Automated manufacturing quoting requires more than a product catalog and a price formula. It needs a governed model that connects customer requirements, configurable product rules, engineering structures, costs, inventory, capacity, lead times and commercial terms to the systems that own each data set. ERP, CRM, PLM/PDM, PIM, CAD and MES integrations are useful because they answer different questions; automation is reliable only when ownership, revision control, field mappings and operational monitoring are defined.
The minimum information a quoting engine must have
A quote is manufacturable only when the system can describe what will be built, how it will be built, what it will cost and whether it can be delivered under the promised conditions. The minimum useful model therefore combines commercial, engineering and production data rather than copying a PDF description into a sales record.
Customer and opportunity context
The quote needs the account, contact, opportunity or project identifier, ship-to and bill-to locations, requested quantity, requested delivery date and any customer comments or special requirements. A CRM or quoting front end normally supplies this context. In SAP field mappings, examples include business partners, quote comments, revision names and an external quote ID; preserving those identifiers is essential when a quote is revised or converted to an order.

The configurator needs materials or parts, units of measure, selectable attributes, valid combinations, exclusions, dependencies and any engineering constraints. It should be able to distinguish a sales option from a manufacturing variant and produce a configuration that engineering and production can interpret consistently. Product structures, engineering bills of material (BOMs), routings, revisions and effectivity dates belong in this model as well.

Engineering inputs
Engineer-to-order work may require CAD geometry, parameters, drawings, design metadata, manufacturing specifications and a BOM generated by engineering. A CAD or BIM process can send geometry-derived dimensions and structures into the quote model; the approved result can return a model, drawing or technical attachment for customer approval and downstream production.
Cost and commercial inputs
Pricing cannot be automated from a single list price when the job depends on material grades, purchased components, labor, machine time, setup, outside processing, freight or overhead. The engine needs cost elements, price lists, currency, customer or market rules, quantity breaks, margin policy, tax group, payment terms, delivery location and any effective dates. Microsoft’s documented sales-quotation fields illustrate the level of detail involved: customer account, quotation name, delivery address, payment terms, tax group, item ID, quantity, unit and price.
Feasibility and supply inputs
Inventory and supplier availability determine whether quoted parts can be sourced. Work centers, routings, bills of process, plant calendars, capacity assumptions, quality restrictions and lead-time rules determine whether they can be built. A quote that ignores those constraints may be mathematically priced but commercially unusable.

The completed quote should contain the price, scope, selected configuration, assumptions, delivery or lead-time commitment, terms and technical documents. Once accepted, the approved configuration should be capable of creating or updating an ERP order, structured BOM, route and manufacturing specification. MES should receive the execution-relevant data and return production status, actual consumption or exceptions where that integration is in scope.

Data domains and their normal system owners
Assign one authoritative owner for every field or object. Copies may exist in other applications, but they should be identified as cached or transactional values rather than competing masters.
| Data domain | Typical contents | Primary owner or source | Why quoting needs it |
|---|---|---|---|
| Customer and opportunity | Account, contact, opportunity, project ID, ship-to, bill-to, requested dates, comments | CRM or quoting front end | Identifies the buyer, destination, demand and commercial context |
| Product and configuration | Materials, parts, attributes, options, constraints, units, product structures, valid combinations | PLM/PDM, ERP and CPQ model, with clear ownership boundaries | Prevents an impossible or non-manufacturable selection |
| Engineering | CAD parameters, drawings, design metadata, engineering BOM, manufacturing specifications, revisions | PLM/PDM and CAD | Converts custom requirements into a buildable definition |
| Cost and price | Material, labor, machine, purchased-part and overhead costs; price lists; currencies; discounts; quantity breaks; margin rules | ERP, costing or pricing service | Produces a traceable price under the correct effective conditions |
| Supply and production | Inventory, supplier requirements, work centers, routings, bills of process, capacity, calendars, quality constraints | ERP and MES, with planning or quality systems as applicable | Tests whether the promised plant, date and quantity are feasible |
| Customer-facing content | Descriptions, images, technical specifications, language and document content | PIM or controlled product-content service | Makes the quote understandable without becoming the engineering master |
| Quote and order output | Price, scope, assumptions, terms, attachments, approved configuration, order and revision IDs | CPQ/quoting application, then ERP and MES after acceptance | Maintains commercial and production traceability |
What each integration contributes
ERP integration
ERP is commonly authoritative for parts or materials, prices or costs, inventory, orders and often customer master data. SAP describes ERP or S/4HANA as the master-data system in its Digital Manufacturing integration, while the manufacturing application is the system of record for work-in-process data. The connection should support item and unit lookups, cost and price retrieval, availability, customer validation, order creation and status updates. Do not let the quote application silently create a second inventory or price master.
CRM integration
CRM supplies account, contact, opportunity, sales stage and requested dates. The quoting application should return quote value, status, revision history, expiration and approval state so pipeline reports reflect the current commercial position. Use a stable opportunity ID and quote ID instead of matching records by customer name or free-text description.

PLM/PDM integration
PLM/PDM owns engineering structures, revisions, effectivity, CAD files, controlled documents and engineering-change processes. The quoting model should contain the sales-relevant subset: selectable variants, constraints, released structures and the references needed to retrieve approved documents. Mirroring every engineering object increases synchronization risk and exposes objects that sales should not select.

PIM integration
PIM can provide descriptions, images, technical specifications and localized or channel-specific content for customer-facing documents. It should not override engineering revision, costing or manufacturability data. Store the content version used in each quote so a later document can be reproduced.
CAD and visualization integration
For custom geometry, CAD supplies parameters and design metadata to the configurator. The quoting process may return a model, drawing, rendered view or engineering result for approval. Establish a clear handoff: a preliminary geometry can support an estimate, while only a released revision should drive a firm manufacturing BOM and route.
MES integration
MES receives the released configuration, production instructions, manufacturing attributes, work instructions and quality requirements. It can return order status, material consumption and non-conformances to ERP or PLM as appropriate. AWS guidance describes MES exchanges of production and purchase orders, part and product master data, inventory and BOMs with ERP, and work instructions, bills of process, non-conformances and BOM variations with PLM.
An end-to-end data flow
- Capture demand. Record customer, opportunity, quantity, delivery location, requested date and design inputs. Assign a durable quote ID and revision number.
- Resolve current definitions. Retrieve the effective product, option rules, units, engineering structures and approved documents for the requested date and plant.
- Validate configuration. Apply technical rules, exclusions, required accessories, material compatibility and revision/effectivity dates. Reject or route exceptions instead of silently substituting a part.
- Generate manufacturing outputs. Produce the required engineering BOM, manufacturing BOM or bill of process, routing, CAD result and manufacturing attributes. Mark each artifact with its source revision.
- Calculate the price. Combine material, labor, machine, purchased-part, outside-processing, overhead, freight and margin components using the applicable currency, customer rules, quantity breaks and effective prices.
- Check feasibility. Query inventory, supplier availability, plant, work-center capacity, calendars, lead-time rules and quality constraints. Record the assumptions behind the promised date.
- Issue the quote. Present scope, configuration, price, assumptions, delivery, terms and technical attachments. Keep the structured data behind the document, not only the rendered PDF.
- Convert after approval. Send the approved order, configuration, BOM, route and specifications to ERP and MES. Retain the quote revision and external order IDs for traceability.
- Return execution status. Feed order, production, consumption and exception status back to the systems used by sales, planning and customer service.
Revision, effectivity and synchronization controls
Revision mistakes are among the most expensive quoting failures because a price can look correct while describing an obsolete product. Every product rule, BOM, drawing, route, cost and price should carry an effective-from and, where needed, effective-to date or a release status. The quote must store the exact revision used, the source-system timestamp and the plant or organizational context.

Use event-driven updates for high-impact changes such as a released engineering revision, price change, part withdrawal or inventory exception. Scheduled synchronization can handle lower-risk descriptions and images. Whichever pattern you choose, define conflict rules: for example, ERP may win for item identity and inventory, PLM for engineering revision, and the quoting system for an in-progress customer selection until approval.
Near-real-time MES exchange can keep material consumption recorded in execution reflected in ERP inventory, as described in Microsoft Learn guidance. That does not remove the need for reconciliation; it makes discrepancies visible sooner.

Interfaces and field mapping
Use documented APIs, business events, cXML or other agreed messages rather than screen scraping. Map identifiers, units, currencies, tax codes, status values, revision names and external IDs explicitly. SAP documents HTTPS through Cloud Integration, Cloud Connector, RFC/BAPIs and explicit field mapping as integration options. A mapping specification should state source, target, transformation, allowed values, requiredness and owner for each field.

Retries, idempotency and ordering
Temporary network failures are normal. Retry transient errors with backoff, but make create and update operations idempotent by sending a stable quote, revision or order key. Preserve event ordering for revision and cancellation messages, and route non-retryable validation errors to a review queue.
Monitoring and reconciliation
Track message received, transformed, sent, acknowledged and failed states. Microsoft documents business events and processing-history monitoring for this purpose. Reconcile counts and key totals on a schedule: released items, active prices, inventory snapshots, open quotes and converted orders. Alert on missing acknowledgements, stale data, duplicate IDs and mismatched quantities or values.
Audit history
Keep the input snapshot, rule version, cost and price components, approvals, generated artifacts, integration messages and response IDs for every quote revision. This allows customer service to explain a price and engineering to reproduce the configuration without relying on mutable live data.
A practical implementation sequence
| Phase | Scope | Exit condition |
|---|---|---|
| 1. Ownership and baseline | Inventory every field and object; name the system of record, steward, update frequency and effective-date policy. | No critical price, part, rule, revision or availability field lacks an owner. |
| 2. Reliable core data | Connect parts, units, product rules, approved BOMs, prices, costs and availability. Normalize identifiers and units. | A representative quote can be reproduced from the same revision and inputs. |
| 3. Engineering and feasibility | Add PLM/PDM, CAD, routings, capacity, supplier checks and quality constraints for the product families that need them. | The system can produce a manufacturable configuration and a defensible date. |
| 4. Quote-to-order execution | Send approved configurations to ERP and MES; return order, production, consumption and exception status. | Sales, planning and production see the same identifiers and state. |
| 5. Content and optimization | Add PIM content, visual approval, workflow automation, event orchestration and analytics after the core data is stable. | New integrations reduce effort without weakening revision or audit controls. |
Common failure modes and fixes
| Symptom | Likely cause | Corrective action |
|---|---|---|
| Quoted price differs from the order | Different price dates, currencies, units or customer rules were used. | Store the pricing snapshot and effective date; validate currency, unit conversion and customer-specific conditions before conversion. |
| Sales can select an impossible option | Configurator rules do not reflect engineering constraints or released combinations. | Import controlled constraints from PLM/PDM, test invalid combinations and route exceptions to engineering. |
| Order contains an obsolete BOM | Revision or effectivity was not carried into the quote. | Require released revisions, record effectivity and block conversion when the selected revision is superseded. |
| Promised date is missed | Inventory, supplier, capacity, calendar or quality constraints were omitted. | Query the relevant plant and work centers, retain assumptions and show conditional dates when data is incomplete. |
| Duplicate orders or updates appear | Retries created non-idempotent messages or identifiers were matched by text. | Use stable external IDs, idempotent upserts and a reconciliation queue. |
| Integration appears connected but data is stale | Messages were accepted without monitoring downstream processing. | Track acknowledgements and processing history, alert on age thresholds and perform scheduled reconciliation. |
How to evaluate an automated quoting solution
Compare capabilities against the data and control requirements, not merely the number of connectors advertised.
- Product-model depth: Can it represent variants, dependencies, exclusions, units and technical constraints?
- Engineering support: Can it consume BOMs, CAD parameters, PLM revisions, effectivity and manufacturing specifications?
- Costing and pricing: Can it combine cost elements, currencies, customer rules, quantity breaks, taxes and margins with effective dates?
- Feasibility: Can it check inventory, suppliers, plants, work centers, capacity, calendars, lead times and quality conditions?
- Integration technology: Are APIs, events, message formats, field mappings, identity controls and error handling documented?
- Governance: Are approvals, revision history, audit trails, monitoring, retries and reconciliation built in?
- Quote-to-order continuity: Can the approved configuration create structured ERP and MES records without rekeying?
- Maintenance effort: Who maintains rules, mappings, connectors and effective dates when products or plants change?
Illustrative configuration scenario
Consider a custom enclosure assembled from selectable material, finish, mounting, cooling and controller options. CRM supplies the customer, destination and requested date. The configurator checks option dependencies and retrieves the effective engineering structure from PLM. CAD contributes dimensions for the custom panel, while ERP supplies material costs, purchased-part prices and inventory. The routing and plant calendar determine machine and labor time; capacity and supplier checks determine whether the requested date is realistic. The quote records the selected revision, generated drawing, BOM, route, price components, assumptions and terms. After approval, ERP receives the order and structured BOM, MES receives work instructions and quality requirements, and execution status flows back using the same quote and order identifiers.
The example illustrates the boundary between systems: CRM describes demand, PLM and CAD describe the product, ERP governs commercial and supply data, MES executes the released work, and the quoting layer coordinates the decision without becoming an ungoverned duplicate of every source.
