A residential leasing agent helps an apartment community turn inquiries into signed leases and successful move-ins. The role typically covers responding to prospects, marketing available homes, conducting tours, explaining rental criteria and lease terms, coordinating applications, preparing lease documents under company procedures, and following up with residents after move-in.
Leasing agents are also called leasing consultants or leasing professionals. They usually combine sales, customer service, documentation and compliance work. Their exact authority depends on the employer, property size and local rules; a leasing agent applies the community’s policies but does not necessarily write those policies or make every final approval decision.
The leasing agent’s job from first inquiry to move-in
In a multifamily community, the leasing agent is often the prospect’s main point of contact. The work follows a sequence, although agents may handle several stages at once when a property has many vacancies or scheduled move-ins.

1. Generate and respond to prospect interest
Agents help attract prospective residents through the property’s marketing channels and leasing technology. The National Apartment Association Education Institute (NAAEI) curriculum includes generating traffic, using technology, developing marketing plans and evaluating a prospect’s level of commitment. See the NAAEI Certified Apartment Leasing Professional curriculum.

Once an inquiry arrives by phone, email, web form or an in-person visit, the agent gathers the information needed to suggest suitable homes: desired move-in date, household size, preferred floor plan, budget range, accessibility needs and questions about amenities. A useful first response sets expectations about availability and the next step rather than promising a particular apartment that could be leased before the prospect applies.
2. Conduct tours and present the community
The agent schedules and leads tours of available apartments, model homes and shared amenities. A tour normally covers the unit’s layout, finishes, appliances, storage, parking, building access, community facilities and any rules that affect daily use. Agents should describe what is actually available, distinguish current features from planned changes and explain which charges or services are addressed in the lease.
Touring is not only a presentation. The agent listens for the prospect’s priorities, answers questions, records follow-up needs and assesses whether the community is a realistic match. NAAEI’s curriculum treats relationship selling and evaluating a prospect’s commitment as parts of the leasing process.
3. Explain rental criteria and qualify consistently
Before an application is submitted, the agent explains the community’s published rental criteria and application process. Criteria can address income, credit, rental history, occupancy, identification, deposits, fees and required documents. The agent’s responsibility is to communicate and apply the property’s established policy consistently; the agent should not imply that they can waive a requirement or invent an exception.

Qualification conversations must be handled in the regulated housing context. Fair-housing and anti-discrimination obligations affect marketing, prospect questions, tours and application handling. The NAAEI curriculum includes fair-housing laws and prospect qualification, while the U.S. Bureau of Labor Statistics (BLS) identifies compliance with anti-discrimination laws as part of property-management work. These sources do not constitute a complete legal checklist for every jurisdiction, so an employer’s compliance procedures and applicable law control.
4. Coordinate the application and screening workflow
The agent guides the prospect through the application, explains which information and supporting documents are required, and routes the file through the community’s screening process. Depending on the property, a separate screening service, manager or corporate team may make the decision. Describing the agent as a coordinator is more accurate than saying the agent independently approves every applicant.
Good process control matters: the agent records contacts, documents what was provided, communicates missing items, protects personal information and gives the prospect the next procedural step. The agent should use the same criteria and sequence for comparable applicants and escalate questions that require management or compliance review.

The agent tracks signatures, required payments and outstanding conditions, then coordinates the scheduled move-in. If a document contains an error or a resident asks for a change outside the agent’s authority, the issue should be routed to the designated manager or legal/compliance contact instead of being improvised.
6. Coordinate the move-in experience
Move-in support can include confirming the appointment, providing access instructions and keys or access credentials, explaining building procedures, documenting the apartment’s condition and directing the resident to maintenance or emergency contacts. The precise handoff varies by property. The agent’s goal is to make sure the new resident knows what was agreed, where to get help and how to report a problem.
7. Continue communication after occupancy
The relationship does not necessarily end when the lease is signed. Leasing staff may follow up on resident questions, document incidents, route or monitor maintenance requests, explain community procedures and build resident relationships. They may also help secure or process renewals when that assignment belongs to the leasing team. A maintenance request still belongs in the property’s maintenance workflow; the agent should not promise a repair schedule they cannot control.

8. Support occupancy and market performance
Leasing teams monitor the community’s reputation, review sales performance and conduct market surveys, according to the NAAEI career map. This can involve tracking prospect sources, tour outcomes, available inventory, follow-up activity and resident feedback. The specific reports and targets are set by the employer, so there is no single universal leasing-agent scorecard.

What a leasing agent can decide—and what remains with management
Job titles overlap, particularly at smaller communities. The BLS explains that property and real estate managers oversee broad property operations and may advertise vacancies or hire a leasing agent to find a tenant. Its occupational overview is available at BLS: Property, Real Estate, and Community Association Managers. O*NET’s profile also lists showing properties, explaining occupancy terms, marketing vacancies, keeping rental-activity records and handling compliance-related work; those tasks provide context but should not be assigned automatically to every leasing position. See O*NET 11-9141.00.
| Area | Leasing agent | Property manager |
|---|---|---|
| Primary focus | Prospects, tours, applications, lease steps, move-in and assigned resident follow-up | Overall operation of the property and its performance |
| Marketing vacancies | Uses approved marketing tools, responds to leads and presents available homes | Sets or oversees marketing strategy and may hire leasing staff |
| Rental criteria | Explains and applies the community’s established criteria | Owns or oversees policy, escalation and compliance processes according to the organization |
| Applications and approvals | Coordinates information and communicates next steps | May oversee screening decisions, exceptions or escalations, depending on policy |
| Maintenance and repairs | Receives or routes resident issues when assigned | Oversees maintenance, repairs, vendors and service standards |
| Records and finances | Maintains leasing and contact records required by the workflow | Has broader responsibility for records, complaints, financial reporting and compliance |
The table describes common scope, not a legal definition. A small community may combine roles, while a large property may divide leasing, resident services, compliance and management among several employees. Read the actual job description to identify who has approval authority, who handles after-hours issues and who owns financial or vendor decisions.

Customer service and relationship sales
Agents need to ask useful questions, listen without steering a prospect toward a protected-class preference, explain choices clearly and follow up when promised. Sales skill in this setting is consultative: matching an applicant’s stated needs to available homes while representing the community accurately.

Technology and marketing literacy
Leasing work commonly uses a property-management or leasing platform, lead-management tools, digital applications, e-signature workflows, calendars and communication systems. NAAEI’s curriculum specifically addresses technology used to generate traffic and leasing activity. The sources do not establish one required software vendor, so employers may train agents on different systems.
Compliance judgment
Agents must know when a question can be answered from published policy and when it must be escalated. Fair-housing compliance is part of the role’s operating environment, but the cited sources do not cover every federal, state or local requirement. Employers should provide the governing procedures and training for the property’s jurisdiction.
Training and the CALP credential
The NAAEI offers the Certified Apartment Leasing Professional (CALP) credential as an industry development pathway. It is optional: the published requirements do not establish that every employer or jurisdiction requires certification.

|---|---|
| Experience | At least six months of onsite property-management experience in a leasing role. Experience may be earned while taking the course; a provisional certificate can apply until the experience is completed. |
| Coursework | Seven CALP courses covering subjects such as fair housing, rental criteria, prospect qualification, lease preparation, resident issues, renewals and market surveys. |
| Exam timing | Declare candidacy, complete the courses and pass the exam within six months of declaring candidacy. |
These are program requirements on the current NAAEI CALP page, accessed October 13, 2026. They are not workforce statistics or a guarantee of employment. NAAEI describes CALP as a signal of commitment to a residential property-management career; that is organization-authored promotional language rather than an independent employment outcome.
How to read a leasing-agent job posting
Because titles are not standardized, compare postings on the work and authority they actually assign. Check these six areas before applying or accepting an offer:
- Prospecting and tours: Determine whether the position handles inbound leads only or also outbound prospecting, open houses, model preparation and weekend tours.
- Applications and screening: Ask who explains criteria, collects documents, orders screening, communicates adverse decisions and approves exceptions.
- Lease documents: Confirm whether the agent prepares packages, conducts lease reviews, manages e-signatures and tracks deposits or other pre-move-in conditions.
- Resident and renewal work: Identify expectations for maintenance follow-up, resident events, incident documentation, retention contacts and renewal processing.
- Software and marketing: Look for responsibility for listing accuracy, reputation monitoring, CRM or property-platform records, market surveys and performance reports.
- Property and schedule: Note the number of units, team size, days and hours, weekend or on-call coverage, and whether leasing and management duties are combined.
Common boundaries and mistakes to avoid
- Do not promise approval: The agent can explain criteria and process an application, but final authority may sit with a manager, screening provider or corporate team.
- Do not create exceptions informally: A verbal promise that conflicts with written policy creates risk for the applicant and the community.
- Do not treat a tour as a guarantee: Availability, pricing, concessions and move-in dates can change until the property’s formal process is complete.
- Do not give legal advice from memory: Use the employer’s fair-housing and privacy procedures and escalate jurisdiction-specific questions.
- Do not assume every agent handles repairs or finances: Those responsibilities belong to management or specialized staff unless the job description assigns them.
- Do not stop documenting after signing: Resident contacts, incidents, requests and renewal steps may remain part of the leasing workflow.
Bottom line for prospective residents and job seekers
A residential leasing agent is the operational link between an apartment community’s vacancy and a resident’s occupancy. The agent attracts and assists prospects, conducts tours, explains established criteria, coordinates applications, prepares lease steps, supports move-in and often continues resident or renewal follow-up. Property managers retain a broader operational, financial and compliance remit, although smaller properties may combine the jobs. For a specific role, the employer’s written responsibilities, approval chain, schedule and jurisdiction-specific procedures are more reliable than the title alone.
