GST recordkeeping depends on the country. This checklist focuses on India’s central GST framework under the CGST Act and Rules; Canada and Singapore use different retention clocks and requirements. In India, keep records that substantiate your supplies, stock, input tax credit (ITC), and tax payable or paid, together with the invoices, vouchers, registers, and other evidence that explain those entries. The Central Goods and Services Tax Act, 2017, section 35(1), requires a registered person to keep “a true and correct account” of specified business activities and tax records. Read the CGST Act.

What documents should you keep for GST compliance in India?

Think of the records as a connected trail: a transaction document supports an accounting entry, the entry supports the tax treatment, and the records together explain the figures reported in GST returns. The CGST Act identifies accounts for production or manufacture, inward and outward supplies, stock, ITC availed, and output tax payable and paid. The CGST Rules specify supporting records and documents, including invoices, bills of supply, delivery challans, vouchers, e-way bills where applicable, and registers. The exact set depends on the business and the transactions it makes. CGST Act and Rules.

The practical test is whether the records let you explain what happened, when it happened, how goods or services moved, and how the transaction flowed into your accounts and GST reporting. A document kept without its accounting context may be difficult to use later; a reported total without its source evidence may be difficult to substantiate. Keep the supporting documents with the relevant entry or make the cross-reference clear.

Sales and outward supplies

  • Keep tax invoices or bills of supply, as applicable, for outward supplies.
  • Retain credit notes and debit notes, delivery challans, and records showing what was supplied.
  • Keep supporting material that makes the transaction and its GST treatment understandable, linked to the relevant accounting entry.

Outward-supply records should help explain the amounts and tax treatment recorded in your accounts. Keep the related delivery or movement document where one is relevant to the goods transaction. Do not treat an invoice as the only record needed if other records are what explain the supply or its movement.

XKDOUS 2 Pack Invoice Books, 2-Part Carbonless Receipt Books
  • Two-Part Carbonless Invoice Book: Each invoice book has 50 sets of invoices, each with a white/light yellow section, with the yellow section retained in the invoice book to maintain detailed records.
  • Consecutively Numbered: Enlarged red 6-digit numbers in the upper right corner of each invoice receipt book help you quickly navigate through your orders.
  • Wraparound Divider Flap: A thick folded cardboard divider is integrated into the back of each invoice book for use between each two-part sales order to prevent the written content from rubbing off on subsequent copies of the invoice, resulting in wasted invoices.
  • 2 Packs/50 Sets (100 Sets Total): Each invoice book provides 50 sequentially numbered carbonless sets of 2 invoice books for long-term use.
  • Customizable Space: Each invoice book for small business has space at the top to add a company seal or sticker.

Purchases and inward supplies

  • Keep supplier invoices or bills of supply, along with credit or debit notes received and delivery challans.
  • Retain relevant records and documents for imports and reverse-charge supplies. The documents required vary with the transaction.
  • Make sure purchase records support the tax and ITC entries recorded in the accounts.

For inward supplies, preserve enough source evidence to connect the supplier document to the purchase entry and any associated tax or ITC record. Imports and reverse-charge transactions can involve different supporting documents, so retain the relevant records for the actual transaction rather than assuming that one standard invoice covers every case.

Tax and input tax credit

  • Maintain accounts of tax payable, tax collected and paid, input tax, and ITC claimed.
  • Keep the invoices and source records supporting those amounts so the tax entries can be traced back to the transactions.

These accounts should explain both sides of the tax record: amounts collected or payable on outward activity and input tax or ITC claimed on purchases. The source documents matter because they make the figures traceable; retain the records that explain how each reported amount was derived.

Stock and movement of goods

Maintain stock accounts that explain the movement and balance of goods. Include opening balance, receipts, supplies, losses, theft, destruction, write-offs, gifts or free samples, and closing balance. Keep delivery and movement documents relevant to goods so stock changes can be understood alongside supply records.

Stock records are not only a count of goods on hand. They should account for changes during the period, including non-sale events such as loss, destruction, write-offs, gifts, or free samples. Retaining the relevant movement documents alongside the stock account helps explain why a balance changed.

Advances, payments, and refunds

Keep separate accounts for advances received, advances paid, and advances adjusted. Retain relevant receipt vouchers, payment vouchers, and refund vouchers to support the entries.

  • QUALITY INVOICES: Adams Order books provide a professional invoice or customer receipt; a great way to create and maintain a professional image for small businesses and service providers

  • WRAP-AROUND COVER: Fold the back cover between sets to keep invoices neat and legible
  • ROOM FOR CUSTOMIZATION: A blank space at top leaves room for your company stamp; a big savings over custom-printed forms
  • CONSECUTIVELY NUMBERED: Large 6-digit numbers in the upper right hand corner help you thumb through orders quickly

Returns, reconciliations, and registers

Retain filed GST returns and reconciliations that explain reported totals and connect them to the underlying transactions. Keep the relevant tax and document registers required for the business. A reconciliation is useful only if its figures can be followed back to the underlying accounts and source documents.

The rules also identify registers for tax and documents, in addition to transaction records. The specific registers and supporting material needed depend on your business and activity. Use them to make the relationship between source documents, accounting entries, and reported totals understandable, rather than as disconnected paperwork.

Where should records be kept?

The CGST framework addresses keeping records at the registered principal place of business and related places of business. Check the current rule text alongside your registration details and business circumstances before deciding where each record should be maintained. This checklist does not replace that location-specific check.

How long do you need to keep GST records?

In India, section 36 of the CGST Act generally requires records to be retained until 72 months have expired from the due date for furnishing the annual return for the year to which the records relate. The clock is tied to the annual return due date—not simply six years from the transaction date. If records relate to an appeal, revision, other proceeding, or a specified investigation, retain them until one year after final disposal or the ordinary statutory period, whichever is later. CGST Act, section 36.

That distinction matters when organizing an archive: the relevant period is determined by the year and annual-return due date to which the records relate, not just the date printed on an individual invoice. Also identify whether a proceeding or specified investigation is connected to the records, because the longer statutory period may apply. When that is the case, do not discard the material merely because the ordinary period has elapsed.

Jurisdiction Ordinary period and clock Potential extension
India 72 months from the due date for furnishing the annual return for the relevant year, under section 36 of the CGST Act. For records connected to specified proceedings or investigation, retain until one year after final disposal or the ordinary period, whichever is later. CBIC.
Canada CRA says the usual GST/HST period is six years from the end of the year to which the records relate. Longer retention may apply in some circumstances. CRA recordkeeping guidance.
Singapore IRAS says GST records must be kept for at least five years from the end of the accounting period. Not stated in the cited guidance. IRAS GST record-keeping guidance.

The periods differ in both duration and the event that starts the clock: India uses the annual-return due date, Canada generally uses the end of the relevant year, and Singapore uses the end of the accounting period. Confirm the jurisdiction before applying any retention rule.

Do you need to keep GST invoices and receipts?

Yes, keep the relevant invoices, bills of supply, notes, challans, and vouchers that support your business entries and tax treatment. The point is not to retain a pile of documents without context: preserve the connection between each source document and the accounting, stock, tax, or ITC entry it supports. For a given transaction, the appropriate documents depend on what occurred—for example, a sale, an import, an advance, or a movement of goods.

Relevant supporting records can include credit and debit notes, e-way bills where applicable, and receipt, payment, or refund vouchers. Keep delivery challans and other movement evidence when they help explain the supply or stock records. Not every business will have every document type; retain the ones relevant to its transactions and accounts.

How should you store GST records electronically or on paper?

Electronic records and backups

India’s rules call for proper electronic backups and require information to be capable of restoration within a reasonable time after accidental or natural destruction. Records should also be producible in readable form when requested. For Canada, CRA guidance says electronic records must remain electronically readable throughout the retention period. Its Memorandum 15-1, dated September 2026, encourages secure cloud accounting, regular backups, and formats compatible with CRA audit tools. These are separate country-specific rules and guidance, not a single standard for every GST jurisdiction. CGST Rules; CRA electronic record-keeping guidance.

In practice, a backup should be recoverable, and the retained files should still open and be retrievable throughout the applicable retention period. It is not enough to keep a file if it cannot be read or restored when required. Organize by accounting period and transaction type, preserve the link between a source document and its entry, and check that records can be produced in readable form.

Paper records and optional filing aids

Paper folders or an archival box can help organize paper invoices and vouchers. A ledger book may suit a business that organizes accounts manually. These are optional organizational aids, not GST requirements or endorsements by tax authorities. Whether records are on paper or electronic, keep them complete, accessible, and connected to the accounts they support.

A practical filing workflow

  1. Group records by accounting period and transaction type. Keep sales, purchases, stock movements, tax records, and advances findable without separating documents from the period they support.
  2. Link source documents to entries. Store the invoice, voucher, challan, or other source evidence with—or clearly cross-referenced to—the related accounting entry.
  3. Keep returns and reconciliations with the records they explain. This makes it easier to trace reported totals to accounts and underlying transactions.
  4. Back up electronic records and test recovery. Confirm that information can be restored after loss, not merely that a backup file exists.
  5. Check readability and retrieval. Open files periodically and confirm that records can be produced in a usable form throughout the applicable retention period.

These workflow steps are practical ways to support record accessibility and backup obligations; they are not a separate statutory checklist. In India, the rules also address keeping records at the registered principal and related places of business. Confirm the current rule text and your registration and business circumstances before deciding where records should be maintained. CGST Rules.

Common recordkeeping gaps to avoid

  • Using the wrong retention clock: A period measured from an annual return due date is different from one measured from a year-end or accounting-period end.
  • Keeping totals without support: Tax or ITC figures are harder to substantiate if the source invoices and records cannot be connected to the accounting entries.
  • Ignoring stock adjustments: Losses, theft, destruction, write-offs, gifts, and free samples can affect stock accounts and should be reflected in the records.
  • Relying on an unreadable or unrecoverable backup: A stored file does not help if it cannot be restored or opened when needed.
  • Applying another country’s rule: India, Canada, and Singapore have different periods and recordkeeping guidance; confirm which jurisdiction applies before relying on a checklist.
  • Forgetting transaction-specific documents: Imports, reverse-charge supplies, advances, and goods movements may require different supporting records, so do not assume a single invoice covers every entry.
  • Discarding records tied to a proceeding: India’s ordinary period may not be the final deadline when records relate to a specified proceeding or investigation.

Before you finalize your recordkeeping plan

This is an India-focused checklist of the central CGST framework, not individualized tax advice. The relevant documents depend on the taxpayer’s activities and transactions, and the applicable rules may require checking current amendments and the details of a taxpayer category. If you operate in another GST jurisdiction, use that jurisdiction’s rules rather than importing India’s records or retention clock. For Indian record-location questions, confirm how the current rules apply to your registered places of business.

How long do I need to keep GST records?

In India, the general period is until 72 months have expired from the due date for furnishing the annual return for the relevant year. Records related to an appeal, revision, other proceeding, or specified investigation may need to be retained until one year after final disposal or the ordinary period, whichever is later. Canada and Singapore use different rules and clocks.

Do I need to keep GST invoices and receipts?

Yes. Keep relevant invoices, bills of supply, credit or debit notes, challans, vouchers, and other source evidence that supports the accounting and tax entries. The document set depends on the transaction, such as a sale, import, advance, or movement of goods.

Can I keep GST records electronically?

India’s rules call for proper electronic backups and require information to be restorable within a reasonable time after accidental or natural destruction. Records should be producible in readable form when requested. Keep files organized, backed up, retrievable, and usable throughout the applicable retention period.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Are ledger books or paper folders required for GST compliance?

No specific ledger book, folder, or archival box is identified as mandatory in this checklist. They can be optional organizational aids, but the important requirement is to maintain the relevant accounts and supporting records in an accessible and usable form.

The Bottom Line

For India, keep a connected record trail for supplies, stock, tax payable or paid, and ITC: source documents, relevant registers, returns, and reconciliations should explain the entries they support. Retain records for the statutory period—generally 72 months from the relevant annual-return due date—and check for a longer period if a proceeding or specified investigation applies. Back up electronic files and make sure they remain readable and recoverable. Confirm your jurisdiction and current rules before applying this checklist.
