An async standup by voice note is a short, recorded team check-in that people post for colleagues to hear when their schedules allow. Each person shares what moved forward, what they plan to do next, and what is blocked; teammates follow up with the people who can help. It is a practical adaptation of documented video and structured-text check-ins, not a format whose effectiveness has been independently established by the sources cited here.
What a voice-note standup is—and what it is not
Instead of gathering everyone at the same time, each teammate records an update and posts it in a shared team space. Others review it later and respond where a decision, answer, or handoff is needed. This makes the check-in asynchronous: people contribute and catch up without sharing one meeting hour.
Use it to make progress, priorities, and impediments visible. Do not treat the recording as a substitute for every conversation. A blocker that needs several people to reason through a problem still needs a focused follow-up; the standup helps identify that need and route it.

Loom describes short recorded weekly updates, while Range describes adjustable asynchronous check-ins. Applying those patterns to audio is a practical choice, not evidence that voice notes outperform text or live meetings. A 2018 field study of synchronous daily standups observed 102 meetings and interviewed 60 members of 15 teams in five countries; it reported that standups can be challenging and negatively experienced by some participants. It did not test voice-note standups. Read the study abstract.

What to say in a voice-note standup
Use the same three prompts each time so teammates know what to listen for:
- Progress: What moved forward since the last check-in?
- Next: What is your next priority?
- Blockers: What is blocked, or what do you need from another person?
These prompts follow Loom’s published standup guidance. Loom’s guidance on asynchronous weekly updates recommends covering progress, next steps, and blockers or challenges.

When raising a blocker, make the request actionable: name the person or role who can help and say what you need. For example: “The draft is ready; I’ll start the review checklist next. I’m waiting on the final figures—could Priya confirm them in this thread?” This ownership detail is a practical way to route follow-up, rather than a prescribed script from the sources.
How long should a standup voice note be?
Keep it concise enough that teammates can catch up quickly. Loom’s design team describes weekly asynchronous video updates of 1–3 minutes, and Loom designer Judson Collier says he aims for 1–2 minutes for his own update. These are examples from a video workflow, not universal standards or tested limits for audio. See the Loom team example.

For voice notes, use a similar short target as a starting point, then adjust if the team cannot share useful status within it. Avoid narrating every task: include enough context to explain progress, the next priority, and any request for help. If an update needs a long explanation, post the headline in the standup and continue the discussion separately.
Set up a repeatable workflow
- Choose a cadence and shared place. Pick a predictable rhythm—daily, every other day, several times a week, or weekly—based on how often the work requires coordination. Range’s guide describes those cadence options, but does not establish one as best for every team. Range’s guide to distributed async standups also describes Slack or email reminders and local-time reminder options.
- Post the same prompts each time. Ask contributors to cover progress since the last check-in, their next priority, and blockers or requests. Consistent prompts make updates easier to review without turning them into a long report.
- Record and post in a shared, reviewable space. Use a team channel or another agreed location where colleagues can find updates and reply. Keep updates together rather than scattering them across private messages, unless a blocker needs a direct conversation.
- Route blockers to an owner. Ask the person posting to identify who can help and what response is needed. Continue the detailed problem-solving in the relevant thread or a focused conversation; the update itself should surface the issue, not hold the whole team’s time hostage to it.
- Review whether the ritual is useful. If updates are ignored, repetitive, or fail to bring help to blocked work, change the prompt, cadence, or format. Treat the practice as adjustable rather than assuming a daily meeting pattern works equally well asynchronously.
How remote teams can share updates across time zones
Do not make recording depend on a single meeting hour unless the work genuinely requires overlap. A predictable deadline with reminders sent in each person’s local time lets teammates contribute during their own workday and review others’ updates later. Range describes both common-time and local-time reminder approaches; choose the one that fits the team’s handoffs and response expectations.

Set a clear expectation for when people should review updates and how quickly blockers need a response. The recording can wait; urgent incidents or time-sensitive decisions should use the team’s established urgent channel rather than relying on a routine standup post.
Voice notes versus structured text check-ins
Neither format is right for every update. Voice can carry tone and spoken nuance; text is easier to scan. Recordings take time to play, while a written check-in is often quicker to skim. These are practical format trade-offs, not comparative results established by the sources.

If the update is mostly a quick status or a simple request, text may be enough. If speaking is more natural for the contributor, a short voice note can work—provided the team can access it and knows where to respond. A hybrid policy is often practical: accept either format while keeping the prompts and follow-up expectations consistent.
Sharing recordings in Slack
For teams using Loom, Atlassian Support documents a Slack integration in which a recording can be initiated from Slack desktop or web after installing a Loom recorder, and a pasted recording link can expand in a channel or direct-message thread. The documented recording flow does not support initiating a recording from Slack mobile. Integration details can change, so check Atlassian’s current Loom Slack integration instructions before relying on a particular workflow. This is a video-sharing example; it does not establish an audio-only workflow.
