You probably don’t need to buy a whole ergonomic workstation. First adjust the chair, desk, screen, keyboard and mouse you already have so they fit your body and the work you do. Buy an accessory only when it fixes a specific problem that repositioning cannot solve. For desk-based laptop work, that may mean a laptop stand and a separate keyboard and mouse; a footrest is useful only if your feet remain unsupported after adjusting the chair.

Start with fit, not a shopping list

There is no single workstation arrangement that suits everyone. The right setup depends on your body, your tasks, your devices and what can be adjusted. The Occupational Safety and Health Administration (OSHA) puts it plainly: “There is no single ‘correct’ posture or arrangement of components that will fit everyone.” Its computer workstation components guidance treats the chair, desk, monitor and input devices as parts of one setup, rather than isolated purchases.

Use this order: adjust your existing chair and desk, position the display, bring the keyboard and mouse close, then identify any mismatch that remains. For example, a laptop stand is relevant if the screen sits too low for comfortable viewing at a desk; it is not automatically necessary for every laptop user. Mayo Clinic’s office ergonomics guide, published May 25, 2023, recommends considering a stand together with an external keyboard and mouse for desk-based laptop work.

This sequence also helps avoid buying one thing that makes another part of the setup harder to use. Raising a laptop may improve screen height but make its built-in keyboard inconvenient; raising a chair to reach a fixed-height desk may leave your feet unsupported. Look at the chair, work surface, screen and input devices together, and make changes in response to the task you actually do there. A setup for frequent desk-based typing may call for different adjustments from brief laptop use.

Adjust the chair and check the desk

Set the chair for supported feet and back

Start by choosing or adjusting a chair that supports your spine. Set its height so your feet rest flat on the floor, or on a footrest if needed, and your thighs are approximately parallel to the floor. Your back should be supported, and your shoulders should stay relaxed rather than lifted toward your ears. If the chair has armrests, adjust them so they support your arms without pushing your shoulders up.

These are fit checks, not a reason to replace a chair that can be adjusted to work for you. Mayo Clinic recommends a chair that supports the spine; OSHA’s workstation purchasing guide also considers the chair, work surface, keyboard height and leg clearance together. An adjustable office chair becomes a sensible purchase when your current seating cannot provide needed support or a suitable height.

If you are comparing chairs, focus on whether the available adjustments let you achieve those fit checks, rather than on an “ergonomic” label alone. Consider whether the chair suits your body and leaves adequate room at the desk. No particular model or chair feature is identified as best for everyone, so there is no supported universal specification to shop for. The practical test is whether the chair can provide support and a workable position in your own workspace.

Keep knees, thighs and feet clear

Check that the desk leaves room for your knees, thighs and feet. If a fixed-height desk makes it difficult to position the chair and work surface comfortably at the same time, adjust the chair first. If that leaves your feet unsupported, a footrest can bridge the gap. It is a conditional accessory: if your feet already rest comfortably, the setup does not call for one.

Do not consider leg clearance separately from the height of the keyboard and work surface. OSHA’s purchasing guidance evaluates workspace surface, keyboard height and clearance together. If you cannot fit your legs comfortably under the desk, or reaching the keyboard makes you lift your shoulders, first see whether the chair or equipment can be repositioned. If the fixed desk height still forces a tradeoff, choose an accessory only to address the remaining issue—for example, a footrest if your feet cannot stay supported at the chair height that works for the desk.

Position the monitor in front of you

Place the display directly in front of you rather than off to one side, so you can work without repeatedly turning your head. Aim for the top line of the screen to be at or slightly below eye level. Mayo Clinic describes a viewing distance of about an arm’s length, with a range of 20–40 inches; OSHA’s monitor guidance says to keep the screen at least 20 inches away. These are practical setup recommendations, not a guarantee that one distance will suit every screen, person or viewing condition. Adjust the screen if text is hard to read, and consider glare and window placement.

The measurements are guides for setting up a workstation, not study results or a promise of a particular outcome. Use them alongside comfort and readability: center the screen, then adjust its height and viewing distance so you can see it without straining. A window or other light source may create glare, so check the display from your normal working position and consider the window placement before buying a monitor accessory.

If you use a separate monitor that cannot reach a comfortable height or position on its own, a monitor stand or arm may help. First see whether repositioning the display or changing the height of what it sits on solves the problem. OSHA’s guidance discusses monitor placement and workstation components; it does not establish that every worker needs a dedicated arm or stand.

Keep the keyboard and mouse close

Put the keyboard directly in front of you and the mouse on the same surface, within easy reach. Keep your upper arms near your body, shoulders relaxed and wrists straight while typing and using the mouse. Reaching forward or sideways can pull your shoulders out of a relaxed position; bring the devices closer before considering specialized input equipment.

The Canadian Centre for Occupational Health and Safety’s keyboard selection and use guidance, published and revised February 28, 2022, advises against resting your wrists on the desk because pressure may contribute to contact stress. A wrist rest is therefore not a default essential: it should not encourage you to keep pressure on your wrists while typing. OSHA’s keyboard guidance likewise addresses arrangement and neutral positioning.

Before shopping for a keyboard tray, wrist rest or specialized keyboard and mouse, check the simplest issue first: are your existing devices close enough and on a surface where you can use them with relaxed shoulders and straight wrists? A new device is not the first fix for reaching too far. Positioning and neutral use are supported by the cited guidance, but a particular keyboard shape or wrist-rest design is not established as necessary for every home worker.

Decide whether laptop accessories solve a real problem

A laptop combines its screen and keyboard, so positioning one for comfortable viewing can put the other in an awkward place. For desk-based work, Mayo Clinic suggests considering a laptop stand with a separate keyboard and mouse to more closely mimic a desktop setup. The stand raises the screen; the separate input devices let you keep your hands near the work surface. Mayo’s recommendation is a practical option for that mismatch, not a claim that every laptop user needs all three items.

If you use a laptop briefly, or its screen is already at a comfortable height for your setup, the cited guidance does not make a stand mandatory. If you do raise the laptop, make sure the separate keyboard and mouse can sit close enough for relaxed shoulders and straight wrists. Buying a stand without addressing where you will put those input devices may simply move the compromise from your eyes to your arms.

For laptop users, the useful comparison is not “stand versus no stand” in isolation. Ask whether the screen needs to be raised, whether separate input devices can fit on the desk, and whether the setup leaves enough room for your legs and other work materials. The stand is most relevant when desk work makes the laptop’s combined screen-and-keyboard design a poor fit. If those conditions do not apply, the cited guidance gives no reason to treat it as an essential purchase.

Use movement and breaks as part of the setup

Even a well-positioned workstation does not mean staying in exactly one position all day. Mayo Clinic Health System’s home workspace guidance, published March 30, 2020, recommends varying sitting and standing time and including stretching and physical activity. A standing desk is not a universal requirement; changing position is the useful principle, whether or not you own one.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

WorkSafe New Zealand’s healthy workstation guidance recommends a five-minute break every hour of continuous mouse and keyboard use. Treat that as WorkSafe’s specific recommendation, not a universal interval established for every person or work pattern. Use breaks to move rather than assuming an accessory can replace changes in position.

Movement belongs alongside, not instead of, a workstation that fits. A standing desk may make it easier for some people to vary positions, but the cited guidance does not say everyone needs one. Similarly, a chair or accessory cannot remove the value of changing position, stretching and physical activity as part of the day.

A practical decision guide for purchases

Before adding anything, identify the fit problem and check whether you can solve it by repositioning existing equipment. Use the item only if its job in your setup is clear.

Item Consider it when Check first
Adjustable office chair Your current chair cannot support your back or provide a workable height. Whether adjusting the chair you have can support your back, keep your feet supported and leave leg room.
Laptop stand You work at a desk and need to raise the laptop screen for comfortable viewing. Whether the screen is already at a comfortable height, and whether you can place a separate keyboard and mouse nearby.
External keyboard and mouse Raising a laptop screen would otherwise leave its keyboard and touchpad too high, too far away or awkward to use. Whether they can sit close to you on the same surface, with shoulders relaxed and wrists straight.
Footrest Your feet remain unsupported after you adjust the chair to a suitable working height. Whether your feet already rest comfortably on the floor.
Monitor stand or arm A separate monitor cannot otherwise be positioned comfortably in front of you. Whether repositioning the monitor or its existing support is enough, and whether the desk has room.

For any adjustable item, consider its adjustment range and whether it fits your body, device and available desk and leg space. No specific models have been evaluated here, so there is no basis for a brand or model ranking. The useful question is whether the item corrects a mismatch in your own workstation.

When comparing categories or products, use the same practical criteria: does it correct a specific fit problem; does its adjustment range work for your body; does it suit your task and device, especially laptop versus separate monitor; will it fit the available desk and leg space; and can you solve the issue by moving existing equipment first? These checks apply whether you are considering a chair, laptop stand, external input devices, footrest or monitor support. They also help keep the basic setup affordable: a purchase should earn its place by making a particular part of the workstation workable.

This guide does not include product testing or model ranking, and the cited sources do not establish that premium equipment prevents pain. The supported approach is to adjust components to the person and task, then consider a suitable accessory for a remaining mismatch. A basic arrangement can include existing furniture and devices if they can be adjusted to provide support, comfortable viewing and reachable input devices.

Check the whole setup after each change

Make one adjustment at a time, then sit or work normally long enough to notice whether it improves the fit without creating a new reach or clearance problem. Recheck the relationships among chair, work surface, screen and input devices: raising the laptop, for instance, changes where its built-in keyboard sits, while raising the chair can affect whether your feet stay supported. If a change creates a new problem, reverse it and try another position or a targeted accessory.

  • Can you sit with your back supported and shoulders relaxed?
  • Are your feet supported, with room for your knees, thighs and feet?
  • Is the display in front of you at a distance and height that lets you view it comfortably?
  • Are the keyboard and mouse close enough to use with your upper arms near your body and wrists straight?
  • Does each accessory address a specific remaining problem rather than simply add equipment?

Repeat the check when your work changes—for example, if you switch between a laptop and a separate monitor, or move between typing and other tasks. There is no single arrangement that fits every person or task, so treat the checklist as a way to notice whether the components work together, not as a pass-or-fail posture test. Adjust what you can before deciding that a new item is necessary.

Do I need a laptop stand for working from home?

Not necessarily. For desk-based laptop work, Mayo Clinic suggests considering a stand with an external keyboard and mouse to separate screen height from input-device position. Brief use or a laptop screen that is already comfortable does not make a stand mandatory.

Is a standing desk an ergonomic essential?

No. Mayo Clinic Health System recommends varying sitting and standing time, along with stretching and physical activity. A standing desk may support position changes, but the cited guidance does not say everyone needs one.

Should I buy a footrest or wrist rest?

A footrest is worth considering if your feet remain unsupported after you adjust the chair to a workable height. A wrist rest is not a default essential; CCOHS advises against resting wrists on the desk because pressure may contribute to contact stress. Keep wrists straight and avoid sustained pressure.

How far away should my monitor be?

Mayo Clinic describes about an arm’s length, with a range of 20–40 inches, while OSHA says at least 20 inches. Treat these as setup guides rather than a universal exact distance; keep the screen centered and adjust for comfortable viewing and readability.

How often should I take a break from keyboard and mouse work?

WorkSafe New Zealand recommends a five-minute break every hour of continuous mouse and keyboard use. That is WorkSafe’s specific recommendation, not a universal interval for every person or work pattern; use breaks to move.

The Bottom Line

The essentials are a workstation that fits your body and task: supported chair and feet, a centered display you can view comfortably, and a keyboard and mouse within easy reach. Adjust what you already own first. Consider a laptop stand with separate input devices for desk-based laptop work, and add a footrest, monitor support or adjustable chair only when it solves a clear remaining fit problem.
