For a personal Microsoft account, Microsoft 365 expiration does not immediately delete your OneDrive files. Your cloud-storage allowance falls to the free 5 GB limit, which can also include Outlook.com attachments. If your account is over that limit, new uploads, edits, and syncing may stop and existing files become read-only. Microsoft says an account that remains over its limit can be frozen after three months, and that Microsoft might delete the OneDrive and all files after six months. That deletion is a risk, not a guaranteed deadline. Work and school accounts follow organization-specific rules.
What changes when a personal subscription expires
The rules below apply to consumer Microsoft 365 subscriptions attached to personal Microsoft accounts. Expiration removes the paid storage entitlement, but it is not an instant wipe of the data already stored in OneDrive.
Your existing files remain initially
Microsoft’s consumer guidance says files remain in OneDrive when the subscription expires. This immediate retention should not be mistaken for permanent protection: the account can become restricted when it exceeds the free allowance, and continued over-quota use can eventually put the data at risk.
The storage allowance falls to 5 GB
After expiration, the account reverts to Microsoft’s current free consumer cloud-storage allowance of 5 GB. That figure covers more than files in the OneDrive folder. OneDrive files and photos, along with Outlook.com attachments, can count against the same Microsoft account storage total. An account with 4 GB of OneDrive files and 2 GB of mail attachments is therefore over the 5 GB account limit even though the OneDrive folder alone is below it.

Over-quota accounts lose normal editing and syncing
When usage is above the allowance, Microsoft says new uploads, file edits, and syncing may stop. Existing content remains read-only. The practical consequence is that the files can still be present in the cloud while you are unable to use OneDrive as a normal working folder. Do not wait for a synchronization error to become your backup plan; make a separate copy while the files are still available.
| Account state | What it means for OneDrive |
|---|---|
| Subscription active | The account uses the storage entitlement attached to its Microsoft 365 plan. |
| Subscription expired, usage at or below 5 GB | The files remain within the free allowance and the account is not over quota. |
| Subscription expired, usage above 5 GB | Existing files remain read-only; new uploads, edits, and syncing may be blocked. |
| Still over the limit after three months | Microsoft says the account is frozen. |
| Still over the limit after six months | Microsoft says it might delete the OneDrive and all files in it. Deleted files cannot be recovered. |
The three-month and six-month timeline
The timing is conditional on the account remaining over its OneDrive storage limit. It is not a promise that every expired account will be deleted on a particular day.
- Expiration: The paid subscription ends, the storage entitlement is removed, and the account falls back to 5 GB. Files are not immediately erased.
- Over-quota period: If combined cloud usage exceeds 5 GB, OneDrive restrictions can prevent new uploads, changes, or synchronization. Existing files are read-only.
- After three months over the limit: Microsoft’s guidance says the account is frozen. Treat this as a service state that requires action, not as extra time you can safely ignore.
- After six months over the limit: Microsoft says it might delete the OneDrive and all files in it. The word “might” matters: six months is not a guaranteed grace period or a fixed deletion appointment. If deletion occurs, Microsoft says the files cannot be recovered.
Because the policy uses conditional language, keep your account below the limit as soon as possible rather than planning around the outer time frame. Notices, enforcement timing, and account status can also vary by locale and account history.

What to do immediately
Use one of the following paths to bring the account back within its allowance or restore the larger entitlement. The safest approach is to check the actual storage total first, because mail attachments and photos may be consuming space you did not expect.
- Open the Microsoft storage dashboard. Sign in to the Microsoft account associated with OneDrive and open the storage view shown in the account or OneDrive settings. Confirm the total used, the 5 GB allowance, and which services are consuming space. Labels can differ by country and account type, so rely on the usage meter shown for your account.
- Choose whether to renew. Renewing an eligible Microsoft 365 subscription restores its paid storage entitlement. Plan names, storage amounts, prices, and purchase routes change, so use the offer displayed in your own account rather than relying on an old price or a third-party listing.
- Move files you want to keep outside OneDrive. Copy them to a local computer, another storage service you control, or an external hard drive. Open several copied files and check their sizes before deleting the cloud versions. Moving files out reduces cloud usage; simply changing a folder’s location without verifying the copy can create an avoidable loss.
- Remove unnecessary cloud content. Delete files, photos, and Outlook.com attachments you no longer need. If mail attachments are the source of the excess, deleting large messages or attachments can reduce the same account-wide total.
- Empty the online OneDrive recycle bin. Deleted cloud files can continue to consume storage while they remain in the recycle bin. Empty it only after confirming that the local or replacement copy is complete, because this step removes the normal recovery path.
- Recheck the storage meter. Return to the dashboard and verify that usage is at or below the allowance. Allow time for the total to update, then check that the OneDrive client is no longer reporting an over-quota condition.
Renewing versus reducing storage
| Choice | Best fit | Result | Main caution |
|---|---|---|---|
| Renew Microsoft 365 | You want to keep the existing cloud library and continue editing and syncing it. | Restores the storage entitlement associated with the eligible plan. | Plan terms, pricing, and storage can change; confirm the offer in your account. |
| Move files out and stay on the free account | You need to retain selected files but do not need the paid OneDrive capacity. | Reduces cloud usage so the account can fit within 5 GB. | Maintain a verified local or alternative backup before deleting cloud copies. |
| Do nothing while over quota | No one should choose this deliberately. | Leaves the account exposed to blocked uploads, edits, and syncing, followed by the stated freeze and possible deletion risk. | Six months is not a guaranteed safe waiting period. |
An external hard drive can be a practical destination for a large archive, but the device itself is not a backup strategy unless you keep it safe and maintain another copy of irreplaceable data.
Shared Microsoft 365 subscriptions
Microsoft says that when a shared subscription expires, each person’s private files remain private and intact. What ends is that person’s subscription storage benefit. A member who was using space supplied by the shared plan can therefore become over the free allowance even though nobody else can see that member’s files.

Check which Microsoft account owns the files and which account supplied the subscription. If the owner lets the plan expire, every member should review personal usage and either renew the shared plan, move files out, or reduce the account total before restrictions become a problem. Do not assume that another member’s files are merged with yours; privacy and storage entitlement are separate issues.

- Starting October 8, 2026, new Microsoft 365 Family and Premium subscriptions, including repurchased expired subscriptions, receive 2 TB of shared OneDrive storage. New Pro subscriptions receive 5 TB of shared storage.
- Existing Family and Premium subscriptions are scheduled to move to shared storage on renewal or automatically on April 1, 2027, as specified by the plan.
- Existing Pro subscriptions are scheduled to move to shared storage on renewal or automatically on November 1, 2027, as specified by the plan.
These dates describe paid-plan storage. If one of those subscriptions later expires, the consumer account still falls back to the applicable free allowance, currently 5 GB. Check the plan and storage dashboard tied to your account because subscription history determines which entitlement you have.

An account using 12 GB at expiration
Suppose a personal account contains 12 GB of OneDrive photos and files when Microsoft 365 expires. The account now has a 5 GB allowance and is 7 GB over it. The existing content is not erased immediately, but new uploads, edits, and synchronization may stop. The owner should either renew or copy at least 7 GB of content out of cloud storage, then empty the recycle bin and verify the updated total.
An account with 3 GB of OneDrive files and 3 GB of Outlook attachments
The OneDrive folder appears to be below 5 GB, but the combined account total is 6 GB. Reducing only OneDrive content will not necessarily resolve the warning. The owner must review both cloud files and Outlook.com attachments in the storage dashboard.

A family member whose private files are under a shared plan
The member’s files do not become visible to other members when the shared subscription ends. However, the member loses the storage benefit supplied by that plan and must fit within the free allowance or obtain another entitlement.
How to avoid accidental loss
- Keep a second copy of irreplaceable documents and photos before deleting anything from OneDrive.
- After copying files, open representative documents, inspect photo thumbnails, and compare folder sizes.
- Remember that deleting a file from a synchronized folder can delete it from the cloud as well; verify where the authoritative copy is stored before using delete.
- Empty the online recycle bin only after the replacement copy is confirmed.
- Review the storage meter periodically, especially after large photo imports or Outlook attachment activity.
- If the account belongs to an employer or school, obtain the administrator’s retention policy before moving or deleting organizational data.
Bottom line
Microsoft does not immediately delete personal OneDrive files when Microsoft 365 expires. The important deadline is the loss of paid storage: the account falls to 5 GB, and an account that remains above that limit can become read-only, be frozen after three months, and face possible OneDrive deletion after six months. Renew or reduce usage now, verify the storage dashboard, and keep an independent copy of files you cannot replace.
