Accounts receivable (AR) software tracks what customers owe a business, including customer invoices and incoming payments. Depending on the product, it can also help apply payments to invoices, monitor overdue balances, manage collections, and report on receivables.
How accounts receivable software works
AR software supports a workflow: an invoice is created or received, its balance remains open until it is paid or otherwise settled, and a payment is recorded against the amount due. The system can then show which balances remain outstanding and support follow-up when payment is late.
- Create or track an invoice. In an accounting or ERP system, invoices may be generated from sales orders or entered as free-text invoices. Microsoft Dynamics 365 documents both approaches.
- Record and apply incoming payments. The software records receipts and associates them with amounts due. For example, SAP’s FI-AR documentation describes assigning incoming payments to receivables.
- Monitor outstanding balances and follow up. Depending on the system, teams can review open invoices and use overdue-account follow-up or collection tools.
What features may be included
Not every AR product includes every capability. Product scope and configuration vary, so check the workflows a specific system supports.
- Invoice creation and management: Create or track invoices and their unpaid balances.
- Payment recording and settlement: Record receipts and match them to amounts owed. More complex workflows may need to handle partial payments, consolidated receipts, or exceptions.
- Overdue follow-up and collections: Tools may include collection letters, centralized collections views, dunning, or other ways to follow up on late receivables. SAP’s Cloud Public Edition documentation covers overdue-receivable follow-up.
- Cash application and reporting: Some products support applying incoming payments to invoices and reporting on receivable activity. Zuora’s AR documentation groups its coverage around invoice management, collections, and cash application.
Is AR software different from accounting software?
Accounts receivable software describes receivables workflows, not necessarily a separate application. AR features can be built into an accounting or ERP platform, as shown in the Microsoft Dynamics 365 and SAP FI-AR documentation. A specialized product may focus more narrowly on receivables tasks; Zuora maintains a dedicated Accounts Receivable documentation area.
#1 Best Overall
Whether a separate tool makes sense depends on the work it needs to cover and how it fits with the business’s existing ledger or ERP. Confirm compatibility for the exact product and edition rather than assuming an integration is available. AR software does not automatically replace the accounting ledger.
How to assess what a business needs
Start with the receivables tasks that are difficult or time-consuming today, then check whether a candidate system supports them and fits the existing financial setup.
Rank #2
- Workflow coverage: Does the team need invoice creation and tracking, payment recording, collections, cash application, reporting, or a particular combination?
- Ledger or ERP fit: Is the AR capability already available in the current platform, or would another product need to connect to it? Verify the specific product and edition.
- Payment complexity: Identify whether the process must handle partial payments, consolidated receipts, multiple payment types, or exceptions.
- Collections controls: Check how the system monitors overdue balances, supports collection criteria and customer communication, and handles dunning.
What is established about results?
The available official product documentation describes functions and workflows; it does not establish a neutral industry average for AR-software adoption, collection improvement, or days sales outstanding (DSO) reduction. Treat claims that a product speeds payment or improves cash flow as vendor claims unless independent evidence supports them.
