Document a living, auditable inventory of every source system, data entity, integration, owner, dependency, mapping rule, migration method, validation result and cutover control before moving to a new ERP. Organize the record by source system and entity, then link each item to the business process, configuration, interface, test case and rollback action it affects. This is the evidence your team uses to decide what moves, prove that it arrived correctly and recover safely if cutover fails.
The exact scope depends on your organization and target ERP. Microsoft’s implementation guidance for Dynamics 365 and Business Central is useful as a model, but confirm procedures, limits and supported tools for the product version and deployment model you are actually adopting.
1. Establish the migration boundary first
Start by naming the target ERP, deployment model, legal entities or companies involved, business processes in scope, decision owners and the intended go-live date. Record assumptions that could change the plan, such as a phased rollout, a shared services model, regional data residency or a requirement to retain historical records in an archive.
Recommended Free Tools
Create a decision log alongside the inventory. Every inclusion, exclusion, transformation, exception and timing decision should have an owner, date, rationale and approval status. Microsoft’s configuration and migration data guidance separates configuration data from migration data; make that distinction explicit in your own plan.

2. Inventory the complete source landscape
Do not limit discovery to the database that currently feeds the ERP. Interview finance, operations, sales, procurement, warehouse, human resources, compliance and IT teams, and inspect interface schedules, service accounts, batch jobs and reporting repositories. Include systems that exchange data manually or through spreadsheets.
Record each source and target system
- System name, business owner, technical owner, product and version.
- Environment (production, test, development), database or repository, hosting model and geography.
- Organizational units, companies or business units represented.
- Database size, growth rate, largest tables and performance baseline.
- Customizations, extensions, add-ons, local modifications and scheduled jobs.
- Compliance obligations, retention rules, sensitive-data classifications and residency restrictions.
- Known maintenance windows, licensing constraints and planned decommission date.
For a Business Central cloud migration, Microsoft specifically recommends reviewing version, database size and growth, number of companies, customizations, add-ons, integrations, performance, compliance, data residency and business validation owners. The Business Central planning guidance is product-specific, so treat those checks as a model rather than a universal limit.
Capture hidden and informal sources
List spreadsheets, desktop databases, departmental applications, extracts held by outside providers, email-based uploads and files exchanged through shared folders. For each, identify the custodian, refresh frequency, format, last update, data sensitivity and whether it is authoritative or merely a report. A spreadsheet that supplies opening balances or customer overrides is a migration source even if it never appeared on an architecture diagram.

Random freezes, missing sound and display glitches usually trace back to one bad driver. Find and replace yours safely.Free scan · under a minute3. Define exactly which data will move
Write a scope statement for every business entity. Distinguish configuration data from business data, then classify the business data by operational need and retention obligation.
Configuration data
Document company settings, calendars, currencies, tax structures, posting groups, workflows, security roles, numbering sequences, units of measure, warehouses and other parameters that make the target system behave correctly. State whether each item will be recreated manually, loaded through a supported configuration package or derived from another source.
Master and reference data
Identify customers, contacts, products, items, vendors, suppliers, employees, chart-of-accounts values, locations, payment terms, tax codes and other reference records. Record the business definition, authoritative source, natural key, surrogate key, relationships and effective-date rules. Note which values must be harmonized across companies before loading.

Open and historical transactions
Specify whether open sales and purchase orders, invoices, receivables, payables, inventory quantities, lot or serial details, projects, fixed assets, budgets and journal balances will be migrated. Decide how much history is required for customer service, statutory reporting, audits and analytics. If history will remain in an archive or data warehouse, document its location, access method, retention period and reconciliation to the new ERP.

Write exclusions as carefully as inclusions
For every excluded entity or field, state the reason, replacement process, retention location and approving owner. An exclusion without an owner often returns as a late change request. Microsoft’s data-migration training guidance covers source discovery, entities, extraction, mappings and validation; use those topics as headings in your scope record.
4. Assign ownership and document data quality
Assign an accountable business owner and a technical steward to each domain and interface. The owner decides meaning and acceptable results; the steward maintains definitions, mappings and issue resolution. Include a named approver for exceptions and a service contact for post-go-live support.
Profile before designing transformations
- Row counts, distinct values, null rates, invalid formats and out-of-range values.
- Duplicate rates and the rule used to identify the surviving record.
- Broken relationships, orphaned children and conflicting identifiers.
- Inactive records, obsolete codes, test data and records blocked by retention rules.
- Volume by company, period and transaction type, plus expected growth.
Estimate cleansing effort from measured profiling results. Record who resolves each exception, the deadline, the decision and the evidence that the fix was applied. Do not assume a target ERP will silently correct malformed dates, currencies, units or tax codes.
Build a mapping specification
For every source field, document the target field, data type, required status, transformation, default, reference-value translation, rounding rule, security classification and validation test. Include source and target keys, parent-child relationships and effective dates. Keep versioned mapping files under change control so a rerun can reproduce the same result.
The Microsoft data management and governance checklist emphasizes architecture, ownership, mappings, ETL, testing, cutover and quality controls. Adapt those controls to your ERP rather than adopting a vendor template unchanged.

5. Inventory integrations as operational dependencies
An integration record must explain both the technology and the business process it protects. Include interfaces to banks, tax services, payroll, ecommerce, warehouse systems, manufacturing, CRM, expense tools, carriers, marketplaces, reporting platforms, identity providers and partner systems.
Required fields for each interface
- Connected systems, provider and accountable contacts.
- Business purpose, process step and entities exchanged.
- Direction: inbound, outbound or bidirectional.
- Method: API, event, file transfer, database link, middleware, EDI or manual upload.
- Frequency, schedule, latency requirement, expected normal and peak volumes.
- Authentication, encryption, network path, data classification and compliance constraints.
- Ordering, dependency and timing relative to batch jobs, periods and cutover freezes.
- Timeout, retry, duplicate, dead-letter, reconciliation and alert behavior.
- Monitoring dashboard, support contact, service-level expectation and escalation path.
Document what happens when the external system is unavailable: queue, retry, reject, continue manually or stop the business process. Record idempotency keys and replay procedures so an outage does not create duplicate invoices, shipments or payments. Microsoft’s go-live checklist calls for integration tests that include expected peak volumes and scenarios in which external systems are unavailable.
Coordinate partners early
For every partner, record certificate changes, firewall requests, endpoint cutover, test windows, sample files, contact availability and production approval requirements. A technically complete ERP plan can still fail if a bank, carrier or tax provider has not accepted the new endpoint or message format.
6. Choose and document the migration method
For each source and entity, record the source and target, direction, one-time or recurring mode, full or incremental load, extraction-transformation-loading approach, tool, environment, sequence, prerequisites, owner and estimate. Link the work item to its mappings, integration dependencies, test evidence and rollback procedure. Microsoft’s deliverables and work-item guidance recommends this source-system and entity traceability.
Full versus incremental loading
| Question | Full load | Incremental or delta load |
|---|---|---|
| Business continuity | Usually requires a longer freeze or a controlled source pause. | Reduces the final freeze by loading changes after an initial baseline. |
| Reconciliation | Provides one complete population to compare before go-live. | Requires reliable change tracking, watermarks and reconciliation between cycles. |
| Operational complexity | Simpler conceptually, but can exceed the cutover window. | More moving parts, including ordering, late changes and duplicate prevention. |
| Best fit | Smaller or stable sources where a measured run fits the window. | Large, active sources where continuity matters and deltas are supportable. |
Compare the approaches using measured source change rates, business freeze tolerance, reconciliation capability and support complexity. Microsoft’s cutover planning guidance suggests considering full and incremental loads when a migration exceeds two to three days; that is platform guidance, not a universal threshold.
Direct load versus staging
| Criterion | Direct loading | Staging approach |
|---|---|---|
| Transformation | Suitable when source and target structures are already close. | Separates extraction, cleansing and target loading for complex transformations. |
| Auditability | Fewer layers, but less history of rejected or transformed rows. | Preserves raw and transformed data for review and replay. |
| Reprocessing | Often requires another source extraction. | Allows corrected mappings or records to be reloaded from staged data. |
| Rollback | Can be difficult after target records are created. | Supports controlled validation and targeted reloads, at the cost of infrastructure. |
Estimate with representative data
Do not schedule from a generic records-per-second assumption. Measure extraction, transformation, validation, loading, indexing, throttling and reconciliation on production-scale shapes and realistic concurrency.

Microsoft gives an illustrative calculation dated August 20, 2025: at 100–200 records per second, 120 million records might require up to two weeks of continuous runtime; at 50 records per second, the same example could take four weeks. These are scenario illustrations, not benchmarks. The guidance describes one possible pattern of a full migration about a month before go-live followed by weekly delta loads. Test your own throughput before committing to dates.
For Business Central cloud migration, Microsoft says capabilities are optimized for batches of up to 10 companies and recommends smaller batches when more than 250 companies are involved. These are Business Central-specific limits and should be rechecked against the current product documentation and tenant configuration.
7. Make validation and reconciliation auditable
Define acceptance criteria before the first rehearsal. For each entity and interface, specify counts, control totals, balance checks, referential-integrity checks, field-level validations, duplicate thresholds, permitted error rates and business scenarios. Name the person who signs off and the evidence required.
Test in layers
- Run unit tests for transformations, defaults, code translations and error handling.
- Run representative migration rehearsals with production-like volume, company mix and difficult records.
- Execute system and integration tests for normal, peak, duplicate, timeout and dependency-down scenarios.
- Have business users validate end-to-end processes, balances, reports, permissions and historical access.
- Log defects with severity, owner, workaround, retest result and closure evidence.
Reconcile source and target totals by company, period, account, warehouse and transaction status where meaningful. Preserve extracts, control totals, error files, screenshots, test results and approvals in a controlled repository. Repeat rehearsals after material mapping, volume or configuration changes.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.8. Build the cutover runbook
The runbook turns the inventory into an executable sequence. Microsoft’s go-live guidance and cutover planning guidance both emphasize rehearsals, validation, freeze timing, communications and operational readiness.
Do these 3 things before closing this tab:
1Scan for outdated or missing drivers - takes under a minute2Clear out junk files and repair common Windows errors3Fix the driver behind crashes, sound loss and screen glitchesInclude these controls
- Numbered activities with owner, start condition, duration and completion evidence.
- Data and configuration freeze time, exceptions process and business communication.
- Decision gates for source readiness, migration completion, reconciliation and go/no-go.
- Verification steps for users, interfaces, balances, reports, security and scheduled jobs.
- Rollback or restore trigger, backup location, recovery point and tested recovery steps.
- Escalation contacts, command-center schedule and issue severity rules.
- Support handoff, monitoring dashboards, alert thresholds and first-week review cadence.
Define exactly when legacy systems become read-only, how late transactions are captured, who authorizes reopening and how the final delta is reconciled. Communicate downtime, user actions, support channels and known limitations to every affected group.

9. A practical documentation structure
| Record | Minimum useful fields |
|---|---|
| Source or target system | Name, owner, product/version, environment, repository, geography, residency and compliance constraints. |
| Data entity | Business definition, source, target, owner, volume, growth, sensitivity, relationships and inclusion decision. |
| Mapping and quality | Source/target fields, code translations, transformations, cleansing, reference data, duplicate rules, validation and reconciliation. |
| Integration | Systems/provider, purpose, direction, entities, method, frequency, volume, schedule, dependencies, failure/retry handling and contact. |
| Migration work item | Source, entity scope, approach, tool, sequence, environment, owner, estimate, prerequisites, test evidence and status. |
| Cutover control | Activity, sequence, owner, duration, freeze, gate, verification, communication, rollback, escalation and support handoff. |
These fields are a practical synthesis of Microsoft’s published guidance, not a vendor-prescribed universal template. Adapt them to the target ERP, regulatory obligations, deployment architecture and governance model.
10. Common failure modes and recovery actions
Unknown interfaces appear during testing
Pause the affected process, identify the owner and data contract, then add the interface to the dependency map and test plan. Do not permit an undocumented production connection simply to meet the date.
Mappings pass technical tests but fail business review
Trace the disputed value to its business definition and approving owner. Version the mapping, rerun affected entities and repeat reconciliation; do not patch individual records manually without recording the rule.
Quick wins for a faster PC:
Clear out junk files and repair common Windows errorsFree Scan →Fix the driver behind crashes, sound loss and screen glitchesFind Drivers →The final load exceeds the freeze window
Use measured throughput to split entities, parallelize safe work, reduce unnecessary history or adopt a controlled delta cycle. Rehearse the revised sequence and obtain a new go/no-go decision.
An external dependency is unavailable
Follow the documented queue, retry or manual-continuity procedure, record the outage and reconcile replayed messages. If no procedure exists, treat the interface as a cutover blocker rather than improvising in production.
Final readiness test
You are ready to seek approval when every in-scope entity and interface has an owner, definition, source and target, mapping, quality result, test evidence, reconciliation rule and cutover action. Exclusions have written approval, throughput has been measured, partners have confirmed their tests, rollback has been rehearsed and business owners have signed off on the results. Anything that cannot meet those conditions belongs on the risk register with an explicit decision, not in an undocumented assumption.
