AI providers can usually receive your prompts and files, process them to deliver an answer, scan them for abuse, and keep some records even when they promise not to train a general-purpose model on your content. The decisive factors are the exact product tier, privacy setting, account type, safety event, deletion request, and any optional feature that stores conversation state.
“Not used for training” and “zero data retention” are different promises. Use the provider-specific controls and retention terms below before entering confidential, regulated, or proprietary material.
Four separate questions determine your privacy
Privacy notices often sound contradictory because they describe different stages of data handling. A provider may collect a prompt, let automated systems inspect it for abuse, retain it for a limited period, and still exclude it from model-improvement training. Evaluate each stage separately.

Collection is the moment a service receives your text, image, audio, video, uploaded document, connector result, or account metadata. Prompts and files are generally treated as user content. Usage, device, diagnostic, and security logs can be collected alongside the content.

2. Operational access
The service must process content to generate a response. Automated filters may scan it for malware, policy violations, fraud, or other abuse. A limited group of authorized personnel or contractors may be able to review flagged material, support cases, or feedback, subject to the provider’s controls and terms.
3. Model improvement
Model improvement means using content to tune, evaluate, or otherwise improve models and products. Consumer services may allow this by default or provide an opt-out. Business, education, healthcare, and API products often use a no-training-by-default commitment. That commitment does not erase operational, legal, or safety retention.
4. Retention and deletion
Retention is how long a copy or derived record remains in a system. Deleting a chat may remove it from ordinary account history while separate safety, abuse, billing, feedback, backup, or legal records remain for a different period. Always read the deletion exceptions.

OpenAI: consumer ChatGPT versus business and API products
Consumer ChatGPT
OpenAI says it collects prompts, uploaded files, images, audio and video, connected-service data, log data, and usage data. Its consumer policy states that content submitted to ChatGPT and other individual services may be used to improve model performance, depending on your settings.
Review the Data Controls panel before sharing sensitive material. Turning off model-improvement sharing addresses training use; it does not mean the service never receives or temporarily stores the content for operation, abuse prevention, support, or legal compliance.

Temporary Chat
Temporary Chats stay out of chat history, do not create or update memories, and are not used to improve OpenAI models while they remain temporary. OpenAI says a temporary conversation may nevertheless be retained for safety for up to 30 days. Temporary mode is therefore a reduced-persistence option, not a zero-retention guarantee.
Business, Enterprise, Education, Healthcare, and API
OpenAI’s business and API terms exclude customer content from model improvement by default, with organizational opt-in where available. Procurement teams should still ask where logs, uploaded files, abuse records, backups, and support exports are stored; the no-training default does not remove those operational or legal questions.

Anthropic: improvement controls, Incognito, and commercial retention
Consumer Claude
Anthropic says consumer chats and coding sessions may enter improvement workflows when you enable the Improve Claude setting, when a conversation is flagged for safety review, or through another explicit opt-in. Disable improvement for ordinary sensitive work, and do not assume that setting overrides a safety investigation.
Incognito chats
Anthropic’s Privacy Center statement dated March 16, 2026 says: “Your Incognito chats are not used to improve Claude, even if you have enabled Model Improvement in your Privacy Settings.” Incognito controls improvement use; it does not promise that abuse-prevention systems cannot inspect or retain a flagged conversation.
Commercial API and other business features
Anthropic says commercial API inputs and outputs are automatically deleted within 30 days unless an exception applies. Exceptions include a longer-retention feature, a contract, a legal requirement, or a safety need. Files API objects, saved workspaces, user feedback, and policy-violation records can follow different schedules.

- Inputs and outputs tied to flagged usage-policy violations may be retained for up to two years.
- Trust-and-safety classification scores for flagged violations may be retained for up to seven years.
- Data associated with feedback may be retained for five years.
- Deleted commercial chats are removed from backend storage within 30 days, subject to the stated exceptions.
Microsoft Copilot: treat the app version as a privacy setting
The cited Microsoft Copilot Privacy FAQ applies to an older consumer app. It says that, except for certain categories of users or people who opted out, Microsoft uses data from Bing, MSN, Copilot, and interactions with Microsoft ads for AI training. The same FAQ includes conversation and voice activity, images, and uploaded files in the possible training data.
Microsoft released a newer Copilot app on August 18, 2026. The older FAQ does not establish the exact rules for that current app. Before relying on a training opt-out or uploading a file, identify the app version, sign-in account, region, and applicable privacy notice. Do not generalize the older FAQ to the new app without confirmation.
Google Gemini Developer API: paid services and feature-specific storage
Paid API prompts are excluded from product improvement
Google states that when you use its paid services, it does not use prompts—including associated system instructions, cached content, and files such as images, videos, or documents—or responses to improve its products. This is a paid-service rule; do not apply it automatically to free products or unrelated account features.
Grounding with Google Search or Maps
When Gemini API grounding with Google Search or Maps is enabled, Google documents storage of prompts, context, and outputs for 30 days. A no-training promise therefore coexists with a defined operational retention period.
Stateful interactions and Live sessions
Stateful API features retain conversation state so a later request can refer to earlier turns. Google also documents that a Live API session handle can retain text, audio, and video conversation state for up to 24 hours. Avoid these modes when each request must stand alone.

Files and context caching
File API objects remain stored until you delete them or they expire under the service’s rules. Explicit context caching lasts for the time-to-live you set. Limited abuse logs may still be created even when prompts and responses are excluded from product improvement.
What uploaded files, connectors, and logs add
Uploaded files are content, not just attachments
A PDF, spreadsheet, source-code archive, photograph, recording, or scanned identity document is normally part of user content. It may be copied into an upload service, virus-scanned, indexed for retrieval, and associated with your account or workspace. Deleting the chat may not delete a separately managed file object.
Connectors can import third-party data
A connected drive, mail account, calendar, or enterprise repository can send additional content to the AI provider. The provider’s policy may cover the retrieved snippets, while the connected service keeps its own audit and access logs. Revoke a connector and delete synchronized copies when the task ends.
Logs can outlive the conversation
Request identifiers, timestamps, IP addresses, device information, latency metrics, safety scores, and error traces help operate the service. These records may be retained even when the prompt itself is excluded from training. Ask which logs are captured, who can access them, and when they are purged.

Zero data retention (ZDR) should mean that the provider does not keep request content after processing, but the exact contractual definition varies. Some ZDR programs exclude prompts and outputs while permitting security logs, abuse investigations, billing records, or legally compelled preservation. Others apply only to a particular API route, account tier, or approved customer.

Test a ZDR claim against five questions:
- Does it cover prompts, responses, uploaded files, images, audio, and connector results?
- Are automated abuse scans or human safety reviews exempt?
- Do backups, support tickets, feedback, and legal holds have separate retention?
- Do grounding, caching, memory, file APIs, or stateful sessions create stored copies?
- Is the commitment contractual for your region and account, or merely a product default?
Privacy setup checklist
- Identify the exact service. Record the product name, app version, region, account type, and whether it is consumer, business, education, healthcare, or API access.
- Read the current privacy and retention terms. Check the effective date and any country-specific language.
- Disable improvement sharing. Use Data Controls, Improve Claude, or the equivalent setting before entering confidential content.
- Use a temporary mode for one-off work. Temporary Chat or Incognito can keep a conversation out of ordinary history or improvement, but safety retention can still apply.
- Turn off persistence. Avoid memory, saved workspaces, stateful interactions, Live resumption, context caching, grounding, and file APIs when you need the smallest possible footprint.
- Delete every object. Remove the chat, uploaded file, saved workspace, cached context, and connector authorization separately.
- Document exceptions. Keep the provider’s stated safety, feedback, legal, and abuse-retention periods with your data-processing records.

Choosing a service for common situations
Personal brainstorming
Turn off model-improvement sharing and use a temporary or Incognito conversation. Remove attachments afterward. Do not paste passwords, identity numbers, unreleased business plans, or another person’s private information.
Confidential company work
Prefer a business or API contract with a written no-training default, administrative controls, defined regional processing, and a documented deletion schedule. Confirm that the commitment covers files, connectors, logs, and support access.
Regulated or legally privileged material
Obtain counsel and a provider-specific data-processing agreement before uploading. A consumer opt-out is not a substitute for contractual restrictions, access controls, incident response, and verified deletion.

Use an approved API route, disable stateful and grounding features, avoid persistent file storage, set the shortest cache lifetime, and log only pseudonymous identifiers on your side. Verify behavior with the provider rather than assuming that “no training” means “no storage.”
Common mistakes
- Assuming an uploaded file is deleted when its chat disappears.
- Treating a training opt-out as a ban on safety or support access.
- Ignoring a product update, account type, or regional policy change.
- Enabling grounding, memory, caching, or a connector without checking its retention period.
- Believing that a provider-wide statement applies equally to consumer apps, paid APIs, and enterprise contracts.
The practical answer
AI providers can generally process your prompts and files, collect operational logs, run safety checks, and retain some records. Whether they may use the content to improve models depends primarily on the product tier and your settings. For the strongest privacy posture, select the correct business or API tier, disable improvement sharing, use temporary or Incognito modes for short tasks, avoid persistent features, delete each stored object, and verify the remaining safety and legal exceptions in the current terms.
