Include enough information for staff to distinguish your item and retrace where and when you last had it: your name, working phone number and email; a specific description with brand, model, color, material, size, distinctive marks and serial number when relevant; the date and approximate time; the most precise location you can identify; and flight details if the loss relates to a journey.
Before submitting anything, identify the correct reporting channel. An item left in a terminal or other public airport area normally belongs in the airport’s lost-property process. Something left aboard an aircraft or missing from checked baggage is generally handled by the airline. Passports and other official documents can have separate local instructions.
First choose the correct reporting channel
A detailed report sent to the wrong office can delay recovery. Classify the loss by where it most likely occurred, then follow the current instructions for that airport or airline.

Use the airport’s official lost-property form, desk or contact route for items left at check-in, security screening, a shop, restaurant, gate, restroom, baggage-claim area, parking area or another public location. Airport forms from Queenstown, Aruba and Milan Bergamo all ask for a location and identifying description.

Item left on the aircraft
Contact the airline or its baggage-service channel. Queenstown, Aena’s Alicante-Elche guidance and Aruba Airport Authority all direct passengers to the airline for objects left in the cabin. Include the flight number and date so the airline can identify the aircraft and handling team.
Checked baggage that did not arrive
Report missing checked hold baggage to the airline, not the airport’s general lost-property office. Schiphol explains that its airport lost-property team does not have the baggage-tag data needed to trace checked luggage. Use the airline’s baggage desk or online delayed-baggage process and retain your baggage tag and claim reference.
Passport or other official document
Follow the airport’s specific instructions. Schiphol, for example, directs a passenger who has left the airport with a missing passport or identity document to the Royal Netherlands Marechaussee. That is a local example, not a universal rule; check the airport, police or border-authority guidance for your location.
The information every airport report should contain
Airport forms use different labels, but the core facts are consistent. Complete every required field, check spelling and digits, and mark estimates as estimates instead of inventing precision.

Write a description that can identify your exact item
Start with the category, then add attributes that set the object apart. A useful description is short enough to scan but specific enough that an employee could recognize the item without relying on your name.
Use a layered description
- Category: say what it is, such as a soft-sided carry-on, smartphone, camera, coat, wallet or document folder.
- Brand and model: provide these when known. For electronics, include the exact model designation rather than only the manufacturer.
- Physical appearance: state color, material, approximate size, shape and prominent hardware such as wheels, a hard shell, a fabric strap or a metal clasp.
- Unique marks: add initials, labels, stickers, decorative elements, stains, scratches, dents, tears or other wear.
- Contents: list memorable contents when they help establish ownership, while avoiding unnecessary sensitive information.
- Serial number: enter it for a phone, laptop, camera or other serialized object if you can retrieve it from a purchase record, device account or packaging.
For example: navy-blue soft-sided carry-on, medium size, silver luggage tag on the handle, small tear beside the front pocket, black initials “RM” on the tag. This format identifies the object, then supplies independent details that a generic description would miss.
Describe devices without exposing account security
For a phone, laptop, tablet, camera or similar device, include make, model, color, case or cover, visible damage and serial number or other device identifier when available. Do not put passwords, passcodes, recovery codes or account credentials in an ordinary lost-property report. If staff need to verify ownership, follow the airport’s separate verification instructions rather than sending secrets in a form.

If you are unsure whether a bag was black or dark navy, say that the color is approximate. If you know only that it was gone by the time you reached the gate, state that you noticed it missing there and list the places visited beforehand. An honest range is more useful than false precision.

Give a defensible date and time
Enter the date and your best time estimate. Some forms, including Queenstown’s, request an approximate date and time; Catania’s guidance asks for the approximate date and time when the loss was noticed. Those are not always the same event.
- If you saw the item at 14:10 and discovered it missing at 14:45, provide both facts if the form allows a note.
- If you cannot identify the exact moment, give a bounded interval, such as “between security screening at about 09:20 and boarding at about 10:05.”
- Say whether the time is local airport time and note overnight travel or a date change when it could cause confusion.
- Use boarding passes, receipts, card transactions, phone location history or messages to reconstruct the sequence, but label reconstructed times as estimates.
Identify the location as narrowly as you can
“Terminal” alone is rarely enough. Name the terminal, concourse or arrivals/departures level and then the nearest useful landmark. Airport forms may offer categories covering check-in, screening, shops, gates, arrivals and other areas.
When you know the exact place
Write the gate number, security lane, carousel, restaurant name, restroom, parking level, counter or shop. Include a seat row or table area when relevant, but do not assume the airport can identify a seat without the flight details.

When you only know a route
Describe the sequence: “left at the security-tray collection point, walked to the food court, then waited at Gate 12.” State that the route is an estimate and identify the last place where you definitely had the item. This gives staff multiple search points without presenting an assumption as fact.

Add flight information when the loss is travel-related
Provide the flight number and travel date if known, along with origin, destination and status: departing, arriving or in transit. Bergamo asks for a flight number when applicable; Aruba asks about travel status; Aena requests flight number and dates. These details are especially important when the item may have been left in a cabin, gate area or transfer corridor.
If you changed flights, include every relevant segment and identify where the item was last confirmed. For a connection, state whether you remained airside or passed through arrivals, because different airport teams may handle those areas.
Submit the report carefully
- Open the airport’s current official lost-property page or desk instructions. Confirm that the process covers the place where the item disappeared and that you are not being redirected to the airline.
- Gather supporting facts. Have your boarding pass, itinerary, receipts, device records, baggage tag or photographs available so you can check model names, serial numbers and times.
- Complete contact fields first. Enter your name, phone and email exactly as you currently use them, then review every digit and spelling.
- Enter the item description. Put the category and basic appearance first, followed by marks, damage, contents and serial number.
- Enter time and location separately. Distinguish the time you last saw the object from the time you noticed it missing, and label estimates.
- Add flight details and travel status. Include all relevant segments for a connection and explain whether the item may have been on the aircraft.
- Save the confirmation. Keep a copy of the submitted report, confirmation email, registration number or case number. Aena says its process provides a registration number when it has the object.
What happens after submission
Monitor the phone number and email address you supplied, including spam or filtered folders. If staff identify a possible match, follow the airport’s ownership-verification and collection instructions. Do not assume that one airport’s pickup, shipping or retention policy applies elsewhere.
Identification and authorized pickup
Aena’s Alicante-Elche guidance says an owner collecting an item must show a national identity card or passport. If another person collects it, written authorization is required. Have the case or registration number ready as well. Other airports may require different documents or may impose additional security checks.

Collection and shipping
Aena’s Alicante-Elche service is free and does not ship items; it recommends using a courier if the owner cannot return to the airport. This is an airport-specific rule, so check whether your airport offers shipping, permits a courier, or requires in-person collection before making travel arrangements.
Retention and response times vary

These are examples of local policies, not a universal schedule. Verify current office hours, response targets, fees, retention period and shipping rules on the airport or airline page handling your case.
Common mistakes that reduce the chance of a match
- Reporting to the wrong organization: an aircraft item or checked bag usually belongs with the airline, while a terminal loss belongs with the airport.
- Using a generic description: “black bag” omits the model, material, size, tag, damage and contents that distinguish it.
- Guessing an exact time or location: an honest range and a clearly marked route are more credible and more useful than invented certainty.
- Leaving contact fields unchecked: a mistyped phone number or inactive email can prevent a successful match.
- Omitting a serial number when available: device identifiers can separate two otherwise identical objects.
- Sending passwords or private credentials: ownership can be verified without exposing account secrets.
- Failing to save the case number: without the reference, follow-up messages may be harder to connect to the original report.
- Waiting past a local deadline: retention periods differ, and some airports dispose of unclaimed items quickly.
A practical report template
You can adapt this wording to the fields on the airport’s form:
Item: [category], [brand/model], [color/material/size]. Distinguishing marks: [initials, label, sticker, damage or unusual feature]. Serial number: [if applicable]. Notable contents: [brief list].
Last confirmed: [date and approximate time] at [specific location].
Noticed missing: [date and approximate time], [location].
Route or uncertainty: [places visited in order; identify estimates].
Flight: [flight number, date, origin, destination, departing/arriving/in transit].
Contact: [full name, working phone, current email].
Replace each bracketed instruction with your own information before submitting. If a field does not apply, follow the form’s guidance rather than inserting unrelated details.
