AI training and data retention are separate controls. A provider may exclude your prompts and outputs from model training while still keeping them for account history, abuse prevention, debugging, legal obligations, caching, grounding, or another enabled feature. Before approving an AI deployment, identify the exact product and processing route, determine which data stores each feature creates, set a business retention period, and confirm the current contract and administrator settings.
Training exclusion does not mean zero retention
“We do not train on your data” answers one question: whether submitted content is used to improve or fine-tune a provider’s models. It does not answer how long the content remains in a conversation history, safety log, cache, audit record, grounding system, support workflow, or connected application.
Retention can serve legitimate operational purposes. A provider may temporarily preserve prompts and responses to deliver a multi-turn session, investigate abuse, maintain security, comply with law, or process a feature such as web search grounding. Your own administrators may also retain copies in exports, audit systems, monitoring tools, backups, or downstream applications.

The reverse is also possible: a short retention period does not automatically mean that data is excluded from training. Training-use commitments and deletion controls must be verified independently for the specific service, plan, region, contract and feature configuration.

Why the exact product and route matter
“Business AI” is not one data policy. A provider can apply different rules to a web application, an API, a cloud-hosted model, an agent platform, a connected search feature, or a compliance interface. Even two features in the same product can create different storage records.
- Product: Identify the named service and edition, not just the vendor.
- Processing route: Establish whether the provider, a cloud platform, or another processor handles the request.
- Plan and contract: Enterprise terms, data-processing agreements and eligibility requirements can change available controls.
- Feature configuration: Grounding, caching, conversation state, feedback, file uploads and request-response logging may have separate retention behavior.
- Geography: Region, data-residency selection and applicable law can affect processors, transfers and deletion procedures.
Document these details before making a policy statement such as “our AI has zero retention.” That phrase is only accurate when the stated scope, exceptions and configuration are defined.
What the major provider documentation says
The following comparison keeps product surfaces separate. Time periods are operational terms or settings documented for those services, not a cross-vendor performance ranking.

OpenAI’s business-data wording is explicit: “By default, we do not use data from ChatGPT Enterprise, ChatGPT Business, ChatGPT Edu, ChatGPT for Healthcare, ChatGPT for Teachers, or our API platform—including inputs or outputs—for training or improving our models.” Its enterprise privacy material also notes that business data can pass through automated classifiers and safety tools. Those tools may process content even when training is excluded.

Anthropic’s ZDR statement is deliberately scoped. It applies only after enablement for the relevant organization and route. It does not automatically extend to another organization in the same account, and it does not cover every Anthropic-operated surface.
Google’s two documentation sets should not be merged into one generic “Gemini” policy. The Developer API’s 30-day grounding and 24-hour Live API terms differ from Agent Platform’s three-day Search logs, 30-day Maps storage and Interactions API setting.
Retention stores businesses often overlook
Conversation and account history
A chat interface may preserve messages so users can reopen a conversation, search history or continue work. Deleting a message in the interface may not delete administrator exports, security records, backups or files copied into a connected system. Establish which account roles can view, export or delete that history.
Safety and abuse monitoring
Providers can run automated classifiers, fraud detection and abuse monitoring even when prompts are excluded from model improvement. Ask what fields are logged, the retention period, who can access them and whether a contractual deletion request covers those records.

Grounding and retrieval
Search or map grounding can store the query, retrieved context and generated answer. These records may be required to operate the feature, so a no-retention objective may require disabling grounding rather than merely changing a general account setting.
Caches and session state
Explicit caches have a configured time-to-live. Session handles can preserve context for a defined period. An in-memory cache may never be written to durable storage, but it still represents temporary processing and may be available to the running service.
Logs, feedback and connected applications
Request-response logging, thumbs-up or thumbs-down feedback, uploaded files, plug-ins, agent tools and downstream databases can all create copies. Your provider’s training promise cannot delete a record your own integration stores.

1. Map every data flow
- List each employee, application and automated workflow that sends data to an AI service.
- Classify the payload: personal data, confidential business information, regulated records, credentials, source code, attachments or public material.
- Record the exact product, plan, region, endpoint, cloud processor and connected tool.
- For each step, identify durable storage, transient memory, logs, backups, exports and downstream recipients.
- Document who can administer, audit, retrieve and delete each copy.
The UK Information Commissioner’s Office (ICO) recommends documenting movement and storage because AI data can pass through multiple places. Include intermediate files and transformed datasets, not only the original prompt.

2. Name the purpose for each use
Separate foundation-model training, fine-tuning or adaptation, ordinary inference, safety monitoring, analytics, troubleshooting, billing, legal retention and internal audit. A single dataset can support several purposes, but each purpose needs its own justification and retention period. The ICO advises organisations to specify and document purposes across the AI lifecycle.
3. Minimise before submission
- Remove names, account numbers, exact locations and identifiers that the task does not require.
- Exclude old attachments, full mailboxes and historical records when a narrow extract will work.
- Use redaction, pseudonymisation or aggregation where the model does not need direct identity.
- Prevent secrets such as passwords, API keys and private encryption material from entering prompts.
The ICO states: “You must not collect personal data on the off-chance that it might be useful in the future.” Future usefulness is not a reason to retain irrelevant fields now.
4. Set a purpose-based retention schedule
Define a period for each data class and purpose, the deletion event that starts the clock, the owner who approves exceptions and the evidence that deletion occurred. Align the schedule with operational need and privacy impact. A model that uses only the previous 12 months of data might have a rule deleting older records, but the ICO presents this as an example rather than a universal 12-month limit.
5. Configure the service deliberately
- Review the provider’s current business terms and data-processing agreement.
- Enable organization-level ZDR or retention controls where eligible.
- Set workspace chat-history and file-retention policies, then test deletion with an administrator account.
- Disable grounding, caching, session persistence and request-response logging when the purpose does not require them.
- For APIs, set storage parameters explicitly rather than relying on defaults; for the Interactions API, use
store = falsewhen ZDR is required. - Check connected applications and your own observability stack for duplicate records.
6. Verify deletion and exceptions
Run a controlled test with a unique marker, follow it through the request, logs, history, exports and connected tools, and confirm each system’s deletion behavior. Ask the provider how legal holds, abuse investigations, backups and support cases affect timing. A “deleted” status may mean removal from the user interface before expiration from backup or safety systems.

7. Publish a clear notice
Privacy information should explain the purposes, retention periods and recipients or processors. The ICO says information for data collected directly from people should generally be provided at collection; data obtained from other sources generally requires notice within a reasonable period and no later than one month, subject to applicable exceptions. Match the notice to the actual route and settings, not a generic vendor slogan.
8. Recheck after changes
Review the configuration after a model upgrade, new connector, plan change, region change, contract renewal or administrator-policy edit. Vendor documentation and feature defaults can change. Keep a dated record of the terms and settings that supported your decision.

Ask these questions in writing before launch:
- Does ZDR cover prompts, outputs, uploaded files, metadata and safety telemetry?
- Is it available to this organization, region, plan and endpoint, or only after approval?
- Does it apply to every processor in the route, including a cloud marketplace provider?
- Are chat history, compliance interfaces, session transcripts, grounding, caches and feedback excluded or handled separately?
- What is stored in memory, and what is written to durable storage?
- What deletion action is available to the customer, and what records remain for legal, security or abuse purposes?
- Can administrators, support personnel or connected applications access the content?
If any answer is unclear, narrow the data sent, disable the feature, choose a route with documented controls or treat the data as retained until the provider gives a precise answer.
Common mistakes and safer alternatives

What a defensible internal policy should contain
- A register of approved AI products, endpoints, plans, regions and processors.
- Prohibited data categories and a minimisation or redaction standard.
- Separate retention schedules for prompts, outputs, files, logs, feedback, caches, audit records and backups.
- Approval requirements for training, fine-tuning, grounding, connected tools and regulated data.
- Named owners for configuration, deletion requests, incident response and vendor reviews.
- Evidence requirements: current terms, screenshots or exports of settings, deletion tests and review dates.
- A change-management trigger whenever the provider changes a model, feature, contract or processor.
This structure lets a business answer the two questions auditors and customers usually ask: whether the provider may use content to improve models, and where that content is retained while the service operates.
Bottom line for decision-makers
Choose AI services by data flow, not by a broad “enterprise” label. Confirm the training-use commitment for the exact route, map every feature that stores or processes content, minimise what you submit, and set a retention schedule that reflects your purpose. Treat ZDR as a scoped configuration with eligibility and exceptions—not as a blanket promise covering every product surface. Revalidate the decision whenever your provider, contract, region or feature set changes.
