requirements can vary by country or region; in Japan, for example, a family certificate may be accepted instead of a death certificate. The current setup and request instructions are on Apple’s Legacy Contact page.

A Legacy Contact does not need an Apple Account or an Apple device merely to be designated. The practical risk is losing the key. The account holder should print it and store it with estate-planning documents, and should tell the contact where that copy is kept.

Data that may be available

After Apple approves the request, the Legacy Contact may receive access to data such as photos, messages, notes, files, and device backups. The precise set depends on the account’s settings and Apple’s technical ability to provide the data.

Data that is excluded

Legacy Contact access does not include purchased movies, music, books, or subscriptions. It also excludes iCloud Keychain information, including saved passwords, passkeys, and payment details. If the family’s main objective is recovering a password or a purchased item, this route will not provide it.

Apple requests when there is no Legacy Contact key

If the family cannot find an access key, Apple has a separate process for requesting access to a deceased family member’s Apple Account. Depending on the country or region, Apple generally asks for a death certificate and may require a court order or other legal documents. Apple describes a court-order route in the United States, Israel, and other locations, while some jurisdictions use alternative documentation or procedures. Requirements can change, so use the location-specific instructions in Apple’s deceased-account support article rather than assuming that one country’s process applies everywhere.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

A court order or other approval does not guarantee that every file will be delivered. Apple can limit the result based on encryption, account protection settings, and whether it has the technical keys needed to decrypt the data. Where necessary, Apple may ask for the device passcode or other information.

Encryption can make data permanently unavailable

Apple’s iCloud data-security overview distinguishes ordinary encryption from end-to-end encryption. Under standard data protection, iCloud Mail is encrypted in transit and on Apple’s servers, while Photos and iCloud Drive are encrypted in transit and at rest. With Advanced Data Protection, Photos and iCloud Drive are among the categories protected end to end, with the keys held on trusted devices.

For end-to-end encrypted categories, Apple says it cannot decrypt the information when the required recovery mechanisms are unavailable. A legal request cannot manufacture a missing key. This is why no provider process should be described as a guarantee that every photograph, message, or file can be recovered.

Getting the person’s Apple device ready for someone else

Data access and device reuse are separate. Apple says that after a Legacy Contact request or an account-deletion request is completed, Activation Lock is automatically removed. The device must still be erased and restored before another person can set it up with their own Apple Account. Apple also says it cannot remove a passcode lock without erasing the device.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  1. Finish the relevant Legacy Contact or deceased-account request, or complete the account-deletion process.
  2. Confirm that Activation Lock has been removed.
  3. Use the device’s erase and restore process to delete the deceased person’s local data.
  4. At the setup screen, have the new owner sign in with their own Apple Account.

Do not erase a device before preserving wanted data. Erasing can remove the only local copy of photographs or files that were not synchronized elsewhere.

Google and Apple compared by the decision that matters

Question Google Apple
Can relatives receive account content? Possibly, after a reviewed request; credentials are never supplied. Possibly, through a Legacy Contact key or approved legal documentation.
What should be prepared in advance? Inactive Account Manager contacts, inactivity period, and data categories. Legacy Contact designation and a safely stored access key.
What can block recovery? Provider review, account inactivity or storage policies, and the decision to close first. Missing key, regional documentation rules, account settings, and end-to-end encryption.
Does data approval prepare the device for reuse? Not applicable to Google’s general account request. No; Activation Lock removal is followed by a required erase and restore.

A practical preservation checklist

  1. Identify the account: determine whether the material is in Google services, an Apple Account, or both.
  2. List the priority data: separate irreplaceable photographs and documents from information that can be recreated.
  3. Check for advance planning: look for Google Inactive Account Manager instructions or an Apple Legacy Contact key in estate papers.
  4. Collect documents: prepare the death certificate, proof of authority, identity documents, and any country-specific paperwork.
  5. Submit the correct request: use Google’s content route before closure, or Apple’s Legacy Contact/legal route.
  6. Preserve approved data: download it to secure storage and make a second backup before changing account or device settings.
  7. Handle closure and reuse last: close the account only after content decisions are complete, and erase a device only after local data is preserved.

Planning while the account holder is alive

For a Google account, configure Inactive Account Manager, select trusted contacts, choose the categories they may download, and review the inactivity period periodically. For an Apple Account, add a Legacy Contact, print the access key, store it with estate documents, and tell the contact how to locate it. Keep those instructions current after a divorce, move, change of executor, or change in the devices used for account recovery.

No planning setting overrides encryption, provider policies, or local legal requirements. Its value is preventing the most avoidable failures: relatives not knowing which provider was used, a key being lost, or a closure request being submitted before the family asks for content.
